The Boom Is Back A

s I began to review the years since this publication’s inception 10 years ago, I was astounded at how many times the landscape of the Bay Area building management industry has transformed itself. In 2003, emerging from the depths of the dot.com bust, construction starts were finally on the rise again. Life was good again in the Bay Area. The California Academy of Arts and Science rewarded the construction economy with a five-year project, Facebook was growing exponentially and Google was swallowing up every square foot of office space in its shoreline view. Between 2005 and 2010, Google’s workforce had expanded by sevenfold to more than 23,000 employees, the internet giant’s Mountain View holdings had grown to at least 4.2 million square feet in more than 65 buildings, according to the companies securities filing and county tax assessment data analyzed by the San Jose Mercury News. That was more than double the amount of space that Google owned or leased in 2005. Fast-forward to 2007 and virtually all construction ceased across the nation. As we spiraled into the recession, we saw construction companies shrivel in size, subcontracting companies vanish, and as a publisher, it was nearly impossible to find a new construction or tenant improvement project to write about. Both end users and service providers found themselves in complete paralysis just trying to survive. It was an era not soon forgotten as most companies have had major restructuring in their processes as a result. Not forgotten? Well, we’ve all said that before. We said it during the dot.com bust. Hopefully this time we’ve learned and we won’t repeat the same arrogant “cash comes easy” kind of attitude that is so typical of the Bay Area corporate construction market. The fact of the matter is, yes, we are the lucky ones. We live in a region rife with opportunities. We have the most concentrated region of corporate campuses in the county. Why wouldn’t we be arrogant, for goodness sake? Now, I say that tongue in cheek as we look at our market today. We have two major stadiums under construction, several large corporate campus projects underway including the rivalry for innovative design between the new Apple campus and the electronic giant Samsung’s remarkable new campus. The commercial construction industry is back in full swing here in the Bay Area. In fact, including the new $4.185B Transbay Tower project, just these projects alone total over $11B in project costs. These numbers don’t factor into the equation, any of the thousands of square feet of speculative office space that is currently in site study or design. What does all of this equate to? The Bay Area is a unique and incredibly prosperous commercial construction region and we are the fortunate ones.

Why energy efficiency is good for the bottom line Companies who want to improve their bottom lines often look to cut labor costs, increase sales or improve buying power with their vendors. Many companies don’t realize they can increase their net bottom line by creating energy efficiency within their buildings and plants. These can create large long term cash flows.

latinum Roofing has been an industry leader in the Bay Area for years being a leader in energy efficient roof systems. Having installed literally tens of millions of square feet for clients over the years and helping those clients save millions in energy costs, Platinum has recently expanded their offerings to fully encompass energy efficiency. Companies who want to improve their bottom lines often look to cut labor costs, increase sales or improve buying power with their vendors. Many companies don’t realize they can increase their net bottom line by creating energy efficiency within their buildings and plants. These increases in energy efficiency can create large long term cash flows. In the past many of the technologies we have today did not exist. Also the finance mechanisms we have today did not exist in the past. With new finance and technology available it makes more sense than ever to create an energy efficiency plan. Many of the low hanging fruit in energy efficiency include lighting, day lighting, roofing, insulation, window upgrades, energy monitoring and more. Some of the returns that you may see are anywhere from 1–10 years with a 5–20 year life span on the improvements. This means you have positive cash flow from 3 – 19 years of your efficiency project. Some of the new finance methods include on bill financing, Energy Savings Agreement (ESA) and Property Assessed Clean Energy (PACE). These finance programs many times include an upfront audit which insures you will get the energy savings as promised. These finance methods often have interest rates from 0%–6% over the life of the improvement. The energy improvement you implement is paid for by the savings and reduced consumption. In addition to improving your overall bottom line you are also reducing your overall energy footprint which ultimately is good for the environment. When considering energy efficiency one of the best ways to increase your return on investment is to bundle projects.


