September 3rd will be our first day of Fall 2024! We will welcome 2,900 new undergraduate students, 620 new MBA and specialty master’s students, and many new faculty and staff members to RBS. The RBS total enrollment has returned to our pre-COVID level as we welcome over 10,000 RBS undergraduate and graduate students back to our classrooms this Fall semester.
We have been facing many unprecedented challenges, and here is our reality check: AI is transforming business operations and penetrating industries where our students will be working; the public and employers are reassessing their trust in the value of traditional business degrees which include degrees from RBS and other universities throughout the country; more and more low-cost and skill-building alternatives are emerging and taking away students from traditional educational programs; and more and more issues related to ever-rising operational costs and an unsettling campus climate must be addressed. No business school is spared from facing these challenges, and neither is RBS.
Over the summer, many of our colleagues have successfully organized and hosted high-impact research conferences, many have launched new collaborative research projects, many have devoted their vacation time to successful summer camps for our students, many have served as key contributors to open houses, meet and greet events, career pathway workshops, new student interviews and orientations, and many have gone the extra mile and given their time on campus to get us ready for the new semester, including our largest ever welcome back BBQ event on 8/28/2024 at 1 Corporate Place with over 170 faculty and staff members. Whatever the season, RBS is never idle!
The RBS-AI Taskforce has been working during the entire summer to explore the best ways to introduce AI into our classrooms, and their suggestions will be reported at our 9/27/2024 RBS faculty/staff retreat. During the same retreat, we will also have a panel of C-suite Officers to share the use of AI technologies in their industries, including IBM, Google, LTX, Mondelez International, and KPMG. Starting with AY24/25, RBS will partner with Google to implement its innovative AI for Campus solution. Google AI presents a powerful suite of tools to redefine the learning experience. This new partnership will give RBS faculty, staff, and our 10,000+ students access to not one but a suite of large language models (LLMs) such as Gemini, Vertex, Claude, ChatGPT, and more through a single interface, along with the administrative and security controls necessary to deploy these solutions within an educational environment.
The awarded proposals to the Dean’s Research Seed Fund will be announced on 12/9/2024, which will lead to more collaborative research initiatives at RBS. Another call for proposals for developing innovative “build your own course (BYOC)” will be sent out during September. To achieve measurable results toward RBS equitable student success, we will further enhance our experiential learning and mentoring programs, and launch a new initiative called the On Time Graduation Project to help reduce student time spent at part-time jobs in order to focus on completing their degrees in a timely manner. In 2029, our RBS will be 100 years old. As we are developing our five-year Capital Campaign (2024-2029), we invite all of you to contribute fundraising ideas and to work together toward a new milestone in RBS history!

Early Dismissal/ Cancellation of Classes
For a regular semester, where all/most instruction is face-to-face (F2F), there are established contact hours that each course must meet per semester. Student class preparation hours are not counted towards these F2F contact hours. Articles read or videos watched in advance of a flipped F2F class would not either. The idea would be to cover more cases or examples (time permitting) to enrich the learning experience of our students in the extra time earned.
Similarly, for courses taught remotely, the hours of each class (time spent in class each week; and number of weeks) need to be commensurate with the number of course credits. Therefore, it is critical that all classes keep the students engaged for the entire class period with an appropriate mixture of activities even in the case of classes that meet for a long duration (though appropriate intervening breaks or video recordings, and group assignments may be given). Please discuss these expectations with your course captains (if applicable), online teaching expert faculty (we have at least several in each department), and Chairs. Each department has also outlined an internal process to review and approve online/remote courses. Instructors do not have the prerogative to dismiss classes early (not even on the first/last class of the term). Also, instructors are not permitted to cancel any classes.

