Smart Solutions to take leasing to mobility Fleet Management companies compete to offer the widest range of smart mobility products and innovative services. So much so, in fact, that it can be difficult to see the forest for the trees. In this article, we present some of the most interesting available solutions and explain what they bring as added value and how to use them. Frank Jacobs

The array of available smart mobility solutions out there is truly bewildering, and the overview we provide is by no means meant to be exhaustive. Some of the biggest car lease and fleet management companies like Arval and LeasePlan couldn’t support this article and so are unfortunately missing. But considering the speed with which new products and services are launched by car ease providers, no snapshot of all smart mobility options and innovative tools on the market would be both complete and accurate for more than a short time. Wow! factor But there is a golden rule to make sense of the smart mobility jungle out there, and a few handy guidelines to help you orient yourself. The golden rule is that the bottom line of smart mobility remains the same as it has before with fleet management in general: the ultimate goal is the optimisation of Total Cost of Ownership (TCO), even if that central concept has now been rebranded as TCM – Total Cost of Mobility. That guiding principle should remain top of mind, even in the face of the considerable Wow! factor of some innovative solutions.

Leveraging advantages Smart mobility products and services offer an improvement on TCM via any of those ‘fronts’ – and increasingly, by combining more than one, thus leveraging the advantages offered by technological innovation. A ‘classic’ example, if that can be said of an innovation, of the multi-faceted approach is the mobility budget, as offered by Alphabet and Athlon in selected markets. By providing employees not with a car but with a budget to complete their business travel as they see fit, it has come to epitomise the shift from a car-centric to a people-centric approach. Combining various mobility options – shared and/or pool cars, public transport, bicycles, etc. - is necessarily multimodal. It is exactly that multimodality combined with the flexibility to select and use on demand services that makes mobility budgets a fairly complex, still relatively rare but highly promising smart mobility solution.

Standalone solutions However, many if not most smart mobility variations or additions to classic car leasing are still offered as single, standalone solutions. Car-sharing, as offered by ALD

The ultimate goal remains cost optimisation, even if TCO has now been rebranded as TCM – Total Cost of Mobility. The prism through which smart mobility should be seen is that of the accelerating transformation of the automotive industry, driven by technological progress. Changes are happening at several fronts simultaneously: cars are becoming increasingly autonomous, with full autonomy predicted for any time between five to fifteen years ahead; engine technology is delivering increasingly performant electric propulsion; telematics devices allow an ever better overview of vehicle and driver behaviour; and help produce the Big Data that is optimising the performance of a multitude

Automotive and RCI Bank and Services for example, is a popular option, as the advances offered by predictive and online management of any given fleet and the fluctuating employee need for mobility is a very efficient tool in optimising fleet use. But those single solutions can come in various flavours. ALD Automotive for example also offers a flexible rental solution, aimed more at SMEs who don’t feel comfortable committing to long-term lease contracts.

And increasingly, single solutions are cross-pollinating each other. This is where it gets confusing... and interesting. Private lease, a relatively new field for most lease companies, can be combined with car-sharing, for example: Business Lease offers a formula encouraging its (private) customers to offer their leased vehicles for third-party use via various carand ride-sharing services. The incentive to earn money back on a leased vehicle could revolutionise the private lease concept – and potentially also the corporate lease segment.

Smartphones on wheels Smart mobility solutions would not exist without the horizon of possibility opened up by advances in ICT. Telematics devices generate the Big Data that provides fleet managers with insights into driver behaviour and vehicle behaviour. Making these behaviours visible and measurable ultimately allows for their optimisation: lower fuel usage, accident rates, CO2 emissions and more can result in lower cost, less taxes, better environmental performance, etc. But Big Data are also improving another, more familiar piece of hardware: the fuel card. Increasingly, it doubles as a tollpaying device, a smart parking card, and more. However, it is to be expected that the fuel card will go the way of the dodo, and be rendered obsolete by an app on the driver’s smartphone, or implanted in the car’s software itself. Pretty soon, as all cars become ‘smartphones on wheels’, with a software infrastructure that is as modular and easily updatable as the phones in our pockets, smart mobility will take yet another leap forward, speeding up the introduction and integration of an even wider range of smart mobility products and services.

> Electrification Potential Analysis (EPA) Analysing with GPS loggers (distances travelled, speed, acceleration behavior and parking habits) how best to introduce electric mobility into individual corporate fleets. EPA evaluates the data to work out the current energy consumption and CO2 emissions. EPA offers a tailor-made consultancy and advise on the types of vehicles suited to electrification as well as telling the quantity, locations and types of charging stations needed. > Alphabet Telematics A telematics solution that offers location, tracking and fleet management services – in real time. Results include inceased driver safety, fuel savings (and related reduction of emissions) up to 10% and travel oute optimization which can create productivity gains for the customer up to 20%. Availability in selected markets and services and market coverage will expand in the near future.