When considering potential energy efficiency upgrades for your existing buildings they need to be reviewed as a whole. An in depth review should be done of all building components. If you upgrade one system without considering the other you may be overcompensating for another system that is performing poorly. For instance one of the most common ESCO upgrades is HVAC. Typically if your building is more than 5–8 years old your HVAC system is 10% to 80% inefficient so it makes sense to upgrade it right? Yes and no, if you upgrade a HVAC system without looking at the roofing, insulation, daylighting, lighting and windows you could be over sizing the HVAC. If you increase the efficiency of a HVAC system, then change your roof system later to an energy efficient one, then change the lights to more efficient ones then your HVAC system will be oversized. If you building analysis included reviewing all systems benefits of some upgrades could offset or allow downsizing of other upgrades further increasing your overall return on investment. For instance, if your building is 15–20 years old it was built long before many of the current energy codes. Your building may have single glazed windows, out dated HVAC, poor roof systems, inefficient insulation and poor lighting. In this case if you did the following upgrades you would have the following benefits:

• Window Film Installation or Window Upgrades = Reduced energy load, reduced heat loss / heat gain, increased building comfort, increased productivity • New Lights or New Light Fixtures = Reduced energy load, reduced heat load, increased light, increased productivity • New Insulation and Roof System = Reduced energy load, reduced heat loss / heat gain, increased building comfort, increased productivity • New HVAC System = Reduced energy load, increased monitoring capability, increased building comfort, increased productivity As you can see, the above example shows reduced energy load with each technology and in the end allows installation of a smaller HVAC system which increases the overall return on investment of the whole project. This is just a broad overview of some of the energy upgrades typical today. Most upgrades pay for themselves in a short period of time and typically if planned correctly are capital projects that need to be done anyway. Energy efficiency is the right thing to do when planned correctly. When was the last time you got paid over and over to do the right thing? Companies must operate and maintain their facilities smoothly over the short-term while they are also planning for the long-term, and must dedicate available capital to those projects which are most relevant and support the company’s core mission.

ompanies need to avoid costly emergency repairs that can lead to downtime, a situation in the current economic climate that must be avoided at all costs. In an increasingly competitive business environment, ever more emphasis is being placed upon the effect of facilities costs on the bottom line. More than ever, companies are asking critical questions such as; how much money are we spending to operate and maintain our facilities? Are we operating efficiently? How can we save on utility costs? Do we understand our total operating costs? Do we need all of the space we have, and are we using it efficiently? What is the cost of waste we generate? And most importantly, how can we manage and maximize the use of our facilities, but still maintain our primary focus on our core mission? Taking advantage of facility management technologies now and in the future is critical to company profitability. The current economic climate has produced additional pressures on companies to adapt quickly, including modifying existing facilities and relocating to larger ones to support growth. With all of these complexities, how can companies maintain core focus while ensuring that facilities are operating at the highest efficiency and lowest cost? Companies must incorporate effective facilities planning into their overall strategy to win in today’s market. Facility Management Professionals can play a valuable role in guiding companies through this non-core aspect of their business so that they can focus on their core activities. Development of a strategic Capital Plan is essential in that it allows companies to develop a long-term view of capital planning with accurate multi-year forecasting, make investment decisions based on objective, analytical, and transparent information, reduce financial, operational, and legal risks and deliver substantial cost savings and efficiency gains. A well-developed Capital Plan will allow companies to maintain a complete understanding of the entire facility portfolio, determine what improvements are required, prioritize those improvements to align with the overall goals of the company, and finally, ensure that the budget is spent as planned. The process involved in developing a Capital Plan will allow the company to gather objective facility condition data, then identify exactly where repairs and upgrades


need to be made. The process can also be used in calculating the estimated costs of those requirements; to prioritize the requirements according to company goals; run funding scenarios that demonstrate the impact of different spending levels, identify and address risks to business continuity and develop a capital plan and budget that will sustain the facilities and support their function for many more years. A capital plan is developed by collecting all relevant information on current facilities, determining lifecycles of each facility and its systems, evaluating past preventative maintenance and backlogged deferred maintenance, determining upcoming maintenance and renewal requirements and warranty periods, developing a preventative maintenance plan, determining options for repairs, replacement, upgrades and future projects, prioritizing these options and developing a capital expenditure plan and schedule with a 10 to 20 year time horizon. The first and most critical step in process of developing a Capital Plan is to perform a thorough inventory of the company’s facility portfolio to determine the existing physical condition of the facilities and their systems/components and to decide how facilities investments should be prioritized. The validity of underlying data is a critical ingredient in developing credible capital plans. The best tool to accomplish this is the Facility Condition Assessment (FCA).