If you must cancel any classes for any reason, you must notify students. For F2F classes, a note on the classroom door is not sufficient, particularly in cases where your students may be risking their own safety to get to class in inclement weather. Hence, please arrange with your students early in the semester for them to check your Canvas/Blackboard site for the course at least twice a week for important messages, and just before leaving for class in case of last-minute cancellations or changes, or to call your office (or home, if you are willing to give out your home number) at a specific time to hear an up-to-date message on whether class will be held in case of inclement weather. (Be sure you are able to modify your Canvas site and/or change the message on your school voicemail account from home!) It would be a good idea to use the e-mail address list available on your electronic roster to notify students of cancellations. If so, please alert the students that you will be sending out an email in the event of inclement weather.
Please be sure to also notify your Department Chair or Vice Chair and the relevant program, such as MBA Student Services (973-353-5275), Undergraduate-Newark Student Services (973-353-5169), or Undergraduate-New Brunswick Student Services (848-445-3600). However, the onus is on the instructor to notify students. Students should also be informed that they can check on official University and/or Campus closings as described above.
All cancelled classes must be made up at a time convenient to you and your students. Please contact Student Services at the above extensions to schedule a makeup room (if necessary) and inform them of such changes.
REMINDERS TO ALL FACULTY
a) Your students must have a phone number where they can reach and/or leave messages for you throughout the semester. The Student Services staff in Newark and New Brunswick cannot act in this capacity.

Electronic rosters for classes are available at https://sims.rutgers.edu/rosters/. Click on Rosters & Electronic Grading Information System (REGIS), then log in and type in your course number. If you do not have access to this semester’s courses, please contact your chair, who should grant you access.
These rosters enable you to create e-mail address lists; however, they are based on the Scarletmail account that students receive when they enroll. Therefore, on the first day of class:
1) Inform students that they are expected to check their e-mail; if they do not have a Scarletmail account, they should visit the website at https://netid.rutgers.edu/
2) Remind students to arrange for all Scarletmail to be forwarded to the appropriate address if necessary. Instructions are at https://netid.rutgers.edu/.
The email addresses will be loaded to your Canvas account. This will eliminate the need to collect e-mail addresses from students.
Please refrain from assigning Incomplete (IN) grades unless the student has a documented excuse for missing part of the course (such as: medical issue/emergency preventing student from taking the final exam or submitting the course project). For cases where students are missing a significant portion of their course grade without a verified/documented excuse, please assign the actual grade that the student receives, even though that grade might be a D or an F. If such students provide documentation and are allowed to complete their coursework later, their grades can be modified via the course grade change system (https://sims.rutgers.edu/rosters/). If you have any questions or need further clarification, please reach out to the department chair, program directors, or VD Yeniyurt.
Instructors are also to submit a warning grade to students who are in jeopardy of failing the course. This can be done on the REGIS website mentioned above. This would hopefully encourage such students to get back on track and have a positive effect on retention and graduation rates.

Some classes may not require a laptop/webcam, and in other cases students may also be able to access course materials effectively using mobile devices. Please try to be lenient and do not specify hardware/software unless you know they are needed. Please keep student constraints in mind and accommodate their needs to the extent possible. If your class is only offered online (and does not have an in-person section), you may still encourage students to use webcams (those with privacy concerns should use virtual backgrounds) but do not penalize them for not doing so.

For individual students with legitimate issues regarding the use of webcams during exams, again, be flexible, and offer alternative modes and make-up exams as needed. The above language, though a bit confusing, is simply saying that final exams should be held as scheduled by the University, and not held while classes are still going on. The following language on the same website provides further clarification:
• All final exams must be scheduled during the official Final Examination period as stated in the academic calendar except those approved by the Dean of Instruction of the academic unit.

GRADING POLICY
Course grades are determined as follows:
[Nothing will give you more headaches than grading. Be thorough, precise, and consistent, else you will be overrun. List all items to be graded, how they will be graded, and how final grades are determined. Also include:
- Clarify types of assignments: independent assignment, team assignment, collaboration optional, collaboration required…
- Extra credit: If none, state so. If any, state the exact conditions for earning it.
- Grade distribution: If you have an intended grade distribution, explain it in detail.
- Grade posting: Where will you post the grades and when?
- Return of graded items: How quickly will you return grades/graded items, and how?
- Warning grade roster: You are strongly encouraged to issue warning grades; clarify if you do.
- Pregrading & regrading: How do you handle requests to review assignments before final submission (pregrading)? How do you handle requests to regrade assignments & exams?
- Grade grubbing: Consider a note along these lines: “Your final grade is not subject to negotiation. If you feel I have made an error, submit your written argument to me within one week of receiving your final grade. Clarify the precise error I made and provide all due supporting documentation. If I have made an error, I will gladly correct it. But I will adjust grades only if I have made an error. I cannot and will not adjust grades based on consequences, such as hurt pride, lost scholarships, lost tuition reimbursement, lost job opportunities, or dismissals. Do not ask me to do so. It is dishonest to attempt to influence faculty in an effort to obtain a grade that you did not earn, and it will not work.]