> Garage Network A network of more than 1,500 qualified and certified garages throughout Germany with round the clock free pick-up and delivery, saving both time and up to 25% in cost. Launched at the beginning of this year. > DKV Fuel Card partnership Fuel card covers all German motorway fuel stations, offering price advantages; and also usable to bill toll charges throughout much of Europe. Launched at the beginning of this year. > ARI Insights Advanced software for TCO optimisation of complex fleets, delivering info on trends and KPIs in real-time on individual dashboards. Launched at the beginning of this year in Germany.

Hyundai’s mobility vision

My car, my office, my home The boundaries between our vehicles and the places where we live and work are fading. Hyundai Motor showcases this with its vision for future mobility. In other words: ‘Move while living, and live while moving’.

Connected cars: the fruit of engineering and IT Hyundai Motor’s vision is far from conceptual alone. Today, the company is already working together with leading IT company Cisco to develop a connected car platform. The main objective is to create hyper-connected intelligent cars that boast the safest and most advanced self-driving systems on the market. The joint-developed platform will enable two-way communication both internally (between the car’s systems) and externally, i.e. with road infrastructure, other vehicles, Internet of Things (IoT) devices, and the cloud. By combining Hyundai’s leadership in automotive technology with Cisco’s strength in networking and security, the company is accelerating the pace of innovation in this exciting space.

At the 2017 Consumer Electronics Show in Las Vegas, Hyundai Motor revealed its ‘Mobility Vision’ concept that, in the future, will connect autonomous cars to living and working environments. Hyundai Motor’s future vision makes full use of the car for mobility. When not travelling, it integrates its functionalities with the home – or office, for that matter – literally and figuratively. ‘Docked’ with the Smart Home, Hyundai Motor’s concept becomes an integral part of it. The mobility concept can act as an air conditioner, share its entertainment facilities by mirroring audio and visual outputs with the home’s smart devices and even provide power, using its on-board fuel cell as a generator.

Self-driving IONIQ: a reality As demonstrated live at CES 2017, Hyundai Motor already has the technology in place to make its vehicles drive autonomously. Making use of LIDAR technology (laser and radar), a IONIQ-based prototype showed that it is able to identify the precise position of other vehicles, pedestrians and obstacles to navigate the urban landscape safely. The clue: the LIDAR technology is not mounted on the roof, but integrated into the car and therefore not as prominent. This makes the Autonomous IONIQ not only appear like a normal car on the road, but also lowers costs compared to a roof-mounted system. Through extensive testing in urban environments Hyundai Motor is continuing to develop and refine its self-driving technologies with the goal of using less computing power, resulting in a low-cost platform that the typical consumer can afford. Exactly that is at the heart of the brand’s promise: to make advanced technology accessible to everyone.

OEMs, reinventing the wheel Dieter Quartier

Nobody is questioning that the coming years will be very disruptive for the automotive industry. The ‘1 person – 1 car’ model is making place for shared mobility in order to save costs, the environment and wasted time in traffic jams. At the same time, OEMs seem to focus on developing solutions to make congestion less irritating – or even productive. Apps turn our cars into mobile offices, while enhanced selfdriving capability needs to make sure we don’t have more accidents caused by distraction. We selected a few of the most promising developments in autoland that demonstrate the current trends and make your life as a commuter or mobility architect easier.

In this context, Volvo has engaged in a partnership with Uber, for which it will be delivering autonomous cars for ride hailing. That, of course, will not be tomorrow. What is already in place, however, is what Volvo believes to become the second most popular form: peer-to-peer car sharing. Indeed, this requires advanced connectivity tools. The Swedish carmaker has developed a digital key and smartphone app that allow users to share their car. The digital car keys are location and time-specific.

Smart gets smarter Car sharing: splitting the market The leading carmakers either develop their own platform and tools, or shake hands with the owners of an existing car sharing system. Volvo believes that shared mobility will split the market into four main areas: short-term rental, peer-to-

In times of changing consumer expectations, carmakers spend their R&D budget on enhanced connectivity and out-of-the-box mobility services. In a bid to adapt their business model, many of them shake hands with non-automotive partners.

