NQ Field Days 2022 Report

The NQ Field Days 2022 is the rebirthing of agriculture, industrial and related industries field days hosted back in its home, Townsville since 2017. The event was a huge success considering that it was a first time that the event was staged under the management of Rotary Clubs in Townsville.
In early 2019, Margaret Darveniza (TCC Team Manager Community Engagement) approached Vic Bayer and John Larkin with the idea of Rotary Clubs of Townsville Markets Inc (RCTM) staging the NQ Field Days. In May 2019 the TCC CEO agreed to offer the Field Days to RCTM and provide Seed Funding with the proviso that it be held in Townsville CBD. The Rotarians of Townsville had consultation with the FNQ Field Day, currently operating in Mareeba, about the potential and it was felt that it would be something worth exploring. The economy of Agriculture and related industries is currently performing well, and this was the right time to bring the event back to Townsville. The potential for sales as a result of this event could easily result in several of tens of millions of dollars for exhibitors, Townsville and North Queensland economy.
All the Rotary Clubs in Townsville and Burdekin agreed to participate with the staging of NQ Field Days 22 and formed a separate committee under the umbrella of Rotary Clubs of Townsville Markets Inc. The executive committee consisted of Graham Ede (Chairman), John Larkin (Vice-Chairman), Ken Mackney (Secretary), Vic Bayer (Treasurer), Brendan Porter (Marketing Officer) and John Oar (Site Officer) was elected on 19 October 2020.
With assistance from Alistair Abbott (TCC Partnership Officer – Community Program) and Mia-Bianca Vaudrey (TCC Coordinator Grants and Partnership) and NQ Field Day committee an MOU between Townsville City Council and RCTM was drawn up and signed on 24/8/2021. The MOU was in respect to holding the NQ Field Days on 7 & 8 April 2022 at Reid Park. In addition, the Townsville City Council was to provide financial assistance (Seed Funding) of $161,000. The funding was essential for provision of cash flow during the planning stages and to cover the losses in the first Field Day. The NQ Field Days is to rotate
The Exhibitors, Rotary members and visitors were very delighted with the outcome of the NQ Field Day 2022 event. The event delivered major benefits to the community.
• The 2022 event attracted 152 Exhibitors (65 were out of town) and 6 food stalls over the two days, majority of the exhibitors have indicated that they will return in 2024. Over 210 sites were taken up by the Exhibitors.
• The business community significantly benefited by way of $400,975 being spent with the various suppliers in setting up the infrastructure for the two days as well as on marketing advertising of the event. In addition, $59,880 has been donated to Rotary clubs in recognition of the effort and services provided by the Clubs in establishing and managing the NQ Field Days 2022.
• Exhibitors spent and invested within Townsville economy by way of accommodation, travel and related funds for 2022 event.
• Collaboration of several other community organisations involvement in the event eg: Food Relief.
• Community members attended a special guest speaker at event, Professor James Scott, from Queensland Institute of Medical Research. The members of community learnt about such an important topic that effects so many Townsville and outer region, Mental Health. Professor James Scott’s presentation was so inspiring and helped many attending families with tools and resources to assist their
children, family members and other people in their networks. These initiatives can save lives, what bigger impact in our community!
