Following our last whole-school inspection by the Independent Schools Inspectorate in March 2025, we were accredited with meeting or exceeding every statutory standard. Inspectors also awarded the school a coveted significant strength, for the way we interweave exceptional pastoral care with a dynamic enrichment programme, noting that “pupils of all ages develop their independence, intellectual curiosity, creativity, and socialisation particularly well.”

Introduction to Year Group All pupils register in classes with their Form Tutor. The tutor supports their tutees both pastorally and academically and will be the first port of call for parents. Heads of Year, Mr Everest (Y3-Y6), Mr Ray (Y7) and Mr Davis (Y8), have academic oversight of pupils’ academic progress and work with the Deputy Head Academic, Mrs Roberts, who oversees all academic provision in the Prep school. Tutors and Heads of Year work alongside the Housemasters and Housemistresses and with the First Deputy Head, Mr Marshall who oversees all pastoral matters, to support pupils as they move through the School.

Children enjoy their own dedicated area of the school, allowing us to provide the right level of support and care as they begin their journey in the Prep School. Class sizes typically range from 14 to 17 pupils. The Form Tutor takes their Form for several subjects, but others are delivered by subject specialist teachers such as Sport, Modern Foreign Languages, Design Technology, Music, Computing, and Drama.

Pupils have one PE lesson, and two Games lessons per week. Pupils in Y4 are set in ability groups for Maths.

Class sizes typically range from 15 to 20. Pupils are set in ability groups for Maths and English. They go to other subjects, such as Science, Geography, History, Design Technology, Food Technology, Computing, Music, Art, Drama, PSHE, French, and RS in their mixed ability Form Groups. Each week, pupils have one PE lesson and two sports sessions.

Our lunchtime supervisors oversee the children at lunch in the Monastic Barn and during breaktimes.

Movement to and from the Monastic Barn is supervised at all times.

Pupils are escorted by teachers to lunch in the Monastic Barn and return in groups. We recognise that they are completing the final two years of primary education. Their experience is therefore carefully tailored to reflect this, offering increasing independence while maintaining strong pastoral support.

Years 7 and 8 Pupils in these year groups have now entered their secondary phase of education. Within the Prep setting, their experience is shaped to reflect the responsibilities expected of the most senior pupils, supported by pastoral guidance appropriate to their stage of development. Academically, they are working within Key Stage 3.

Pupils are set for subjects and taught by specialist teachers, including several who work across both the Senior and Prep phases of the school.

As pupils progress through the Prep, they are offered increasing opportunities to grasp responsibility, and there is an expectation that they manage their daily routines with growing independence. In line with their age, they walk in groups to and from lunch without direct supervision.

Games sessions and fixtures take place on Wednesdays, with an additional dedicated coaching session on Friday afternoons. Some fixtures are also scheduled for Saturdays.

Introduction to the Houses Every pupil in the Prep is a member of a House. The House system provides each child with a smaller community within the school, fostering a strong sense of belonging and encouraging friendships across year groups. It is an integral part of the pastoral support offered. Houses meet weekly and participate in a variety of competitions and events throughout the year.

Each House is led by a Housemaster/Housemistress (HsM), who plays a key role in overseeing the pastoral care and personal development of the pupils in their House.

Beginning of the school day Arrival

Registration

The school opens at 08:00. We are unable to supervise pupils before this time. Pupils arriving shortly before 08:00 should wait outside the main entrance.

Morning registration takes place in form rooms from 08:25 to 08:40.

For families who need to drop children off earlier, we offer a breakfast club at a small additional charge.

Pupils using this service may be dropped off at Priory House from 07:15, where they will attend breakfast with the boarding community, before being escorted to school. Parents are asked to book this service in advance with Mrs Hughes at NikkiHughes@kingsely.org.

On arrival, pupils go to the following areas: • Years 3–4: The Courtyard • Years 5–6: The Paddock area • Years 7–8: The tennis courts The school day begins at 08:25.

If you need to speak to a member of staff after drop-off, please park in the Barton Road car park opposite the school exit, as parking on site is often extremely limited.

Late arrival Pupils arriving after registration must sign in at the Prep School reception.

If your child is unable to attend school for any reason, such as illness, it is essential that you inform Claire Robbins (01353 660730) or complete the online absence form via My School Portal: www.kingsely.myschoolportal.co.uk If a pupil is absent and we have not received notification, we will contact parents to confirm the reason for their absence.

All road crossings are supervised by a member of our Custodian team. Pupils must have a coat available each day, as we walk to lunch in all weather conditions!

A range of lunchtime activities is available for all year groups, and older pupils may also have practices or rehearsals during this time.

Afternoon Session Afternoon school begins at 13:05.

