This was the question we, at Process Street, posed to top business experts across the globe.

With this question in mind, I noticed after a Star Wars movie marathon – yes I am a Sci-Fi nerd – that even Han and Chewie used checklists.

If chewie uses them, why wouldn’t you use them?

In all serious though, checklists have been shown to give profound benefits in all manner of industries. For example: Checklists in general are remarkable. But what about daily task checklists? Well, thats what we strove to find out.

Here, you will find the results of our in-depth examination, exploring the usefulness of checklists exercised on a daily basis.

To define a daily task checklist, I have broken the term down as follows: Daily: To be used within, and cover a 24 hour period Task: Pieces of work to be completed Checklist: A list if items to be considered On the grounds of the above, a daily task checklist is a list of work-related items to be completed within a 24 hour period. This could be anything from the listed steps of an email management routine, to a daily blog creation process (like the one I am following writing this).

In this article, we are focussing specifically on daily task checklists implemented within a business. As an employee or business owner, you will be looking for ways to, say, hack into your productivity and/or strengthen your time management skills.

At Process Street, we believe that there is a tool that does just that.

Speculation aside, checklists are scientifically proven to increase productivity, reduce error and improve work efficiency. A wealth of qualitative and quantitative evidence support the claim: checklists have far-reaching benefits as work management tools.

By work management, I am referring to work done within a business. Checklists are therefore your go-to business management machines.

At Process Street we like to keep up to date with current insights and research on business process management and checklists. So far, no tool compares.

However, we wanted to do more digging. Rather than systematically analysing secondary data, and sieving through topical literature, we decided to do things a little differently to our usual form of research. We decided to go out and get our hands dirty so to speak. We decided to conduct our own qualitative research.

So far we have asked experts – including top employees and business owners – on a global scale: Each question put forward has been designed to achieve our one purpose: To stay abriest of current understandings, and conceive all aspects of the checklist as a business process management tool.

For this article, we inquired: Do you use daily checklists? Why or why not?

Our question aims to understand the checklist tool on a small-scale. That is, to understand how the checklist is useful for day-to-day purposes.

So what did we find?

Our overall conclusion: The vast majority of business owners and employees implement daily checklists, helping them to do more, work faster and better.

Do you use daily checklists? 94% of responses confirmed that they implement daily checklists, and have experienced only positive outcomes as a result. This is a significant majority.

Looking into the why, we have to probe into the responses further. I have indicated 15 big business benefits that come with using a daily checklist.

These 15 listed benefits are drawn from never-before-seen research. Are you ready to be a first? To fully understand the secret of success for many experts around the world?

“Keeping a daily checklist also motivated me and helped me stay on track with the large amount of work I always had to do.”

The simple act of marking a task complete can feel blissful and as Jeneault states, it helps by keeping you motivated. It comes hand-in-hand that if you feel motivated, then your productivity will increase.

Why? It comes down to the power of small wins, or the progress principle which has been defined below:

“Seemingly mundane workday events can make or break employees’ inner work lives. But it’s forward momentum in meaningful work-progress that creates the best inner work lives.”

Teresa Amabile, Steven Kramer, The Progress Principle Utilizing a checklist, checking off items on completion, creates this sense of work progression. Checked items are small wins.

This keeps you motivated, which in turn enhances your productivity.

You can see the term organized is repeatably used alongside productivity. That is because organization improves productivity. These two benefits are linked. In fact, as you keep reading, it will become apparent that every one of our 15 daily checklist benefits are linked, as such, in some way.

What do I mean by linked?

Well, one benefit tends to give another benefit, which gives another, and so on…

A daily task checklist is created, put to work, and boom…there is an explosion of business benefits cascading from each other.

To reiterate the point once more, here we have organizational improvements linked to improved productivity.

1. Task A items are vital. These are tasks that Nikola’s business cannot do without.

2. Task B items help Nikola’s business grow, but to a lesser degree compared to task A items. These items are not as important as task A items 3. Task C items are tasks that require little thought and can be done as the workday winds down With Nikola’s insight, you can see how a daily checklist gives structure for the organization of your working day. Without a checklist, Nikola tells us that her day is:

Jake Hay from PopShorts is another one who loves daily task checklists. So much so that he incorporates daily checklists during his onboarding processes.

“Checklists are essential for me to keep organized in most departments of life, but they are especially useful in the workplace. My interns have a daily task list in order of importance that reduces confusion and creates a steady workflow. In the event that I am not present to help in a given situation, they can simply refer to the intern handbook that contains all the checklists and instructions necessary for success. It’s extremely helpful to have a visual of what needs to be achieved and to scale progress.”

by Jake’s new employees. Training time is reduced so Jake has more time to focus on other aspects of his business. This is true for all processes. Having a daily task checklist gives benefits as you keep track of tasks. This brings us nicely to our next benefit, benefit 3, keeping track of tasks.