The FCA‘s consists of obtaining information and documentation regarding a Buildings past construction, repair and component replacement history as well as gathering pertinent existing information on all building systems and components. Buildings are categorized in accordance with the business mission, determination of those requirements essential to business operations, and those better managed as longer-term investments. The FCA process usually begins with an initial meeting to discuss the expectations for the project, establish/verify the project approach, discuss/verify data availability and obtain a better understanding of the priorities with respect to the company’s immediate and long-term plans. The consultant also requests any pertinent data which would help to determine the past history and current condition of the facilities. This information may typically include a detailed list of the facilities and their systems and components, work order histories, preventative maintenance and repair/replacement records, code and licensing inspection/ compliance records as: built drawings, energy audits, engineering studies, roofing inspections, hazardous material audits, air and water quality studies, deferred maintenance plans, accessibility studies, technology inventory data and plans for any anticipated | continued on page 12 | facility modifications. fter assimilating all existing data, the consultant will conduct a field assessment to evaluate the general condition of the facilities and systems including adequacy relative to current and/ or intended use; remaining useful life expectancies; the need for near term capital repairs, replacements and recommended upgrades; and time frames. Full attention to buildings and building features and options for the return to modern standards is also given. Photographic documentation is made of general conditions as well as any observed deficiencies. The field visit includes evaluation of all major building systems including the building envelope (building structure, roof, exterior walls, windows, entrance doors, and representative exterior finishes), structural integrity of walls and foundation, interior structure (walls, ceilings, flooring and signage), major mechanical systems (mechanical, electrical, plumbing, heating, ventilation and airconditioning, exhaust, lighting, controls and instrumentation, conveyance systems, security, fire and life safety system), site hardscape and utilities (parking lots and sidewalks, lighting, electrical systems, plumbing and storm water drainage systems), handicapped accessibility (ADA) and traffic/pedestrian safety issues, and any evidence suggesting a need for additional lead/ asbestos or seismic testing. The consultant will assign a life-cycle adjustment factor to each system and/or component to provide a more accurate picture of a facility or asset’s condition, accounting for such factors as the particular micro-climate, extent of use, maintenance practices, and first-hand observation of the equipment or feature in service. For example, a manufacturer may indicate that a boiler has a 15-year useful operational life and that it is currently at the end of that project in life, whereas actual field observation and consideration of maintenance records and other information may indicate that

it exhibits only light use, is well-maintained and that it will likely perform for an additional 8 years beyond the manufacturers projection. This kind of analysis accounts for the unique nature and use patterns of a facility or asset and provides greater accuracy and value to the client. The benefit of obtaining accurate facility data through the FCA cannot be understated. The data obtained from the FCA form the basis for the Capital Plan and is used for prioritizing future work as well as performing life-cycle analyses and developing cost projections and budgets. It provides a clear and accurate benchmark for planning necessary investments in facility improvements, as well as the impact future levels of investment will have on facility condition. Once the FCA has been completed and all data has been loaded into a database, facility conditions can be continuously monitored and Capital Plans can be updated, modified and refined as conditions and company goals change. It forms the very basis of all strategic future decisions. Given the large expenditures required to own, operate and maintain their facilities, a company’s success and profitability are closely tied to the effectiveness of their facility management team and Capital Plan. Companies which are effective in this regard enjoy a strategic advantage by having readily available facility condition information that will enable rapid and decisive action. Preventative Maintenance

The Critical Path to Long Term Performance

A

s building owners and property managers know, maintenance and repairs are a constant concern. All too often, these concerns are addressed only after a problem arises.When thinking of the protection your roof provides look at it this way‌roofs are like cars, if you do not maintain them, they may not perform when you need them most. A comprehensive maintenance and repair program can protect the integrity of the roof system, extend the life of the roof, prevent damage to the interior and exterior of the building, and maintain the requirements of the warranty. It is important to exercise diligence in adhering to scheduled maintenance and addressing repairs in a timely manner for both the performance and longevity of the roof system. There are a variety of factors that contribute to wear on a roof system including exposure to the elements either long-term weather exposure or short-term exposure to chemicals and pollutants; structural movement such as settlement, expansion/contraction; biological growth in areas of standing water or algae. In addition, not fixing problems promptly, forgetting about maintenance, and changing the use of the building e.g. an increase in the interior relative humidity of a building can cause condensation within the roof system. Even a common issue, such as a few missing shingles, when overlooked, can lead to bigger problems. If we look at this seemingly simply problem a greater scenario unfolds. For example, a few shingles missing on the roof leave an area exposed to the elements, which can cause the roof material underneath to weather at a pace faster than it would under normal circumstances. Once the integrity of the roof shingles is diminished, the underlayment can become exposed and although the underlayment adds another layer for protection, prolonged exposure to heat, sunlight, and other

