This document is designed to assist in the creation of tailored role descriptions for your club's environment. The templates and examples below can be modified to fit the specific roles and functions of your club.

The suggested roles and responsibilities outlined below serve as general guidelines for what a typical volunteer might be expected to do when taking on a particular role. Like any role description, these serve as a reference for understanding the commitment required, but they are not an exhaustive list of tasks or duties. They are also not intended to be work plans those will be developed using the Club Development Plan and subsequent Plan to Achieve documents.

The roles outlined below are designed to support your club and are not intended as mandatory guidelines for roles your club must adopt. These roles have been selected as they are commonly found in many club environments.

Role Description President/Chair Role

Ideally you will;

• Communicate effectively

• Ensure all decision-making matters align to the Club Development Plan.

• Manage the club committee to meet regularly, set agendas, take minutes and implement actions to support the continued progression of the club.

• Support the club committee to increase 3rd Party funding.

• Identify and support future club leaders.

• Mediate in case of disagreements between subcommittees, sections and/or members.

Estimated time commitment for this role is 14hrs per week. Position reportable to Club Committee.

Role Description Vice President Role

Ideally you will;

• Be an excellent role model attuned to club needs

• Have good management skills

• Be enthusiastic, motivating and forward thinking

• Be a competent group presenter

• Have a good working knowledge of club structure and the duties of all board/committee members and subcommittees

A well-respected leader in Club Rugby, connecting with other Club leaders and Scottish Rugby representatives. An excellent opportunity to shadow the existing President by providing leadership and responsibility for the organisation and the Committee. With the ability when required to step into the President’s role, with the expectation of succeeding them at the end of their tenure.

Role Description Secretary Role

Ideally you will;

• Manage incoming correspondence for all club matters, directing communications to the appropriate individuals or sections.

• Provide regular reports to the committee.

• Ensure all data is stored in line with the club’s Data Protection Policy.

• Organise regular committee meetings, record decisions, including Annual General Meeting.

• Monitor and track progress on actions, providing updates regularly between main committee meetings.

• Ensure effective communication between committee and all subcommittees.

• Main point of contact for Scottish Rugby, coordinating completion of governance documents

Role Description Treasurer Role

Ideally you will;

• Be well organised

• Have experience of working within finances

By taking on this role, you will be fulfilling a respected position within the community and providing an essential service to the club by ensuring the integrity and accurate recording of its financial standing. Your efforts will directly contribute to the smooth operation of the club, which in turn plays a significant part in supporting its pursuit of success on the field.

How your involvement as Treasurer will help us to achieve our goals;

• Work in conjunction with Membership Secretary to monitor membership subscription income.

• Responsible for the management of the club finances in accordance with the decisions of the committee.

• Recommending actions on financial matters to the committee.

• Financial planning including producing an annual budget and monitoring it throughout the year, whilst ensuring that all cash and cheques are promptly lodged to club’s account.

• Report regularly to the committee on the financial position of the club.

• Prepare and present accounts for the end of year financial report and audit.

• Help prepare and submit any statutory documents that are required (e.g. VAT returns, PAYE and tax returns).

• Working collaboratively with the clubs Bar Manager to monitor bar income and hire costs.

• Contribute to strategic business planning to ensure sustainable approach.

• Work with all sections of club to produce budgets and record all fundraising efforts.

• Establish supplier relationships & procurement standards whilst advising Committee on cost saving initiatives.

Role Description Membership Secretary Role

As a volunteer in this role, you will have the chance to strengthen the club's membership by bringing the community together, creating opportunities for both rugby and non-rugby members to connect and enjoy the club's offerings. Your efforts will play a key part in ensuring the club's long-term sustainability.

• Lead on internal communications and tracking of current membership payments.

• Identify opportunities to support everyone within the club, e.g, Hardships funds.

• Support initiatives to recruit new members, ensuring that the sign-up process is straightforward and efficient.

• Support the creation of a club induction process, advising on membership options.

• Oversee and maintain all aspects of membership management, including membership categories, subscriptions, renewals, and revenue. Ensure membership fees are collected, and accurate records are maintained.

• Take ownership of record keeping by maintaining an up-to-date membership database and Game Management System.

• Ensure all relevant financial documents related to membership are securely stored.

Estimated time commitment for this role is 5hrs per week. Position reportable to Club Committee.

