Thank you for time recently when we discussed your requirements for the following:

• A contract that customers can e-sign

• An E-based job filter

• Two E-brochures – one for customers and one for architects

• A quote presentation file

This proposal lays out the scope and fees for each of the above.

1. A contract that customers can e-sign

E-signing a document involves using software that enables you to send a document to customers for them to enter their e-signature and other information you require (usually the date and their full name.) This software typically involves a monthly subscription, and there are various tiers, depending on what features you require.

We have had a look at a selection of the platforms available and have trialled SignNow. The trial we conducted was on their business plan, and this appears to have all the features required. The Business Plan is priced at $96 for 1 year, or $20 per month, with the option to cancel at any time. This includes 100 invitations (documents to sign) a year, and additional invitations are priced at $0.96 each.

Assuming you were happy with the SignNow platform, we would carry out the following:

• Set up a SignNow free trial account for Fresh Approach (that we would be able to access.)

• On receipt of the content you require on the contract, we would create a document template on SignNow, which contains your text, and the Fresh Approach logo and contact details. We would send a test document for you to sign and review.

• Carry out any amendments until the document meets your requirements.

• Send the link to you so you can turn the plan into a paid version once you have the need to use it. The monthly or annual subscription would be paid by Fresh Approach.

• Send you details on how to send a document to a customer to e-sign.

Total set up cost £100 plus VAT.

2. An E-based job filter

This would be an e-book, which sets out the Fresh Approach processes and steps and can be sent to customers on receipt of their initial enquiry.

Automating this, so that the email is sent as an automatic reply could prove complicated, as it would be difficult to establish ‘rules’ on which emails would be subject to the automatic reply. An alternative could be a manual reply with the use of software such as Text Expander. This allows you to set up the text you want to include, including the e-book link, in advance. You then enter a short code, which generates the full email content. All you need to add to the email is the customer’s name.

On receipt of your content for the brochure, we will:

• Design the brochure, using the text and photos you send us. The brochure will follow the Fresh Approach guidelines and include the Fresh Approach logo.

• Carry out up to two rounds of revisions following your review(s).

• Once the brochure meets your approval, we will generate an e-book. This can be shared as a link in emails.

Total design and set up cost £200 plus VAT.

3. Architect e-brochure

This would be an electronic version of the current Architect brochure which was designed by RBC Marketing.

After a discussion about any required changes, we will:

• Make the agreed changes (up to hour design time).

• Carry out one round of revisions following your review.

• Once the brochure meets your approval, we will generate an e-book. This can be shared as a link in emails.

Total design and set up cost £100 plus VAT.

4. Customer Brochure

This would be an e-book that promotes the services and benefits that Fresh Approach offer to their customers. It would also include case studies and photos of projects carried out by Fresh Approach.

On receipt of your content for the brochure, we will:

• Design the brochure, using the text and photos you send us. The brochure will follow the Fresh Approach guidelines and include the Fresh Approach logo.

• Carry out up to two rounds of revisions following your review(s).

• Once the brochure meets your approval, we will generate an e-book. This can be shared as a link in emails.

Total design and set up cost £200 plus VAT.

5. A quote presentation file

The purpose of this document would be to explain how to use the information provided and better understand the following on process.

The cost of a quote presentation file would depend on what format and content is required and would need further discussion before a price can be presented. However, assuming that it was to be a PDF document using text content (no photos) supplied by Fresh Approach, and following Fresh Approach guidelines and logo, the cost would be around £60 plus VAT.
