Asuccessful event can be the difference between reaching a goal or falling short, according to experienced event planners. An event, they say, is also an important way to remind and educate potential givers about the organization’s mission and goals.
They have a variety of suggestions on how to create a winning fundraising event.
“While the fundraising component is crucial, I would say that the mission moment and the showcasing and showing our work and what the dollars are going to is just as important,” said Nikki Lyons Lahey, vice president of community outreach for Make-A-Wish New Hampshire.
Showcasing the organization’s mission is also high on the to-do list for Sharron McCarthy, CEO of Girls Inc. of New Hampshire.
“Fundraising events need to have an impact, attendees should clearly understand your mission and why you are raising money. What are your outcomes? Why should someone donate to you when they have so many

choices? People will give if they feel their money is going to an important and meaningful mission,” she said.
For Lora McMahon, vice president of events and marketing at the Business and Industry Association (BIA) of New Hampshire, the key is sponsorships, and finding and aligning a sponsor or sponsors with the theme or subject of a particular event.
Based on these interviews, here’s a list of some musts for a successful fundraising event:
• Research best practices.
• Know your audience.
• Decide the outcomes you want, then plan backward from that to achieve the goals.
• Leave plenty of lead time for vendors (venue, food, entertainment, etc).
• If meeting technology/audio/visuals are needed, get someone who knows what they are doing.
• Convey the mission, create mission moments.
• Get sponsors who align with the purpose of the event.
• Make the event fun with moments that get people engaged.
McCarthy, who essentially reverse-engineers an event, offered some of the questions she said she asks herself:
“How much do I want to raise? What format will work best: an auction, a raffle, an athletic event? Will it be an in-person or an online event? Who would sponsor it? What do I want people saying or thinking when they leave the event? What is the name of the event? Who will help you make it successful? Are other events like this done elsewhere? Don’t reinvent the wheel if you can borrow ideas that work and make them their own. How will this event tie into your mission? How will the event be memorable and repeatable?”
Individuals can process information differently from each other, according to Lahey, which is why she said it’s important to know the audience from whom you’re seeking donations.
“I personally have to touch and feel things, and other people need to see it, other people need numbers,” she said, “knowing your audience, knowing who you’re talking to, knowing who’s in the room, so that you know how they get their information, and when you don’t have the opportunity to know everyone in the room, making sure that you share your message differently and in different ways throughout the program.”
This way, she added, “you’re making sure that you’re touching everyone, and that you’re making it understandable for everyone so they can see that tangible piece of how can I help, how can I be a part of this? What does this organization need right now?”
The BIA events tend to be less about raising operating funds and are more specific to a particular topic, McMahon said, which is why it’s important for her to tailor a sponsor to the event’s content. The amount attached to the sponsorships then helps her scale the event.
“The majority of our events are substantive and related to our BIA mission, which is creating a prosperous economic climate for New Hampshire,” she said. For an event that deals with the cost of electricity used by companies, for example, she’ll look for energy-related companies as sponsors.
Sponsors get exposure to potential customers and audience members get valued information.
“It’s all very targeted, and it fits the audience they’re trying to reach, so it’s strategic,” she said.
Lahey said she pays attention to details that help make an event meaningful as well as memorable. She cited the example of a boy who has the wish to interact with a sloth as part of a Make-A-Wish trip to Costa Rica. Each name tag is designed to have a little sloth on it.
“Attention to detail is very important in the event
world, and not everyone’s going to notice it, but some people are,” she said. “It’s capturing those people’s attention while also sharing the point that we want to get across.”
These personal touches can enliven an event, while at the same time underscore an organization’s mission.
McCarthy said Girls Inc. events have included offerings of bird houses and flower pots painted by the girls. This year’s event had wines in grab bags decorated by the girls. “The girls enjoyed designing them, and our guests loved buying them,” she said.
Knowing your audience can also be taken as advice to also knowing a community, especially if an organization is using an outside venue for some sort of challenge or recreation-related event.
