Abstract

School nowadays face a main problem which is presented in the overuse of papers in their work and the disconnection between the school and parents- the parents can contact with the school either by phone or visiting it. This project suggest a system which can eliminate of using papers and create direct and continuous contact between school and parents. After applying this system, the parents being able to follow their children educational information at any time they want- while the parents in our surrounding community are not able to access to their children educational information easily.

So , we build a school management system that facilitate some issue at school .

It offer a services to the main destination in learning process , student parents ,teacher and school management . the idea of designing a system management school will serve all of students parents and it facilitate the registration process and follow up all new for their news subjects, as well as the service of the school administration through managing and monitoring and storing data of students and teachers.

‫ملخص ‪:‬‬ ‫قمنا بتسليط الضوء على اللبنة األساسية للعلم والتعليم وإنتاج جيل متعلم ومثقف قادر على مواكبة التكنولوجيا‬ ‫واالنطالق نحو العالم والعلم بصورة أوسع في المراحل القادمة ‪ ,‬أال وهي المدرسة ‪.‬‬ ‫بعد أن قمنا بعمل دراسة للوضع اإلداري لبعض المدارس من خالل بعض المقابالت مع المدراء والسكرتارية‬ ‫‪,‬الحظنا العبء الكبير الذي يقع على عاتقهم في إدارة المدرسة من خالل تدوين و أرشفة السجالت وما يكلف‬ ‫اإلدارة من وقت و جهد سواء بالتدوين أو معالجة األخطاء ‪ ,‬وأيضا عبء أماكن تخزين لهذه السجالت وطرق‬ ‫االسترجاع ‪.‬‬ ‫لقد قمنا بالتركيز على كافة األمور التي يتم التعامل معها ورقيا من جهة اإلدارة والتي نسعى من خالل هذا‬ ‫المشروع أن يتم تحويلها الكترونيا ‪ ,‬ونذكر من هذه األمور تسجيل الطلبة الجدد و رصد عالمات الطلبة و إعداد‬ ‫وتوزيع جداولهم اليومية ‪.‬‬ ‫وقمنا بعمل مقابلة مع المعلمين حيث أنهم قاموا بالتأكيد على حاجة التواصل الدائم مع أهالي الطلبة ونقل معلومات‬ ‫الطلبة بشكل دائم من حيث الحضور والغياب والعالمات وبعض المالحظات الالزمة كما وقاموا بتشجيع فكرة‬ ‫التأكيد على حل الواجبات اليومية من الطالب وذلك من خالل إشراف ذويهم‪.‬‬ ‫ومن جهة أهالي الطلبة فقد دعموا فكرة التواصل الدائم مع المدرسة ومتابعة الوضع األكاديميألبنائهم بشكل دوري‬ ‫من خالل متابعة نتائج امتحاناتهم اليومية وااللتزام بالدوام المدرسي وحل الواجبات اليومية ومشاهدة جداول‬ ‫امتحاناتهم النصفية والنهائية ‪.‬‬ ‫و من هنا كانت فكرة المشروع لحل كل هذه المشاكل و التسهيل على كل من اإلدارة والمعلمين والطلبة وذويهم‬ ‫عن طريق بناء موقع الكتروني )‪ (web application‬يقدم ألول مرة في فلسطين ذو خصائص عديدة أهمها انه‬ ‫مقدم باللغة العربية األم ‪ ,‬وانه محلي وفي متناول اليد و سهل للصيانة والتطوير ‪.‬‬ ‫هذا الموقع "نظام إدارة المدرسة " يحتوي على ثالث شاشات رئيسية ‪ ,‬شاشة اإلدارة ‪ ,‬شاشة المعلم وشاشة‬ ‫الطالب ‪,‬‬ ‫حيث تستطيع اإلدارة من خالل الواجهة التي تعرض له أن يقوم بتسجيل الطلبة والمعلمين الكترونيا على الموقع‬ ‫والقدرة على تعديل أو حذف المعلومات الخاصة بهم ‪ ,‬عمل جداول الحصص اليومية لكل من الطالب والمعلمين‬ ‫وتوزيعها عليهم الكترونيا ‪,‬كما تقوم بتسجيل الحضور والغياب للطلبة بشكل يومي ليتمكن أهالي الطلبة من متابعة‬ ‫ذلك من خالل الشاشة الخاصة بهم ‪.‬‬ ‫ويستطيع المعلم من خالل شاشة خاصة به أن يقوم بإدخال العالمات الخاصة بالمادة التي يدرسها كما يستطيع‬ ‫إرفاق واجبات يومية للطالب وأيضا يمكن التواصل مع أهل الطالب من خالل إرسال رسالة ‪.‬‬ ‫وفي هذا التقرير لقد تحدثنا بشكل مفصل عن المشروع "‪"School Management System‬‬