The latest addition to Daimler’s mobility service package, which fits in the brand’s CASE strategy (for Connected, Autonomous, Shared & Service and Electric Drive) is “Smart ready to share”. This makes private car sharing just as uncomplicated as using Car2go. Smart drivers can enable a friend, colleague or anyone they choose to gain access to their car and use it for a specific period of time. Contrary to what one might think, the service is not only targeted at young people. Business owners, too, will be able to use the system to manage their fleets efficiently. Also, this would make electric Smarts more feasible as a pool car.

Apps for pros

From car sharing to mobility provider MOIA: that is the name of a brand new company created by Volkswagen Group in December 2016. Its goal? Redefining mobility for people living in urban areas. Rather than a carsharing provider, this independent company wants to become a leading mobility service provider by 2025. It focuses on in-house development of IT-based ondemand offerings, such as ride hailing and pooling services. This means MOIA is specifically investing in digital start-ups and working together with cities and established transport providers. The mobility services that MOIA will offer and expand in two European cities from 2017 will be “just as interconnected as urban life itself”, the company’s website reads. It is the Volkswagen Group’s belief that, alongside pooling services with intelligent linkage to public transport (connected commuting), app-based ride-hailing is currently the area of business with the greatest market potential in the field of on-demand mobility.

Leasys App Fiat Chrysler Automobiles’ captive rental solutions provider Leasys has developed an app that supports customers in managing all the phases of a rental, from pre-purchase to after sales. At the same time, it allows users to have all Leasys services within digital reach. Contract details, roadside assistance, end of contract damage assessment: it is all just a finger tap away.

Connectivity: OEM – tech partnerships The Renault-Nissan Alliance is continuing its partnership with Microsoft to build the next generation of connected car technologies. Microsoft’s personal assistant technology Cortana aims to make driving more efficient and enjoyable. Thanks to speech analytics, drivers can benefit from advanced in-vehicle voice recognition and an intuitive human machine interface (HMI). Cortana will allow the vehicle to adapt to personalized driver settings. It even understands different driver preferences in a shared vehicle, almost making it feel like your own. The Renault-Nissan Alliance will also offer vehicle-centric services that can simplify and enhance engagement with the car through usage-based information, remote access, remote diagnostics and preventive maintenance.

Free2Move Instead of countless apps for each individual mobility option – one app to rule them all: that is the aim of PSA’s Free2Move digital platform. It is a multibrand solution giving access to multimodal mobility options in 15 major European cities. Users can see all options available to them in the vicinity, can compare prices, locations and other specifics, and can immediately order a service.

App-based ride-hailing is the area of business with the greatest market potential in the field of on-demand mobility.

MyBMW Remote This app allows you to gain remote access to your vehicle. You can e.g. turn on the auxiliary heating or auxiliary ventilation, or sound the horn and flash the lights in order to find the vehicle in a large car park. In addition, the Vehicle Finder shows the car’s position on a map, leading you to it. With the ‘electric’ version of the app – BMW i Remote – you can check the battery range and charging process or your BMW i. The dynamic range map indicates vacant charging points.

Next to its existing leasing offer, JLR is establishing short term rental solutions, amongst which car-sharing. Called InMotion Rent, its latest offering has just rolled out in Germany and includes a booking app. In the future, fleet customers can use this app to open and start vehicles involved in the sharing scheme, consult a digital driver’s log and benefit from automated billing.

Nissan Intelligent Get & Go for Business Together with the new B-segment Micra, Nissan introduced a car sharing programme that focuses on corporate drivers. Based on the optimised use of one or several pool cars, it wants to help save mobility costs. It is already rolled out in France and Italy, while Spain is next in line and other European countries are to follow later this year.

The S90, V90 and XC90 now offer their occupants to use Skype for Business through an integrated car app. This means you can for instance join a conference call while on the road without the hassle of having to enter a long telephone number and pin code. The large centre display of these high-end Volvos shows upcoming meetings and participant details and allows you to join meetings with a single touch.

Smart Mobility Start-up Awards The fleet industry thrives on innovation, so at the Fleet Europe Awards in Barcelona last November, a panel of expert judges identified the new companies with the innovative ideas and disruptive concepts to transform the world of fleet and mobility. Here are the three award winners. Jonathan Manning

What? WeProov is an app that guides drivers to compile a full vehicle condition report, including photos, prior to driving it. The report is automatically sent to the fleet manager.

Why selected? WeProov brings fleet condition reporting into the 21st century with an easy-to-use app that saves time and avoids disputes by giving drivers and fleet managers the tools to prove the state in which they find or leave a vehicle.

Future solutions in 2017?

It might sound strange, but future solutions lie just as much with fleet managers, leasing and daily rental companies and even car clubs, because WeProov lets customers customize reports to their own needs.