Make-A-Wish holds its Rafting for Wishes event on
Lake Winnipesaukee in Meredith each July. Its success is due largely to local volunteers, Lahey said.
“In order to be welcomed outdoors in the middle of a community, you need to make friends with local people,” she said, “just making sure, as an organization, we have a presence in Meredith and that we support the local businesses and appreciate the local businesses and follow their lead, as well. So local police department, local fire, you’ve got to get to know everyone when you have an overnight, relay-style event on the water.”

It can be as simple as a single wireless microphone feeding into a sound system for a small gathering, or an artificially intelligent camera following a speaker as a presentation fills a dozen screens around a large ballroom of several hundred people.
Meeting and event planners, as well as audiovisual experts, say the proper use of technology can help or hurt the overall effectiveness of a gathering.
“To me it’s worth every penny to get sound and video perfect,” said Sharron McCarthy, CEO of Girls Inc. of New Hampshire.
Nikki Lyons Lahey, vice president of community outreach for Make-A-Wish New Hampshire, agrees.
“It is worth the investment because we don’t have to worry about something like a microphone not working, or our video not playing, or the sounds not working,” she said. “Just the quality service that we get when we work with the best in the business makes all the difference in the world.”
Entrusting that responsibility to professionals leaves organizers to focus on the mission: their audience.
“You have 650 people in the room who have dedicated and donated an hour to you, for you to showcase your mission, and you want to put the very best program together,” Lahey said. “And in order to do that, it is so important to have to work with the best team.”
Carolyn Leary, director of business development at Events United in Derry, understands very well the relationship between an event planner and an AV vendor. She is a former events planner herself, having worked at the Greater Manchester Chamber of Commerce in partnerships and programs.
Before an event, in meeting with a client, she wants to get to know them, understand their organization’s mission, and what they hope to accomplish with the upcoming event.
“What are you looking to accomplish? What is the key intent for this event?” she said. “Who are your stakeholders? How do we help you look great? How do we help your mission get accomplished through event technology?”
Then there is the practical information: Where’s the venue? How many people? What’s the budget?
“We’re so fortunate to have an amazing client base of all different sizes and scopes of events,” Leary said. “For us, it’s really more about: What are you looking to accomplish here? And that can be within all different types of budgets. If your budget is higher or lower, we can adjust as needed. And I think what makes us a great partner for all different types of events is that we’re highly customized.”
Brian Preman, co-owner with his wife of New Hampshire Audio Visual, agrees that first understanding a client’s needs, especially one that might be wary of technology’s complexities, is key to then creating a blueprint for their meeting tech.
“Being able to understand a client’s needs and being able to assuage their fears so they’re able to disseminate their content in the way they decide and the way they deem fit at their peak level is the most important thing for us,” Preman said.
A meeting between a startup company and a group of venture capitalists, for example, might have different needs than a presentation during a medical society conference, Preman said.
A group of doctors, he noted, might not be as tech savvy as a startup CEO.
“We’re able to help them with any and all of their technical needs to get their presentations up and running, right down to editing a PowerPoint on-site, being
able to assist with microphones, audio, video, playback, any of that sort of thing,” Preman said.
Technical glitches can undo even the best-intentioned event. Lahey recalls an event where a video with an important message was being played to a large gathering that largely went unnoticed because the sound mix wasn’t correct given the size of the crowd.
“Half of the room didn’t realize that a very powerful video was being shared, because they were just chatting,” she said.
To eliminate the chance of that happening, both Leary and Preman said pre-flight planning is important, as is using equipment they trust and in working order, and using staff that is trained and reliable. If there is a glitch, Preman employs what he called “fixing it with decorum.”
“If you’re in panic mode, they’re in panic mode. If you’re calm, nine times out of 10, they’re calm,” he said.
Oftentimes, Preman and his staff are working with a venue that has its own AV equipment. In that case, it’s a matter of knowing the venue and knowing the extent and capabilities of the on-site technology.
“The Grappone (Conference Center in Concord) just actually got a new AV installation system, which we’re up to speed on, so we’ll be there to make sure that nothing goes wrong,” Preman said.