• The two-day event generated total income of $364,701. Major income was from Exhibitors’ sites fees of $236,932, Exhibitors advertising in Official Guide of $39,913, admission fees $36,226, sponsorship $29,488 and other income of $22,142.
• Expenses for the event totalled $373,975, includes the distribution of funds to Rotary clubs of $59,880.
• The Committee budgeted for an operating loss, with the first NQ Field Day 2022, the event actually sustained a loss of $69,154. The deficit in cash outflow from the operations was covered by the Townsville City Council Seed Funding.
• The Townsville City Council provided the event with Seed Funding of $161,000 of which $93,949 was expended in the two years of operation. As at 30 June 2022 $67,051 of Seed Funding has been carried forward to 2024 Field Day. A significant amount of expenses incurred in 2022 will not be repeated in the NQ Field Day 2024 especially with establishing the website, signage and banners produced in 2022, these will be reused, and the configuration cost of a booking system (Sitetrak) will be reduced.
The executive committee recognised that it did not have the experience and necessary knowledge in marketing, planning and managing the site and decided to contract experienced and professional staff to take on such positions The committee contracted out two positions:
• The Marketing Manager (Jeanette Sturiale Opportunity Consultant). The NQ Field Days 2022 committee members consulted with the FNQ Field Day committee in Mareeba and an agreement was reached that RCTM would engage Jeanette Sturiale as Marketing Manager. Jeanette has successfully occupied similar position with FNQ Field days for several years. Jeanette’s role was to develop a marketing plan, timelines, budget and implement the plan and assist with website and other aspects of the Field Days.
• The Site Manager (Jodie Kennedy Event Management). Jodie Kennedy a well-known identity in Townsville who successfully organised large events in Townsville. Jodie brought with her an experienced team. Jodie’s role covered all aspects of planning and site management for the period to 30 June 2022.
The two positions provided critical experience, skills and timing that Rotary members did not have and this ensured that the event was run efficiently and professionally.
The Volunteer Committee was in place from 1 July 2020 and was instrumental in initiating the NQ Field Days 2022. The NQ Field Days 2022 committee included most representatives from the Townsville and Burdekin Rotary Clubs. Graham Ede (Townsville Central), John Larkin (Townsville Central), Ken Mackney (Port), Vic Bayer (Port), John Oar (Ayr) and Brendan Porter (Townsville Central) and Bill Barber (Townsville Central), Andrew Kent (Sunrise), Charlie Rasmussen (Ross River), Mark Roberts (Magnetic Island), Rayarna Richey (Saints) and Roberta Porter (Townsville Central). Most of the committee members worked for two years to get the Field Days going.
The response from volunteers to site duties was outstanding. More than 100 volunteers, recording 2010 hours, to successfully run the event with assistance from Jeanette Sturiali and Jodie Kennedy and her team. In recognition of support by the volunteers a donation of $59,880 was made to Rotary Clubs for local projects and contribution to various charities, sporting clubs, service clubs.
The exhibitors booked and paid for their sites through the website using a booking software called Sitetrak. The Sitetrak software had to be modified substantially to meet the requirements of the exhibitors. Anton Bollard was responsible for modifying the software. The Xero financial software was used to monitor the finances.
The website was totally revamped in 2021 and this was performed by NPS Staff. The cost associated with the configuration of the software is not expected to re-occur in 2023-24.

