The Awards Committee includes sorors dedicated to providing a seamless approach to award overviews and submissions. We are grateful to have our Mid-Atlantic Regional Director, Soror Nadine Vargas Stewart’s confidence in the committee. The 71st Mid-Atlantic Regional Conference will take place April 11-14, 2024, in Charlotte, North Carolina. This handbook includes all the information needed to submit awards successfully at the individual, soror, and chapter levels.

Please ensure that all the appropriate forms and the required documentation to support the award nomination are included with the submission. Award entries will automatically be disqualified if the requirements and documentation are incomplete. To reduce the expenses, most Chapter, Individual and Program Awards will be submitted electronically. GENERAL Guidelines

The Mid-Atlantic Awards Handbook includes criteria for selecting winners for each of the competitive awards at the undergraduate and graduate levels. All Chapter, Individual, and Program Awards must be submitted electronically. Awards must be submitted electronically to the Awards Chairman by February 11, 2024. Award submissions not meeting the following criteria may be disqualified.

• The award submission must be in PDF format. • The submission must not exceed 20 pages. Consideration will be extended for the Doris R. Asbury Award and the Overall Program Award, but the file size cannot not exceed 1 GB. • The submission view must be legible at actual size (100%). • Pictures may be included within the document. • Each award must be submitted separately. Each submission file name must contain the chapter’s name and award. For example, Delta Omega Connection Award. • The completed Award Submission Form (Checklist A or B) must be included within the submission document for each separate award. • The Award Submission Form is not calculated as part of the 20-page submission. • To upload the award submission, sorors should login to their Google account. A Google email account is not required as a Google account can be created using any email account. • All active Mid-Atlantic Region chapters are responsible for the regional awards fee. If the chapter decides not to submit an entry, it is still responsible for the awards fee. The deadline for the awards fee is February 9, 2024 (postmark date). Chapter (both undergraduate and graduate) award nominations will not be considered if the current and/or past award fee has not been received with a postmark date on or before February 9, 2024. •General Members entering submissions for individual soror awards must remit a fee of $20 on or before the award fee deadline of February 1, 2024. General members are eligible for the following individual Graduate Soror awards:

• The completed Chapter Award Assessment Fee Form must be submitted with the awards fees on or before February 9, 2024 ( postmark date). The awards fee and assessment fee form must be sent to the MidAtlantic Financial Secretary. Fee must be sent separately from the actual award entries, which are submitted electronically to the Awards Committee Chairman. • All items must be received electronically by February 11, 2024. There is ONLY ONE form to submit undergraduate entries and ONLY ONE form to submit Graduate entries electronically. The checklist items, awards forms, nomination entries, award packet submissions, scrapbook forms and scrapbook submissions must be submitted using UNDERGRADUATE CHAPTER AWARD SUBMISSION FORM and GRADUATE CHAPTER AWARD SUBMISSION FORM. • Except where specifically instructed, each entry should include only activities, accomplishments, awards, etc., for the calendar year, January 1, 2023 – December 31, 2023. Points will be deducted or the submission may be disqualified if this specification is not followed. All supporting material must be dated no later than December 31 of the 2023 year (e.g., January 1, 2023 - December 31, 2023) except for letters of recommendation, which may be inclusive of 2024 dates, unless otherwise stipulated in the award criteria. Original work must be submitted each year. Emphasis should be on the quality of the presentation and not necessarily on quantity. • Do not combine submissions. • Points will be deducted if any of the following problems exist: Guidelines and criteria for each award are not strictly followed. Sections are not clearly labeled or with headings listed. Award nomination(s) have unidentified pages. The information is unorganized or does not flow. Each award submission shall adhere to the format listed for the award . Individual Award nominations shall consist of three parts: 1. Vitae/Photograph–both vitae and a photograph must be included 2. Narrative–the narrative shall cover the criteria indicated in this Awards Book 3. Documentation–shall be in the form of an indexed booklet, including pictures, newspaper clippings, and other visuals (e.g., video) of supportive evidence representing honors, awards and overall achievement. CHAPTER ELIGIBILITY

Checklist

This checklist is a tool for use internally by each chapter and its Awards Committee to assist in determining eligibility to submit award nominations and exhibit entries in the various categories. Final eligibility will be determined by the Office of the Mid-Atlantic Regional Director.