Role Description Sponsorship Convenor Role

Ideally you will;

• Be enthusiastic with a good knowledge and interest in the club’s activities

• Be an excellent communicator, with good verbal and written skills

• Be well organised with a high level of attention to detail

• Have experience and/or an interest/passion in funding opportunities and/ or sourcing sponsorship

What you will get out of this role;

A vital role which sees you build relationships with your club members and wider community, selling the benefits of our sport and the associated values of your club. Your work contributes to the financial sustainability of the club, aiding both on and off-field success.

How your involvement as Sponsorship Convenor will help us to achieve our goals;

• Advertise and sell the wider benefits of Rugby with local business and the community.

• Align the values of Rugby to generate greater interest in sponsorship and advertising with like-minded businesses.

• Investigate sponsorship opportunities from the commercial business sector.

• Formulate sponsorship proposals and ensure sponsorship requirements are met.

• Produce follow up literature to sponsors in the form of thank you letters, press coverage & club updates in order to encourage on going relationships.

• Manage and organise sponsors benefits events, e.g sponsors Lunch, Match Day hospitality.

• Liaise with the Treasurer on financial planning for the club to ensure adequate funds are generated.

• Support the development of a fundraising plan.

• Identify potential source of funds e.g. sponsorship, grants etc.

• Support the Club Committee to identify and apply for 3rd party funding.

• Submit regular reports to the Club Committee.

• Create and lead a local business meeting generating wider engagement and future revenue.

Estimated time commitment for this role is 4-12hrs per week. Position reportable to Club Committee.

Role Description Child Protection Officer Role

Ideally you will;

• Be well organised

• Be a good time manager

• Be a good communicator

• Have completed Child Protection and Safeguarding training within 3 months of your appointment

• Have a sufficient rugby PVG in place

• Be available to attend a variety of youth training and matches

• An excellent relationship manager

What you will get out of this role;

A respected position, ensuring the club provides a safe and enjoyable environment for children and young people to play rugby. You'll build meaningful relationships with coaches, parents, and players, educating everyone on the importance of shared responsibility in child protection and safeguarding. You'll also receive full support and guidance from a network of Club CPOs and the Scottish Rugby Safeguarding team.

How your involvement as Child Protection Officer will help us to achieve our goals;

• Ensure the club has a current Child Protection / Safeguarding Policy that is available on the club website, available on request and understand the principles within the policy.

• Manage the PVG Memberships within the club. Any person carrying out REGULATED WORK must have a PVG number.

• Keep a record of all people undertaking regulated work ensuring club’s Record Keeping policies are being followed.

• Take responsibility for dealing with concerns by reporting them to Scottish Rugby Safeguarding Team and other relevant people if needed –NSPCC/Children 1st or external agencies

Estimated time commitment for this role is 5hrs per week. Position reportable to President.

Role Description Director of Rugby Role

Ideally you will;

• Be a strong leader of people within as part of the wider club leadership team

• Have a good understanding of the game and what an effective player development environment looks like, including coaching, medical, analysis and welfare programmes

• Understand what effective coaching looks like and have experience of recruiting and developing coaches and volunteers through development planning

• Be an effective communicator and comfortable leading a variety of people in a range of roles

• Have sound planning skills and a good understanding of budget processes

• Develop and implement a coordinated player, coach, team management, medical, strength & conditioning and video analysis programme throughout all relevant sections of the club/school.

• Ensure player welfare is at the heart of all club activities, including coaching sessions and programmes (including Age Banding policies).

• Ensure players are provided with appropriate nutritional and anti-doping support, in line with a bespoke S&C programme.

• Lead on the creation and maintaining an on and off field volunteer management structure and lead the support and education of these volunteers.

Engage with community stakeholders to provide a professional approach to rugby programmes that offers young people pathways to positive outcomes. Foster interpersonal skills through one-on-one interactions, group settings and presentations. Identify and nurture a culture focused on the holistic development of current and future stars of the game at both local and national levels.

Role Description Volunteer Coordinator Role

Ideally you will;

• Have an ability to delegate effectively

How your involvement as Volunteer Coordinator will help us to achieve our goals;

• Act as the initial point of contact for current and potential volunteers

• Create a welcome/induction pack for new volunteers, introducing them to your club and the sport

• Collaborate closely with the Child Protection Officer to ensure a robust recruitment process.

• Recruit people into roles that suit their skills, interest and availability.

Role Description Youth/Mini Convenor Role

This is a highly respected and valued role within the club and the wider community. As the club's leader of rugby for Youth/Mini, you will directly influence results both on and off the pitch. Whilst demanding, the role is incredibly rewarding as you witness young players develop.

How your involvement as Youth/Mini Convenor will help us to achieve our goals;

Ignite Interest

Increase exposure to rugby to ignite interest and grow participation with a key focus on youth participants.