What? Spiri combines the best elements of carpooling and ridesharing. It’s a new, on-demand service, where the driver travels for free in return for carrying passengers using a Spiri car.

Why selected? Spiri could change the way we travel to and for work. Its radical vision to mix carpooling with ridesharing, using its own app and custom built electric cars, is green and efficient.

Future solutions in 2017? Spiri will launch this summer, with plans to expand across Europe by 2019. It unveiled its prototype electric car, specially designed for ridesharing, in January.

What? Assisto brings digital efficiency to the accident claim and repair process, delivering speed, accuracy and ease for drivers, leasing companies and insurers involved in insurance claims.

Why selected? This user-friendly app stores driver, vehicle and insurance details. After an accident, it makes it simple for the driver to send all necessary details to the fleet owner and insurer.

The number of daily WeProov reports has grown by 50% since the Fleet Europe Forum. We are raising money to expand our business and preparing a huge communication programme.

The principal idea is to make customers totally independent in the way they configure and customize the condition reports. Fleets can have a 30-day free trial period.

Spiri is a revolutionary, on-demand carpooling service powered by electric vehicles. It’s affordable, convenient, and companies can skip fleet ownership entirely.

We are looking for corporate partners to offer Spiri as an employee benefit. If companies have available car parking spaces, staff can use these free cars.

We are still in the testing phase, but Spiri will launch in Odense, Denmark in the summer, more cities next year, and then be in the key European cities by 2019.

Assisto is a mobile app which enables drivers to file CASCO (Casualty and Collision) and third party liability claims, as well as guiding them to a network of bodyshops.

Drivers always have up-to-date insurance and vehicle information easily accessible. TPL claims only take 8 minutes to file (compared to 35 minutes with paper forms).

Assisto integrates with leasing company IT systems, which can receive all claims data directly into their management systems. It’s available in 42 countries in 14 languages.

Start-ups disrupting the mobility challenge The future of smart mobility threatens to turn the existing world of transport on its head. Long established travel giants, from vehicle manufacturers to bus and train operators, airlines, leasing, fleet management and daily rental companies are being challenged by start-ups that have no legacy and no baggage. Jonathan Manning With no vested interests to protect, these start-ups can devote their entire focus to creating solutions that deliver the maximum convenience to end users. This alternative approach taps into the transformative technology of apps, smartphones, giant databases and self-learning algorithms to provide constant improvements to services. Real-time information is empowering business travellers to select the most time and cost effective modes of transport for every journey. For A-to-B journeys (rather than multi-stop routes) within urban areas, the company car’s position as the natural mode of travel is under threat. New apps can calculate the different journey times by alternative modes of transport with much greater accuracy and reliability, presenting business travellers with a choice – stick with the company car or switch to a quicker, cheaper alternative.

“Most importantly for companies, this seamlessly integrated multimodal transport will actually save, not add cost,” said Lukas Neckermann, managing director of mobility consultancy Neckermann Strategic Advisors. “Full transparency of speed, cost and availability of travel options will lead to conscious choices away from taxis and private cars as the default option.”

Partnering This new attitude to business travel is arguably just a stepping stone to the true transport revolution promised by autonomous vehicles. Uber may have dramatically altered the worldwide use of taxis, but the most radical change will come when those Uber cars don’t even have a driver. This means that mobility apps can plot the most efficient journeys across some cities, but not others, because the developers don’t have access to the information that they require or in the format in which they need it. Even when it is available, the opportunity to book tickets and pay for them, all via the same app is rare. The vast potential of the Internet of Things to forge a truly connected world is still in its infancy. But a raft of new mobility apps point in a similar direction, presenting a shared vision of how people will travel for work and leisure in the future.

Travel and Mobility Experience At both a city and country level, rival apps are joining the dots so that users can not only work out optimum routes, but also book and pay for travel. Quixxit, for example, assesses 15 different modes of travel, including carsharing, train and bicycle, as it compares all the possible ways to complete a journey in Germany. Importantly, its calculations take into account real-time travel and traffic reports, and the app adds the facility to buy tickets. Squarely targeting business customers, mobility card specialist XXImo, winner of the International Fleet Industry Award 2016 at the Fleet Europe Forum & Awards, provides a purchasing solution for corporate travel, enabling employees to pay for transport by car, taxi, train, tram, bus and plane,

Its all-inclusive package of solutions have the potential to challenge the traditional company car, particularly in the eyes of a driver with the option of a cash alternative to the car. In Helsinki, Whim’s basic monthly package includes unlimited public transport, plus two taxi trips for a fee of €89 per month. Pay more – a lot more – and for a car lease rivalling €389 per month Whim delivers unlimited public transport in Helsinki, 10 taxis trips of up to 10km and five days of car rental. Such a comprehensive travel solution could see urban millennials turn their backs on the offer of a traditional company car. “We’ve been approaching the transport debate from the wrong angle,” said Sampo Hietanen, CEO and founder of MaaS Global, the company behind Whim. “For the end user, it’s not just about getting from A to B, it’s about the entire travel experience. If transport services can be digitally integrated to make them genuinely convenient and easy to use, we’ll see huge gains in productivity, while reducing congestion and pollution.”