There are 12 clubs involved in the event – 10 from Townsville and two from the Burdekin. Trevor Hyatt, Area Governor Group 3 (Townsville), said Rotary received strong support in the region.
“People are willing to become members as it’s
a way to give back to the community,” Mr Hyatt said.
“Rotary provides an opportunity for businesses to network, but mostly people are happy to give back to the community that they are living in.”
The Townsville clubs behind the field days
The Magnetic Island club is heavily invested in the Recycled Container Regatta and promotes the Magnetic Island Ambassador Awards.
The Mundingburra club’s main project is supporting Booyah, an organisation that takes troubled kids and teaches them life and work skills, and refurbishing the BBQ and parks at Bluewater Park.
The Port of Townsville club spreads the fruits of its fundraising efforts across a number of different projects including Gluyas Lodge in North Ward, which provides accommodation for cancer patients receiving treatment in Townsville.
This club supports a Vietnamese orphanage, through promotion and the provision of building materials.
Thuringowa Central receives most of its income from the Willows Markets and is focussed on funding well and water purifiers for villages in Vietnam.

There are 327 members in the Townsville clubs, all of which raise funds through various avenues and donate to worthy community causes.
Townsville Saints Rotarians are kept busy with Delta Dogs, Two Feet and A Heartbeat (helping babies), Days for Girls (packing hygiene packs for girls in Africa) and building a reflection garden at Townsville cemetery.
Despite being a small club, Home Hill Rotary Club manages to spread its goodwill across many projects.
Townsville – one of the oldest clubs in the region – offers volunteers to do small maintenance and handyman work in Townsville.
Townsville Central is using its fundraising to supply insulin pumps to people living with diabetes, mostly children.
The pumps are considered the gold standard in diabetes care. The club formed a partnership with Medtronic, the largest medical device company in the world.
The project to date has raised more than $77,000 for the purchase of the nine insulin pumps.
The Townsville Daybreak club also supports the Gluyas Lodge and has also sponsored the education of a young doctor in Kenya.
The Townsville Sunrise club, the biggest club in the district, is a big supporter of Red Sox Project which promotes prostrate checks to communities in the region. It is named Red Sox in memory of a former member who battled prostate cancer and was known for wearing red socks.
It supports the Burdekin chaplains, recently donated a special chair for palliative patients at the Burdekin Hospital, upgraded the picnic area at the Mt Inkerman lookout, and supports the Home Hill Harvest Festival. One of its recent projects is the establishment of a series of street libraries in Home Hill.
The Rotary Club of Ayr focusses on the following projects to raise funds for the community.
The club sells advertising in a community phone book every year, with all funds raised going to a community raffle. School and sporting groups are invited to sell tickets in the raffle, with a $20,000 prize pool. All of the profits go direct to the groups who sell the tickets. More than $34,000 was donated in 2021.
In May, the Norm Perry Duck Race is held in the creek running through Plantation Park. Ducks are sold and ‘race’ down the creek. More than $15,000 goes back into the community. This year the club is bringing back the Water Festival, the longest running festival in the Burdekin, which commemorates the abundance of water in the region.
It is being held at the Ayr Showgrounds in September this year. The festival will involve various sporting and community groups providing senior and junior ambassadors, a parade and Mardi Gras along with food outlets, side show alley and arts and craft displays.

Townsville is on the cusp of a new and exciting period in our city’s history with billions of dollars of public and private investment forecast to be invested in our community in the coming years.
Mining and rural industries have a long history of economic importance in the region, and as we move forward we’ll continue to see these industries adapt and grow to meet the current state of business to service the Townsville region and beyond.
North Queensland Field Days shines a spotlight on just how expansive those industries are within Townsville and the ways technology and services are evolving.
The Field Days is an essential event for business and industry groups to not only learn about the sectors’ newest innovations, but to also make connections with other local industry specialists. We know that the Field Days is a hub of information exchanges, sales deals and contract signings, with the opportunity for local businesses to tap into the visitors who travel from across the state to attend.
This year Rotary is operating the North Queensland Field Days. It’s great to see the commitment to the city’s industry and economy from the Rotary team and it’s heartening to know that profits made at the two-day event are going back to the Townsville community.
Congratulations to the organising committee for their meticulous planning and thank you to the industry professionals who commit their time and effort into making Field Days an unmissable event.
Welcome to the 2022 NQ Rotary Field Days! The wider Townsville North Queensland region, which also encompasses the Local Government Areas of the Burdekin, Charters Towers, Hinchinbrook and Palm Island, is incredibly diverse – each region excelling in its own field. We are an exceptionally collaborative district though, and I commend the Rotary Clubs of Ayr and Home Hill along with the Rotary Clubs of Townsville who have worked together organising and hosting this significant event.
North Queensland – and the Burdekin in particular, if I can be biased – is the best place to live, work, play, visit and invest, with the NQ Rotary Field Days an opportunity to experience a taste of what makes the Burdekin the sugar cane capital of Australia and our agricultural and horticultural industries amongst the strongest nationwide. This event is also an opportunity to be inspired to innovate, and better our practices moving forward.
Rotary play a pivotal role in shaping and supporting communities worldwide, and we are incredibly lucky to be home to a number of clubs spread right across our district. Whether it is coordinating large-scale events such as this or undertaking community service projects behind the scenes, Rotary are an organisation for everyone and I encourage you to attend a meeting of your local club to see how you can get involved.