conditions will denigrate it quickly. The area now compromised becomes a source for a potential leak to occur during inclement weather. This type of common maintenance issue can occur on a low slope roof with the same result e.g. if the roof is not kept clean and free of debris the gutter, down spout, scupper, or drain can clog. A clogged drainage system can cause water to pool or pond creating over spill, leakage, and some of the same conditions that will lead to wear on the roof system and deterioration in the watertight integrity of the roof system. Of course, allowing water or moisture to penetrate the roof system can produce an environment that fosters mold and dry rot, two conditions that equally contribute to damage on the interior or exterior of a building. When performing a routine inspection of the roof, look for evidence or potential leaks. Evaluate the exterior walls for staining, metal for rust; identify areas of traffic, and if the roof needs to be cleaned. Examine the interior for any signs of leaking such as moisture on the walls or ceilings. Evaluate the base flashings, metal work, caulking for deterioration, or anything that would affect the watertight integrity of the roof. Examine the condition of the roof, look for debris, damage to the material, and check that penetrations are properly detailed. Remember, the best most cost effective way to ensure continued performance is a regular inspection and mainten-ance program, addressing problems in a timely manner, and replacing the roof system when needed. Your roof system is an investment. With regular maintenance and repairs, you can preserve the roof, protecting your investment for years to come. The Building of Best Practices Designing and building a new 635,000 square–foot corporate campus is a complicated and involved task. Like most companies, Juniper Networks employees work in a global environment interfacing with other employees, customers, business partners, and vendors on a worldwide basis. This environment demands workspace solutions that address the increased need for effective face to face and virtual collaboration with team members in the same building or at various sites around the world.

T

he challenge for Juniper when contemplating a new corporate campus was how it would address the physical environment as well as the virtual environment from a technology perspective in a way that improves collaboration. The objective was to deliver on the promise of an innovative, efficient, and sustainable workplace environment where Juniper employees can do their best work. At its new headquarters, Buildings A & B and a five (5) story parking structure are the first buildings on the Sunnyvale California campus that are part of the 2.5M sq. ft. master plan. The campus shows what can be achieved when an established workplace strategy is integrated with a state of the art enterprise network, and state of the art energy efficiency strategy. “We now have a cutting edge world class workplace that improves productivity, enhances collaboration, increases employee satisfaction, and reduces real estate and technology costs,” said John Lucas, Vice President of Global Real Estate and Workplace Services. To accomplish this, Juniper Networks took a decidedly focused approach by engaging an executive leadership team, and an employee sponsorship team to create a work environment built on a set of principles that now serves as showcase for the company. The Juniper team performed a series of complex workplace studies which measured space utilization, corporate values, brand


management and employee expectations. The workspaces were optimized for all types of collaboration; flexible offices can ebb and flow to serve as meeting rooms and video conference rooms as well as individual workspaces. Design elements throughout the workspace support both brand and employee wellbeing. The result is a workplace designed to embrace a spectrum of work styles from individual concentrative, to community interactive with a high degree of face to face and virtual collaboration. Today’s workplace demands a technology strategy that vastly improves the ability to collaborate, teleconference, video conference, and share information. To accomplish this, Juniper deployed a network enterprise solution using its own products, Juniper on Juniper (J on J). This design principle provided direction for the I.T. department to develop a technology platform run entirely on a Juniper IP strategy where all communication runs across Juniper’s own corporate enterprise network. Therefore, Juniper has deployed an innovative high definition video experience (HDVC) for employees and customers. This infrastructure strategy leverages Juniper’s network strategy by creating a highly scalable and affordable video conference experience when compared to fully-immersive video solutions that are on the market today. It provides video participants the ability to sit side by side with near life-size resolution and a virtual experience at a fraction of the cost of typical immersive video solutions. The new buildings provide office and R&D space, lab space, and amenity spaces with plenty of opportunity for employees to have formal or informal meeting and collaboration opportunities. In addition the campus houses a world class Executive Briefing Center, and a Proof of Concept Lab (POC) which is designed to showcase Juniper’s vision and provide an environment for prospective customers to solve complex network challenges, and test the rigor of Juniper Networks products. Through Juniper’s commitment to innovation and environmental sustainability, Buildings A and B have achieved LEED Gold and LEED Platinum certifications, respectively. Significant energy savings are achieved through the installation of four Bloom Energy Servers, a solar hot water array, and a photovoltaic array over the parking structure. Also, Juniper’s innovative and energy efficient method of air-cooling lab equipment is expressed in the architecture by six stories of vertical fins, which screen the mechanical louvers at the lab floors. The buildings are a striking combination of eco-friendly materials and energy efficient systems. But to really grasp the innovation of the design, these buildings must be seen at the micro level where you’ll find the deep integration of Juniper’s own enterprise networking technology allows for the Building Management Systems (BMS) to monitor and keep all the buildings’ systems running as efficiently possible.

