Introduction

Dear Parents and Carers of Year 12 students

This graduation booklet has been created to provide information to you and your daughter as she prepares to complete Year 12.

Over the next few weeks, the Deputy Head of Senior School and I will be speaking to all Year 12 students about their school-related end-of-year activities. They have been given a program outlining upcoming events and our expectations concerning their conduct have been made clear. The graduation events for Year 12 celebrate the end of their school years and allow their teachers and fellow students to thank them for their contributions and to wish them farewell. In addition to the formal activities such as Speech Day and the Higher School Certificate examinations, there are social and celebratory activities.

Year 12 students and their parents have the opportunity to gather with other members

of the school community at the Honouring Ceremony, the Senior School Speech Day, the Farewell Chapel Service and the Valedictory Dinner. All students are required to limit their guests at these events to two adults only. We have had to make this request due to limited space. This way, all students and their families are able to share these very special occasions. Unfortunately, for the same reason, younger siblings are unable to attend the Honouring Ceremony, the Farewell Chapel Services and the Valedictory Dinner.

It is important that these last few weeks of school are happy ones that appropriately mark the formal conclusion of your daughter’s schooling. All students are required to attend school as usual. This is a valuable time for revision, review and consolidation of knowledge. They are expected to behave maturely and considerately at all times so that their reputation, and that of the College, is not compromised in any way. It is a time of excitement and anticipation and is a wonderful opportunity to create happy and warm memories of their school days that will be recollected with pride. Equally, the planned activities allow the school community to congratulate and farewell the students in a dignified and gracious manner.

In our discussions with Year 12 students, they have been clearly informed that inappropriate

behaviour will not be tolerated. In addition to this, we would advise against the students driving themselves to school in the last week of term. Excitement and emotions can be running quite high and as a result, this can be a challenging time for inexperienced drivers. We are bringing this to your attention to make sure that you are aware of the arrangements and the conditions that have been explained to your daughter, so that you can support her, and the College. We need the assistance of all parents in ensuring that their daughter understands, accepts and abides by the set guidelines.

Please talk with your daughter about preparations for her final days at school and feel free to contact her Head of Year if you need clarification of any issues. The Year 12 students have worked hard in their academic and co-curricular activities, and we genuinely value their efforts, service and the wonderful contribution they have made to the life of the College. We are looking forward to celebrating their graduation events with them and to sharing some of the special occasions with you.

For Year 12 Students who began their schooling at Pymble in Kindergarten, Year 1 and Year 2, this in an opportunity to present a fun assembly to the current students in Kindergarten to Year 2. This is a nostalgic event for the Year 12 students as they complete their journey at Pymble Students are to wear their full winter uniform (no hats).

CLONTARF RESERVE

Marking the beginning of their celebrations, the Year 12 Picnic is a relaxing and fun day spent with their friends and Compass teachers.

Students need to be at school by 8:15am to travel by bus to Clontarf Reserve after a short assembly in the morning. A BBQ lunch is provided; however, students should bring their own snacks to share with their friends. If the weather is warm, there is an opportunity to take a dip in the protected area of the beach.

Please note: Students are not permitted to drive to the Reserve. If you live nearby or would like to drop off and pick up your daughter, please send an email to Senior School office by Thursday 18 September to assist us with transport planning.

An opportunity for the Year 12 students to thank their wonderful Compass teachers and staff who have been instrumental in their Senior School experience. The traditional countdown in the Amphitheatre concludes their last day of classes. This is a student-only event.

Year 12 Speech Day is the traditional awards ceremony to recognise the achievements of the Year 12 students. For Year 12 parents and Year 12 students this will be immediately followed by the Farewell Chapel Services and Honouring Ceremony.

Students are to wear their full winter uniform. Please note that hats are not required during the Speech Day ceremony. However, students must bring their hat to school, as hats are required at the end of the day. Hats should be stored in lockers and collected during the morning tea break.

CHAPEL SERVICE

To allow all parents to attend and participate comfortably in the Farewell Chapel Services, we are conducting two ceremonies in House based groups.

Held in the War Memorial Chapel, this chapel service is a time for reflection and gratitude for our community. It marks the end of formal schooling, and new beginnings. This follows a traditional order of service including time of prayer, song and ceremony.