Pupils in Years 3 and 4 have a scheduled afternoon break.

Pupils in Years 7 and 8, who have an additional lesson, are given some flexible time during the afternoon to use the toilet.

Once pupils have left the school campus at the end of the day, they should not return without permission. If your child is to be collected by someone other than the usual adult, please inform the Form teacher in advance.

We kindly ask parents to observe the no-parking areas and to avoid leaving double-parked vehicles unattended. If you need to collect your child at any other time during the school day, please report to Reception. For safeguarding reasons, we ask that parents do not enter the building without signing in at Reception.

At the start of the school year, you will be asked to confirm whether your child will regularly walk home independently, cycle, or travel by train, so that we can keep accurate records and support their safe journey home.

End-of-Day Arrangements Years 3 and 4 - Teachers escort their classes to the Reception front door, where they are handed over to parents or the designated adult collecting them.

Years 5 and 6 - Those pupils leaving at 15:45 are led to the New Block exit (ramp) and meet with their parents. Those with permission to do so can walk home independently having notified their teacher.

Years 7 and 8 - Lessons for Y7 and 8 finish at 16:30 (15:45 on Wednesday unless in a fixture). At this stage of our school many

more will walk home independently or make their way to the train station, in addition to those picked up at school or on the school bus. Year 7 and 8 are expected to inform their form teacher of their End of Day arrangements each day. Collection should only be from the front of the New Block or Main Reception, not elsewhere on the school site. Pupils may leave at 16:30 or 17:20 depending on whether they have a club or are staying for Prep. We do not allow pupils known to be leaving school at 17:20 to leave the site during Prep time and return.

Supervised Prep, Enrichment and Activity Sessions (Years 3-6) Supervised prep, enrichment, or activity sessions run from 15:45 to 16:25.

Pupils may stay for supervised after school care until 17:20.

All KS3 activities run from 16:30 to 17:20.

Supervised Prep, Enrichment and Activity Sessions (Years 7-8) Pupils not involved in activities or team practices may attend a prep session from 16:30 to 17:20.

If you need to collect your child during this time, please go to Reception.

Unless a specific arrangement exists for activities run by external providers, pupils staying after the end of the teaching day can be collected from outside the link area between 17:20 and 17:30.

School Buses Pupils travelling home by minibus should go to the minibus area in time for departure at 17:30.

Further details about bus arrangements can be found on page 18 of this booklet.

Late Collection and After-School Care If a child has not been collected by 17:30, they will be taken by a member of staff to the Monastic Barn, where they will join the boarders. Parents may collect their child from the Monastic Barn or 12

Priory House once the boarders return from their supper.

If you know in advance that your child will need to stay beyond 17:30, they are welcome to join Priory House for supper. Please note that there is a small charge for this service, and parents are asked to book in advance by emailing Mrs Hughes (Priory HsM) at NikkiHughes@kingsely.org.

All pupils should be collected from Priory House by 18:30.

Activities Programme We offer a varied and engaging activities programme for pupils in Years 3–8. Most after-school activities run from 15:45 – 16:30 for KS2 and 16:30 to 17:20 for KS3 pupils, with a small number available earlier for our younger pupils.

Activities led by King’s Ely staff are provided free of charge, although places may be limited for certain activities. Those activities delivered by external providers may incur a fee. Full details of the programme are sent out at the end of each term ahead of the new term.

After activities finish, pupils should wait in the link area, where duty staff or the activity leader will supervise them until they are collected.

Some activities may run beyond 17:20. In these cases, specific collection arrangements will be communicated directly by the member of staff or external provider leading the activity.

Communication We value strong communication between home and school, and there are several ways for parents and staff to stay in touch.

Pupil Planner (Years 3–6) For pupils in Years 3–6, the Pupil Planner is an important tool.

Pupils use it to record their prep, and both parents and staff may write messages in it as needed.

Email Staff check their emails intermittently during the teaching day. We will respond to emails in the working week as swiftly as possible.

KingsPost Most letters and bulletins are sent via KingsPost, the King’s Ely email delivery system. Please ensure the school office has your up-to-date email address. KingsPost messages are usually sent on Tuesdays and Fridays, except in exceptional circumstances.

Text Messages When appropriate, for example, to confirm the arrival of a residential trip or to notify you of a significantly delayed sports team, we may send an SMS update. Please ensure that we have your current mobile number.

Almanack The Almanack is an important whole-school resource detailing daily routines, school rules, and key dates. It serves as an essential reference throughout the academic year. A printed copy is sent home with each pupil, and an electronic version is always accessible via MySchoolPortal and also on SOCS.

Prep News This weekly newsletter, also sent via KingsPost, celebrates weekly events and news within the Prep School and highlights upcoming activities.

