Our monthly Board meeting was held on Monday 14 January 2019 with Graeme Glover, Bryan Fripp, Jim Wiedman, Kay Gesch, Dennis Kyling, Judith Lees and Brett Gillis in attendance.

Items discussed and actioned include: ● Treasurer’s Report Brett gave a comprehensive report, via the television screen, that showed gross income and gross profit for the current month as well for the 12 months ended December 2018. Whilst both were significantly up on December 2017, the impact of having to record a significant depreciation rise, associated with the new bar installation earlier this year, skewed the December figures.

However, with a bank balance in the vicinity of $35,000 with the only major liability being a loan balance of approx. $13,500, the club is in a sound financial position considering the substantial outlays made to enhance the club’s facilities throughout 2018. ● Games Director Report It was resolved that the incoming MBC Executive be requested to work through the paper that was prepared by Miles Allen (December 2018) in which he put forward viewpoints, perspectives and possible actions for consideration in respect of enhancing the timing/running of club games, managing away games attendances and conducting club championships in 2019 and beyond.

● Greens Directors Report Chairman Graeme is currently investigating how best to address the issue of intermittent/ unreliable overhead lights during Wednesday Night Bowls. that the Chairman formulate and have forwarded by the secretary to each member a minute that seeks Board approval to expend above the amount of $5,000 to progress the upgrade of lighting facilities. At a special meeting the Chair will outline the scope of works, costs and completion timeframes for the consideration/response of members. Subject to member support, the proposal would then be put forward to the Board for its approval.

● Bar Managers Report With volunteer support the bar continued to operate over the Christmas/New Year period. Providore Bryan expressed his thanks to those who made themselves available during this time. Many members were very appreciative that the bar was open.

● Club Maintenance [A] The Board approved expenditure of up to $350 to have the rusted guttering replaced over the covered area adjacent to the main entry point to the club. The work is to be completed within the next month so as to be ready for future painting of the front of the club house. [B] Chairman Graeme put on record his thanks to Joseph Walters and Ray Ellmore for the repairs made to the carts that house the bowls owned by the club. The ability to move these trolleys without fear of injury is acknowledged and appreciated.

● Workplace Health & Safety D. Kyling (W.H. & S. Officer) took the Board members through a process that addressed the Club’s current Safety Management Systems (SMS). Via two scenarios Dennis addressed: (i) Health and Management Systems; (ii) Public Liability Insurance and its implications; (iii) Risk Assessment and its reporting ; and (iv) The level of compliance exercised by club management of our systems.

The Key Outcomes being: [A] Board awareness, involvement and compliance of Safety Management Systems so as to assist/inform fellow club members; and [B] Volunteers in their various roles to familiarise/refresh their understanding of SMS within the club.

● Club Insurance Policy Treasurer Brett provided a copy of the club’s Insurance Policy Particulars that detailed the levels of cover for property damage/loss; burglary; money storage/theft; glass damage; public liability; professional indemnity; bowler personal accident policy (includes voluntary workers) and directors and officers liability.

Members can request to view a hard copy by contacting the secretary.

● Showgrounds Signage A draft copy of a sign that promotes the location and activities of MBC for placement at the showgrounds was tabled for comment.

The Council will need to be contacted to ascertain the dimensions and location of such a sign. Once this information has been obtained quotations for the production of the sign will be sought.

● Board Members Chairman Graeme, with the Board’s approval, resolved that for 2019 the Board will have an Executive comprising the Chair, Deputy Chair, Treasurer and Secretary with up to five (5) additional Board members. This should alleviate the need for the Chair to have a casting vote, provided all nine (9) positions are filled. In the event that the number of nominees exceeds available positions, then a secret ballot of full members present at the AGM will be conducted.

● 2019 Membership The Secretary will contact 2018 full members who have yet to take up membership to ascertain if they intend renewing their full membership.

ELECTION OF OFFICE BEARERS TO THE BOARD OF MANAGEMENT At the AGM on ​2:00PM​ ​SATURDAY 16th FEBRUARY 2019 all positions on the Board of Management will be declared vacant.

Full members of the Club are invited to nominate for the following positions no later than ​SATURDAY 2nd FEBRUARY 2019​ in accordance with the Club’s Constitution - Chair, Deputy Chair, Treasurer and Secretary with up to five (5) additional Board members.

Notice of Motion The following Notice of Motion will be voted on at the AGM in a Special Meeting, 16th February, 2019 Maleny Bowls Club, “As a solution to the non-working Green lights, members of the Maleny Bowls Club approve an expenditure greater than $5,000.00 as per the constitution, to replace the lights with 3 LEDs on each pole.
