How to plan a successful kick-off meeting

Kick-off meetings are crucial in the development of projects. An unorganized project kick-off is like moving to a new city without organizing it in advance - it is possible, but it will take more time and costs. That is why we have prepared a small checklist for you, which you can use as a guide for organizing and conducting your next kick-off meeting.

PREPARATION

Define project goals and objectives, clarify details with the project initiators

Determine team members

Create a list with contact details of team members

Assign tasks and functions to team members

Create a preliminary project plan (schedule, budget, resources)

ORGANIZATION

Determine participants (team, stakeholders, consultants, client, suppliers)

Determine location, time, and duration

Book meeting room (incl. equipment and catering)

FURTHER PROCEDURE

Define project scope and go through project plan

Stress at work is quite common these days. Deadlines, projects, understaffing, and too little time can be reasons for a stressful working day. We often take the pressure home with us, making it a lot harder to recharge for the next day.

Here are a few exercises for you on how you can easily, quickly, and at any time and place reduce your stress level and get through the day relaxed.

And how does it work?

We do it every day and continuously since birth, it feeds our brain with oxygen, and we can‘t survive without doing it - BREATHING!

ALTERNATE BREATHING

Reduces stress and improves concentration

• Sit upright in a comfortable positio

• Close your right nostril with your right thumb

Although we can literally do it in our sleep, there is more to it than you might think. We can trick our brain into relaxing with the way we are breathing.

Here are four techniques to reduce anxiety and stress, and to increase your concentration through the correct breathing.

• Breathe in slowly and then exhale through the left nostril

• At the end of the exhalation, close the left nostril with the ring finger while releasing the thumb from the right nostril.

• Now inhale and exhale through the right nostril

• Repeat 5-10 times

Calms anxiety

• Put your hand on your belly

• Breathe in slowly while sticking your belly out (fill your belly with air).

• Breathe out slowly and relax your belly again (let all the air out)

• Repeat this exercise 5 times

4-7-8-BREATHING

Can relieve panic attacks and anxiety, regulate blood pressure and help you fall asleep.

• Begin with an exhale to empty your lungs

• Inhale gently through your nose for 4 seconds

• Hold your breath for 7 seconds

• Exhale powerfully through the mouth for 8 seconds

• Repeat 4 times

MINDFUL BREATHING

a form of meditation

• Sit up straight but not stiff, close your eyes and breathe normally

• At the end of the exhalation, count 1

• After the next exhalation, count 2

• Follow this pattern to a count of 5, and then start again at 1.

• Repeat for about 5 minutes

Don‘t let your mind wander off during the exercise. You will notice that you are distracted if you have breathed without counting or if you notice that you have counted past 5. But don‘t worry if this happens; just return to your breath and start counting again..

Did you know that a lot of people breathe incorrectly?

Here are four signs that you are breathing incorrectly:

• You yawn a lot

• Your breath is very shallow

• You breathe through your mouth

• Only your chest is moving and not your belly

How do I breathe correctly?

The ideal form of breathing is called full breathing. It consists of chest, abdominal and flank breathing. With this breathing, for example, you can prevent headaches, fatigue, and lack of concentration.

This is how it works:

Sit upright, place one hand on your chest and breathe in; your chest should now rise and lower again when you exhale. Now place your hand on your belly and inhale again; your belly should rise and then lower as you exhale.

On the next breath, place both hands on your flanks; feel your ribs stretching outwards as you inhale; this allows your lungs to absorb more oxygen. Repeat this exercise until your whole torso is moving.

Organizing Green Events?

This is how it works!

Barbara Skrott

Barbara Skrott has been certifying green meetings since 2014 and is Mondial‘s first point of contact regarding sustainable events. As Director of National Projects, she is also responsible for ensuring that all national congresses organized by Mondial in Austria run smoothly.

What is the difference between an eco-label certified event and a regular event? Apart from the certification, of course.

Barbara: The difference is in the planning and implementation. In the best-case scenario, a green event is one where you actively persue in more environmentally friendly methods. It starts with the appeal to the participants to travel in a CO2-friendly way. Then it continues with the catering, which should be as regional, seasonal, organic, and at best vegetarian as possible.

You try to get all parties involved in the event on board and accommodate this green idea. But the bottom

line is that the difference is not that big. You just try to switch to environmentally friendly alternatives and do without superfluous things like giveaways. This also sets you apart from other ”0815“ events.

What are the first steps toward certification?

Barbara: Come to me (laughs) First, I ask the questions: Where is the event taking place? Is it a venue that is already certified with the Austrian Eco-label? Is the venue easily accessible by public transport, or can a sustainable journey be organized? Then I ask how and from where the participants will travel and who will do the catering. A

requirement for certification is that the caterer is willing to cooperate and can meet the criteria for sustainable catering. If these questions are clarified, and the conditions are all met, then there shouldn‘t be much standing in the way of certification.