SharePoint (Years 7 and 8) Pupils can access prep tasks on the school’s learning platform: www.kingsely.sharepoint.com/sites/ke-home My School Portal and School Website My School Portal (www.kingsely.myschoolportal.co.uk) provides parents with secure access to academic reports, attendance records, rewards, and sanctions, as well as school handbooks and correspondence. We have also recently launched an App (which can be found on your preferred app store by searching ‘Access My School Portal’), making it easier for you to stay up to date with this important information directly from your phone.

The school website also contains a wealth of useful information.

School Sport Website (SOCS) All scheduled sports fixtures can be viewed on our dedicated sports website, SOCS, at kingselysport.org. Here you will find full fixture details, including locations and key timings. Team selections are also published on SOCS and can be accessed using a password that will be shared with families at the start of the year. Any cancellations or changes to fixtures will be updated on SOCS and communicated to parents by email. Pupils can also view team selections on the display screens located within the school.

Communication and Meetings with Staff While Parents’ Evenings offer a formal opportunity to meet your child’s teachers, staff are always happy to arrange additional meetings to discuss any aspect of your child’s progress or wellbeing. If you would like to speak with a member of staff, please contact the school office so that a convenient time can be arranged.

Important additional information Absence If your child is going to be absent due to illness, please inform the School Office on 01353 660730 or email absentees@kingsely.org, ideally before 08:25.

Permission for absence, for reasons other than illness, is not normally granted unless a written request is made to the Head of Prep, well in advance. We ask that requests for non-medical absence are made only when the reason is particularly urgent. The school strongly discourages pupils from being taken out of school during term time for family holidays.

Please note that if your child has been vomiting, they must remain at home for 48 hours (two full school days) after the last episode before returning to school.

Academic Matters Reporting to Parents Throughout the academic year, you will receive regular updates on your child’s academic progress. This formal feedback is provided through Grade Cards, Assessment Results Cards, Parents’ Evenings, and a full end-of-year Report.

A schedule of these reporting points will be available from your child’s Head of Year.

Grade Cards Pupils receive Grade Cards at regular intervals throughout the year. These provide an overview of both Effort and Attainment, and tutors discuss the grades with their pupils, setting targets where appropriate.

For pupils in Years 3 and 4, Effort grades are shared with pupils, while Attainment grades are reported directly to parents.

For pupils in Years 5–8, tutors review both Effort and Attainment grades with their pupils.

Attainment grades are awarded in: • English • Maths • Science (Years 5–8) • Modern Foreign Languages (MFL) (Years 7–8)

If a pupil is likely to receive a Below Expectation grade, parents will be contacted beforehand. Staff will explain the areas where improvement is needed and discuss the next steps with both the pupil and their parents. Pupils who achieve the highest Effort Grades in each year group receive a letter of congratulations.

In Lower Prep (Years 3-6), Attainment descriptors used are: • Excellent • Good • Acceptable • Working Towards These grades reflect classwork and the teacher’s ongoing formative assessment.

Attainment Grades in Upper Prep (Y7&8)

Setting

In Years 7 and 8, Attainment Grades for English, Mathematics, Science, and Modern Foreign Languages (MFL) are reported using the stanine format. Pupils at King’s Ely are expected to achieve an average stanine of 4 or above.

Pupils are placed into sets according to the composition of each year group. During the Michaelmas term, these groups remain flexible while staff establish the ability profile of individual pupils.

Sets typically have a maximum of around 20 pupils, with smaller groups for those who are working towards expected levels.

If a pupil’s stanines fall below this threshold, parents will be invited to meet with key staff to discuss how the school can provide additional support and help their child make effective progress.

In Lower Prep (Years 3-6), pupils are set for Maths and English only.

In Upper Prep (Years 7-8), settings become more complex, as some subjects are linked, and grouping decisions take multiple factors into account.

Pupil progress is monitored closely. If staff feel that a pupil would benefit from moving to a different set, parents will be informed and the change will be discussed with you.

Homework/Prep All pupils are encouraged to read regularly at home, as well as practising their times tables.

In Years 3-5, pupils will be set a weekly Maths and English task. These can be completed in small sections across the week or at a time that best suits your family routine.

Pupils in Year 6 will receive subject-specific homework in line with their homework timetable. These tasks are designed to consolidate or extend the learning taking place in class. Across Key Stage 2, pupils can complete a half-termly enrichment project linked to different areas of the curriculum. These projects are optional but provide a lovely chance for pupils to be creative.

In Years 7 and 8, pupils are set two thirty-minute homework tasks four times per week. A prep timetable is issued at the start of the academic year.

