ocated in Columbus, OH, Classic Solutions’ motto is, “Everything you need to keep your facility clean, safe and healthy.” Founded in 1986, the distributorship has enjoyed sustained growth throughout the years. “The past three years have been the best ever for the company,” said Classic Solutions President James Creps, during a recent interview with Maintenance Sales News at the company’s facility in Columbus. “My father (the late Jim Creps) founded our company with Kathy (Executive Vice President Kathleen Wiseman),” Creps said. “We started as a jan/san company. We are still considered that today. However, we also think of ourselves as a ‘facility solutions’ business, which we have tried to communicate with our name: Classic Solutions.” In addition to its jan/san product lines the company also offers warewash/laundry and chemical manufacturing services, as well as equipment repair. Because of the company’s growth, it made its fourth move, which was two years in the making, into a larger facility this past August.

While Creps thinks the often-used phrase “value-added” has become somewhat of a cliche, it is the service aspect that his company brings to the table that is a primary differentiator from online commerce. “There’s really not that much difference in price throughout our industry,” Creps said. “If we can keep prices in a fair range and offer a huge level of service, that is what will help us to continue to grow. Indeed, that is what has gotten us to the point we are now.” “Again, it all goes back to every employee, no matter what position he/she holds, totally buying in to the philosophy that the customer always comes first,” Creps said. “We make sure that when customers call, we can answer their questions,” Creps said. “If the customer service rep doesn’t have the answer, we will get an answer as quickly as possible.

“Our customer service reps get to know customers. If a customer would rather have a phone call back, then we call back. If he/she wants an email or text, we do that as well. We make sure customers’ needs are covered, and when they call here they know that we have good people in those positions. We want customers to be confident that when they place an order it is going to be right, it is going to go to the right building and we are going to charge them the right price.” As testimony to the trust Classic Solutions has built with customers, many of them allow the distributor to monitor their inventories and actually place orders on their behalf. “We have a ton of inventory customers. For about 80 percent of them, we place the order and then send them a confirmation, so they know what we placed,” Creps said. “It is part of the trust we have earned over the years. We make sure to provide customers with a parlevel sheet of what they are using. “They know when they get items in, if something is out of whack versus the parlevel sheet, we didn’t do what we said. We provide them with that information ahead of time.” Inventory par levels are the minimum quantity of a given item that must always be in stock. When an item hits below par levels, an order should be placed to meet the par level.

n the discussion about how Classic Solutions takes care of customers, Creps and Wiseman took a trip down memory lane to illustrate how the industry and the marketplace has changed, and to offer insights on how their company has kept ahead of the curve. “Thirty years ago, salespeople took orders personally, or orders were called in over the phone,” Wiseman said. “If the customer got the order in a week, that was great. Now, much more is expected. People want answers instantaneously, and a shorter time frame from when the request comes in to when it is fulfilled. “We have adapted our processes through the years in order to stay up with the industry and the world in which we live.”

Creps added: “Back in the day, when salespeople were out all the time, people would leave messages for them. Then, the next day, salespeople would get the messages, and then the next day, they would call back. Today, if you haven’t called a customer back within an hour, he/she will be calling you again.” In recent times, technology has also been a game-changer in all aspects of running a successful and efficient jan/san company. Technologies, such as computers, tablets and smart phones, are must-haves for modern-day salespeople to compete.

“All of our salespeople have iPads,” Creps said. “When they visit a customer’s facility, they have all that customer’s information right at their fingertips.” Along with pertinent information about a customer, laptops, tablets and smart phones can also be used as visual aids. “Back in the day, we all carried brochures. I’m a little old school sometimes, and I still like to go out with them,” Creps said. “However, if I’m calling on a millennial, he/she might want to see a video. If I’m talking about a piece of equipment, I will scroll through and show him/her a quick 30-second or a minute video. In a way, it is like a really inexpensive way of conducting a demo. “We used to give a customer a pamphlet on an auto scrubber and say, ‘Would you like to see a demo?’” Creps said by being able to show a short video, the salesperson can gauge the customer’s level of interest. After viewing the video, if the customer seems lukewarm to purchasing the item, then the salesperson will hold off on bringing somebody in with the machine to conduct a fullblown demonstration, thus saving time and money. Also, entered on the iPads is Classic Solutions’ inventory. When a salesperson enters a customer’s order, it is instantly processed. Furthermore, the salesperson or the customer service rep processing the order can instantly know how much of a particular product is on-hand in the company’s warehouse. “Having iPads has changed everything,” Creps said. “If a customer wants 30 of a particular item, I can log on and see, ‘Hey, we’ve got 100 in stock, so we’re good.’ A lot of the guys carry laptops. ot only has Classic Solutions’ willingness to embrace technology changed the way salespeople go about their jobs, it has also helped when selling to, and buying from, the largest, and probably the most tech savvy demographic in today’s workforce — the millennials. “One area we have focused on is our Web presence,” Gebhart said. “We have been making a big push recently to give customers access to our website. Another great thing we have done is making the website mobile enabled.” A mobile enabled website is one that has been designed to fit the screen of smartphones and tablets. “The millennial generation places orders from their phones or tablets,” Gebhart said. “Google did some studies showing more people are buying from their phones now than they are from their desktop computers. Moving forward, we are going to focus on how to best reach the millennial generation.”