With the innovative energy and environmental design deployed by Juniper Networks, the buildings are projected to save 1,010,792 kWh in the first year alone, reducing Juniper’s annual electric bill by $121,295. It’s a successful combination of technology and workplace integration that will pay dividends for years to come. Challenged to meet Platinum Certification

Juniper Network’s HVAC System Fits the Bill

T

he new Juniper Networks corporate campus in Sunnyvale started with construction of two eight-story 318,000 square foot Class A offices and R&D buildings. This design-build project included built up penthouse mechanical room with state of the art air- side economized labs located on three floors of each building. The buildings also included an executive briefing center and complete kitchens with dining areas for executives and employees. United Mechanical, Inc. of San Jose was the HVAC contractor for Juniper Networks campus, and they welcomed the challenge of meeting the LEED Gold and Platinum criteria for this 2.5 million square foot project. UMI’s Vice President, Blaine Flickner, said “designing and installing a custom HVAC system that would seamlessly integrate with Juniper’s Building Management System technology, was an ideal project because Juniper was involved every step of the way and committed to the best possible outcome. Initial missions were creating both office and lab environments that would work

together. With a lab on every other floor, that meant two-thirds of the building’s cooling capacity was dedicated to the labs. To achieve maximum energy efficiency, the office and R&D spaces had to be accommodated with custom air and water systems that integrated with Juniper’s technology; all while making their spaces comfortable and conducive to collaboration and flexibility”. Flicker said, “UMI was also responsible for designing energy models for Juniper’s buildings. To achieve high LEED point totals and indoor air quality during and after construction, that meant all ductwork was packed in plastic, and during construction ducts were closed to keep out dust and dirt. Because Juniper Networks was willing to invest capital in this project to save larger amounts of energy (and money over time) UMI was able to sufficiently design, support and achieve the Gold and Platinum LEED certifications needed”. Trees are a landscape’s most valuable asset. Mature, well-maintained trees can add up to 20 percent more value to a real estate appraisal. In addition, trees that are properly cared for add an aesthetic curb appeal that draws positive attention to a property.

onversely, deferred maintenance and poorly maintained trees can have the opposite effect on a property, potentially lowering its value up to 15 percent. Besides also drawing away from the aesthetic beauty of a property, trees that are not cared for properly can create a large liability for the property owners and managers. Improper pruning can end up generating more future hazards than if a tree had never been pruned before. “Topping”, “lion’s tailing”, and “flush cuts” are some of the common terms used to describe poor pruning procedures. When trees have been subjected to these modes of pruning, their natural architecture is altered and they become predisposed to decay, rot, and weakly-attached limbs. It can take a number of years to restructure a poorly pruned tree to its original form, and often a total tree removal is the only safe option. The health of your property’s trees and plants rely on regular check-ups and maintenance programs similar to how you take care of your own personal health. A proper diet can be compared to the appropriate nutrients your trees and plants require. Seeing a doctor for a regular check-up or to take vitamins or receive a flu shot is not unlike the professional application of materials to keep trees and plants protected from harmful insects and diseases. Plant health care not only ensures the safety of your property and tenants, but it can also help solve some of the most frustrating problems that you and your occupants might often encounter. One of the most effective ways to evaluate a tree care company is to look at their professional certifications and accreditations. It is essential that the arborist you choose is certified by the International Society of Arboriculture (ISA). The ISA is a worldwide professional organization dedicated to promoting research, technology, and the professional practice of arboriculture. Accreditation by the Tree Care Industry Association (TCIA) is another important factor to consider when you are selecting a tree care company. The TCIA accreditation assures customers that the company has gone through a thorough background check and that they have all of the proper insurance, business and industry licenses. What is your single most current challenge today? Barbara Donaldson: Effectively managing a global portfolio in a growing organization requires long-term real estate strategies that incorporate flexibility and manageable risk. Coupling this with understanding of the regional staffing needs, and aligning all of these resources with the businesses overall objectives is a challenge but also a great opportunity. Frank Jesse: Acquiring and developing strategically appropriate sites at reasonable costs. Market forces, combined with reduced availability of useable real estate inventory, combines to make site acquisition extraordinarily challenging. Dan Stanbery: Densification of the campus high-density rack labs and data centers. Jana Gunsul: Keeping up with the pace of technological change. Trying to see what the next five years look like and positioning DES to be market leaders then. Joe Garcia: Space continues to be a challenge. With emerging product, brings new talent. We continue to improve our space to accommodate increased headcount. John Lucas: Aligning the real estate needs and cost structure of the real estate with the companies’ financial goals. Ray Purpur: Keeping up with technology in our public assembly venues. The fans want to have full access to their mobile devices and keep up with social media. We have to meet that challenge with a robust wifi and DAS system in all of our sports venues. What did you learn from the recession and how did it change your business approach? Richard Pollack: Making hard business decisions need to be the highest priority. There is no burying heads in the sand when money isn’t coming in. John Lucas: Timing is everything. We were able to take advantage of lower lease rates by locking in some long-term leases at our corporate campus and other locations globally. We also benefited from significantly lower construction cost of materials during the construction of the new campus in Sunnyvale. In many cases raw materials were purchased at 20 year lows. Rob Anderson: No matter how difficult things get to be, find a way to succeed and prosper; the recession merely caused us to sharpen the skills we already had. When development nearly stopped, we learned to work “smarter” by focusing on the small details. I view change as a positive force... we learn new lessons, meet new and move on to new horizons. Joe Lewis: When things change… change! Randy Knox: Recessions are opportunities that should not be squandered. Prices were down and it was a good time to contract work and obtain materials. Joe Garcia: Reducing costs became important. We learned to be more frugal to help the bottom line yet allow cost cuts to be transparent to the employees. Barbara Ross: You can’t stop being creative and thinking out of the box in order to continue to find efficiencies to do more with less. Jana Gunsul: It just confirms that the real estate business ebbs and flows with the economy, and we are so lucky to be in the Bay Area where innovation is driving new business development. The recession for the rest of the country just might take a little more time, in the meantime, make work happen. Adony Beniares: The need to ensure that real estate planning is tied closely to the overall 28

