With only 3 days left until the 3rd IPSF Executive Committee meeting starts, 10 days until the Leaders in Training pre-congress event takes o, and 2 weeks until all of you are here, the Executive Committee can no longer restrain from getting into the congress mood.

While all the merchandise, beautiful postcards and stickers are arriving to the IPSF Headquarters, I wish you a good read of this last pre-congress booklet. Do not forget to prepare your passport, visa, special clothing for the social events and best of all yourselves in an equally good mood to share in this remarkable annual event. Everything that you may need to know before your arrival can be found in this booklet, but the Reception Committee and the Executive Committee remain available at your convenience. UPON ARRIVAL AT THE CONGRESS

Registration for Participants

The congress is finally there, you have had your trip from somewhere in the world to the beautiful Utrecht in the Netherlands. The only thing standing between you and the congress is the registration at the Information Desk in de Dining Hall at University College Utrecht (UCU). To make the registration as smooth as possible we will ask you to bring and keep on hand the following: -

Your passport/ID-card Exact amount of money: (€50,- deposit & your transfer difference) Your wide smile :-)

During registration you will receive the following: -

XS-card (to enter the dorms) One room key per room Congress bag Name badges & wristband (Please wear this throughout the congress. We only allow participants with name badges and wristbands to enter the venues.) Congress T-Shirt

Registration for Official Delegates There is a special Registration Desk for Official Delegates (only for Official Delegates), please go there and keep your passport and exact amount of money on hand. Auction items can be handed over at this registration desk as well. Official Delegates are asked to go to the Lounge Room immediately after registration to have an interview with the IPSF Executive and receive the Congress Folder. One folder per association will be handed out.

Registering for Workshops Registering for workshops will be done via our phone/tablet app ‘IPSF2013’ or through our website (www.ipsf2013.org). Take a look at page 19 for more information about this.

Food and Opening Ceremony Please be aware that the first meal will be served at 16:00h. Before that time you will need to arrange food yourself. The first buses to the Opening Ceremony will depart at 18:00h. PAGE 5

First of all, you need to read the IPSF Official Documents. Additionally: -

as a Contact Person, please read the CP handbook carefully. You should also befamiliar with the Congress Folder and any documents relating to the Congress. as a Student Exchange Officer, please revise the SEP Official Documents. There will be SEO workshop where problems from this past year and their possible solutions will be discussed. as an Official Delegate, please get familiar with any materials related to the Congress you will receive in advance.

Voting rights can only be given to Full Members if the credential forms are submitted before the deadline and the original signed hard copy of the form is brought to the Congress and given to the Secretary General! In case you have not received the blank credential form yet, or if you are unsure about the procedure, do not hesitate to contact the IPSF Secretary General via secgen@ipsf.org. International evening and auction If you need music for your act for the international evening, please deliver this in mp3-format at the information desk on the UCU before Monday August 1st 20.00h. First come, first served on the international evening! The duration of the act for the international evening has a limit of four minutes. Please deliver the auction items at your registration on July 30th with your name and country. There will be an Official Delegate´s Interview and reception on Day 0. These meetings are to get to know each other and the IPSF Executive a little better and to prepare for the GAs.

THE GENERAL ASSEMBLY The IPSF General Assembly is the heart of the Federation. The General Assembly (GA) is the highest decision-making body of IPSF and consists of a meeting of the IPSF members with the Executive of the Federation. Exclusively, during the GA you, as member of IPSF, have the opportunity to transpose the opinion and ideas into official changes of policies and working statements of the Federation. The IPSF Official Documents give guidance to the Federations’ structure and procedures. They are sort of “IPSF law” and therefore has to be obeyed by the Executive, Officials and all the members of the Federation. Only the Official Delegates (ODs) of the IPSF Full Members have voting rights in the GA. The IPSF Members in Association and Individual Members do not have voting rights but are recommended to participate in the discussions. A motion is a proposal coming from the members or the Executive that will be presented for discussion during the GA. A motion suggests and/or approves projects and the direction that IPSF will follow regarding a particular point that has been discussed earlier. As well, they are used to amend and/or approve documents. If a motion is approved, it is mandatory for the Executive to make sure that its content is put into action. All congress participants have speaking rights during the GA and are encouraged to participate. You are invited to join the GA of the IPSF World Congress 2013 and contribute to the discussion! What is on the Agenda? The Agenda includes applications for membership of IPSF, Annual Reports of Executives and Committees, the Budget for the following year, the IPSF Annual Report, Motions to change the IPSF Official Documents, Future Congresses, Elections of the Executive and Honorary Life Members, Appointment of the Sub-committees and any other business brought to the table by Executives or members. Scrutineers – Do you want to help? At every GA session two Scrutineers have to be present. The Scrutineers help the Executive and Motions Committee to ensure the GA runs smoothly. This means for example assisting in passing on microphones, handing out voting cards and counting votes. The Scrutineers are appointed by the GA. If you want to be a scrutineer in one or multiple GA sessions, let the Executive know!

