FULL TIME (37 HOURS PER WEEK), PERMANENT, TERM TIME PLUS 5 DAYS

SALARY: £27,516 - £28,913

HOURS OF WORK: 8AM - 4PM (36 MINUTE LUNCH BREAK)

JOB DESCRIPTION

MAIN PURPOSE

To undertake various duties including management of pupil information systems, attendance and providing general administrative support.

REPORTS TO

The Bursar.

MAIN DUTIES

Pupil Records

• To maintain pupil information in SIMs, Schoolcomms and MIDAS based on information provided by parents/EA.

• To record detentions as directed by VP Pastoral, including issuing detention notifications to parents.

• To file paper information on pupil’s files as required and be responsible for annual archiving of the same.

• To be the first line of enquiry for parents who are having difficulties with Schoolcomms.

• To be responsible for producing information for the Annual School Census.

Pupil Attendance

• To assist the Head of Sections in the management of pupil attendance, working with the electronic registration system, entering data as required and other duties associated with this task.

• To provide the first line of contact in the event of pupil absence and in the first instance to contact parents regarding unexplained absences.

• To help Form Staff follow up on unexplained absences and other attendance issues.

• To receive and act upon telephone calls regarding pupil attendance.

• To provide any analysis and reports on pupil attendance.

• Monthly Educational Welfare reports.

Administrative Support

• To issue public examination certificates to pupils as directed by the Head of Exams.

• To help with production of Form and Pastoral leaflets and booklets for pupils and parents e.g. Homework Diaries, Clubs and Societies Fair, College Regulations, Uniform Booklets.

• To issue information to parents and/or pupils via emails or Schoolcomms as required.

• To issue travel passes received from the EA.

• To provide support for the School Health team, including distributing and collecting parental consent forms and booking School Health into the School Diary.

• To support the Heads of Section with the locker key process.

General

• To ensure that all work undertaken is done so in a very confidential manner and that all data protection requirements are strictly adhered to at all times.

• To undertake any training required by the College.

• To carry out any other duties within your area of competence as directed by the Bursar.

Other duties

• Assist with annual exams process by supervising mobile phone drop off as required.

• Such other duties as may be assigned within the level of the job.

DISCLOSURE OF CRIMINAL BACKGROUND

The Safeguarding Vulnerable Groups (Northern Ireland) Order 2007 defines working directly with children or young people or in specified places as ‘regulated activity’.

In the event that you are recommended for appointed to a post that involves ‘regulated activity’, the Education Authority will be required to undertake an Enhanced Disclosure of Criminal Background. PERSON SPECIFICATION

ESSENTIAL CRITERIA

1. 5 GCSE’s (Grades A*-C) including English Language and Mathematics, or equivalent or higher level qualifications.

2. 1 years’ experience in an administrative/clerical role in an office environment.

3. Experience of IT applications including databases, spreadsheets and email.

DESIRABLE CRITERIA

1. Experience of working in an educational environment.

The essential criteria which will initially be measured at the shortlisting stage and which may also be further explored during the interview/selection stage. You should therefore make it clear on your application form how, and to what extent you meet these criteria. Failure to do so may result in you not being shortlisted.

Appointment to this position is subject to the successful candidate undertaking an Access NI check and to this check being clear of any offences that may affect appointment to this post. The College’s decision on what is acceptable in terms of this check will be final. The cost of this check is £32.00 and the successful candidate will be required to pay the school for this service.

Appointment to this position is also subject to two satisfactory references being received.