Awards

Chapter is in good standing and has not been under penalty for any reason from January 1 to December 31 of the prior service year. Chapter’s annual award assessment was mailed with a postmark on or before the due date established by the awards committee. Chapter’s End of Year Reports were fully completed and submitted to the Regional Director by December 31 of the prior year. Roster of Chapter Officers was submitted to Corporate Office and the Regional Director by the designated due date. Most recent chapter Standards Evaluation has been completed with no significant findings. Chapter was represented at the Undergraduate Round-up and/or Cluster Meeting in the previous year. Undergraduate Chapters Only Fall grades were submitted to Regional Director by February 1 of the current year. Undergraduate Chapters Only

Soror is active in a compliant chapter located in the Mid-Atlantic Region or is a General Member residing in the Mid-Atlantic Region.

SCRAPBOOK Application There will be two scrapbook awards, a digital and physical scrapbook award. Digital scrapbooks will be uploaded and judged before the conference. Physical scrapbooks must be brought to the Regional Conference and will be judged on-site. All chapters should adhere to the established guidelines. The Undergraduate Achievement Award is given for achievement to an undergraduate chapter with a membership of 30 or less. History In 1992, the Regional Awards Committee revised the categories to provide equity among chapters in the region based on membership. This award was first presented in 1993. Rose Butler Browne

UNDERGRADUATE ACHIEVEMENT AWARD Membership 31 - 50 The Rose Butler Browne Award is given for achievement to an undergraduate chapter with a membership of 31 to 50. History The Rose Butler Browne Award was presented in April 1970 by Soror Joycelyn Stevens of Alpha Zeta Omega Chapter at the Mid-Atlantic Regional Conference in Richmond, Virginia. This award is given each year in honor of Dr. Rose Butler Browne, the 1st Mid-Atlantic Regional Director, past Supreme Parliamentarian, and outstanding citizen and educator. UNDERGRADUATE CHAPTER COMMUNITY INVOLVEMENT The Barbara W. Davis Community Involvement Award is given to the undergraduate chapter that focuses on a project or activity that makes a significant impact. The activity or project may include tutoring programs in local schools, sessions established for the expression and appreciation of performing arts; or assisting incapacitated senior sorors with chapter activities or meetings. History The Barbara W. Davis Award was created and presented to the Mid-Atlantic Region at the 51st Mid-Atlantic Regional Conference in Charlotte, North Carolina, (the residing city of Soror Barbara W. Marye J. Jeffries Award

HIGHEST GRADE POINT AVERAGE CHAPTER The Marye J. Jeffries Award for outstanding achievement is given to the chapter with the highest grade point average for the preceding academic year. This award is given in recognition to the chapter that strives for academic excellence and is successful in balancing service and scholarship which are the cornerstones on which our organization was founded. History This award is given each year in honor of Soror Marye J. Jeffries, 11th Mid-Atlantic Regional Director. Soror Marye J. Jeffries and Soror Kimberly Jeffries Leonard first presented the award at the 51st Mid-Atlantic Regional Conference in Charlotte, North Carolina, in April 2004. UNDERGRADUATE ACHIEVEMENT AWARD The Mamie S. Vick Undergraduate Achievement Award is presented to the undergraduate chapter that has shown the greatest improvement during the preceding year. History Gamma Delta Omega Chapter, Portsmouth, Virginia, sponsors the award. Criteria This undergraduate chapter must show the greatest improvement. Joyce Henderson Award

OUTSTANDING MILITARY LEADERSHIP The Joyce Henderson Award is presented to an undergraduate soror who is a ROTC Cadet enrolled at a Historically Black College or University. History: The Zeta Chi Omega chapter established the award in honor of chapter member and 18th Mid-Atlantic Regional Director Soror Joyce Henderson, LTC. U.S. Army (Retired). The award recognizes her significant leadership and mentorship skills while serving as the first Mid-Atlantic Regional Director and Alpha Kappa Alpha Board member who was a career military officer commissioned through and Army Reserve Officer Training Corps (ROTC) program at a historically black college or university (HBCU). It was available for the first time in 2020. Purpose: The award recognizes outstanding military leadership and mentoring skills of an Undergraduate Soror enrolled in ROTC at a historically black college or university (HBCU). The award recipient must be a ROTC Cadet with a signed military contract as a Military of Science (M.S.) III or IV Cadet while attending an HBCU. If there is no ROTC program on the HBCU campus, she may be a cross-enrolled ROTC student at a Predominately White Institution (PWI); however, the soror must be enrolled at an HBCU to be eligible for this award. This award recognizes our HBCUs’ outstanding leadership achievements, producing most of the nation’s African-American senior-grade commissioned and General Officers.