Parents’ Evening We offer the opportunity to meet teaching staff face to face via Parents’ Evenings at various times throughout the year. Some of these meetings are held in person and others on-line. These are key evenings for you as parents and highly valued by staff. Further details are sent via KingsPost.

Additional extras to pupils’ fees

Laptops (Easy4U) or BYOD - (bring your own device)

Each year, King’s Ely Prep offers a range of exciting trips and visits. If a trip is essential to the curriculum, its cost is included in the school fees (excluding spending money and any required equipment). Additional trips, tours, holidays, and residentials are optional and therefore charged separately. When booking, parents will either be asked to give permission for these charges to be added to their account or will be given BACS details usually via an electronic reply slip. Deposits for trips are non-refundable.

All pupils in Years 7 and 8 are expected to have a suitable device (such as a laptop) available to support their learning. Pupils will receive guidance on which devices are appropriate and the recommended apps for their chosen platform. Full details will be provided in a separate publication.

The school has a clear policy regarding late payment of fees.

If a fee account is in arrears, we are unable to confirm a pupil’s place on any trip until the balance has been settled. If you have any concerns or information to share regarding fee payments, please contact the Head of King’s Ely Prep or the Finance Office as early as possible.

Buses We offer a convenient minibus service to help pupils travel to and from school. This service is managed by Vectare, specialists in school transport, while all drivers are King’s Ely employees and the buses are owned by the school. You can book a seat online and find further information at

Chaplaincy and worship in Charitable fundraising at Ely Cathedral King’s Ely Prep Christian worship is an integral part of life at King’s Ely. We welcome pupils from all faiths, as well as those with no religious affiliation, and our Chaplain plays a key role in supporting the pastoral life of the school.

Charitable giving is an important part of life at King’s Ely. Each year, the school community comes together to support a chosen charity, and pupils may occasionally be invited to make a small contribution as part of themed events or fundraising days.

Ely Cathedral serves as our spiritual home, and Prep pupils attend weekly worship in the Cathedral. It offers a calm and reflective space for our community.

We also host dedicated fundraising activities where children can bring in a small amount of money to spend, such as the Christmas Fair.

Our School Chaplain is available to support all pupils, We are always pleased to hear about the charitable staff, and families. Each year, they lead preparation for initiatives your child has taken part in outside school.

Safeguarding

Counselling and Wellbeing

Safeguarding is our highest priority. Alongside robust Health and Safety procedures and strong site security, we are committed to meeting all statutory safeguarding requirements and ensuring that our practices remain rigorous and effective.

King’s Ely provides comprehensive wellbeing and counselling support for pupils who may benefit from additional support. Our Wellbeing Team offers early intervention through one-to-one support, targeted group work, PSHE sessions, and drop-in opportunities.

Our Safeguarding and Child Protection Policy is available on the school website and can be provided in printed form upon request. In addition to comprehensive recruitment checks for all staff and volunteers, the Head of King’s Ely Prep, together with Andrew Marshall, Laura Roberts, and Olivia Petherick, serve as the Designated Safeguarding Officers for the Prep School. They maintain all required records and liaise with external agencies when necessary and meet weekly with the whole school Safeguarding Lead, Charlie Fisher.

If you have a safeguarding concern, please contact one of our Designated Safeguarding Officers in the first instance.

Pupils can seek support for a wide range of issues, including emotional regulation, anxiety, friendship challenges, transitions, and sleep. Where appropriate, the team works closely with parents and carers to ensure a coordinated approach. Referrals may be made by parents, staff, or peers.

When counselling is required, pupils may meet with one of our three qualified school counsellors during term time. All counsellors are professionally accredited. Parents may refer their child directly, provided the support has been discussed and agreed together. For further information, please contact lucytaylor-dixon@kingsely.org . If a referral is made by a member of staff, the service will contact parents to explain the process.

Counselling sessions are usually held weekly, lasting 40–50 minutes depending on age and are confidential. Parents are invited to contribute to the process through a questionnaire and are required to complete a consent form. Once these documents are returned to lucytaylor-dixon@kingsely.org and a space becomes available, a counsellor will be in touch to arrange an appointment.

Pupils may access up to six counselling sessions per academic year free of charge. If further sessions are recommended, the counsellor will discuss this with you, and additional sessions will be charged.

Damage to and loss of school property Any damage to school property resulting from inappropriate behaviour will incur a charge. Lost school equipment or Library books will also be subject to a replacement fee. Parents will be notified in advance of any charges.

Pupils in Years 3–6 are issued with a Pupil Planner. If a planner is lost or defaced, a replacement will be provided at a cost of £5.

Driving on the school site and parking Please take great care when driving on the school site. The speed limit is 10mph and is monitored by CCTV. Although we have made several improvements to support the flow of traffic, the safety of our pupils must always come first. To reduce emissions and protect children further, please switch off your engine while waiting.