Both Preman and Leary said artificial intelligence is making its way into meeting technology as a way to enhance presentations or help amplify an organization’s message.
Preman said new camera technology with AI (called pan/tilt/zoom, PTZ) can follow a speaker as they move around a room, using not only visuals but vocal patterns to track both movement and voice volume to make adjustments accordingly.
Leary said AI offers the chance to customize and specialize content.
“We choose to look at AI not as a scary threat, but more of an opportunity to help every client feel like they can bring customized content and capabilities to their programs,” Leary said. “It’s ever changing. It’s already been around for a long time. So in our industry, with event technology, it’s really all about how can we adapt to new technologies rather than be fearful of them?”

Will overseas tariffs raise food prices here at home, and consequently, when it’s time to plan your next social or business event? It’s impossible to say.
But these catering and business professionals are staying prepared by pivoting when needed, being inventive and maintaining good relationships with vendors.
Daniel Dionne, the food and beverage director for Duprey Hospitality, a hospitality management organization that serves clients like Courtyard by Marriott, Residence Inn and Fairfield Inn, all in Concord, says he hasn’t seen prices rise due to tariffs yet, but expects to in a few months.
“It really is an ebb and flow. I haven’t seen the tariffs affect a lot of things yet,” Dionne says.
But there will be time to prepare.
“It’s not overnight. You’ll just see it slowly increase. At that point you try to get ahead of it and adjust your menu pricing or address the products that you’re using,” Dionne says.
For some planners, the price hikes are already here.
“Yes, we have seen as much as 35% increase for food … it’s wild,” says Nikki Lyons Lahey, vice president of community outreach for Make-A-Wish New Hampshire.
With previous restaurant experience, Lahey always keeps an eye out for food waste. But she also takes note of the local community’s needs.
“I see what our community is dealing with in the way of homelessness — it just didn’t feel right. So we went from breakfast sandwiches and fruit to just muffins, bagels, croissants and fruit. Sadly, the change in price was only about $2 per person because of the food-cost increase. We do our best to be open and share this with those folks we reach out to for sponsorship,” Lahey says.
For their annual Rafting for Wishes, a 24-hour fundraiser for which hundreds turn out, Coca-Cola provides drinks and coolers, while several local restaurants chip in with food and ice.
“We work with area restaurants such as
Bernini, Lakeshore Market & Deli, Annie’s Café, Common Man, Ben and Jerry’s, Sal’s Pizza Laconia, Hannaford Supermarkets, BJ’s. We are very fortunate,” Lahey says.
Sharron McCarthy, CEO of Girls Inc. of New Hampshire, says they’ve looked further into costcutting measures.
“We experimented with food stations, heavy appetizers only and sit-down dinners. (Food stations created) too much waste at the end of the evening. It was also not a cheaper option than a sitdown meal,” McCarthy says.

A cocktail-style party with passed and stationery appetizers is a good middle ground, they found.
And there’s always room for simple veggies, cheese and crackers to keep the crowd busy.
“Vegetable and fruit crudité and cheese and crackers make for a beautiful display. It’s popular because it’s tasty and healthy and it’s not the most expensive for us,” McCarthy says.
Even healthy options can be modified.
“Skip the salad, go with something tasty but
inexpensive for dessert, and carefully monitor quantities. It’s always a balancing act in order to maximize a healthy bottom line for the event as a nonprofit,” says McCarthy, who adds their guests “get it” if ticket prices rise.
“With events being a significant fundraiser, guests understand if we need to take the ticket price up $5 if necessary. That is always an option,” McCarthy says.
Diane Fitzpatrick, CEO of the Boys & Girls Clubs of Greater Manchester, says they’ve noticed some price changes with food as well as venue prices, and cost-cutting has come at a heavy price.
The organization recently ended their annual golf tournament, an event 40 years strong. Rising prices demanded it.