PRACTICAL INFORMATION Airport pick-up service When arriving on the 30th of July on the Amsterdam Airport Schiphol, you need to go to the ‘Meeting Point’. This is a big red cube in the middle of the arrival hall of the airport (see picture). Here people will be waiting for you and will guide you to the buses. As we have limited buses which will drive only a few times, it might be possible that you have to wait a while to get to the UCU. If you have not sent us you flight details, please do so before the 22nd of July. If you arrive earlier than the 30th you can either take the public transportation to the UCU, or come back to the airport and take our transportation if there is space in the buses. However, we can not guarantee the most convenient time, as buses may be full. If you arrive on any other date or at another place you will have to go to the UCU by yourself. However, we can assist you on getting there via this link. There will be no lunch on the 30th so please arrange this for yourself. LIT LIT participants will be contacted and will receive important information directly from the LIT coordinator. Deposit, cash and other money issues The deposit for your room in our congress accommodation is €50 per person. This will be handed in during the registration process on the arrival date, so be sure to bring this amount of cash with you for the deposit! If there is no damage to your room at the end of the congress, you will get the deposit returned to you. When you lose your congress badge or any other material we handed out to you, we can arrange new items for you upon payment of a small amount in cash. The RC advises to bring at least €100 in cash. ATMs can be found close by the congress accommodation and all around the city. Credit cards such as Visa and MasterCard/Eurocard are widely accepted, as well as cash cards that access the Cirrus network. Smoking and drugs policy IPSF always enforces a strict non-smoking and drug-free policy and there will be no difference at this World Congress. In the Netherlands, smoking is prohibited in public buildings as well as in bars and restaurants. This also accounts for the accommodation and all congress venues. Those of you who crave for nicotine will have to take their cigarette outside. Drugs are not allowed at all at the congress. CALL FOR MEMBER ASSOCIATIONS’ POSTER EXHIBITION IPSF member associations have the opportunity to present their association to world! This exhibition will take place parallel to the Educational Symposium. The exhibition aims to enhance the mutual exchange of ideas between IPSF member associations and to motivate newly joined members to learn from the oldies. To take part your association should prepare a poster in A1-format, print it and bring it to the World Congress. The poster shall consist of different activities and the association’s involvement in IPSF. Be creative and think about the potential points that your association has! Please apply by sending an email to: internal@ipsf.org before the 20th of July.

ONLINE SUBSCRIPTION FOR SESSIONS Workshops and trainings registration Registration for workshops can be done via the smartphone/tablet app ‘IPSF2013’ and will be launched in the upcoming weeks. or via our website www.ipsf2013.org. For this you need to use the e-mail address you used to register for the 59th IPSF World Congress. You can subscribe for only one workshop in a time frame. Each day from 07.00 – 21.30 h you can subscribe to the workshops for the next day. So on Day 0 (Arrival day), you can subscribe for the workshops on Day 1, on Day 1 for Day 2, etc. If you do not register for workshops we cannot guarantee a place for you in this workshop. Furthermore, the programme and emergency information is accessible offline. Detailed information about workshops and enrolment for workshops can be found on the app as well. If you made a mistake with registering for a workshop, you can change this at one of the information desks. If you do not have a mobile phone or an internet connection and cannot register for workshops online you can either use one of the computers at the Locke Building (UCU) or the David de Wied Building (De Uithof ). If you encounter any problems, please go to the information desk for help.