We ask for your support in keeping all pupils safe by using only the designated parking bays. Drop-off areas should be used solely for quick drop-offs and collections. At busy times, please do not wait longer than necessary for your child to get in or out of the car.

Please do not park in the drop-off bays.

Many parents find the free parking in Barton Road car park opposite the School Field a convenient option for drop-off and collection.

Disabled parking bays are reserved exclusively for blue badge holders. Using these spaces without a badge can cause significant distress to those who rely on them. Please also be mindful that electric vehicles are quieter than conventional cars, making them harder for pupils to hear approaching.

Equipment All personal belongings must be clearly named. If clothing or equipment goes missing, your child’s form tutor should be the first point of contact, although older pupils are expected to conduct a thorough search beforehand.

Games bags are available from our uniform supplier, www.stevensons.co.uk. Please ensure that the bag is clearly named on the outside; each child will receive a house-coloured bag tag for this purpose.

We frequently find unnamed hockey sticks and cricket bats. As many pupils use similar equipment, clear labelling is essential to ensure items can be identified.

Valuable items are brought to school at the owner’s risk. Please ensure that such belongings are covered by your household insurance.

Storage of equipment, school and games bags and musical instruments • Years 3 and 4 - All other equipment and bags are kept in form rooms and in the Year 3–4 changing rooms.

• Years 5 and 6 - Pupils are assigned a labelled storage box for their books and folders. Year 5 pupils use a cloakroom for coats and school bags, while Year 6 pupils have pegs in their classrooms. Both year groups store their games bags near their changing rooms.

• Years 7 and 8 - Pupils are allocated individual storage spaces for books and school bags. Games bags and coats are stored in designated areas of the Link Area.

Stringed, Brass and Wind instruments must be stored in the Music cupboards within the music department.

Holidays in term time Holidays taken during term time disrupt children’s learning. They unsettle established routines that support pupils’ stability. For these reasons, we ask parents not to schedule holidays during term time. Such absences will be recorded as unauthorised. No additional work will be provided unless there are exceptional circumstances. All requests for absence should be sent to the Head of Prep.

Homework

Transition to King’s Ely Senior

A homework timetable is issued to pupils and parents at the start of each academic year.

While King’s Ely Prep and King’s Ely Senior have distinct, age-appropriate structures, they form one cohesive school community. Many staff teach across both sections, and pupils share a range of facilities. Because Key Stage 3 spans Years 7–9, pupils entering King’s Ely Senior are already familiar with many aspects of Senior school life.

• Years 3–5: Pupils receive one Maths and one English task each week. These may be completed gradually or in line with family schedules.

• Year 6: Pupils are set subject-specific homework according to their timetable, designed to consolidate or extend current learning.

• Years 7–8: Pupils complete two thirty-minute tasks on four evenings per week.

No homework is set on Wednesday evenings to avoid clashes with sporting commitments, though this time may be used for catching up when needed.

To support a smooth transition, pupils and parents are invited to visit King’s Ely Senior during Year 7, with a further formal visit offered in Year 8. Families are also welcome to arrange informal visits at any time to meet staff and explore the Senior school environment. Please contact us if this is helpful.

Trinity Speech and Drama Exams

Health and Wellbeing Centre

We are fortunate to be able to provide one-to-one lessons for pupils interested in improving their acting and public speaking skills working towards certification by Trinity College. Lessons are taught by former West End performer, Matthew Cammelle. Should you wish your child to have Trinity lessons, please contact him at MatthewCammelle@kingsely.org.

The Health and Wellbeing Centre is staffed by three qualified nurses and two healthcare assistants.

It is open to all pupils from 07:30 to 18:00 each weekday, with an on-call system operating outside these hours. A nurse is also on call over weekends to support the boarding houses.

Lost Property

The Centre works closely with a local GP practice in Ely. Boarding pupils are registered with this practice to ensure they receive appropriate medical care while living in the school community.

Lost property is overseen by our gap students. Please contact VickyJones@kingsely.org, and your enquiry will be forwarded to them.

• Years 3–6: Named items can be collected from the boxes next to the Morbey Hall.

• Years 7–8: Named items can be collected from beneath the plasma screen in the Link Area.

To help us minimise lost property, please ensure that all belongings are clearly and permanently labelled in an easily visible place.

Unnamed lost properties will be kept for a period of time before being displayed for a final check. After that it will be given to the Nearly New Uniform Shop, to charity or kept for emergency use.

At King’s Ely Prep, first-aid-trained staff may provide an initial response to minor injuries during the school day. More serious injuries are managed by the nursing team, and emergency services will be contacted when required. Minor illnesses are also assessed by the nurses, who will make every effort to contact parents or guardians if a pupil becomes unwell.