No submission is necessary to be considered for this award. History The Chi Omega Chapter sponsors this award in honor and memory of Soror Anna Easter Brown, who was a dynamic chapter member. The honor was part of the chapter's 50th anniversary activities. Criteria The award is based on the largest number of sorors attending the Regional Conference for chapters having at least eight (8) members as defined in the Constitution and By-Laws. Ray Wilson Award is given to the undergraduate chapter with the largest number of sorors in attendance, based on the percentage of membership at the Regional Conference. The Mid-Atlantic Region presents the Graduate Achievement Award to the top graduate chapter with a membership of 75 or less. History South Atlantic Region awarded Graduate Achievement Cups in 1952 and continued when the Mid-Atlantic Region was organized in 1954. In 1962, two graduate achievement awards were given in two categories, chapters with membership of 25 or less and those with a membership of 26 or more. The Bernardine Stoneham Smith Bailey Award is presented to a graduate soror for outstanding journalism published in newspapers, internet publications or magazines (Newsweek, Essence, etc.), journals, periodicals, and/or books. History Soror Blanche Hope Smith, Upsilon Omega Chapter, sponsors the award in honor of her sister, Soror Bernardine Stoneham Smith Bailey, a life member and Golden Soror of Alpha Zeta Omega Chapter. Soror Bailey, an advisor of her school newspaper, received the Gold Key on March 14, 1959, and the Golden Crown on March 13, 1975, from the Columbia Scholastic Press Association for outstanding devotion and service to the cause of the school press. SERVICE WITH A GLOBAL PERSPECTIVE The Leah Kay Frazier Award is presented to a graduate soror who has given extensively of her time and talents in the realm of “Service with a Global Perspective” during the past year. History A plaque was presented in 1989 in honor of Soror Leah Kay Frazier, to a Lambda Omega soror who exemplified service with a global perspective. History It was in 1966 at the 13th Mid-Atlantic Regional Conference in Raleigh, North Carolina, the Alpha Theta Omega gave recognition to a local outstanding male in the Raleigh area. This action prompted Soror Pauline C. Morton, 6th Mid-Atlantic Regional Director, to find a soror who would “set the wheels in motion” for the development of criteria for the selection of the outstanding male in the Mid-Atlantic Region for a Man of the Year Award. Consequently, Soror Susie V. Perry was approached to fulfill this responsibility, and recognition of the Regional Man of the Year became a reality in 1969. In 1981, this award was changed to the Citizen of the Year Award. Selection Method The Regional Awards Committee makes the selection.

Jennifer King Congleton Award SERVANT LEADERSHIP

The Jennifer King Congleton Award is presented to a graduate soror who exemplifies what it means to be a servant leader. History Iota Kappa Omega Chapter, Greenville, North Carolina, established the award in honor of chapter member and 19th Mid-Atlantic Regional Director Soror Jennifer King Congleton. The award recognizes her promise “To Do A New Thing,” a promise she kept while serving and leading the Marvelous Mid-Atlantic Region. Q. When do you pay the awards fee? A. The awards fee is paid annually by all chapters to offset expenses associated with trophies, plaques and certificates presented at the regional conference. The fee is due by February 9, 2024. Q. How much is the awards fee? A. The awards fee is $40 for the graduate chapters, $25 for the undergraduate chapters, and $20 for general members. It is a flat fee, and is not per award. Q. Should the entries be submitted before the conference or should the awards be brought to the conference? A. Your award submission form and the electronic award entries should be uploaded to the Awards Chairman electronically by February 11, 2024. If they are not received electronically on or before February 11 they will be disqualified. We request awards be brought to the conference for display. All scrapbooks being entered in the physical scrapbook category must be brought to the conference to be eligible. Q. When are nominations for the selected awards due? A. Nomination/entries for the selected awards are due to the Awards Chairman electronically on or before February 11, 2024. Q. Can the award entry be submitted after February 11, 2024? A. No, the entries cannot be received after February 11, 2024. Entries received after February 11, 2024, will automatically be disqualified. Q. What events/programs should be included for the awards? A. Award entries should include events that occurred from January – December 2023. Q. May a nominee be entered for more than one category? A. Yes, a nominee may be entered for more than one category. Q. Can a chapter submit more than one award for each category? A. No, the chapter should evaluate each chapter or soror award and submit its best entry for competing against chapters or sorors across the region. If more than one submission is submitted from a chapter, all will be disqualified. Q. When should the awards fee, chapter eligibility checklist and Chapter Demographic, Awards & Exhibits Submission form be sent to the Mid-Atlantic Regional Awards Chairman? A. The Chapter Demographic, Award & Exhibits Submission Form (A or B depending on whether the chapter is graduate or undergraduate) is no longer required to be uploaded. The data is captured via the Jot form completed during award submission. The award assessment fee should be sent to the Regional Financial Secretary by February 9, 2024. The Chapter Eligibility Checklist is no longer required to be submitted, but instead is a tool to be used internally by the chapter.