1. Introduction :

1.1 Introduction : This chapter will talk about the problem that led us to choose this project "Management System School" as a graduated bachelor's degree project for specialty Applied Computing, as it will talk about the causes that stimulate us to apply this idea in practice and its expected benefits on the level of private and public, and, it will show the methodology

we followed in the application of this idea and the plan of

action which we proceeded, restrictions and limitations that we faced during its application. Finally,it will present the recommendation and future work in the last part of this paper.

1.2 Problem Statement: In light of technological advances that we live in the century twenty-one, no doubt growing responsibilities that falls on parents to follow their children in educational institutions, especially in the first grades. after became the women play an important role in the field of work and became most mothers of women workers, needed in light of this tremendous development in the field of technology and increase the rate of educated people who are able to dealing with the world of the Internet.

Because our children are the future youth and the leaders of our nations, and also because what we teach them of science and caring we give them in their childhood which will make them to be the best and competitor all over the world; the need of exist following by the parents to their children became a severe need; there should be persistent following all the time .As well as the parents should assist the school administration in pursuing academic and administrative matters in a computerized method away from paper-based systems, so the need called to build a system which is capable of addressing these problems and make it easier for all parties concerned with the educational process .

1.3 Project Objectives : - Build School Management System as a graduation project for Applied Computing – Science and Arts Collage.

- Highlight the importance of science and education and emphasize on the importance of the role of teachers and parents side by side in the child educational process.

- Develop students' abilities and practice them to be able to use computer and brows internet by using the system.

-Papers have many disadvantages for the community and nature- it consumes many natural sources.

1.4 Project Benefits : School Management System provides services to three key points in the educational process, they are: students, teachers and school administration .

School Management System will facilitate certain issue at school , it can serves : 1-School administration through managing and monitoring andstoring students and teachers' data.

2-Students parents can follow up all new for their children.

3-Teachers will be able to supervise their students and communicate with parents of the students electronically.

-Improve the academic performance of the students and the parents follow through daily jobs and recall them through the site.

- Mastering PHP programming language and have an experience in implementing complete project by it .

- Increase students collaborating through the Student Committees .

- School administration can contact with teachers and students through advertisements which posts by the school administrator .

1.5 Project Methodology : Our work was increasing by carry out it step by step like this, after adapting this idea we selected the main tasks that this SMS will provide, then we determined the time that we will need to build this system and distributing the roles between the team members; after that we started the system analysis process and reviewing it, finally we design the system by constructed the data base and detect the interfaces style then we started in the implementation level. Also have test all functions separately to be emphasized that it is working properly .

1.6 Research Plan (Working Plan) : After adaptingthis idea we have identified the major tasks that must be provided by the system ,then we determined the time it would be taken to build the system and after that we started : - Searching and collecting data and information about schools and its needs by Interviews .

-Analyzing the data and start creating the database .

- Studying and understanding some functions for building a website using the following programming languages : HTML ,CSS , Java Script ,Java Query ,PHP .

-ď€ Building an easy-to-use standalone system .