Mobile phones and use of school’s ICT equipment Pupils receive a Code of Conduct for mobile phone use and the Acceptable Usage of ICT Equipment policy.

These are included in the KS2 Pupil Planner and issued separately to pupils in Years 7–8.

Pupils are required to sign both documents to confirm their understanding of our expectations, which are designed to ensure their safety and wellbeing. We ask parents to sign them as well, reinforcing a shared approach to guiding and supporting your child.

Mobile Phones and ICT Parents who wish their child to bring a mobile phone to school must complete the annual permission form, including the phone number.

Phones must be handed to form teachers at the start of the day and collected from tutors at the end. They may not be used during the school day unless permission has been granted, and then only for routine communication supervised by a member of staff. Unsanctioned contact with parents during school hours can cause confusion and unnecessary stress, as staff may be unaware of developing situations.

If phones, email, or the internet are used to harm the reputation of any individual or organisation, including the school, we will treat this as a serious disciplinary matter and take immediate action, even if the communication occurred off-site.

Use of the school’s ICT systems is a privilege, and all activity can be traced. As technology evolves rapidly, we value parents’ partnership in ensuring pupils use ICT safely, sensibly, and in an age-appropriate manner. It is essential that children understand they should only communicate with individuals known to their parents. We reinforce that social media platforms have minimum age requirements—Facebook and WhatsApp, for example, require users to be 13.

Music Instrumental and Vocal Lessons We are proud of the strong musical tradition at King’s Ely, and we are delighted that so many pupils choose to take instrumental and vocal lessons. Their commitment enriches the life and ethos of the school. If you would like your child to begin lessons, please contact the Music Administrator, Mrs An nika Hakansson, at AnnikaHakansson@kingsely.org or 01353 653931.

Lessons are timetabled, where appropriate, on a rotational basis to ensure that no single academic lesson is repeatedly affected. All 35 instrumental tutors are listed in the Almanack, and tuition is available for all standard orchestral, band, and keyboard instruments, as well as voice, organ, and music theory. Some tutors are full-time members of staff, while others combine their teaching with work in other schools or professional performance commitments locally and internationally.

Most instruments are available to hire, including smaller sizes suitable for younger pupils. Pupils are responsible for knowing and attending their lesson times and should inform their class teachers of these commitments. As lesson time with tutors is valuable, we appreciate your support in helping pupils keep track of their schedules.

Performance Music and Instrumental Tasters All pupils in the Prep School receive a weekly classroom music lesson and a weekly ensemble session as part of our Performance Music programme.

Years 3–4 Pupils who already play an orchestral, band, or string instrument take part in the Year 3–4 band or string ensemble, developing ensemble skills through regular rehearsals and performances.

Pupils who do not yet play one of these instruments take part in weekly instrumental taster sessions. They try six woodwind, brass, and string instruments in small groups before selecting a preferred instrument for several free group lessons. They then join the band or string ensemble and work towards a performance.

Pupils may choose to continue with their selected instrument afterwards by committing to individual lessons. If a pupil wishes to pursue an instrument tried earlier in the year, this is also possible. Years 5–6 Pupils who already play an orchestral, band, or string instrument join the Year 5–6 band, rock school, keyboard, or string ensemble, continuing to develop their ensemble musicianship.

Pupils who do not play one of these instruments take part in a weekly ensemble carousel, including vocal and percussion groups. This programme builds ensemble confidence and broadens pupils’ musical skills.

Years 7-8 The Year 7&8 Creative Arts lesson takes place once a week during Tuesday Period 8. This is a wide-ranging offer and involves all pupils in Years 7 and 8.

Pupils who play an orchestral, band, or string instrument will participate in the Year 7&8 Band, Rock School, Keyboard Group or String Ensemble.

Other pupils will take part in music ensembles and a wider arts-based programme including groups such as: Percussion Ensemble, Dance, Drama, Art, Singing Group, Music Tech, Samba Band and a Podcast group, “Creative Curators”. Pupils usually take part in three of these groups across an academic year.

There are a number of performance opportunities across the year such as: the recording of a Christmas charity single, Showcase concert, Summer Celebration and performances at Ely Markets.

Extra-Curricular Groups & Performance Opportunities The school offers a wide range of musical ensembles, some open to all pupils and others by invitation. These groups provide additional opportunities for both vocalists and instrumentalists, and we also run clubs that support aural development and music theory.

Choristers receive enhanced, tailored theory provision.

The full list of ensembles is updated annually, published in the Almanack, and displayed around the school.