The use of a Learning Management System (LMS) is required for all courses taught at the Business School. Rutgers Business School has transitioned from Blackboard LMS to Canvas as of Spring 2021.
Instructors must be entered into REGIS and the Course Scheduling System (CSS) to have access to their Canvas course site. If your courses do not appear in Canvas, please contact your department administrator to be added to REGIS and the (CSS). 2. How do I acquire access to my Canvas course?
Faculty have access to courses in Canvas for which they have REGIS access. If you have been as signed a course late or do not have access to your course, please contact the Canvas Help Desk to be manually added to the course.
How do I add users to my Canvas course? Please select the appropriate role for TAs or departmental administrators.
3. How do I cross list or merge multiple sections into a single course?
You can combine your courses by using the Cross-list Courses tool
4. How do I copy my course materials from one section or previous semester to another?
You may only copy content from a course you can currently access. This page provides instructions for importing content.
5. How do I make the course available to my students?
Before you publish your Canvas course, review the Course Readiness Checklist. Course dates determine when students can view and/or participate inside of a live site. This page will explain how to provide students early access to the course and which notifications students will receive.

Documents supporting requests for accommodations, the document review process, and the approval of accommodations must be handled by the Office of Disability Services. When students request their Letter of Accommodation for a particular class, ODS will send the letter directly to BOTH the faculty and the student.
A faculty portal has been created where faculty can log in and see all the Letters of Accommodation that have requested for their class. The first time ODS sends you a Letter of Accommodation, you will receive a separate email with a link to access this portal. You will need your NetID to log in.
The Office of Disability Services are still encouraging faculty and students to have a conversation about the accommodations to ensure an understanding about how they will be implemented in your course.
This is particularly important for testing accommodations. Please remember to encourage students to complete an exam request form with our office at least 5 business days prior to the date of the exam so the student can be accommodated appropriately.
Physical facilities on the campuses, many of which conform to outdated building codes, have made it exceedingly difficult for our disabled students to participate fully in classroom activities. In most cases of physical and learning disabilities, the student is the best judge of what would help him/her most, so please be sensitive to any special needs, particularly during examinations.

We hope you had a restful and rejuvenating break. As we prepare to embark on a new academic semester, we want to provide you with some important information and reminders to ensure a smooth start.
Important Reminders:
1. NetID: If you have not already done so, you will need to activate your NetID, since it is required for accessing university systems and resources. You can do so by visiting https://netid.rutgers.edu/index.htm. Please allow up to 48 hours for activation.
2. MyRutgers Portal: You can access your personal and payroll information through the PeopleSoft Managemnt System - Employee Self Service once your NetID is active. Access the portal at MyRutgers Portal.
3. Payroll: Paychecks are issued bi-weekly on alternating Fridays by the Department of Time and Labor. The first pay cycle for fall 2024 is September 13, 2024.
4. Parking Permits: If you will be commuting to campus using a personal vehicle, you need to purchase a parking permit. Research-Active Faculty Decanal Research Fund (DRF)
The Dean’s Office will grant each “research-active” full-time faculty member an annual Decanal Research account on a continuous basis, provided they meet the criteria. The criteria for “research-active”, together with the categories of reimbursable expenses, are defined in the policy.
Faculty Decanal Development Fund (DDF)
The Dean’s Office will grant to each full-time NTT or TT faculty member who does not meet the “research-active” criteria, Decanal Development Funds, renewable upon the Department Chair’s recommendation. The DDF fund provides support to full-time faculty in fulfilling the AACSB-mandated requirements for continuing professional or academic qualification. Please contact your Departmental Administrator with any decanal account questions.

In support of research and sponsored activities at the Rutgers Business School Newark & New Brunswick and the Rutgers The State University of New Jersey, the handbook, known also as the RBS Grants Management Handbook for Research & Other Sponsored Activity, was designed to assist new and established investigators in the conduct of research both pre- and post-award.
The handbook seeks to support the University’s research effort by identifying available resources, providing guidance regarding the development and administration of sponsored projects; inform investigators of their roles and responsibilities in research administration and compliance, and to indicate the roles of staff in supporting the research effort.