Smart Big Data

Smart mobility is a symptom of an industry in which the lines between formerly distinct players are blurring. Not only are car manufacturers and lease companies expanding their range of services, other players too are moving into that same space. Technology and data suppliers are increasingly offering innovative smart mobility solutions – some supplemental, others competitive. Frank Jacobs Traditionally, the automotive after-market and tech industry is focused on the manufacture and delivery of physical parts and equipment for the vehicles sold by OEMs – the original equipment manufacturers – to customers. In the brave new world of smart mobility, the products and services they offer are less tangible, more data-driven.

Chassis number Of course, most offers do require some link with the original equipment itself. So it is for example with the VIN lookup functionality, offered by cap hpi – among other providers. A Vehicle Identification Number links the chassis number of a vehicle to a description of its specifics and options. While that may seem rather superfluous, the case is that around a quarter of all used cars offered for sale are ‘underidentified’, i.e. their resale price does not take into account all the specifics and options that this particular car possesses. The difference in valuation can easily run up to several hundred euros. But many of the technology and data supplier offerings involve Big Data applications of some kind, whether in a fleet management solution, powering a car-sharing service or as a cost-calculating device.

Procurement decisions Particularly impressive are the billion data points collected by Geotab on a daily basis, from thousands of vehicles fitted with its telematics devices. This generates tons of data that have the advantage over averages or test results provided by OEMs and others that they are road-tested averages, providing real-world insight into fuel usage, CO2 emissions, and other elements that are of increasing value to fleet managers, when they need to make procurement decisions. Cap hpi’s Total Cost of Ownership tool similarly assembles all cost elements of fleet ownership into an overview that spans not just months or years, but the entire life span of the vehicles involved. The company also offers valuation tools that provide and predict used vehicle prices, based on current market intelligence.

Managing cost In fact, most smart mobility solutions are related to managing cost – either directly or indirectly. MobiSys for Fleet, by Mobility Systems + Services, is a bit different: it is a carsharing solution, originally designed to power the operations of car-sharing providers, but adapted to serve the purpose of corporate fleets as well.

Fleet managers much carefully consider the most appropriate solution. Another variation is provided by Geotab’s Marketplace: basically an app and hardware store for the fleet manager on a shopping spree. Ultimately, though, the metrics measured by the various solutions provided by after-market suppliers are generally the same – mileage, fuel usage, emissions of CO2 and other gases, vehicle tracking, maintenance record, etcetera. And more, or less, depending on the need expressed by each particular fleet. The fundamental similarities – and the varying specifics – of smart mobility solutions provided by Big Data and technology suppliers would imply a latent tendency towards convergence of functionality, but until the moment arrives when all solutions perform similar tasks, fleet managers would be well advised to give careful and considered attention to choosing the most appropriate solution for their circumstances.

This information is then transmitted to the cloud and shared with the community. Other drivers who are looking for a parking space in the area can head directly for the nearest parking space. T‘Health + Mobility Cockpit’ is a concept that monitors health and related indicators to help manage driving stress and other negative factors. A series of sensors throughout the car sense the physical and mental state of the driver, detecting everything from his posture to his respiration pattern. The car can also measure heart-rate variability for stress response, and use eye tracking and facial feature recognition to track alertness and emotional state. To promote mental awareness and focus, the car could then respond by delivering a customized multi-sensory experience. For instance, if the sensors detect that the driver is losing concentration at the wheel, an ‘Alert Burst’ can be triggered to invigorate the driver – using scent, light, sound, temperature and posture.

The next pillar – and the next step – is compliance: making sure that the rules and best practices governing the range of mobility solutions will be internalised by the company’s global partners, and that they will inspire not just policy, but also effective usage at the company’s local level. “My team and I will use dashboards and other tools to check on policy compliance, on the roll-out of strategic and partner programmes, and on the safety and sustainability of the results”. But compliance is also relevant for another key component: innovation. And that means more than just observing innovation: “We will be actively pushing the market – and society at large – to innovate and evolve. We will do this by scouting for new services, and by connecting to incubators and startups”. The Global Mobility Architect has to make sense of these new products and services within the architecture of the overall Moblity Plan, an integration that requires the cooperation of internal stakeholders and sponsors. “That is why we emphasise testing and learning, looking for best practices and preparing our Mobility Play Book and roll-outs. You could say my team is our company’s external R&D department”.