Throughout the year, pupils have numerous opportunities to perform. These include regular Cathedral services, concerts, the House Music Competition, the Summer Celebration, and a variety of informal platforms such as solo performance slots and our tea-time concert series.

We are proud of the strong singing tradition at King’s Ely. Pupils continue to develop their vocal technique and repertoire through regular singing in lessons, weekly hymn practice, and participation in Cathedral services, helping to sustain a vibrant and enthusiastic singing culture across the school.

We celebrate pupils’ achievements throughout the year with regular Certificate Assemblies and in House meetings. At the end of the academic year we hold a formal Prize Giving to recognise exceptional accomplishments.

Rewards

Expectations

Children are rewarded in numerous ways. Key focuses are quality of and approach to their work, effort, resilience, behaviour, politeness, helpfulness and for fulfilling the Prep School Values of Integrity, Confidence, Courage and Compassion.

The Prep School has 5 areas of daily focus that underpin our expectations of the children. We expect the following:

Rewards are given in a way that is appropriate for ‘age and stage’. In younger years, stickers and stamps are given along with prizes such as “Star of the Week” badges. In Years 7-8 recognition is more appropriate for their age and usually will be certificates.

House points are given as common currency for the areas listed above. These contribute to accumulative House Points, with the winning House receiving a yearly house trophy. If an action warrants significant praise, then a Good Result is given. Head’s Commendations are awarded by Mr Kibler based on recommendations from class teachers. HsMs, Heads of Year and Heads of Department can also give rewards to reflect their area of responsibility.

Sanctions and other matters relating to discipline The Prep School is introducing a new, tiered behaviour system designed to encourage pupil reflection and positive choice-making through age-appropriate support. The system focuses on internal "Conduct Marks" for low-level behaviours that persist after a verbal reminder, which lead to a supportive, informal breaktime meeting with a Housemaster/Housemistress if a pupil accumulates four marks in a half-term. This internal approach gives pupils a fresh start each half-term and allows them to take responsibility and resolve minor issues independently without routine parental involvement, though parents will be contacted if a consistent pattern emerges.

We believe in restorative justice and aim to move on from incidents as positively as possible for the good of all concerned.

Social Media

Visitor Badges

Parents and families are reminded that social networking platforms such as Facebook, Instagram, and X (formerly Twitter) are not appropriate forums for commenting on school matters. If you have a concern or complaint, please speak first with your child’s teacher or tutor. If the issue remains unresolved, you should then contact the Head of the relevant section or the Principal, John Attwater. Should you still be dissatisfied, you may submit a written complaint to the Chairman of Governors. A summary of the Formal Complaints Policy is available on the school website.

We appreciate your cooperation in wearing a visitor badge while on the school site. This simple measure helps us maintain a safe environment for all pupils.

Please be aware that any online conversation not protected by strict privacy settings is publicly accessible. Negative or critical comments on social media may constitute defamation, harassment, or libel, and individuals posting such content may face legal consequences.

We also advise parents not to upload photographs or videos of their child that include other pupils unless permission has been obtained from the parents of those children.

Pupil Leadership Each year, two Heads of House are appointed for each of the four Day Houses, and one Head of House is appointed in each Boarding House. These pupils also serve as School Prefects. They are expected to act as role models and undertake specific duties for their House and the wider school. Appointments are made following an application process reviewed by the Senior Leadership Team and the HsM. Early in the Michaelmas Term, additional Prefects are selected from Year 8 after an application process. These pupils demonstrate a strong commitment to service and leadership and are given key responsibilities.

All leadership roles require dedication and exemplary conduct. Pupils who do not meet these expectations may be asked to step down. Badges are issued to acknowledge the responsibility associated with these positions.

Sports Physical Education Programme Our Prep School offers a broad and structured Physical Education curriculum. Pupils take part in a variety of activities, including Athletic Development, Athletics, Gymnastics and Dance. Swimming is taught throughout all year groups.

Code of Conduct of parents at sports fixtures Naturally, our sports teams are prepared to try to win. It gives us great pride when we are victorious against other schools which are trying equally as hard to beat us.

However, we do not sanction a “win at all costs” mentality. The spirit in which our pupils play is of paramount importance to us. We want our children to play with a competitive attitude but their conduct must reflect well on themselves and the school. At any fixture, home or away, those playing and those supporting King’s Ely are asked to be mindful of the following:

1. The referee’s decision is final and not to be questioned. Without him or her, the game couldnot be played.

2. Inappropriate displays of support that are designed to undermine and intimidate the opposition are not acceptable.

3. Respect for players and officials creates a positive experience for all involved.

Off Games If a pupil is unable to take part in a sports session or activity for medical reasons, parents must submit an Off Games request via My School Portal. Pupils should not attend an Off Games session unless this procedure has been followed. For boarders, Off Games notes are issued by the Health and Wellbeing Centre staff or King’s Ely Prep Matrons. If a pupil is seen by the Health and Wellbeing Centre during the school day, medical staff may issue an Off Games note at their discretion.