• Create and lead a team of people to deliver community rugby events.

• Ensure there is a plan for community activity to maintain full youth squads at each age group and to maintain volunteer and community support.

• Work with Director of Rugby, Development Officer and all volunteers to create a welcoming environment for all.

Evolve Experience

Create exciting and memorable opportunities to engage with rugby and keep players in the game for longer.

• Implement a consistent and thorough induction process for all current and new members.

• Support the Creation and implementation of a Club Development Plan, ensuring alignment of key volunteers and projects.

• Monitor Player, Parent and Volunteer satisfaction, ensuring the club values are visible and present always.

Aligned Pathway

Strengthen links between communityandperformance rugby as part of an aligned, integrated pathway.

• Manage the effectiveness of the club Transition and Retention programme, ensuring key transition points are identified and prioritised.

• Collaborate with youth and senior club leaders to create a succinct pathway.

• Ensure ‘The Club Way’ and Values represented throughout all areas of the Club.

• Understand and connect with Scottish Rugby to support continued development of the Club.

Clubs of the Future

• Arrange regular meetings with youth committee to ensure all youth section priorities are met and agreed upon.

• Attend main committee meetings and represent all Youth matters.

• Lead and support a Youth Council of young people, representing their thoughts throughout all club meetings.

• Support the club Child Protection Officer.

• Be a visible and approachable presence at training, games and event.

• Connect with Director of Rugby on Volunteers recruitment plans.

Estimated time commitment for this role is 10-12hrs per week. Position reportable to Director of Rugby.

Role Description Match Official Liaison Role

You'll work to enhance match play standards while supporting future match officials, all with the backing of the wider Scottish Rugby network and contribute to building a positive reputation for your club.

How your involvement as Match Official Liaison will help us to achieve our goals;

Increase exposure to rugby to ignite interest and grow participation with a key focus on youth participants.

• Support the creation of a safe and enjoyable environment for match officials in line with wider club engagement.

• Ensure club values are upheld and supportive of Match Officiating recruitment.

• Support the retention of Match Officials throughout Scotland, through creating a safe and enjoyable environment, making them feel valued and respected as they continue their rugby journey.

Evolve Experience

Create exciting and memorable opportunities to engage with rugby and keep players in the game for longer.

• Maintain regular contact and dialogue with all club Match Officials.

• Communicate effectively with all Match Officials in the lead up to, on and post-game day.

• Representing the club in a professional and welcoming manner.

Aligned Pathway

Strengthen links between communityandperformance rugby as part of an aligned, integrated pathway.

• Create an effective connection between your club and Match Official Society.

• Support the development of Match Officials (Club and Society) and club players by aligning Match Officials to club training opportunities.

Clubs of the Future

Support clubs to build environments that future generations aspire to belong to, underpinned by strategic funding.

• Identify and support youth players to engage with Match Officiating, supporting club development

• Advertise the wider benefits of Match Officiating and highlight appropriate education opportunities

• Ensure Whostheref / SCRUMs is updated regularly and accurately maintained.

Ideally you will;

• Have sound IT and administrative skills

In this role, you will gain valuable experience in management and operations, learning what it takes to ensure a team runs efficiently and effectively. You'll have the opportunity to build strong relationships with individuals at various levels within the club and across Scottish Rugby. Additionally, you'll experience a deep sense of fulfilment from playing a crucial role as part of a dedicated team.

Increase exposure to rugby to ignite interest and grow participation with a key focus on youth participants.

• Implement the club’s introduction and induction process

• Be the first point of contact for all parent enquiries.

Evolve Experience

Create exciting and memorable opportunities to engage with rugby and keep players in the game for longer.

• Confirm player availability for all rugby activities.

• Communicate any changes or amendments to plans in a timely manner.

• Ensure SCRUMs registrations are updated and accurate at all times.

• Submit team sheets and report any serious injuries in a timely manner.

• Deliver parent engagement workshops aligned to club values.

• Ensure kit and equipment is maintained and available for all activities.

Aligned Pathway

Strengthen links between communityandperformance rugby as part of an aligned, integrated pathway.

• Maintain regular correspondence with Transition Manager, Director of Rugby and Youth Convenor.

• Establish regular communications with Scottish Rugby’s Regional Academies, for all club and academy supported athletes

Clubs of the Future

Support clubs to build environments that future generations aspire to belong to, underpinned by strategic funding

• Ensure the clubs code of conduct is visible and agreed by all members of the team and their wider support network.

• Identify young people who are interested in volunteering opportunities at the club.