Expected outcomes The best-laid plans are worth nothing if they don’t leave the drawing-board. Performance is the fourth pillar of Global Mobility Architect success. “In order to build and maintain an accurate performance plan, my team and I will need to mach the expected outcome of the offer in the Mobility Playbook with the priorities of our company”, says Romain.

In the case of L’Oréal, those priorities are: sustainability, quality, safety and competitiveness. “With that knowledge on board, we can validate and define the baseline and communicate the results” - ensuring mobility performance remains linked to corporate priorities. Last pillar, but not the least one, is leadership – a quality that is perhaps more needed internally than with the company’s outside partners: “As Global Mobility Architect, I need to convince internal sponsors and stakeholders of our strategy. In the end, it is their project, not ours”. The aim is to build a global team, consisting of internal stakeholders and external experts.

It’s all about mobility in general Athlon’s been around for no less than a century. What does this lease giant do to keep pace with digital developments and the increasingly more demanding customer requirements? Managing Director Athlon Netherlands Marchel Koops: “From employer to end user: that’s the challenge.” Mobility has experienced a major earthquake of sorts. Urbanisation, a move towards more flexibility, the Internet of Things, electric cars, and new players like Uber, Google, and Tesla have changed the landscape at a rapid pace. There are practical reasons behind this as well: “The new International Financial Reporting Standards (IFRS) will be in effect as of 2019, and our listed customers will have to report their lease vehicles as a debt on the balance sheet.” Smart City What innovations will have the most impact in coming years? Koops: “Urbanisation is an important trend. The cities are reaching capacity. This puts high demands on infrastructure, the environment, and mobility. We need new technologies to respond to these demands. Plus, we see new companies growing exponentially, especially due to the utilisation of digital platforms combined with telematics.

Mobility budget Athlon wants to make everyone mobile, from employers and all employees to private individuals. Koops: “Our ambition is to make it as easy as possible to get people from point A to point B. We’re talking about broader mobility with other, digital, products and services. That way, people with a mobility budget determine the manner in which they travel for themselves. This may be a lease vehicle for one person, and an e-bike or moped for another. And yet another may combine the train and a rental bicycle. That’s multi-mobility, which we as a mobility provider facilitate. “Instead of a company doing business with three leasing companies, they entrust their entire mobility portfolio to us. We streamline the process, transfer the traditional lease car scheme to mobility for all employees, and clarify the total mobility costs.”

We expect to see many new, so-called Smart City solutions that make growing cities more liveable and sustainable using smart technologies. Things like connected cars (cars with an internet connection, ed.), self-driving cars, sharing concepts, and electric transport.” Athlon focuses on digital service concepts and is also working on several start-ups. “We’ve seen that smart mobility concepts are quickly created here. That’s why we’ve partnered with Startupbootcamp, an organisation that focuses on providing start-ups with professional assistance. Our mentors coach several young companies. We’re ready to invest once we see a good start-up come along that is developing in the future of mobility. They then take our ideas to the next level. There is also the takeover by Daimler Financial Services. Koops: “This is very positive. Mobility, technology, digitisation, the connected car: it’s all a part of the Daimler DNA. It’s all very interesting and promising.”

To listen to some, you might think this is just a matter of ditching the company car policy and replacing it with something more ‘modern’. But there’s more to it than that. Company cars have been a part of business life in the Western world for many decades. They were generally 100% paid by the company (including private use). On top of this, if a company car user decided to take the train (or plane) for a particular journey, no questions were asked and this trip was paid for too. But from there to a fully fledged ‘mobility budget’ is, at the beginning of the 21st century, a much more complicated affair. We look at some of the most important steps that companies should consider for successful implementation.

Make sure you know what a mobility budget is and how it can complement a traditional company car policy.

Understanding

Firstly, and even before analysing whether it will work for you, it is important to understand what a mobility budget is. In general terms, it is a system that gives an individual employee the freedom and the flexibility to choose the mobility solutions they need. This will probably include, alongside a company car, a set amount per month to be used on trains, buses, taxis, car-sharing, urban bike-sharing…

Analyse the real mobility needs of your employees and what your company expects them to achieve.

The next logical step is to work out whether it will work for your company. This up-stream reflection can be summed up as understanding your business needs and understanding your mobility needs. There are at least two facets to this question, one practical and the other culture-related.

