Understanding the Implementation Process

Successfully leveraging SourceKey for your business requires a well-structured implementation process comprised of four stages:

1. DISCOVERY – Identify stakeholders, understand business needs, goals, and existing infrastructure.

2. PLANNING – Establish a detailed roadmap, including branding, user roles, store catalogs, integrations, checkout functionality, and billing/reporting requirements.

3. DEVELOPMENT & TESTING – Build, configure, and test the platform.

4. LAUNCH & OPTIMIZATION – Launch and continuously improve based on user feedback and data insights.

Understanding Programmatic Information

• Identifying any required integrations such as SSO, CRM, Punchout, ERP, etc. (including third-party applications).

• Identifying security protocols and compliance requirements.

• Identifying user types and levels of access.

Understanding Stakeholders

• CLIENT TEAMS: Procurement, Marketing, IT, Finance, Operations.

• TSG TEAMS: Account Management, Customer Service, E-Commerce, Fulfillment, Finance.

• EXTERNAL PARTNERS: Technology Providers and Suppliers.

• KEY DECISION MAKERS: Who approves processes, workflows, and features?

Understanding Content & Materials

• What type of products will be available (print, apparel, promotional items, etc.)?

• Required assets: Logos, brand guidelines, high-resolution images.

• Digital content requirements (static PDFs, dynamic print templates, etc.).

Key Points

ACCESS & INTEGRATION:

It’s important to gain a thorough understanding of your user base so that SourceKey can be tailored to meet your specific needs. Start thinking about your user community and how to break it down into specific groups based on what catalogs they can view and what checkout permissions they should have (shipping settings, payment methods, etc.).

Tip: Dividing users into groups will simplify data analysis and facilitate permission management.

Although traditional login credentials are supported, SSO (Single Sign On) integration enhances the user experience by automating access with a single click. This approach enables users to directly access their accounts without having to enter their login credentials. By clicking on a designated link provided on a secure corporate intranet or within a password-protected portal, users can effortlessly navigate to their desired applications or resources. This streamlined process enhances convenience and efficiency, particularly in environments where quick access to information is essential for productivity.

SITE DEVELOPMENT/BRANDING/FUNCTIONALITY:

From incorporating your logo to aligning with your core colors and overall branding, we ensure that every touchpoint on your site feels authentically yours. With SourceKey, your online procurement store won’t just function seamlessly, it will bring your brand to life.

URL – Your online store will be hosted on our SourceKey domain. We utilize subdomains so each client has a URL specific to their instance, (e.g., clientname.tsgsourcekey.com)

Tip: While we can work with any file format for graphics, PNG is preferred followed by JPG or PDF.

ELEMENTS TO CONSIDER

HOME PAGE LAYOUT:

- Determine core colors, banners, and featured content.

CATALOG ORGANIZATION:

- Determine product categories, sorting mechanisms, and search functionality.

- Consider the user’s perspective and how the items are ordered, along with their names and thumbnail images on the catalog page.

ITEM VIEW DETAILS:

- Determine product specifications, descriptions, imagery, pricing, and availability.

CHECKOUT PROCESS CONFIGURATION:

- Determine user-group specific permissions for billing and shipping. Note that we can provide alternative checkout configurations at the user group level.

- Approval workflows, spending allowances, coupon codes, and order management.

Key Points

CONTENT & MATERIAL:

Our platform supports printed and digital collateral, promotional items, decorated apparel, signage, and kitting. It’s critical to obtain a thorough understanding of the content and material we will be publishing on SourceKey. Start gathering and organizing your current portfolio so we can create a launch list for the site.

Output method – warehouse, on-demand, digital download, static and dynamic.

We will have ample data to extract insights after the launch. In addition to site reporting, you will have a dedicated account manager who can collaborate with our reporting team to provide any programmatic data you need on a regular schedule.

REPORTING: PROGRESS TRACKING:

We will manage our implementation journey using Monday.com, an intuitive online project management tool. This platform will facilitate information sharing, data gathering, and task management all in one place.