1.7 Project Constraints (Research Limitations) : -We face some problems while creating the data base because of adding some functions to the project which require modifying the database again .

- Find many sites to assist in the creation of web application and solve some of the problems we faced in the programming language.

1.8 Summary and Recommendations : This chapter will talk about School Management System application; its definition , ,the reasons of choosing this idea, its objective , benefits, the project methodology we used, our working plan and finally the constraints we faced .

The next chapter is going to describe our proposed system in details and how it can specify the project "School Management System" .

2.System Analysis 2.1 Introduction This section will discuss the aspects which this system process , the functional and non-functional requirements , set several options in order to choose the best one and forming a work plan , then the visibility study of the project will be determined and after that we will discuss the added values to the project and illustrate it .

2.2 A brief history of the organization In the past , the educational system was formed as educational workshops , there was no school in that time , but it was as seminars including few number of students and a teacher , the teacher of these seminars has no high degree , this is because the people in that time didn’t pay attention to the importance of teaching , as the population increases ; the development of schools and education system become more obvious .

The number of schools has increased and the number of students and teacher also , the school has been divided into three main stages : elementary , middle high , and secondary school ; this is due to the increased number of students and to facilitate the dealing of the information and storing it in the school . The school is the place where the students grades and educational information are stored , the students can have his educational information from the school as anytime he want .

2.3Project implementation option

1-Standalone Application: The advantages of this option are that the application runs on desktop environment, code runs on the client side as well as processing of data, so the application can work offline, and this provides a benefit of increasing the system performance because it does not depend on a network connection or its speed. But in this case, the data used by the application may become out of date. In addition, it is limited to the location and the desktop runtime environment in order to use it. Therefore, it can be controlled and preserved from any threat. Standalone Applications are purchased one time and they are not continually need charges, charges may be paid for the maintenance of the application.

2-Web Application: The advantage of this option is that the application runs on web, so the data used by the application will be up to date, and the application can be used anytime and anywhere with a browser and internet connection (does not depend on the desktop runtime environment). However, the browser must be updated for some web applications. However, running the application on web will lead to a lot of processing on the web server, and this may affect the performance of the application.

On the other hand, there is a problem; that if there is no internet connection, the application will not work. Because this type of applications runs on the web, security cannot be achieved easily because of the number of users that use internet, and this can reduce the security of the application data.

3-Mixture of Standalone and Web: In this option, we can use the advantages of both standalone and web. The website may contain information about the system (The nature of this system, how it can be used and skin cancer disease images) that can be used by anyone who wants to use the system. In addition, they can access various medical conditions, and this in turn helps to share experiences and learn from the experiences of others. Furthermore, the website may contain a link to download the software on the user's computer to use the system. This means that the processing at the client level and this will increase the performance of the system and get the results quickly.

After studying the three options and the requirements of this proposed system , we conclude that the web application is the one which suit and go along with our proposed system , because our system needs to store data on server . the system should be available for parents , teacher from any place by connecting to internet .

2.4The proposed system The schools are the basic foundations to create effective generation . after studying the surrounding society we found that the most of parents don’t follow their children in the right way , this is because that the parents don’t have the ability to reach their children educational information unless by going to school or phone the school . By our proposed system the parents are able to follow their children school activities , grades and all his educational information daily . we noticed the suffering that teachers and the administers are facing while inputting the information by using papers . In this system a web application will be established to facilitate these aspects by programming language : HTML , CSS , PHP and J Query .

2.5 Description of the Proposed System As we mentioned previously , this system serves parents and schools too .

For parents and students the entering to this system is by using a username and password , then the student can browse his personal information , school schedule , exams schedule , grades , absents and reading the school and teachers announcements if it is found ; after that he log out of the system.

According to school it divided into 2 parts : 1. The teacher log in to system by using a username and password , then he can browse his personal page , show the daily program , insert students grades and log out of the system in the end .