Opening Ceremony This will be the official start of the congress, when the IPSF President will open the congress in the Dom Church. After the opening speeches you can listen to pianist “Xavier Boot”, while having a drink and appetizer in the Academic Building next to the Dom Church. Official Delegates of the member associations will be introduced and receive their flags during the Flag Ceremony.

Neon Lab Coat Party Bring your neon stuff with you for the Neon Lab Coat Party! You can introduce yourself to the other congress participants while painting a neon message on their back or decorate yourself with neon paint. Your creations will be illuminated by the blacklights.

Casino Royale Party Be like James Bond and play roulette and blackjack for fun. This way you will also support the IPSF Development Fund. Rather be a Bond girl? There is also the PAGEto12 possibility dance or drink a cocktail at the bar.

SOCIAL EV


International Evening Bring typical food and (alcoholic) drinks from your country with you to give an impression of your culture and discover the culture of the other countries. During this evening you can also join in the acts from different countries.

Underwater World: ‘Will you find your Nemo?’ The helping committee will also organize a theme party for you! The theme of this evening will be ‘Underwater World: Will you find your Nemo?’ Put your swimming trunks and your snorkel on and bring your inflatable crocodile with you to the party. This party will definitely bring the summer to the congress!

VENTS Dutch Day This will be an active outdoor day! After the typical Dutch bread lunch at the location you will learn something about the Dutch culture during several sportive activities where collaboration is the key of success. Beside the sportive part you will also get some information about the famous Dutch water line. After the activities there will be a typically Dutch dinner.

Auction During this evening special items from different countries will be auctioned. You can bid on the presented items and the proceeds of the auction will go to the IPSF Development Fund.

Ramadan-Arabian nights To celebrate the ninth month of the Islamic Calendar we will commemorate the end of the Ramadan together. At this evening you can get familiar with this Islamic tradition. Together we will symbolically break the fast and celebrate the start of Eid al-Fitr. Experience the real feeling of 1001 Nights and dress yourself like Aladdin or a real Persian princess. Bring your traditional costumes, shisha, typically ‘Eid’ food and decorations with you to have a successful evening!

Gala evening Everything comes to an end. Unfortunately also the 59th IPSF World Congress. We will end this great congress with a nice gala dinner and afterwards you may dance PAGE 14

and drink until the late hours at this spectacular evening. So put on your gala outfit and enjoy the most expected night of the congress!

POST CONGRESS TOUR INFORMATION

Post Congress Tour committee The Post Congress Tour committee consists of six people: From left to right: Eline (secretary general), Romain (commissioner), Mariëlle (chairperson), Jordi (commissioner), Ilona (commissioner) and Bas (treasurer). We are all very eager to organize the Post Congress Tour and we are looking forward to meet you all!

Actual number of participants The actual number of PCT-participants is 44. There will be students from all around the world: Canada, Taiwan, Japan, Ghana, Malaysia, etc.. It will be a real mix of cultures and traditions! We expect you to be respectful to “other” habits, traditions and cultures. Itinerary We have prepared a very nice week for you, with a mix of culture (Dutch traditions), physical activities, relaxing and of course visits to cities like Amsterdam, Eindhoven and The Hague. You can check the last updates regarding the itinerary on the IPSF2013 website. The PCT committee advises you to bring some comfortable walking/sports shoes and not to drink too much alcohol, as we will have a busy schedule. PAGE 16