company’s business plan. Barbara Donaldson: One way my real estate team helps the company manage through economic shifts, is to maintain a balance of aggressive and opportunistic real estate transactions that incorporate flexibility. Steve Hirai: It confirmed to the corporate real estate industry that companies needed to carefully plan real estate growth based on projected headcount and revenue. Companies need to have a solid foundation of processes and procedures in place so when a challenge like a recession comes around, everything is still solid.

What are the most significant changes to the industry over the past decade? Richard Pollack: The incredible technology that is being used to improve business. Sharon Refvem: BIM (Building Information Modeling) combined with ever increasing pressure to deliver projects faster and cheaper is changing the way contracts and projects come together and are delivered. Melissa Van Hagan: Sustainability, energy efficiency and conservation, mobility in the workplace with flexible work areas, and wireless capabilities. John Lucas: The advancements made in technology, and specifically the network technology that supports all of the tools we commonly use today. Without a proper network architecture it wouldn’t be possible to support all the tools and applications that drive how business is conducted today. All of this dynamically changes the workplace experience by bringing mobility to the workplace in ways that are convenient and easy to use. Joe Garcia: Tightening budgets by coming up with new approaches, doing more with less. Automation, outsourcing and energy conservation.

Rob Anderson: Clearly the most obvious change has been the positive influence of technology in the architectural and construction industries and the not-so-positive effect of technology on land use. We are seeing this wave of change affect the way we work, the way we shop, and the way we think. I firmly believe that as we spend more time in the “virtual” world, we more desperately need to spend time in the physical world. A decade ago we sought out and consumed new and unique “experiences” while today we have refocused on healthy quality of life. Jana Gunsul: Technology and the speed required to deliver space. Our technology clients are innovating faster than ever before requiring space and an incredible pace. Revit and BIM modeling is facilitating coordination and streamlining the drawing process. Greg Hulbert: The industry is finally allowing technology to improve our processes. From modeling buildings graphically and using GPS technology for layout to online collaboration systems, we are all catching up to other industries. George Denise: Increased outsourcing, increased focus on energy management and sustainability, advances in technology, and more flexibility in the workplace; flex time, working from home, work anyplace solutions. 30

Dan Hoffman: Workplace densification through “benching”. Frank Jesse: Continued migration towards staffing and resources being allocated primarily on an “as needed” and “when needed” basis. Continued compression on space standards and utilization expectations. Genuine adoption of sustainability into the facilities expectations. Adony Beniares: Users are significantly more educated in terms of facilities design and operational standards. Increased employee amenities that affect facilities operations and space allocation. Increased employee interest in environmental stewardness. Barbara Donaldson: CRE’s are more involved as leaders and have a “seat at the table” with the opportunity to be part of the company strategy. Most CRE’s have global knowledge of economies, business practices, and manage on of the top budget items in most firms. Leveraging this knowledge and spend to the company’s benefit has earned us the opportunity to be a strategic partner. Craig Sheehy: The word environmental is no longer looked upon as a negative in the commercial real estate industry. Investors have determined that Green Buildings are not only good for the environment, but also good for business. Steve Hirai: The density of workspaces have changed tremendously, as most companies have moved away from closed, high wall cubicles towards open plan. Another trend is the rise of shared collaboration spaces.