Daily checklists stop tasks from slipping through the net. Courtney Keene from My Roofing Pal finds it incredibly useful to keep a task list, as there are…

Recording tasks in a checklists means tasks can be tracked to determine their completion status.

Christine Glossop from Looka uses a daily task checklist to keep on top of her competing tasks:

“To keep track of these competing tasks, I use a larger monthly, biweekly, and weekly task tracker, with items getting moved into my daily task list according to their urgency or availability. The combination of these long term and daily task lists mean I can track progress on long term goals, by breaking them down into achievable daily tasks.”

You can use a variety of checklists together. In this instance, checklists operating on different scales are used. In this article, we are focussing on the daily task checklist, but from Glossop’s quote, you can see how annual, monthly, weekly and daily checklists interplay and influence each other. Tasks are tracked between each different checklist for a higher level of business process control and management.

Checklists from different departments, teams, and work colleagues can also overlap. That is, a daily checklist may contain tasks that need to be completed by more than one business employee.

Callie Beard from Triad B2B Agency jumps on this point:

“Each person’s dashboard shows the list of tasks they are in charge of and when they need to be completed. The handiest part of a shared online task list is that you can pass a task back and forth.”

By tracking tasks within a process, they can then be passed back and forth between employees, improving teamwork.

With transparency, work colleagues are brought together, to function as a unit, rather than separate employees, job titles and departments.

Our findings are one in the myriad of supportive evidence favoring checklists as a practical tool bringing teams together. For example, a study by Tscholl, David W et al (2016) postulates that medical checklists improve teamwork perception. Another study by Russ. S et al (2013) concludes that checklists are beneficial for teamwork and communication.

As previously mentioned, there seems to be a causal link between task tracking and enhanced teamwork. As tasks are tracked, there is full transparency regarding the business process – what employees are doing what, when and how. The increased transparency of processes, that comes with task tracking, is another checklist benefit, the positives of which ripple through to strengthen teamwork.

From Deane’s quote, you can see how a daily task checklist is indispensable for the time management of his business processes. Time is targeted at completing productive work.

Work that brings results, rather than re-inventive work – as Deane puts it. Executing productive processes faster, means more result bearing work can be done in the time available. Hence, improved time management.

The above are all words and phrases that repeatably cropped up in our responses.

There was one reply that stood out to me when contemplating how daily task checklists reduce error. This response was by David Ehrentreu from Calibrate Media:

“This is actually perfect timing since I just recently set up process.st for a few elements of my business. It has been a tremendous timesaver for us. Client onboarding has become a breeze.

What used to take multiple calls, emails, and corrections, now takes minutes.”

Obviously, we biased to love this response due to his flattering feedback regarding Process Street. That aside, by utilizing Process Street and our superpowered checklists for his business, Ehrentreu has come by fewer errors (quote: corrections) during onboarding.

We are all aware of how stress impacts the body. If not managed, stress will degrade your well-being and happiness. As a business process management tool, you can manage the daily stresses of your working life using a daily task checklist.

For example, one of my weaknesses is my lack of attention to detail. By utilizing Process Street, and our pre-publish checklist (which is free to use for anyone I might add), I can target this weakness head-on. Daily Task Checklist: Why not?

As previously stated, 94% of respondents answered yes to our question: Do you use daily task checklists?

So what about this other 6%? What were they saying?

Looking at the responses, individuals not using a daily task checklist were not all omitting checklists as a process management tool per se. They were simply not using them on a daily basis.

For instance, Avrind Singh from Brandloom says

“In our experience, a strict daily task list may not be the best way to plan your day. This is because new work and challenges emerge every day, which throws the planned schedule off often. However, if not daily, we do maintain a task list which allows for a couple of days of flexibility.”

It seems that using checklists operating over a longer time period brings in the flexibility needed for Singh’s specific business processes. This is a good point to take away. Some business processes cannot be managed using a checklist that operates over a daily timescale. As mentioned under benefit 3, you can use a variety of checklists together, using checklists operating on different timescales. Combine this with what we discovered under benefit 8, regardless of whether a checklist is working on an annual, monthly, weekly or daily timescale, the principles of its structure and function are the same. Hence, all checklists, not purely daily checklists, will bring the benefits listed in this article.

Alex Vale from Attio says that although most of his team uses a daily task list, this is not something that he enforces:

“We’ve yet to find a solution that fits everyone’s flow so we don’t enforce team-wide task lists.”

A daily checklist might not be appropriate for the type of work an employee is undertaking.

Their work-flow may be more suitably managed using weekly or monthly checklists.

Shawn Lim from Orbital Fuse Technologies was the only response indicating no checklists are used to manage his business operations.

“We don’t have a strict daily checklist that we use. We find that our task management software is sufficient to provide us with an overview of our workload for the day and week.”

Lim uses task management software to stay on top of the workflows and processes. Despite not using a checklist, Lim still recognizes the need to take the time and figure out the best way to manage his and his team’s tasks.