2. The administer (secretary) : log in to the system by using username and password , then he can browse his personal information , modify the teachers , students , his and other administrator employees personal information , browse the students grades , school program of all classes and teachers , and attendance and absence information .add students ,teachers ,admins,Student Committees Then he log out of the system .

2.6 System requirement In any system there is aims and requirements which have to be studied and performed ; this system requirements are : 2.6.1 Functional requirements : 1- The ability to log in to the system by : -

Log in as administer .

2- The possibility of changing password This function allow the user ( administer , teacher and student ) to change his password .

3- The possibility to update the personal information : This function allows the administer to change his personal information and modify it for himself , teacher and student .

4- Enter grades by teacher 5-Enter attendance and absence This function allow administer to enter attendance and absence 6- Adding classes : This function allow admin to add classes .

7- The possibility of browsing : -

This function allows the student to brows his personal information , grades , school program and attendance and absence .

2.6.2 The non-functional requirements: These requirements are not determined before starting working on the project but it is for increasing the importance of the project : 2.6.2.1 Product Requirements 1- usable: by offering a program interface which facilitate using the program and reaching easily to all functions without needing of explaining by anyone .

2- reliability : the outcomes of the system should be 90% correct .

3- Performance : high performance and speed in offering the information and requirements .

4- Fault tolerance : the system should be able to deal with faults and continue the process even if any fault happens , and the system should be able to modify faults and solute it .

5- Validation : the system should check if the information which the user enter it is real or not .

2.6.2.2 Process requirements : The submission is by the end of 2014/2015 second semester .

2.6.2.3The external requirements : No one can reach the system unless by using his own correct username and password .

2.7Feasibility study 2.7.1 Economic feasibility -The system is built by the programming languages HTML , CSS , PHP -Connection with the internet(dslcable, Wi-Fi) -Input devices(keyboard ,mouse ,the screen) -Flash memories -papers -pens 2.7.2Technical feasibility: We was needed a knowledge in the programming language(html ,php ,css , Jquaery) and in the ability of analyses the system to build a strong database.

2.7.3 Legal Feasibility Usually there is no constraints on building a system which serve a specific institution , as a result there is no duties or any legal constraints .

2.7.4Software Requirements: Download :Wamp server ,Notepad++,DreamWaver, SmartDraw, Edrawmax,Adobereader and Microsoft office 2010.

2.7.5 Schedule feasibility In this part we will illustrate the steps which we need to develop this system divided into 2 semester in 2014-2015.

2.8 Project added values The system is available in English language and not applied in the governmental schools , we will establish an Arabic system which go along with our needs .

2.9Project management The project management in the right way is one of the most important requirements of the system , we discussed all these subjects as groups : 1.The languages which should be used .

2.Studying the functions that the system achieve .

3.Studying the classes that the project aims .

2.9.2Working as a team : we have worked as a team and contacted by using social networks ; Facebook , Dropbox and Google drive and by meeting .

2.10 Summary and recommendations : In this section we mentioned several options we have to execute this system and we studied the advantages and disadvantages each system , then we chose the choice which suite out system requirements and studied the visibility , technique , legal study and commit it .

3.System Functional Requirements Analysis 3.1 Introduction : Chapter two had discussed the main functional and non-functional requirement to develop this system, while this chapter will addressed the functional requirement , so we will collect data and analyze it to fit the specification of the required software .

In particular, this chapter clarifies the context diagram for identifying the system's boundaries by showing other systems which are used or depended on the developed system. After that, a use case diagram is used to support requirements elicitation and to show the system functions. Then it covers the detailed functional description for the proposed system.

3.2 Context and Use case Diagram This section will show the context diagram that helps identifying the system boundary and present the use case diagram which is used to illustrate the system requirements and functions.

Use case diagram The use case diagram of the system is showing the system's functions that should be implemented to develop the system (school management system )- a clear description of each one will be illustrated in the next section.

4. System Design 4.1 Introduction Chapter 3 had clarified the context diagram which identify the system's boundaries , and showed the use case diagram that illustrates the system requirements and functions.