“The costs have gone up over the last few years, making it difficult to raise funds. Our organization added up all the staff time, sponsorships and other elements. It was a difficult decision. Our golfers loved the event, but the expense continued to increase,” Fitzpatrick says.
During their annual Foundation of Friends Breakfast, a large event they hold at the DoubleTree, guests enjoy cold cereal, pastries, juice and coffee.
“In our Speakers series, we provide box lunches and bottled water — again, nothing fancy. We have this event at the Club to save money as well,” Fitzpatrick says.
The organization has even looked beyond the cost of food.
“We have purchased our own tables and chairs, as well as linens,” Fitzpatrick says.
Lora McMahon, vice president of events and membership at the Business and Industry Association of New Hampshire, expects food prices to rise sometime this fall. But it’s not too late to prepare, she says.
McMahon plans around 10 to 12 events annually for the association and its members. Every situation is different, whether it’s webinars, breakfasts that feed more than 100, or conferences attended by up to 250 people. More than 700 business and political leaders attend their annual Dinner and Awards Celebration.
But McMahon has found some creative, cost-effective ways to cut waste while staying within budget.
“Buffet-style meals are another great strategy, allowing budgets to stretch further than plated service,” McMahon says.
Timing is everything, even when saving money.
“Adjusting the timing of events is another effective way to manage costs. Scheduling events between meals and offering light snacks or heavy hors d’oeuvres can reduce the need for a full meal,” she says. “If a luncheon and keynote speaker once ended an event, shifting to an earlier start and wrapping before lunch can yield savings. Likewise, opting for stationary appetizers instead of passed ones minimizes staffing costs.”
Dionne says prices will naturally fluctuate depending on the season or what holiday is coming up.
Dionne says summertime events are a great time for an event, as New England’s local farms are at their peak, and you can be sure that produce hasn’t spent time waiting to be sold.
“We do have great agriculture in New Hampshire. By mid-July, our produce is, I would

say, top-notch. Tomatoes, peppers, corn … it’s as good as it’s going to get,” Dionne says.
The same goes for pricier items like seafood.
“Seafood in New England in the summer — it goes up $4 or $5 a pound. But if you stay ahead of it and you know it’s coming, you have to write your menus accordingly,” Dionne says.
Finally, maintaining good relationships with contacts and vendors makes a big difference.
“We are very lucky to have a great, connected team,” Lahey says.
“Above all, I believe in treating hospitality teams with the utmost respect. When you build strong, professional relationships and treat people well, they’re more inclined to collaborate and find creative solutions with you. Relationships truly are the cornerstone of successful event planning,” McMahon says.
Lahey agrees that having the right connections can make all the difference.
Over time, nurtured partnerships can lead to bigger savings for everyone, McMahon says.
“Years of loyalty often lead to perks like grandfathered pricing or a willingness from chefs to collaborate on custom menus that keep costs in check. For example, switching to seasonal vegetables or desserts can lead to big savings without compromising quality,” McMahon says.

If one New Hampshire region is synonymous with recreation, it’s the White Mountains. Fortyeight 4,000-foot peaks are found here, along with the highest mountain in the Northeast, 6,288-foot Mt. Washington, but it is the 800,000-acre White Mountain National Forest that truly shapes the region.
The Lakes Region: The name alone stirs memories of blissful, sunny days spent on the water, the joy of vacations, boat rides and camp, when everything moved at a slow summer simmer, and you connected with people and places that still resonate with you today.
Summer may be the Lakes Region’s best-known season, but wrap the hillsides in spring green, the blazing colors of fall or a thick blanket of snow, and it is every bit as magical. While there are 273 lakes and ponds in the Lakes Region, one lake dominates them all: Lake Winnipesaukee.
If only one region of New Hampshire could be known as a study in contrasts, it would be the Dartmouth-Lake Sunapee Region. Named for Dartmouth — Hanover’s Ivy League college — and Sunapee — the crystal clear lake, State Park and mountain, all of the same name — the region includes quiet country roads and rolling farmland, pristine lakes, a bustling hub of higher education and medicine, and some of today’s favorite family activities and recreation.