Concur Travel & Expense combines the existing Rutgers Online Travel Booking Tool with a new expense management system designed to improve expenses incurred using university travel and purchasing cards while also simplifying the reimbursement process for university-related purchases made using personal funds.
Concur Travel and Expense is a fully automated, end-to-end, customer-focused travel and expense solution that:

HR Updates
The Flexible Work Arrangement (FWA) Pilot program will be extended to August 31, 2025. Please remember that it is up to your supervisor to determine if a flexible schedule suits your role and department. Departments participating in the FWA Program must follow the steps below to reapply for the program. Staff members, please read the steps below, as they have been updated since the last application period. ALL staff members participating in the FWA program must complete a new FWA application no later than October 31st to remain in the program through August 2025.
Action Required by DEPARTMENT Head/Unit Supervisor. Review and update Department Needs Assessment and Team Agreement. The agreement should include the following:
Set the context of the agreement with the team:
• Who will be working from where (in a regular week)?
• What do you want to do in real-time, and what can be done asynchronously?
• How and when do you want to collaborate and communicate (i.e., recurring team meetings)?
• What equipment is necessary and available to complete tasks?
• How can you hold each other accountable?
• Consider the working patterns across the team. For example:
Availbility: Are there specific hours of the day that the team needs to be available, either in person or virtually (e.g., establish core hours and communication protocols, agree to response times for emails and questions, ensure coverage to address service population needs, etc.)?
Attendance: which key events do team members need to attend, either in person or virtually (e.g., weekly team meetings, etc.)?
In-person expectations: be clear when the team is expected to be together in person to achieve business results (e.g., weekly meetings, project kick-off, etc.)
Performance expectations: consider IT security protocols, security of records, confidentiality, accessibility during work hours, participation in meetings, deadlines, ensuring customers/colleague’s needs are met, reporting hours or OT if applicable, etc.)
Team habits: what are the daily practices the team wants to adopt to ensure effective work in a hybrid environment (e.g., 50-minute meetings to ensure natural breaks are built into the day, sharing and respecting communication preferences (emails, calls, chat, etc.)?
• Ensure an equitable application across the team by periodically reviewing the agreed-upon terms of this team agreement.
• Upload Needs Assessment to link using the following naming conventions “ORG #_Department Name” (i.e., “10045_RBS”)
• Supervisors must confirm their direct reports are compliant (e.g., expectations, onsite attendance, office hours, availability, etc.) with the program protocols and hold employee(s) accountable when necessary.
• NO FWA: If you do not have an approved flexible work arrangement in the FlexWork@RU Application System by October 31, 2024, you are expected to be on campus five days per week.

Flexible work arrangements lasting fewer than 4 consecutive weeks should not be submitted. Arrangements lasting less than four weeks must be discussed and approved in advance by your supervisor.
→ If your request for a change in flexible work is based on health reasons, please request a leave consultation through OneSource to consider all of your options.
→ • Staff granted permission for such arrangements are expected to work on campus at least three days per week. Employees must uphold their in-person agreement and report to campus when expected to be in the office.
→ • All applications must be submitted no later than October 31st.

Steps for Events
Submit a request for an Event and Activities Certification (applicable for events for 25 or more people) Submit an RBS Event’s Qualtrics Form. Place a hold on your space using the RBS Reservation Portal.
RUID - This card is your official University Photo ID and provides access to various campus facilities. If you haven’t obtained your card yet, visit any RUConnection Office with a valid photo ID - https://ipo.rutgers.edu/ publicsafety/iam/staff-faculty-guest-id.
Identification Checks: For smoother entry, be prepared to show your Rutgers University ID (RUID) at all times. Our Security Officers and CSOs will be checking IDs to ensure a secure and efficient entry process.
Guest Protocols: Guests will need to present a state or federal ID upon entry and check in at the Front Desk. Departments, please coordinate ensure your guests are aware of these new procedures.
Faculty Lounge/Touchdown Space: The Faculty/Staff Lounge at 100 Rockafeller Road (Piscataway Campus) has been moved to the 3rd floor, Room 3018. This new area has been thoughtfully designed to provide a vibrant environment where you find a quiet spot to focus, a comfortable place to meet with colleagues, or just a space to touchdown before your class.
The Staff lounge at 1 Washington Park is located on the 1st floor, room 103. The faculty lounge is located on the 6th floor, room 639.
New Location! Our newest location at 1 Corporate Place South includes a lounge for our RBS Community, room 112A.

Saturday 8:00am to 6:00pm 9:00am to 12:00pm CLOSED
Sunday 8:00am to 6:00pm 10:30am to 2:00pm CLOSED