Gebhart said millennials have grown up using electronic devices, so it comes naturally to them to conduct research on products and explore options. In contrast, previous generations had to learn from experience or word-of-mouth. Furthermore, Creps said, a millennial will want to know the advantages of doing business with Classic Solutions, as opposed to just ordering online. “For example, when it comes to a piece of equipment, the customer gets a lot, because there is someone attached to that machine,” Creps said. “If a person buys an auto scrubber from an online retailer and there are problems, the person or company he/she bought it from is not going to help. Millennials also tend to use their electronic devices to research a product before they make a purchase. This trend has also changed the way salespeople approach a millennial buyer or customer. “Millennials do more research ahead of time. They tend to approach the individual sales person with an idea in mind of why they want a particular product,” Creps said. “Therefore, the salesperson needs to know that product just as well. “Today’s millennial buyers, in a lot of cases, already know why they need it, or have a good reason why. They are looking for the salesperson to either confirm the decision they are trying to make, or to give them more options. A lot of times millennials are pretty educated on what is available.”

It has been said of drivers that they are true ambassadors for their companies, as they are often faceto-face with customers more than anybody else, including salespeople. Classic Solutions’ friendly, accommodating, uniformed professional drivers fit that mold, and then some, Creps said. “We deliver with our own trucks and our own drivers,” Creps said. “Our drivers will deliver to the customer’s dock, or carry the products up to the third floor of a facility and put them in the closet, if that is what the customer wants.” Classic Solutions’ drivers do more than deliver products, they are also, to a certain degree, the “eyes and ears” of the company as they visit customers’ facilities. “Drivers get so used to seeing the way things are in a customer’s FLAT MOPPING closet, that if they see something out of place, or feel something is amiss, they will alert the office or a sales rep,” Creps said. “They have the numbers of the personal cell phones of the sales people and will call them and say, ‘I saw of couple of cases of a certain product. Is this correct?’ They save us a lot of time and money by the little errors they catch.” It takes teamwork among employees to pull off successful deliveries time after time, and with as few errors as possible. “Every person on our staff knows our goals,” Wiseman said. “A salesperson gets the account, but it is our customer service people who answer the phone and delivery drivers who speak the most with customers. “The driver is going to see someone every week or every two weeks. Our drivers have the friendly ‘get it done, get it on time attitude’ of, ‘OK, Mr. Customer, where do want this put when I make a delivery?’ They know where every customer wants products placed — what closet, what floor, what area, etc., which customers appreciate. We get calls and compliments such as, ‘Your driver was really helpful today. Our regular dock person was off work, but the driver knew where to go and what to do. He took care of us and we appreciate that.’”

Again, modern computer technology plays an essential role in picking products, while making as few errors as possible. “We have 37,000 square feet of warehouse space, in addition to about 8,000 square feet for our offices,” Creps said. “We have developed what we call ‘the wave pull.’ With this technique, everything gets checked twice. It is a safety net. To make a delivery on the janitorial side costs us anywhere from $40 to $45, and sometimes more. FINDING GOOD SALESPEOPLE IS CHALLENGING

However, finding such high-quality salespeople is not easy, Creps said. “There are a lot of salespeople out there and there are a lot of different types of sales jobs,” he said. “Some people are very good at inside sales, while some are good at outside sales. In our business, it takes a special breed of salesperson. At one stop he/she might deal with a custodian. At the next stop, he/she is with a maintenance guy, and a purchasing agent at the next stop. Sometimes, the salesperson speaks with a company’s CEO or president. This means the salesperson has to be a ‘chameleon.’ He/she must be able to play to the audience. I think that is tough for some people.”

In the past, when we have needed a driver, we were alerted to a candidate by another driver.” Gebhart and Wiseman agreed that, as in selling and seeking new customers, referrals are the best way to find new employees.

A lot of people, including myself, just learn better visually and by actually performing the task. Using the product is a great way to generate good questions that we can address while we are there. That is my main focus when it comes to that type of training.” For equipment training, Classic Solutions reps usually take a hands-on approach. “In our equipment training, we really focus on how to maintain a piece of equipment, as well as how to operate the machine,” Creps said. “We want to make sure our customers put water in the batteries and keep the squeegee blades clean. We want to make sure they know the basic maintenance of the machine, because it saves them money in the long run. It also makes sure that person coming in every night has a nice clean machine to use. “Also, from time to time, we have a vendor day. One of the ways the company gives back to the community is its partnership with a large local trucking company. While the trucking company and Classic Solutions have partnered to send supplies to hurricane victims, the main thrust of their efforts is to help an orphanage in Haiti. “There are a lot of orphanages in Haiti. One of the largest ones is operated by a friend of ours,” Creps said. “The orphanage serves a lot of kids, and they are working on building another one, so they need tons of supplies.” What Classic Solutions has done in the past is to use a truck the company is taking off the road, load it with supplies, and ship the entire thing to Haiti, with the help of the trucking company. “We have donated four or five trucks. They were 14- and 16-foot box trucks,” Creps said. “The people in Haiti get all the supplies in the truck and then they use the truck to help people start small businesses, or just to transport food and basic necessities.” Another way Classic Solutions gives back to the community is its longstanding partnership with the YMCA of Central Ohio, which has 18 locations, and is also one of the largest child care providers in the region. Indeed, Creps has been on the YMCA consulting board for nearly five years, following in the footsteps of his father, who served on the board for almost two decades. Classis Solutions is the main sponsor of “The Big Ride,” which is a fundraiser hosted by the Downtown YMCA in Columbus to support cancer survivors and heart health. “The event is a three-hour bike ride to raise money,” Creps said. “In all, we have been involved with the Y for 30 years.” “Big Brothers, Big Sisters is another organization that we contribute to and support,” Wiseman said.