How do you view the trend of mobility in the workplace? Is this a model in your company? Melissa Van Hagan: Oracle does have a fair amount of mobile employees. I think it can be a benefit for everyone; cost savings to the employer with regard to real estate and overall expenses plus higher productivity for both employer and employee. It isn’t for every type of business or individual and to be successful, employers need to have in place a system to determine that. Joe Lewis: Transportation has become more difficult and costly and communication has become easier and cheaper. Dan Hoffman: Everyone is 24/7 in the cloud anytime, anywhere, completely connected with data, voice and video.

What are some of your biggest opportunities today? Ray Purpur: As the economy is turning around, getting donors excited about some of our new building projects that we are planning for Stanford Athletics. Engaging the fans at our venues is also a huge opportunity. We have to think of ways to get fans to come to our games instead of watching the events on TV. Greg Hulbert: Bringing my background in construction management and project management to a world-renowned design firm will bring even greater results. Dan Stanbery: Finding sustainable solutions for labs and data centers. Randy Knox: Sustainability, energy, real estate and facilities managers are all charged with reducing the amount of energy used by their companies and with it the associated spend. Barbara Ross: The declining headcount in the operations department gives the staff an opportunity to cross train for potential career growth. It’s become a priority in order to remain successful. Craig Sheehy: The need to bring sustainable building operations to China. John Lucas: Creating a dynamic workplace environment through the integration of Juniper’s technology that supports physical and virtual collaboration and mobility, and lowers the demand for real estate and related costs. ISO 50001K and LEED Making Sense of the New Standard

T

ISO 50001 may be attractive to sites that already have or are planning on ISO 14001 and 9001 certification as they may benefit from documentation and management systems synergies. This is a time saver over some of the compliance driven waste minimization (SB14) structured programs.

he relatively new ISO 50001 standard is getting more attention as international companies report success. ISO reported statistics that 100 organizations in 26 countries have already received certification and their savings reports are already being published. A Coca Cola site in the U.K. reported a 10% reduction in water consumption and another 16.5% cut in energy use. So how does the ISO 50001 Standard compare with the USGBC LEED Certifications? Both systems are designed to reduce natural resource consumption. The LEED tool box has evolved into nine Rating Systems that focus efforts on all phases of construction as well as types of building use. The ISO 50001 Standard is reported to be appropriate for implementation at all types and sizes of organizations. It also reaches further off site to include supply chain consideration. ISO 50001 may be attractive to sites that already have or are planning on ISO 14001 and 9001 certification as they may benefit from documentation and management systems synergies. USGBC’s LEED program has grown to include projects in 147 countries and more than 800 million square meters of construction space. USGBC reports projects reduce energy and water bills by as much as 40% and increase property values. That type of momentum is going to keep growing and I expect we will be seeing it touch our working and living environments everywhere people want to build smart, save energy and reduce cost. What’s the best choice for your project? It will be a considerate evaluation of the occupancy and the predisposition of an ISO based business with international customer expectations or a leading edge company with a focus on local recognition. Either program can result in nice savings for the owner in the near term and for years to come.

A Silicon Valley Perspective on the Workplace Environment Q: What are the most significant changes you have seen in the last five years? What do you feel has been the biggest drivers of those changes? A: Since DES works closely with many types of companies across several markets, we have a unique perspective on the factors driving today’s workplace design. I’ve been intimately involved with design for over 20 years, and during this time, I’ve seen an important evolution of the work environment. Particularly, over the last five years, there have been significant changes to not only how we design interior spaces but also to the overall The allocation of space as well as the specific set-up, style, and size of individual workstations have been the most influential transformations. It goes beyond the traditional mix of open workstations versus closed offices. It’s about flexibility and how people work together. Square footage has shifted 34

BAY AREA building MANAGEMENT GUIDE WINTER 2013

from the individual’s workstation to the larger community of common space. As always in Silicon Valley, the drivers are about how quickly a company can bring their product to market and this shapes the specific space that supports the way that company functions. Q: What types of spaces have we seen? A: In our increasingly connected world, community spaces, from small touchdown areas to impromptu meetings rooms, are becoming more significant to companies and their culture—the drivers being casual collaboration and more intimate teamwork. This results in a desire for slightly larger floor plates than we have seen—with the average increasing from 25k to 35k in order to accommodate cross| continued on page 35 | functional teams.