This chapter will show some diagrams which illustrate the system functions which have been analyzed in the previous chapter .

At first,it will show the class diagram which clarifies the object classes and the relations between them , then , the sequence diagram which shows the interactions between the actor of the system and the system objects . After that , it will clarify the Entity Relationship Diagram (ER-D) that describes the system database . Finally , it will illustrate the activity diagram which shows the activities that are involved in a particular process or in data processing .

4.2 Class diagram The System Class Diagram (SCD) is one of the diagram types in the unified modeling language (UML) that provides an overview of the target system by describing the objects and classes inside the system and the relationships between them-the figure below illustrates the relations between the classes , attributes and methods . The next section shows another diagram ,which is also used for the system modeling .

4.3 Sequence diagram Sequence diagram is an interactive diagram which shows how processes operate with one another and in what order . It illustrate the interactions between the actors of the system and the system components, and the interactions between these components themselves. A sequence diagram shows, as parallel vertical lines (lifelines), different processes or objects that live simultaneously, and, as horizontal arrows, the messages exchanged between them, in the order in which they occur. This allows the specification of simple runtime scenarios in a graphical manner. In The next section will show the system entity relationship diagram for describing the system database in an abstract way.

In particular, the figure below shows how the admin ,teacher and student can login to the developed system.

Figure (4.3)shows how the user (admin ,teacher , student) could change his/her password after he/she login to the system successfully. As seen, the user should enter the old password, new password twice , and the confirmation, and after validating all entered data are correct and agree the password's creation criteria ,a message will be shown to the user that indicate the password has been successfully changed.

4.5 Activity Diagram Activity diagrams are similar to flow charts they describe the order of activity and the branch logic of a process. here in activity diagram the make login to the system and the system check the validation, then the admin can do many process such as Add student and teacher and add classes and add the School schedule, and add the advertisements, add Student Committees.

The student can see his marks and the home work that offered to him by the teacher and he can watch advertisements which offered to him .

5.Coding and Implementation 5.1 Introduction In chapter four, we have described several system modeling diagrams for representing the system functions from different perspectives. These diagrams include the system class diagram, activity diagrams and sequence diagrams.

This chapter will identify the actual coding and implementation for the system's functions according to the steps that have been described in the previous chapter using design modeling diagrams. The programming and coding environments that have been used for developing the system functions will also be described with their establishment procedures in this chapter. These include html ,css ,jquery, php and SQL server database management system.

5.3.1 SQL (Structured Query Language) SQL is a database language used in queering, updating, and margining relational database. Moreover, it is not like the same sense as other programming language such as C or Pascal, SQL can either be used in formulating interactive queries or

5.3.2 SQL Server Microsoft SQL server is a relational database management system developed by Microsoft. As a database, it is a software product whose primary function is to store and retrieve data as requested by other software applications, be it those on the same computer or those running on another computer across a network (including the Internet) [4].

5.4 Establishment of Development Environments This section discusses the hardware and software components which are needed for the implementation of the system functions. Furthermore, it illustrates how to install these software components before using them.

5.4.1 Installation Procedures In this project we have used different software development environments Windows7, ,Microsoft

dreamwaver In particular, this section illustrates how to install these environments step by step.  

Windows 7 installation procedures [5]:

 Turn on your computer, insert the Windows 7 installation disc or USB flash drive, and then turn off your computer.  Restart your computer.  Press any key when prompted to do so, and then follow any instructions that appear.  When the Install Windows page appears, click Install now to begin the installation process or click Repair your computer to access system recovery options.  Follow the instructions.

Microsoft office 2010 installation procedures [6]:

 Insert the disc on your computer, click on the EXE file to begin installation.  Click "Yes" on the User Account Control window to give permission for the installation application to work on your computer. Office 2010 will begin extracting files.  Enter your product key into the space provided and press the "Continue" button once Microsoft validates your key.  Read the Microsoft Software License terms, place a check mark in the box to indicate that you agree with them and press the "Continue" button.  Press the "Install Now" button to begin the installation. A progress bar will indicate how far along the installation has progressed.  Click "Close" when the installation completes. 