Q. Can an individual soror submit an award if the chapter is noncompliant? A. No, an individual soror cannot submit an award if her chapter is non-compliant and has not met all of the requirements of the Regional Director and the Corporate Office. Q. Should a chapter submit money for each award submitted? A. No, a chapter does not have to submit a fee for each award submitted, only the annual fee. Q. How do I know if my chapter has sponsored an award and what is the sponsorship fee? A. All named awards have been sponsored either by Mid-Atlantic Region chapters or individuals. The sponsorship fees is $40 per award. Chapters must also pay the annual awards fee. Q. Should I include an individual photo or headshot? A. Yes, individual photos and headshots will be used to recognize winners at various conference events.

Overview

Service and sisterhood have been the cornerstone of Alpha Kappa Alpha Sorority, Incorporated since 1908. For more than a century, Alpha Kappa Alpha has been known for: enriching minds and encouraging lifelong learning; providing aid for the poor, the sick, and the underserved; initiating social action to advance human and civil rights; collaborating with other groups to maximize outreach on progressive endeavors; and continually producing leaders to continue its credo of service. With the theme, Soaring to Greater Heights of Service and Sisterhood, the 2022-2026 administration seeks to build upon Alpha Kappa Alpha's rich legacy of service by galvanizing her sisterhood of more than 115,000 active members to lead on the front lines of change, education and advocacy. The administration seeks to have a trajectory changing impact in the communities we serve by responding to the most relevant local and global needs. Driven by an actionoriented approach, members will roll up their sleeves to serve while creating greater solutions for the communities we serve. As a result, this administration has set the following initiatives as the grand levers to drive transformational leadership over the next four years. This administration has six (6) initiatives. Strengthen Our Sisterhood will serve as the administration's "Foundation Initiative" as we strengthen our bonds to support our service mission. The remaining five initiatives will serve as the "Program Initiatives."

We will work collaboratively to maximize our outreach on progressive endeavors and consistently produce leaders to advance our credo of service.

International Awards General Guidelines The International Program Committee is pleased to present criteria and guidelines for Soaring to Greater Heights of Service & Sisterhood International Program Awards for 2022-2026. Each region is responsible for the selection of chapter award recipients using the criteria herein. Information should be included in the Regional Awards Booklet or via appropriate communications as approved by each Regional Director. Key Factors to note: Alpha Kappa Alpha has performed Soaring to Greater Heights of Service & Sisterhood in an in-person environment throughout 2023-2024. All chapter award submissions for Soaring to Greater Heights of Service & Sisterhood must be in-person program/community service activities. Award selections will be handled by the respective Regional Awards Committee and will follow the process set forth by the Region. The International Program Committee will not be involved in the selection of Regional Award winners. The International Sisterly Relations Committee will work in conjunction with the Regional Awards Committee in the selection of the "Strengthen Our Sisterhood" Award winners. The GenerationNEXT is a new award for graduate chapters. A first, second, and third place award will be given per region not based on chapter categories. The entry of the first-place winner from each region will be shared with the Generation Next committee for a chance to win an award/recognition at Boule or Leadership Seminar. Each Region should determine Small, Medium, Large, and Extra Large (if applicable) Chapter Categories. Each award will have one Graduate and one Undergraduate winner. Award judges should utilize chapter program activity suggestions in this document to determine winners. Documentation may also include, program flyers, workshop agendas, pictures, letters, receipts, and any memorabilia from the program activity. The attached cover sheet should accompany each award submission. Award submissions should follow the guidelines of the region.

Judging Criteria (70 points): (20 points) Provide documentation of implementation of Soror Squads.