Because more area is being devoted to community space, the size of an individual’s workspace has declined. Individual workstations are no longer high walled cubicles that promote privacy and solo work, but are now lower, more open, and connected for easy communication. Many tech companies are even going further with the idea by integrating benching solutions for additional density, increased flexibility and better communication. Beyond the flexibility of space, tech tenants are asking for flexible lease terms as well. This is evidenced by requests for early termination rights and/or options to expand, to be nimble with their ability to grow or shrink. While the landlord’s key desire is for solid, credit-worthy companies who are stable and mature. All of this making leases more challenging to negotiate. And of course there are often competing design considerations between tenants and landlords as well: tenants often want open ceilings, concrete floors, and an artsy aesthetic, whereas the landlord wants to make sure the improvements add value to their building over the long-run. Q: What trends do you see in the workplace? Do you think they are specific to Silicon Valley? A: The gross square feet per person is being driven down, due in part as you might expect, to the cost of real estate in Silicon Valley. Companies are choosing more community space over individual work spaces, which is an important trade off.

As a result of the denser spaces, we are paying more attention to acoustic issues and placing an added emphasis on maximizing day lighting and visual connectivity. Q: What trends are there with project delivery? How are projects being delivered differently today? A: Another trend has to do with speed of project delivery. DES is delivering projects faster than ever before — fast-track projects are the new norm. There is a new ethos of “just in time” for all types of business — architecture included. We are finding clients requiring tenant improvements with schedules that were unheard of three years ago, and we’re finding ways to deliver it. Primarily by teaming together, and creating an integrated project delivery (IPD) culture, regardless of whether or not a project is contracted that way. To deliver a project at the requested speed, the client, contractor, and architect need to collaborate, respect, and uphold their responsibility to the project. You can’t contract collaboration. If you are looking for your project to be delivered on an exceptionally fast schedule, find those high functioning teams who have experience working together, and get references on what it was like to be on their team, then listen to their advice, and let them guide you. Q: What problems are associated with the trend towards increased density? A: Historically, traditional planning density has been 220+sf per person, but growing software companies often have just 150-sf per person or less. We’ve found that increased density creates some recurring issues. For the tenant, needing to spend their TI dollars on additional restrooms, upgrading the facility to meet life safety code compliance, and parking insufficiencies. For the landlord, building wear and tear, increased traffic, and the roofs capacity to house additional mechanical equipment. Q: How do you see generations (and personalities) affecting workplace? Any advice for companies embracing new trends? A: Silicon Valley’s workforce is clearly shifting towards a younger demographic and the workspaces are reflecting that change, but not without difficulties—as people can sometimes be 36

overwhelmed by change. If you are planning on changing the way your company works, such as moving toward an open, low panel, or benching solution, I think it helps to develop a strategy for assisting employees in the transition to this new working style with as little discomfort as possible. As part of your strategy, consider creating engagement teams—people who are the natural communicators in your office—and give them control over some aspect of the project. Let them know what they can affect and what they cannot. Q: Any predictions for the future as far as workplace? Any ideas or thoughts on where we are going? A: Predicting the future of workplace design is nearly impossible, yet what is more clear to our interior’s team and myself is that workspace design will continue to evolve rapidly. Businesses are iterating and adapting faster than ever due to the increasingly fast-paced, technology-infused nature of work today. This pushes forward the design of spaces as it mirrors the changing needs of companies and their employees. Many of the current trends will continue for the foreseeable future. With more shared, multi-purpose, and flexible, adaptable spaces, companies are embracing a team approach, with mobility in mind, where employees can easily communicate and work collaboratively. T

he building will be set close to the street edge at the intersection of North First and East Tasman Drive, with cafes and a Samsung expo at the corner. The design includes a white metal, glass and terracotta exterior; a parking structure covered in a folding green colored wall; and courtyards that include fitness facilities, artwork, and cafes – some of which will be open to the public. The tower, with it’s height and unique form, will create a powerful brand image for Samsung. The tower will house 2,000 Samsung employees and will be divided into two sections: R&D and sales. A courtyard will connect the building together, creating a central gathering place. In a rarity for high-rise workspace, each Samsung employee will be no further than one floor away from green space. Amenities such as grab-and-go dining facilities and a fitness center will also be centrally located. The headquarters will also be a highly energy-efficient building. For example, a rooftop solar array on the parking garage will provide renewable energy; the tower’s façade is designed to reduce solar heat gain, which reduces energy costs related to cooling a building; clear glass will allow natural light deep into the floorplate; and trees and water features provide connections to the environment.