Cr Lyn McLaughlin Mayor of BurdekinTownsville City Council requires that all recipients of Community Grants must complete an Acquittal within twenty eight (28) days, unless otherwise advised, of the completion of their project.
Acquittals are essential in maintaining accountability for the use of public funds. Failure to provide a satisfactory acquittal means the recipient will be ineligible for future applications.
Submission of a complete acquittal finalises your Funding Agreement and reporting requirements with council.
All financial and commercial information of your organisation remains confidential. Council reserves the right to print or publish Acquittal information for the purpose of promotion of the Community Grants program or reporting on successful projects.
When you are completing your acquittal form you will be asked to include the following evidence as attachments:
» Evidence of Expenditure - Please provide proof of all payments made for expenditure items in the budget that Council provided funding towards (receipts).
» Budget (Actual Expenditure) - All applications must complete the project budget that reflects the actual income and expenditure for the project. The budget must show what items Council funding was used for.
» Evidence of Acknowledgement of the Townsville City Council Grant - When a group receives a grant from us, they agree to acknowledge council's contribution on materials produced to support their project. This acknowledgement, depending on the amount of funding received, may include logo presence on supporting publications, displays or signage.
» Media from the Project - Upload photographs, provide a URL or share a video of your project, where required. Council want to see evidence that your project was successful and how the community benefited from your project. You will also be asked to confirm that you are happy for us to use this media for promotional purposes.

2022 NQ Field Days is the rebirthing of agriculture, industrial and related industries field days hosted back in its home, Townsville.
The 2022 event delivered major benefits to our community in the following ways:
• Engagement of excess of 100 volunteers coming together from across NQ and outer areas
• Approximately 2010 hours logged to successfully run this event by volunteers
• Post event donations to charity via Rotary clubs for local projects of $59.880.
• Collaboration of several other community organisations involvement in the event eg: Food Relief through BM Webb.
• Significant business community benefits by way of $373,975 dollars spent on suppliers for the 2022 event in addition to the donations made via Rotary clubs.
• Exhibitors that spent and invested within Townsville economy by way of accommodation, travel and related funds for 2022 event. Estimate TBC
• Economy and direct sales from two day event, following post event sales from exhibitors.
• Community members attended a special guest speaker at event, Professor James Scott, from Queensland Institute of Medical Research. The members of community learnt about such an important topic that effects so many Townsville and outer region, Mental Health.
Professor James Scott’s presentation was so inspiring and helped many attending families with tools and resources to assist their children, family members and other people in their networks. These initiatives can save lives, what bigger impact in our community!

The Rotary Clubs of Townsville and the Burdekin brought back to life, The NQ Field Days. The event returned for 2022 after not being held for 6 years. The last being held under different management back in 2016.
The purpose of the event is to allow agricultural, farming, machinery and other exhibitors showcase their products to their rural clients as well as the public ..... this was a success!
The event had approx. 200 Exhibitor sites and just under 4000 patrons including families. There were demonstrations and kids activities. This event provided a social avenue for members of the community to enjoy an outing with family and friends and provided opportunity to explore exhibitors showcasing a range of products. The Field Days allows businesses in the community to participate by way of exhibiting their products.
The NQ Field Days are an excellent fund raising program for Rotary Clubs. Funds for volunteer hours from NQ Field Days were distributed to Rotary Clubs who in turn donate the funds to individuals, charities, sporting organisation, schools, hospitals and other organisation that are in need of local charitable support.

NQ Field Days 2022 committee worked closely with the Rotary community in Townsville. Surplus funds achieved is distributed to Rotary clubs who in turn to support local and international causes. Funds have been used in Rotary projects such as RYDA, Fuel for Schools, End Polio, Pride of Workmanship, assisting people with home projects and health initiatives including Pumps for Kids and the purchase of a number of vehicles for families with special needs and any other number of initiatives that give back to the community.
NQ Field Days 2022 encouraged charities and not for profit groups to use the market as an opportunity to provide information or raise funds for and about their individual causes. The main purpose of the event was to allow agricultural, farming, cattle, machinery and other exhibitors showcase their products to the public and to other on the land producers. This event provided a social avenue for members of the community to enjoy an outing with family and friends and provides opportunity to explore exhibitors showcasing a range of products. The NQ Field Days 2022 provided opportunity for Townsville City Council to showcase their development in Townsville. Must be no more than 300 words.