Smartdrawinstallation procedures[8]: The simplest way to install SmartDraw on an individual PC is to insert the program CD into the drive, wait for setup.exe to start, and then enter the serial number when prompted.

Alternatively, if your users have permission to install programs on their own PC, they can self-install from the setup.exe\setup.msi copied to a network server\share. The steps required are: 1. Copy setup.exe\setup.msi from the CD to a location on a shared server. (See Step # 1: Setting the server up properly for basic steps on how to create your shared directory.

2. Send the network (UNC) path to the setup.exe\setup.msi to your users and have them run the file.

3. When they execute the file, they will be prompted for the Serial Number to proceed with the install.

6.System Testing 6.1 Introduction:

Chapter five have clarified the coding and implementation of the system functions by using the following programming languages :HTML ,CSS ,JQUIRE ,PHP .

This chapter will illustrate the system testing process . At first , the system functions must be tested separately to ensure that it perform as expected, then, the system must be tested as a whole unit to ensure that the system is completed, then it will show all the testing operation in details. After that ,the result of testing process will be showed if the system performs as expected or there are some errors should be corrected .

This process is very important to detect that the system is achieving the objectives and functions or not .

6.2 System Testing Plan  Module and Unit Code Testing: In this type of testing, we have tested each function individually to ensure that it operates in right way. System Integration Testing: In this type of testing, we have tested the integration of all objects to ensure that the whole system performs in right way, so the system have been tested as a unit to make sure that all operations are integrated with each other .

6.2.1 Module and Unit Code Testing In this system we test the PHP part to make sure that the functions of the system have the right implementation and this will be clarified briefly in this section and in details in the system integration testing section.   

6.3 System Integration Test Here the integration of all modules was tested to ensure that the whole system performs as expected.

The previous section have ensured that the system units are performed as expected after testing them using PHP programming languages. The implemented functions and screens in PHP have given the expected results in different conditions of testing and with no errors. And we have connect PHP to SQL server DBMS to verify and store data entered by the user in the database in order to use them for different tasks. This means that the interfaces in the system as a whole are working as expected.

6.4 Testing Plan Results : We have tested the functions in PHP programming separately and it have performed as expected , and when it tested as a unit it performed as expected too.

All the function in the website screens perform correctly like insertion , deletion , modification and other functions .

The whole integrated system operates as expected when it tested as a unit .

Finally, the testing of the system integration indicated that the system performs as expected.

6.5 Summary and Conclusion : After developing this system , the system was tested according to its requirement specifications and ensure that the system functions in PHP is operating separately and as a unit , correctly and as expected .

The system is working correctly and it is clear where the integration between all objects is satisfied andthe system is operating as a unit and performing as expected .

The next chapter will clarify the conclusion , observations, recommendations and the intended future work tasks to advance and develop this system .

After developing the system ''School Management System'' ,we conclude that its satisfies the requirements and objectives correctly .

We have use some algorithms in our system such as : Call data from the database and add and modify on it .

Add marks for students and the possibility for see it by the student.

Insert course schedule for student and for teachers and the possibility of view for student and teachers.

Add advertising by teacher for student and student can view it.

Add advertising by admin for teacher and student.

Add homework by teacher for student and student can view it.

Add time exam by teacher for student and student can view it.

The system has multiple advantages , school administration through managing and monitoring and storing students and teachers' data , students parents can follow up all new for their children , Teachers will be able to supervise their students and communicate with parents of the students electronically , Improve the academic performance of the students and the parents follow through daily jobs and recall them through the site.

7.2 Future Works: Any developed system has to be modified and advanced according to additional functions and needs that may be asked or appeared in the feature .

Our system depend on school administration and students parents requirements , so the system can be developed according to their interests and needs .