Parents and carers are invited to gather for refreshments on Gloucester Lawn before/after their service.

On this day, some parents may choose to bring a small bouquet of flowers to mark the occasion with their daughter. Please note, due to the limited space in the Chapel, that these bouquets must be held on your lap, or kept under your seat.

The Valedictory Dinner allows our families to celebrate together with the Class of 2025 students, over dinner and dancing. It will be held at the Winx Pavilion. We look forward to celebrating with students and their families.

Please note: Alcohol will only be served to students identified by the College as being 18 years of age or older, and who are wearing wristbands provided by the venue.

Students who are 18 years of age and older must bring proof of age identification on the night.

It is the expectation of the College that all in attendance practise socially responsible consumption of alcohol to ensure that the evening is safely enjoyed by all.

Study time prior to examinations

Maintaining focus and study routines is very important in the lead up to the HSC examinations. They are worth 50 per cent of the HSC mark in each subject.

Our After Hours Study Program will continue during Term 3 and Term 4 for students to study in a familiar, supportive environment with alumni available for tutoring from Monday to Thursday until 8.00pm.

Study Camp will take place during the first week of the holidays Monday 29 September to Friday 3 October in the Senior School Centre.

The benefits of Study Camp include the opportunity to:

• study individually in a quiet environment from 8.30am to 4.30pm

• meet with teachers for tutoring

• go into the mock exam room to complete practice papers under exam conditions

• study in small groups in break out classrooms.

Teachers are available for advice and support until each exam is completed. Students should contact their teachers via email to make a mutually suitable time to meet.

Higher School Certificate examination procedures

THURSDAY 16 OCTOBER TO FRIDAY 7

NOVEMBER

All of the examinations, including courses that may have been studied externally, will be held at school. The examinations will be held in the Kate Mason Building.

Students may come to school for their exam and then go home, however, if students would like to stay at school to study, they can use the library or Kate Mason Building atrium area.

PROCEDURE FOR THE FIRST DAY

On Thursday 16 October, all students are required to arrive at school by 8.30am

Mrs Kathy Kish, NESA Presiding Officer, will provide students with important information regarding the examination procedures in the Jobsen Lecture Theatre.

The first English paper for all students will start at 9.50am that morning.

After the first day, students should be at school at least 30 minutes prior to the start of each examination

Students can store their notes and other belongings in the designated areas. Please remember that it is a serious breach of the examination rules to take any unauthorised equipment into the examination room, including mobile phones, smart watches and other electronic equipment and study notes.

HSC TIMETABLE

It is each student’s responsibility to know when the examinations are taking place All families must have a copy of the HSC examination timetable and check it to make sure you attend all examinations as required. A copy of the HSC examination timetable can be found here and each student has received a personalised examination timetable on Students Online. It is important to remember that misreading the timetable does not constitute grounds for an Illness/ Misadventure application

EXAM EQUIPMENT

This link lists all of the equipment allowed into the examination room; please read it carefully.

Students are not permitted to take pencil cases into the examination room. All equipment must be in a clear plastic sleeve. It is each student’s responsibility to provide pens (write in black pen – no erasable pens), pencils and erasers, and a ruler for all examinations. Students may also bring a pencil sharpener and a highlighter. Correction fluid/white out tape is not permitted in the examination room.

Students studying a language should be aware of the rules governing the use of dictionaries in each language. Please note that, where dictionaries are permitted, they cannot be annotated with text or stickers.

Where calculators are permitted, it is the student’s responsibility to provide their own NESA-approved calculator that is in good

working order (check the batteries). Use the link above to access the list of NESA-approved calculators.

Students are NOT permitted to take any food or drink (other than water in a clear bottle) into the exam room unless granted disability provisions. When in the exam room, students must remove their watch and place it in clear view on the exam table.

HSC RULES AND PROCEDURES

Students should familiarise themselves with the examination room procedures and conduct rules as described in the HSC Rules and Procedures for 2025 Higher School Certificate Candidates booklet. It is an expectation that students will abide by all Pymble school rules during the examination period.

This includes wearing the correct school uniform to all examinations, even if students are driving to and from the examinations. There is also an expectation that all students will remain in the examination room for the entire duration of the examination.

The Presiding Officer must be informed immediately if a student needs to leave an examination early.