Off Games does not mean that the child can be collected early from school. In specific circumstances this may be considered, but a request must be made in writing to Mr Kibler.

While we recognise that exceptional circumstances do arise, pupils selected to represent the school in fixtures are expected to be available. It is important that those who commit to playing are not disadvantaged by teammates withdrawing at short notice for reasons other than illness or injury. If you need to request, on exceptional grounds, that your child is not considered for selection for a fixture, please contact Mrs McAlinden. Pupils should also be aware that when another pupil steps into a team position, the replacement may well take the opportunity to secure their place.

Uniform The school has recently introduced a new uniform supplier, Stevensons (www.stevensons.co.uk). All pupils are expected to transition to the new uniform by September 2027. During this transition period, current pupils may continue to wear the existing uniform; however, new pupils must purchase the new uniform when joining the school.

Uniform requirements for each year group are listed on the Stevensons website. New parents need to register for an account.

Second-hand uniform is available from the Nearly New Uniform Shop on site. Only good-quality items are accepted, and a percentage of proceeds supports school initiatives. The shop is open during term time on Fridays, 15:30–16:55 and can be contacted at kingsnearlynewuniformshop@gmail.com. It is located adjacent to the main King’s Ely car park.

Pupils are expected to wear their uniform and look smart at all times. Adjustments to uniform expectations may be made at certain times of year, such as the introduction of Summer Dress Code when announced.

All pupils must arrive and leave school in full uniform unless permission has been given by a member of staff for a particular activity. We ask parents to support the school in reinforcing the importance of wearing uniform properly.

On Games Days, pupils in Years 5–8 may come to school in games kit with a tracksuit to ease pressure on changing facilities and maximise games time.

Shoes School shoes must be plain black and polishable. Patent and suede shoes are not permitted. Heeled shoes, or boots are not permitted.

Bags Pupils in Years 3–6 must use a plain navy backpack or an official Stevensons backpack.

Coats Pupils in Years 3–6 should wear the regulation Prep coat.

Pupils in Years 7 and 8 may wear a plain navy or black coat. The padded school coat will become compulsory for all Prep pupils by September 2027.

Hair Exaggerated hairstyles are not permitted. Hair should be natural in colour, kept tidy, and secured away from the face. Hair gel and other visible styling products should not be used. Hair bands, scrunchies and clips must be neutral, navy, or duck-egg blue.

Jewellery Jewellery is discouraged in the Prep School. Pupils with pierced ears may wear single plain studs, which must be removed or taped over for Games and sports activities, at the pupil’s own risk.

Games Kit The uniform list outlines the required regulation kit for Games. Non-regulation clothing is not permitted. We encourage all pupils to take pride in their appearance and contribute to a strong sense of team identity. Any individual equipment required is kept to a minimum and is listed within the uniform guidance.

Concerns and Communication If you have a concern about any aspect of your child’s schooling, we are committed to addressing it promptly and constructively. We welcome early communication so that any issue can be discussed openly and potential misunderstandings resolved. While email is a useful way to arrange a meeting, concerns are most effectively addressed through a face-to-face conversation.

Your first point of contact should be your child’s Form Tutor or the member of staff directly involved in the matter. In most cases, this initial discussion will resolve the issue.

If your concern remains, please contact your child’s Head of Year (for academic matters) or the Deputy Heads, Mr Marshall or Mrs Roberts. You are also welcome at any stage to raise your concern with the Head of King’s Ely Prep, who will work with the appropriate colleagues to seek a satisfactory resolution.

If you feel that your concern has not been addressed appropriately, the school’s Formal Complaints Procedure is available. A summary of the policy can be found on the school website, and it is designed to ensure that matters are resolved fairly and efficiently for all involved.

Withdrawal or Moving on from King’s Ely If circumstances lead you to consider a change of school, there is a formal process to follow.

Parents should arrange an early appointment with the Head of King’s Ely Prep to discuss any potential move.

Parents are asked to inform the Head of King’s Ely Prep before their child sits an admission test for another school.

The code of conduct between IAPS and HMC schools requires communication between schools prior to an offer being made, so early notification is essential.

A full term’s written notice is required in accordance with the school’s Terms and Conditions. Written notice should reach the Head of King’s Ely Prep before the final day of the term preceding your child’s last term at the school. You will receive written acknowledgement, and the Accounts Department will prepare the final invoice accordingly.

Please be aware that if the required notice is not received, one term’s fees will be charged in lieu of notice.