Consider which types of mobility modes could satisfy both the mobility needs of your employees and your company’s business needs, and match them.

On the ‘culture’ side, is the company car an integral part of your remuneration package, and do you even use it to attract and retain staff? Consider whether it is a good idea to ask someone who has just proudly reached the level of an executive car, to take the bus from time to time… on the other hand, you may employ a large number of the ‘Y’ generation who, it is generally believed, proactively want to use softer, more environmentally-friendly modes of transport. Analysis

Talk to key colleagues and stakeholders such as HR and Legal, to understand how the company car policy fits into the overall remuneration/staff recruitment and retention programme, and what effect a change might have.

Given that no companies fit entirely into one of the above examples, you will probably decide that it is a good idea to look further into this. So the next stage is to analyse the mobility requirements of your various different types of employee. What do they do now, and could the use of shared or pooled company cars, bus or metro, taxi or bike – and it is of course understood that we are talking about a combination of these, not just one or the other – be a useful solution?

for holiday weekends or weeks, this credit may allow the right vehicle to be selected for other uses: a big passenger car for winter or summer journeys or a utility vehicle when moving furniture. • The small EV status car may even be replaced by the use of a shared vehicle, in line with needs.

On the practical side, where are your premises and what are your employees expected to do? If you are lucky enough to be in a pleasant out-of-town location, then some of the above options clearly will not work. And if your employees are required to make frequent visits to clients of one sort or another who may be anywhere in the country, they won’t work either.


IMPLEMENTING A MOBILITY BUDGET

So far, it has been tacitly understood that we are talking about a new system for company car drivers. But this change in approach can benefit a wide range of the company’s workforce, not just those eligible for a company car. This may make your company a more attractive proposition at many levels of seniority.

Look at how the introduction of a mobility budget could impact on the car policy: small car for the week, larger car for holidays, but also less mileage per year, different lease holding periods…

Simplicity

This may all sound a bit frightening: moving from supplying a single mode of transport to a pre-defined set of employees, to providing many modes of transport to a greater number of people, all of whom will have different needs and different usage patters. So next, ensure that a multimodal mobility budget is an easy administrative instrument. Many of your current suppliers (leasing companies and others) have already branched out into the ‘mobility’ domain. They may be able to handle all aspects of the system, and may also have a mobility card that employees can use for various modes of transport (depending, of course, on location and individual agreements that the supplier has in place with transport operators). It should then be possible for you to receive a single, detailed invoice at the end of the month, making your job no more complicated than before. Financially speaking…

Now that we’ve got this far, and a potential partner is involved, the inevitable financial question arises, and there are (at least) four questions to consider. Firstly, you will no doubt know how much you currently spend on cars and travel. Compare this to what the supplier is proposing, and look out for all the hidden extras.

Consider to what degree a mobility programme could be extended to other employees who are not entitled to a company car.

Involve both the personnel and, if appropriate, social partners in your discussions; with colleagues, analyse the intangible benefits – happier, more productive staff…

Ensure that local managers analyse the impact of other forms of mobility provision on the tax position of the employee and the company.

Secondly, consider whether the move to a flexible budget should be accompanied by a ‘flexible’ lease car. A smaller (and cheaper) car for everyday use, with the option of changing this for a larger car for holidays, a convertible for weekends, for a set number of times per year. And thirdly, find out what will be the tax issues in each country, for the company and the employer. Normally, if employees have a company car, they can drive their families around. If the company replaces the car by a mobility budget and pays for train tickets for employees and their families instead, how will this be considered in terms of tax, of benefit in kind? Lastly, alongside the tangible costs and potential savings, look at whether there are intangible benefits. Employees are happier and potentially more productive if they are not sitting in traffic jams every morning and evening. And the fact that you, the employer, are solving this problem may make your company more attractive.

Get the professional help of a partner to make the set-up and implementation as simple as possible, and include gamification to generate awareness and motivation and make the mobility budget approach sustainable.

To conclude, there are at least ten points set out above which you need to consider to make a smooth transition to a mobility budget. As for everything else, change management is vital, especially when the emotive question of a change of mentality regarding company cars is involved. But times are, indeed, changing, and so are mindsets.