Customer special pricing is always an issue. STEP1 has a package called Price Manager that helps take some of the work out of all the special pricing. You can use Price Manager to assign pricing discounts or markups to groups of items for a customer. For example, you might have a policy of 23 percent discount off all linear low-density liners for the hospital. This way, no matter what liner

If you have a service department for machine repair, STEP1 has an excellent solution called the Service Desk. This package tracks machine

repair by serial number, so that you can easily recall a machine and see all the previous service history. It also tracks total number of times the machine has been in for repair, and the total amount spent on repairing the machine. STEP1 customers have found this very useful because it helps pinpoint troublesome machines that would be less expensive for the customer to replace and stop repairing the old one.

Status codes allow you to see at-a-glance the status of every job in for repair. Statuses such as ‘On Bench’ or ‘Waiting on Part’ allow you to keep the cus-

tomer quickly informed of the status of their repair. Service Desk also has a companion product called Service Manager. The Service Manager package tracks billable time by Service Rep. This allows the owner or manager to determine the true profitability of the Service Department. It also tracks turn-around time of equipment and other key Service Department statistics.

Your warehouse people will enjoy the Warehouse Manager.

This package allows your warehouse personnel to see all the orders waiting on delivery and lets them sort the orders into truck runs on-screen. The system also allows them to grab a “wave pull” ticket, which would allow them to make one sweep around the warehouse and pick all orders for a truck run at once (this is not required, just optional). Customers have reported savings of about 3 hours per 100 orders by doing it this way, and have increased picking accuracy. Warehouse Manager also has a feature to mark an entire truck’s orders as “shipped” with one click. Once marked, the computer knows this inventory is out of the building and won’t show as floor stock. Haz-Mat issues are also addressed with this package.

Billing is very easy, since the orders are already organized by truck. When the truck comes back, just

handle any exceptions that need to be addressed. Then with one click, all orders on the truck are billed. If bills need to go with the truck, then there is an option to accomplish this as well.

General Ledger, Accounts Receivable, and Accounts Payable round out the package. The G/L is

completely integrated and very automatic. A/R and A/P have features built in that STEP1 customers have suggested to make their jobs easier and faster.

Trash bag preferences in 2018 are moving toward more color, according to customer interest at Aluf Plastics, Inc. Colored trash bags are heavily used in healthcare facilities, but are also a good fit in other applications, such as buildings adhering to a colorcoding system, or facilities which have identification or sorting needs. “The use of colored garbage bags is also attracting interest from organizers of major special events or sporting events. The bright bags add a burst of unexpected color and reinforce team, event, or company colors,” according to an Aluf press release. “The majority of our bag orders are for the basics … black, clear, and white garbage bags,” said Joe Rosenberg, vice president, sales and marketing for Aluf Plastics, Inc. “However, we are now experiencing increased interest for other colors. Neil Thomas Becomes Trojan Battery President/CEO, Succeeding Retiring Jeff Elder Trojan Battery Co., LLC, has named Neil Thomas president and chief executive officer (CEO), succeeding Jeff Elder. Elder recently announced his retirement. Elder will be available as a consultant to the company, and will continue to be an investor in Trojan Battery. Previously, Thomas was with Wayne Fueling Systems where he most recently served as CEO, as well as in other executive management positions. According to a press release, “While at Wayne Fueling Systems, Thomas was responsible for strategically repositioning Wayne as a technology company focused on retail fueling equipment and services. He has also held a series of marketing, planning and sales management roles in the petroleum and industrial equipment industries with companies including Chevron Corp. and Dresser Inc. Earlier in his career, he was a strategic management consultant with Arthur D. Little in its global energy practice.” Elder, who has been president and CEO since 2013, joined Trojan in 2005 as chief financial officer, and became chief operating officer in 2008. He was named president in 2010, and CEO following Trojan’s equity partnership with Charles-

bank Capital Partners in 2013. “I am grateful to have spent nearly 13 years with this talented company, and deeply honored to have had the opportunity to lead the Trojan team for more than a decade in achieving several significant product and market accomplishments,” Elder said.