Money issues Accommodation, transportation, three meals (breakfast, lunch and dinner) and almost all entrance fees are included in the fee. On Sunday (3rd day), you will have some free time in Amsterdam, so you may need some money to go to a museum (approximately 20 euros) or do other activities. The free afternoons are also not included. We advise you to bring at least €100,- cash in total. Students often get discount when showing their student’s card, so bring it with you! The Netherlands is a really nice and fun country, but is not very cheap. ATMs can be found all around the cities. Credit cards such as Visa or Mastercard/Eurocard are widely accepted. You will receive the congress deposit (€50) after the PCT. Accommodation and transportation We arranged three hostels: in Amsterdam, in Eindhoven and in The Hague/Scheveningen. In each hostel, we will stay for two or three nights. You don’t need to bring bedlinnen, but you should bring some towels. As you may expect, there are some rules: don’t smoke, don’t drink alcoholic beverages, don’t use (hard)drugs and don’t damage things in the rooms or in the hostels. We will use the deposit of the congress also for the PCT. If there is no damage at the end of the PCT, you will get the deposit returned to you. For transportation around our beautiful countryside we arranged a bus. The same rules apply for the bus! In Amsterdam, you can also use the city busses or trams (these are on your own costs). Weather The maximum temperature in the Netherlands in August will be around 25°C. As the Netherlands has a temperate climate, there will always be a chance for cloudy weather or rain. We would recommend you to bring sunglasses, a raincoat, some warm clothes and an umbrella. Just to be sure… Last day On the 16th of August, the tour will end. We will have breakfast in our hostel in The Hague/ Scheveningen. Hereafter, the bus will bring you to Amsterdam Airport Schiphol, where we will arrive around 12.00 pm (noon) . At Schiphol, you can also take trains to cities all over the country, or to Antwerp, Brussels, Paris and Berlin. You can have a look at http://www.nshispeed.nl/en Pre-PCT workshop On the last day of the IPSF Congress, there will be a mandatory (for PCT participants) pre-PCT workshop. During this workshop, you will get the PCT booklet, some more information about the programme, some practical issues , you can meet all the other participants and we will introduce ourselves! PROFESSIONAL DEVELOPMENT EVENTS Patient Counselling Event (PCE) The PCE gives students the opportunity to compete against each other in patient counselling. The PCE aims to demonstrate the importance of pharmacy counselling skills, increase awareness of pharmacists as public educators, and to encourage and promote the development of the pharmacy profession.

Clinical Skills Event (CSE) The CSE was created to encourage pharmacy students to develop their clinical problem-solving, verbal and written communication skills, and to promote the role of the pharmacist in patient care. CSE focuses on helping you to use your clinical knowledge to solve and to improve your patient’s drug therapy.

Compounding Event (CE) During this years’ congress there will be an opportunity to become the first ‘Worlds’ Best Compounder’! This new event will reflect the formulation/ compounding work that pharmacists do in their practice and will consist of an introductory workshop accessible for all congress participants and an actual Compounding Competition!

Note: If you want to apply for these competitions you will need to attend the preparation workshops in the first days of the congress! PAGE 19


OTHER INFORMATION Public transportation Participants will be transported by buses in the morning from the accommodation to the venue and back in the afternoon. For other official events the organisation has arranged bus transportation as well. If you want to explore the city of Utrecht yourself, you can use public transportation. Utrecht has a good bus system: buses will bring you to every part of the city. The venue can be reached perfectly by public transportation. To pay for the bus you need an ‘OV Chip Card’. They are for sale at the city bus station, the railway station, and the post offices. You can also buy a ticket in the bus for €2,60. The bus that is shuttling between the UCU and the city centre is bus number 4 (direction Burgemeester Fockema Andrealaan). Facilities Sports At the UCU campus there are several sports facilities: fully lit football court, badminton court, basketball court, table tennis table, foosball table. These are all near the Dining Hall and you can ask for balls and other materials at the information desk. There is a large park on walking distance of the UCU, the ‘Wilhelminapark’. This park contains a basin (no swimming allowed) and several lawns where you can lounge and play football, volleyball, Frisbee or…. If you go there you have to bring your own sports materials. Computers During the congress you are able to use computers at the UCU in the Locke Building. If you want to use the computers you can go to the information desk at the Dining Hall. The organisation will open the room for you. If you want to use computers at the Venue (De Uithof ) you can go to the information desk at the Educatorium, they will give you log-in information. You can find computers PAGE 20 in the David De Wied Building at the first and second floor study landscape.

It is costumary in the Netherlands to wear formal clothes to events such as Symposia, but also the GAs. At least €100,- cash €50,- cash deposit money and your transfer difference As described in the previous newsletter (found here) we will need a deposit for the rooms when registering at the congress. If there is no damage to your room at the end of the congress, you will get the deposit returned to you. Gifts for the RC Two towels are included in the bedlinnen and can be found on each bed. Only for PCT Participants: You do need to bring towels for the PCT.