And what is the next step?

Barbara: Then you have to look at the details. There are specific ”can“ and ”must“ criteria to fulfill. In this step, the challenge is to find out where you can score enough points on the ”can“ criteria.

What are some ”can“ criteria, for example?

Barbara: Not using bags and giveaways, not using printed materials, using potted flowers instead of cut flowers, etc. There is a good website from the Ministry of the Environment with information about all certified hotels and event locations from Austria and also the partners.

What tips can you give in general?

Barbara: The most important thing is to always be a bit green! No, just kidding. Even if certification is sometimes tricky, you should still consider where you can be sustainable. There is a presentation on our website with 20 simple tips on how to make an event more sustainable.

Can you also license a private event?

Barbara: For private events, it depends on the size rather than the number of participants. There must be enough ”must“ and ”can“ criteria to get the points. Now, certification becomes difficult if you

organize a party without external partners such as catering or accommodation.

Are Green Meetings more costly than regular meetings, and is there something like a cost shift in this case?

Barbara: The costs can usually be shifted. For example,

Barbara: Yes, and that is also free of charge. With my experience I can assess very well whether an event can be certified or not.

How high is the demand to have green events certified?

The most important thing is to always be a bit green!

you can do without conference folders and gifts and instead invest a little more in catering. We only charge for the time we spend.

Barbara: The demand is increasing. In the last few years, apart from the Corona break, we have certified two to three events yearly in the congress department. In 2022, there will be at least six certified green meetings.

A Teamday on the Nordkette

Venue: Nordkette (Page 27)

6 am, Innsbruck. It is snowing.

We start loading the equipment into the gondola of the Nordkettenbahn, which will take us up to the Seegrube in just a few minutes: shovels, probes, snowshoes, team skis, saw, bungee ropes, and drill.

No, we are not racing skiers or park shaperswe are the Teamday event team.

Around 9 am, the sun comes out.

Nothing stands in the way of an unforgettable event high above the roofs of Innsbruck. The event site is prepared, the games are set up - the event can begin. The members of the Green Team will pick up the guests at the hotel; together they will take a spectacular cable car ride from the city center up to 1900 m to

the Seegrube.

A magnificent view of the beautiful mountain scenery of Tyrol and the city of Innsbruck awaits the group. The participants will have a fun time together at the event area, which is entirely reserved for the team building event. Exciting activities are on the schedule: team

skiing with five people on a pair of jumping skis, running against bungee ropes, and building functional igloos or slides with all kinds of funny snow vehicles. Food is provided by the on-site catering. The buffet is well stocked, and punch, tea, or mulled wine will keep all participants warm.

Happy end to the team day. The DJ turns up the music, the sun slowly disappears behind the mountains, and the city lights go on. One last after-work drink while everyone reflects on the day and enjoys the unique ambiance and the incredible view. What will stay with the company for a long time are the experiences, the joyous togetherness, and the refreshed team spirit that such a day in the snow can induce.

A unique day comes to an end when a tired but happy project leader accompanies the participants down in the gondola at around 5 pm. After the team stores away the equipment, they also finish their work and take the last gondola down. At the top of the Seegrube, snow is falling again, traces of the day disappear, ready for another fresh start in the morning.

Wedding planning: Not an easy job

Muza recently got married and decided not to hire a wedding planner but to take matters into her own hands. She has been working in the event industry for a few years and has already helped organizing a few weddings. Despite her experience, wedding planning was a huge challenge, which she tells us about here.

When planning a wedding, you must keep some crucial aspects in mind. Hiring a wedding planner can significantly help if you have little time. If you still decide to plan your wedding yourself, be prepared for things not to go exactly as planned, but that‘s okay!

My husband and I married in June at the Intercontinental Hotel Vienna with a banquet for 65 guests. The coronavirus pandemic was not merciful to us, and we had to postpone the event due to closures.

Tip: Make sure that all contracts, from the photographer to the cake supplier, include a change of date free of charge in case the wedding cannot take place as planned due to the coronavirus regulations. Hopefully, Corona won‘t be such a big issue in the future, but I recommend making sure you know the terms of the contracts with the partners involved such as the venue, the photographer, and the cake supplier. Furthermore, remember that you can always

try to negotiate better terms in case you have last-minute changes. It‘s always worth a try!

How did we find the perfect venue? It seems like there are endless possibilities in Vienna. However, after sending inquiries to about 30 venues in Vienna, we only received ten responses. After a few site visits, we decided on the Intercontinental, which offered a perfect festive ballroom, reasonable value for the cost, and a great choice of food, plus, the event

manager was there for us around the clock.

In Austria, a wedding host is less common than in other countries. However, if you are planning an international wedding with people from all over the world, the wedding host will save the day. The hosts‘ job is to entertain the guests with games and dancing, and translating the speeches is a bonus if your host is multilingual.
