Hello Mighty Michigan Key Clubbers,

My name is Jenna Morrison and I am thrilled to be your District Governor this service year! This next year, my goals are to Support, Unite, and Nurture our district to help us shine together! This, however, is not possible without all of you. I encourage you and your clubs to support one another and your community, to unite our district by participating in district and divisional events, and to nurture membership within your club and nurture relationships with your club, division, and our district! Please keep a look out for emails and newsletters from your Lieutenant Governors and stay in contact with them. I am so excited to embark on this journey of service and leadership with you all and to see many of you at Fall Rally. TAKING MEETING MINUTES

Taking minutes is a vital part of a well-operated Key Club. Hopefully, the following information can help you improve the quality of the minutes you take and provide you with a better understanding of the importance of them. Besides the summer months, minutes should be turned in through the Monthly Report Form, found on our district website–mikeyclub.org–or in monthly newsletters.

What are minutes?

Minutes are a written record of discussions or decisions made during a meeting or event. Afterwards, they are to be shared with members and your board so to give an overview of your most recent meeting. They benefit the District Board by providing evidence your club is meeting, understanding of how your club operates, and showing us what service projects your club engages in. Minutes assist your club by providing a historical record of events, showing progress over the service year, explanations of decisions made, providing deadlines for assignments, and informing absent members of topics discussed. It’s always important to keep minutes clear and informative without being too detailed. One should be able to have a strong understanding of what your club discussed at a meeting from the minutes you take, but a word-for-word account is not necessary.

How do I take minutes?

The following should always be included in every minutes document: date, time, who is leading the meeting (“called to order by…”) location (or virtual meeting), attendance, adjournment, discussion, and when the next meeting will be held.

2. If you’re having difficulties keeping up with the speed of everyone’s speaking, don’t worry! Never feel afraid to ask for a clarification before continuing the discussion, or you can try recording to listen back through to ensure you haven’t missed anything. You can also ask for another member to help you take minutes to make sure you cover everything if your meetings move too quickly for you to handle on your own.

Always be consistent in the formatting. How will you section off the information and use headings? Are bullet points or full sentences better? Will they be hand-written or typed out? Once you find a format that works best for you, create a template so you don’t have to restructure your documents every meeting. If you’re looking for inspiration, our website–mikeyclub.org–has a meeting minutes template under the “secretary” tab!

3. Find a good balance between details and conciseness. Without oversimplifying the information, you can paraphrase the conversation and still have it understandable to your members. Knowing every detail of what happened isn’t necessary, but ensure enough information is provided that members will understand what it means if they didn’t attend a meeting.

Always remember, taking minutes should not be a stressful task. It is a huge role to take on, but I know you can handle it. If you ever need assistance with this, or any other secretary duties, feel free to reach out! I am a resource to help you become outstanding club officers and am always available to help out. HANDS

When asked the question, what is your favorite thing about you, answers vary. Some say their intelligence or their athletic abilities, and in the past I have said something similar. But recently, after joining the District Board, my favorite part of me is my hands.

Have you ever looked at your hands? Like, really looked at your hands? Every freckle, every wrinkle, every scar, cut or bruise, tells a story. I have a scar on my right knuckle from falling on the playground when I was a child. Every time I glance at this scar I remember being a kid playing on the swings or kickball on the asphalt. This scar is small, but the story and meaning is not. I have a feeling that, if you look at your hands, you might have something similar. These indents are permanent storytellers that help you reminisce how you have lived your life up until this point. Hands are not just for catching or feeling, they are storytellers.

When I tell people, my hands are my favorite part of me, they often get confused. Your hands? But they aren't special! My hands, with their scars and stories, do more than they are given credit for. I use my hands to braid pieces of fabric to make dog toys for dogs in shelters. My hands are special. I use my hands to write get well soon cards to those hospitalized. My hands are special. I use my hands to make friendship bracelets for those who might not receive them from anyone else. My hands are special. I use my hands to help at the local soup kitchen around the holidays. My hands are special. You can use your hands to reach out to those isolated. Your hands can be special. You can use your hands to carry out what it means to be a part of the mighty Michigan District. Your hands are special. You can use your hands to participate in service projects and carry out what it means to be a part of Key Club International. Your hands can be special.

So the next time you are asked, what is your favorite thing about your body, I hope you consider your hands. Your storytelling, special, hands.