LATE FOR AN EXAM

If students are delayed by circumstances beyond their control, for example a train delay or heavy traffic, please do not panic. Phone the College and let us know that you are likely to be late (store the Senior School phone number in your contacts). It is strongly recommended that students allow for possible delays and leave home early for each examination.

DURING THE EXAMS

Please follow all directions issued by the Presiding Officer and the exam supervisors. They are there to help you and to ensure that the examinations run smoothly. If you are experiencing difficulty or something is bothering you, please speak to one of the supervisors as soon as possible. If the issue is not resolved, please ask to speak with Mrs Kish or Mrs Stanfield immediately. It is important that students enter the exam room without talking and remain silent until they have left the room. When leaving, be considerate of other students in rooms around you who may still be completing an examination.

ILLNESS/MISADVENTURE

If students are too ill on the day of an examination to attend that examination, please email the Senior School Office and Mrs Stanfield as soon as possible. There are NO catch up examinations. Students must submit an Illness/Misadventure application to NESA. This will involve getting specific NESA forms from Mrs Stanfield for the doctor and must be submitted within a week of the examination.

If a student is unwell and has any COVID-19 symptoms, they should always test for COVID-19.

If a student has tested negative for COVID-19 and is too unwell to attend an exam, they must follow the Illness/Misadventure process described above.

If students are ill DURING the examination, they can also submit an Illness/Misadventure application to NESA. This will also involve getting specific NESA forms from Mrs Stanfield

or the Presiding Officer. It is important that they report to the Presiding Officer, Mrs Kish prior to the start of the examination or during the examination, so that she knows the student is not well and can ensure they are appropriately cared for throughout the examination. Mrs Kish will also be asked to complete a section of the application for Illness/Misadventure.

If there is an incident immediately prior or on the way to an examination that students feel will impact their performance in that examination, they should also report to Mrs Kish prior to the start of the examination to explain the circumstances.

STUDENTS CANNOT SUBMIT AN ILLNESS/ MISADVENTURE APPLICATION ON THE BASIS OF:

• difficulties in preparation or loss of preparation time; for example as a result of an earlier or pre-existing illness

• long-term illnesses such as glandular fever, unless you suffer a flare-up of the condition during the exam

• the same grounds for which you received disability provisions (including but not limited to ADHD, anxiety and depression), unless you experience additional difficulties during an exam

• alleged deficiencies in teaching; for example extended teacher absences

• loss of study time or facilities during Year 12

• misreading the exam timetable. If you miss an exam or arrive late to an exam because you misread the timetable, contact Mrs Stanfield immediately. She may make a

submission to NESA on your behalf

• misreading exam instructions

• failure to enter for the exam in the correct course

• other commitments, such as participation in entertainment, family holiday, work or sporting events, or attendance at exams conducted by other education organisations.

HSC RESULTS AND ATAR

Students will shortly be able to access their Assessment Rank from Students Online. They will require their NESA number and PIN to access this information.

HSC results and ATAR will be released on Thursday 18 December.

Careers and University information

FUTURES@PYMBLE MICROSITE

The Futures@Pymble microsite is the home of all information related to futures and careers. Students have the opportunity to meet with the Futures team to discuss career options and to design plans for their post school pathway and can request a meeting. Students can also visit the Pathways Hub to find everything required to make a successful transition from high school into the ‘real world’.

We celebrate the personal successes of each student and aim to support them in their decision towards selecting a post-school destination. Examples of pathways chosen are:

• universities (Australian)

• universities (overseas)

• cadetships

• private colleges

• TAFE/VET

• traineeships/apprenticeships

• gap years

• employment.

REFERENCES

Some applications related to students’ post-school pathways require support documentation from the College. Some examples of circumstances that require a reference include:

• an Australian University scholarship application

• a residential college application

• a ‘gap year’ application

• an overseas university application

• an elite athlete/performer application

• any other requirement from a university/ college/scheme/holiday program for a reference.

These types of references must be requested at least three (3) weeks prior to the associated deadline. Further information on the reference process can be found here. Please note that this is different to the Graduate Reference and transcript each student will receive upon graduation.

NSW AND ACT UNIVERSITY APPLICATIONS

Students applying to NSW and ACT universities are required to submit an online application to UAC. All Year 12 students receive a UAC Guide to support this process. Students will be given support on how to submit their UAC application process throughout the year.