Booking business trips is c The fleet and business travel industries are two sides of the same coin. Both deal with getting employees from A to B. And both are changing as they adapt new technology. And that change is driving them closer together, says travel industry expert and Associate at Festive Road Aurélie Krau: “Convergence will happen!” Frank Jacobs

Would you describe the travel industry as innovative? “There is a distinction to be made between leisure travel and business travel. The leisure side is by definition more innovative, because there are less constraints. On the business travel side, travel managers have become aware that their ecosystem is changing, that technology will impact the way they manage travel – but change is not easy to tackle for corporations”. “That being said, there is innovation in the business travel industry, for example the embrace of disruptors like Uber and Airbnb, industry standards like New Distribution Capability (NDC) enabling personalised airline retailing, new entrants fully mobile like Roadmap. But that is mainly influenced by users adopting innovation, and travel managers adapting to it. One example: taxis in Paris or London barely accept credit cards. That makes an alternative like Uber even more attractive, and successful, because it is hassle-free and seamless for travelers”. Why do travel managers tend to be conservative? “In a corporate environment, change is risky. There is a lot at stake: it is not only about optimising travel costs, but also about duty of care for instance. To use the Uber example again: such mobile-based solutions allow you to track your employees much better than if they take a taxi. Still, education of travel managers is needed”. But innovation doesn’t come from end users alone “A lot of dynamism comes from new market entrants, with exciting new solutions. This is one of my takeaways from the IATA hackathons we’ve been supporting at Festive Road, which have focused on airline retailing: developers get a limited amount of time to code prototypes of apps/websites, and typically they come up with something that puts users’ need first and foremost. There is a complete focus on user experience”.

Smart app to follow: SAM knows the way SAM is your daily travel companion. He knows the way. Reminds you when it’s time to go to the airport and tells you when your flight’s delayed. Suggests when to take a taxi, or public transport if it is more convenient. But SAM is not real: he’s a bot, available to FCM Travel Solutions customers. “Interaction with SAM is purely conversational. SAM knows about your entire itinerary, and turns your trip into a seamless experience”, says Aurélie Krau. “This is more than a gimmick, this is a game-changer”.

Which other trends are you seeing in business travel? “Travel managers want to get a grip on the Total Cost of Travel: not just the cost of the flight and the hotel, but also of the ground transportation (airport transfers, taxi, public transport) and F&B. “Another trend is pro-actively comparing best itineraries and travel alternatives: checking the pros and cons of rental cars, taxis, public transport, car-sharing, etc.” Does that imply the travel industry is moving towards a more integrated approach to mobility? “Definitely – although we are not there yet. One example currently already in the market is Neo by KDS, which offers a door-to-door solution. Just enter your origin, destination and date, and it will produce a bookable itinerary, with suggestions for most relevant flights, hotels, and even transport to get from your hotel to your meeting – all compliant with the travel policy. As you use the system, it learns your preferences and acts on them – if you regularly book the same hotel, for instance. Solutions like these are radically changing the traditional way in which we are booking trips”.

Where does all this leave the traditional travel management companies (TMCs)? “Some are indeed questioning the usefulness of an intermediary in these connected times. But every stakeholder tries to innovate. There can be a perfect combination of human interactions and technology. For instance, artificial intelligence and bots like SAM, which is being introduced just about now (see box)”. What’s more, in future, TMCs will play more to their strengths, which include the option to provide advice, and produce advanced reporting”. Experts have been predicting convergence between Fleet, Travel, MICE and IT for years now, but everybody seems happy to continue working in their own silos. Will these sectors ever converge? “Yes. Conversations are ongoing concerning convergence between Travel and MICE, not yet with Fleet and IT, but eventually will also involve HR and Procurement. The latter three departments are crucial for the strategic decision around tools being made available for the staff. Convergence will happen in the next five years, and the future approach will be holistic. But we are not there yet...”

What innovations are the fleet and mobility industry missing to steer smart mobility forward?

Lukas Neckermann Some corporate fleet and mobility managers are already innovating, but to accelerate the integration of smart mobility I would like to see corporates roll out and implement telematics for insurance and fleet management for the complete fleet in all countries. I would also like to encourage fleet managers and suppliers to equip all new vehicles with full suite of ADAS, in order to fully embrace the duty of care principle and deliver TCO benefits. And finally it would be great to enable all vehicles for car-sharing.” Martyn Briggs In most cases our transport services are still not connected enough through scheduling or management. And the lack of information about how to make the best possible trip keeps people acting in the same old way, namely taking a trip based on familiarity rather than rationality. Data analytics and the possible insight to predict mobility patterns are not as far as hoped. Due to different stakeholders, ownership structures, and competitiveness of services, this data is either not openly available or not analysed in a holistic manner, creating a number of silos regarding data usage and analysis in mobility. This information and that of the user’s mobility behaviour will become one of the most valuable assets in planning future mobility networks. Investment in technology is required to manage and deliver the user experience”.
