Employees of Addison are set up with accounts in UKG. In UKG, employees can easily see and print pay statements and run reports on their earnings for the year. Upon an employee’s start, they are emailed UKG instructions.

• Enter username and password on the login page. If you receive the error: Your account is locked, please email Payroll@addisongroup.com to unlock your account.

• The Change Password screen will display where your password must be changed to one with the new requirements. The screen will explain the new password standards.

• Once your password has been changed, you will be taken to the form to configure your Virtual Code settings.

• Anytime thereafter, when logging in from a device that has not been remembered, you will be asked which method you would like to use to receive the code for that specific login. Select a method and click the button to send either Text Message, Voice or Email. We recommend text message as it is the quickest and most reliable method. 1 2

Onboarding Checklist:

• From the dashboard, access the checklist by clicking the bell icon in the upper right corner.

• After clicking the bell icon, it will take you to the outstanding items on your checklist.

• Once you have finished the selected item, remember to click CONTINUE and it will take you to your next outstanding item.

• Complete New Hire Information

• Complete Direct Deposit Information

• Complete Withholding Forms — Federal and State (if applicable)

» Please ensure you click Mark as Complete for BOTH Federal and State forms. These tasks will not be fully complete until you select Mark as Complete.

Enrollment:

After 30 days of employment, you will be notified of your eligibility to enroll in benefits. Benefits will become active on the first of the month following the 30th day of employment.

Commuter Benefits: WEX

• Enroll in commuter benefits

• Determine your pre-tax contribution amount

• Receive your benefits debit card in the mail

• Spend your funds on your work commute

*If spouse is not offered coverage

How you can use your Commuter Benefits:

• Drive your own car and park with SpotHero.

» Use the SpotHero mobile app or go online to find an available parking spot close to your office.

» Pre-pay for your spot using your benefits debit card.

» Scan and show your pass and park in your reserved spot.

• Drive your own car and park in parking ramp/garage.

» Use your benefits debit card to pay for the parking pass.

• Purchase a ticket/pass to ride the bus, train or ferry.

» Buy your ticket/pass using your benefits debit card.

• Use a transit authority’s mobile app to pay for your ride.

» Download the transit authority’s mobile app & create an account.

» Select the ticket you want to buy using your benefits debit card to pay.

» Activate your ticket before boarding & show the activated ticket screen so its visually validated by conductor (as needed).

• Autoload your transit authority’s card to pay for your ride.

» Purchase your smart card from the transit authority.

» Choose the value/pass you want to add.

» Use your benefits debit card to purchase value/pass and set up future autoloads.

After 90 days of employment, you are eligible to begin contributing towards your 401k. On the 90th day of employment, you will receive an email from Principal to create an account. Your selected deduction will then start the first of the month following the 90th day of employment.

If you’d like to start contributing, you will have to opt in to the APFS 401k plan. After 1 year of employment, Mondo will match your contribution using the following rates:

When Principal asks what plan you want access, if you have had an previous account with Principal, you will select the APFS 401k Plan.

PTO Policy:

• New Employees are not eligible to participate in Mondo’s PTO before their 90th day of employment.

• All time off is at the discretion of managers.

• PTO Policy is in effect Jan - Dec.

• A maximum 40 hours of unused PTO will roll over into the next calendar year.

PTO Accruals:

• PTO + Sick time are accrued starting from Day 1.

• PTO + Sick time will not be reflected in UKG until after 90 days of employment.

We are pleased to introduce a tiered unlimited PTO plan that employees can earn by achieving high performance business metrics.

• Taking care of someone in your household experiencing illness

Floater Holidays

Floater Holidays reset January 1st.

Floater holidays in UKG are configured to Addison Group’s policy, which differs from Mondo’s. Although you are eligible to take 2 floater holidays in your first year, you will not be able to start officially logging them in UKG until the first of the year following your 1 year anniversary with Mondo.

You will still need to formally request your two dates via email to your manager, & once approved, you will need to send them a Google calendar invite for that day. There is no action item needed at this time in UKG.

Reminder:

Floater holidays are on a first come, first served basis and you will need to request any floater holidays 30 days in advance of the date.

In lieu of a floater holiday, you also have the option of taking a volunteer service day (one per quarter). This is a great giving-back opportunity to serve the community and non-profit organizations important to you. Be on the lookout for new volunteer opportunities coming your way in 2025.

Cell Phone Reimbursement

All employees are eligible to expense up to $50 per month on their cell phone bill starting the 1st of the month following 30 days of employment.

All client expenses must be pre-approved by your manager and approval must be submitted with receipt on Expense Report.

All company related expenses are due within 45 days of the receipt date.

Business expenses are not taxable and will be paid out as a flat reimbursement.

Fuel: Mind, Body & Soul does not carry over and may not be combined month over month. All Fuel: Mind, Body & Soul expenses are due within 30 days of the receipt date. Employees are not eligible to participate in Fuel: Mind, Body & Soul program during any leave of absence.

Fuel: Mind Body & Soul expense are taxable and will be included into your paycheck aligning with the time of submission.

Should you change tenure brackets during the year, you will eligible for the next bracket stipend the month following your Mondo anniversary.

All expenses must be submitted and approved by Tuesday 12pm EST in order to get reimbursed the same week. If submitted/approved after the cut off, expenses will be paid out the following week

Expensewire is the delegated platform used to complete Employee Expenses.

Login credentials for Expensewire will be sent to employees after 30 days of employment.

How to Submit Expenses

• Start a New Expense Report.

• Title the Expense Report for the applicable month

» ex. September Expenses)

You are only responsible for completing the information tagged with a Red Asterisk*, all other information is automatically populated.

• Expense Date: when the expense was purchased / paid for.

• Expense Type: please select the appropriate expense code

» ex. Cell Phone Mondo → Cell Phone Business Expense, FUEL: Body → Gym Membership, etc.

• Business Purpose

• Payment Type:

» This is automatically populated to cash — Please do NOT change this

• Amount: Amount of your expense

» ex. Cell Phone = max $50, Fuel: MBS = your applicable tier stipend

• Receipt: Please upload the relevant receipt/screenshot of your payment/ purchase. Receipt/screenshot of purchase must include the following to be accepted:

» Clear itemized breakdown of the what was purchased/paid for

» The amount that was paid

» The date of purchase/payment

After completing all the required information, click Save Line Item. Your expenses will populate on your report. Confirm there are 2 green check marks next to each line item.

If there is a red X, please go back and double check the submitted information is correct and a receipt has been uploaded

After completing all line items for the monthly report, click Submit for Payment.

• Select and copy (Ctrl or Command + C) the email signature.

• In Google Webmail, in the right hand menu, click the Settings option and continue to See All Settings.

• Scroll down to the Signature text box and paste the signature (Ctrl or Command + V).

• It should look like this:

• To edit the phone number, click on the number and a dialogue box will come up. Click Change.

• Edit the number in both the Text to display field and the Web Address field. Click Ok.

• You do not need to add your personal phone number.

• Click on Linkedin to add your user profile link. Click Change.

• DO NOT update Text to display. Only paste your LinkedIn url into the Web Address field. Click Ok.

Employee Experience Ambassadors

The Employee Experience Ambassadors consist of one or two team members in each local office that take the lead in shaping and enhancing the workplace culture. These ambassadors play a key role in fostering team engagement by organizing and facilitating team get-togethers and events, as well as celebrating team milestones and achievements.