Students undertaking a gap year are advised to still apply through UAC and defer their offer once it is received. Each university has different processes and students are advised to contact the respective Student Centre or Admissions Office of universities to clarify conditions of offers. Students are also encouraged to attend institution Open Days, which mostly take place in August or September.

EARLY ENTRY OFFERS

Students are asked to share your early university offers with the Futures Department to allows us to provide tailored support

and guidance to help you make informed decisions about your future. It also enables us to celebrate your achievements, inspire younger students, and improve our programs and resources based on your experiences. To provide your early offers, please go to this link

EDUCATIONAL ACCESS SCHEME (EAS)

This is a scheme to assist students who have experienced long-term disadvantages (of six months or more) during Year 11 and/or Year 12. Institutions allocate adjustment factors to to help eligible applicants gain admission to university if their ATAR is below a course cutoff. Several disadvantage categories require an Educational Impact Statement to be submitted by the College. Students are to provide a copy of their Statement from an EAS application and provide it to the College for completion. Other states will have similar processes that require a separate application for each admission body (e.g. VTAC in Victoria has an equivalent scheme called SEAS). Further information can be found here.

UAC SCHOOLS RECOMMENDATION SCHEME (SRS)

Some institutions use the SRS scheme via UAC to make early offers for undergraduate admission, using additional criteria other than the ATAR. Participating institutions include Australian Catholic University (ACU), Charles Sturt University (CSU), Macquarie University (MQ), University of Technology (UTS) as well as others. A range of criteria is used when making SRS offers including Year 11 studies, school’s rating, and the EAS application if applicable. Deadlines for this scheme will be published when they are made available by UAC.

SCHOLARSHIP APPLICATIONS

Institutions have dedicated scholarship sites which students are encouraged to explore. Students are encouraged to use the Futures@ Pymble site and subscription services (more details below) to ensure all options are explored. Many scholarship applications require College supporting documentation such as a transcript and/or a reference. Transcripts and predicted academic results should be submitted to Curriculum Office via curriculum@pymblelc.nsw.edu.au Reference requests should be submitted to the College according to procedures aforementioned.

ELITE ATHLETE AND PERFORMERS

Students who are elite athletes or performers (competing at state level or higher), may be eligible to apply for the Elite Athlete and Performers (EAP) entry schemes (or similar) available at many institutions. At the University of New South Wales and Macquarie University, this scheme also includes leadership achievements such as the Gold Duke of Edinburgh Award. Application processes and eligibility varies across institutions and further information is available on their respective websites.

INTERNATIONAL APPLICATIONS

Studying overseas is an exciting endeavour for some of our Year 12 students. International universities have extensive and complex application procedures which can be supported by the Futures advisors. Students should express their interest in an overseas pathway as soon as possible to keep informed of application processes and requirements. As the process is complex and competitive, we recommend students with exceptional

results to be considering overseas avenues, in addition to domestic options. Students can obtain an offer to an overseas prestigious university, in addition to domestic offers, and make a decision about which offer they would like to pursue. For students committed to applying for an overseas pathway, they should make their intentions known to the Futures Department immediately due to the additional requirements, such as admissions testing. An overseas application support group has been established to enable students to keep informed of the process and essential information that needs to be completed.

GAP YEAR

Gap Year is becoming an increasingly popular choice for graduates at Pymble. The College can support students to apply for a GAP Year through ‘sister’ schools in the UK. There are also a large number of other schools that students can apply to directly. Further information can be found on the Futures@ Pymble microsite and students can contact Allison Chambers - Assistant to Deputy Principal for further support via achambers@ pymblelc.nsw.edu.au. Students undertaking a gap year are advised to still apply through UAC and defer their offer once it is received.

CADETSHIPS

These are prestigious cadetships for students to obtain employment and financial backing for students having excelled in specific domains. These opportunities require extensive applications, including interviews. The Futures team offers individualised support for students who wish to apply for cadetships.

PRIVATE PROVIDERS AND TAFE

TAFE and some private vocational education providers offer excellent courses and qualifications with related job opportunities. This pathway may be an ideal solution for some of our students who are seeking to study. Those who are considering these options should seek the Futures team for individual advice and assistance with applying for their chosen area of study.
