WHAT IS… WHO ARE… Terminology can be confusing. To help we have taken some of the commonly used terms and acronyms and provided a guide. CBC – Central Buying Consortium. CBC was formed in 1991, and is a non-profit making federation of 18 local authorities based broadly across the southern half of England. Members collective procurement spend is currently in excess of £5,000m with the authorities involved representing over 20% of the population in England. Starting as a collaboration around the purchase of goods for stores operations, this has evolved with recognition of procurement’s value and its increasing involvement in all aspects of local authority spend, so CBC’s activities have developed to reflect this wider trend.

OJEU – Official Journal of the European Union. The Official Journal of the European Union is the gazette of record for the European Union. It has been published every working day since the Treaty of Nice entered into force on 1 February 2003. Approximately 160,000 invitations to tender are published each year, of which more than 14,000 are from the UK or Ireland.

Primary Period – The initial period you have agreed to take a device from a provider . This may be 3, 4 or 5 year.

CPC – Cost Per Copy

User Guide – A guide on how to source equipment, which details access arrangements and the original OJEU notice, contract award and suppliers awarded under individual Lots.

SLA – Service Level Agreement. Lets you know what level of service a supplier has committed to provide, when you use our framework

Secondary Period – A period of time following expiry of initial contract that is agreed whilst you source replacement equipment. A secondary period will normally offer discounted rates

THE MFD FRAMEWORK CONTRACT KCS manage the CBC framework contract for MFD’s. The framework is OJEU compliant and can be used to procure the basic purchase of an individual photocopier or larger volume purchases for

print room equipment or indeed a fully managed print solution. The terms and conditions written by KCS are designed to save money for our customers and the wider public sector and indeed offer peace of

mind. We offer a range of top brands at competitive pricing, available to rent or purchase. All agreements made under the framework are compliant with IAS 17 and under an operating lease arrangement.

HELPING THE STAFF AND STUDENTS FOCUS ON THEIR WORK AND STUDIES

St. Columba’s Catholic Boys’ School was founded in 1973 in Bexleyheath in the UK as a comprehensive school for boys aged 11 to 16. Since then the school has grown, first with the merging of the upper and lower schools in 1990, then in 2005 with the addition of a new classroom block, a new sports hall, and the renovation of the school’s theatre. To help the staff and students focus on their work and studies, the school wanted to eliminate sources of inconvenience and wasted time in the school’s print environment—whilst reducing printing costs. The school needed the ability to prevent wasteful habits, such as students sending a document to print multiple times simply because it was not output the moment it was sent to print. Another important concern was the need to protect the security and confidentiality of documents. When staff members sent confidential documents to print, they would have to ‘dash’ to the printer to collect the prints before anyone else could pick them up. To meet all of their needs the school chose a Konica Minolta solution. The solution also included YSoft SafeQ Konica Minolta Terminal Embedded software installed on 18 Konica Minolta MFPs.

This solution enables the school to track and account for every print, copy and scan and to administer the entire print system from a single webbased interface. The terminal software is embedded in each of the Konica Minolta MFPs, enabling staff and students to authenticate themselves and manage their print jobs—all at the MFP’s user interface. Users authenticate by entering their username and password and so no additional hardware (such as a card reader) is required and is fully integrated with the school’s Active Directory, simplifying user database management. St. Columba’s School now has a complete overview of all printing, copying and scanning across the entire campus. Comprehensive reports enable the school to charge back all prints and copies to individual departments and the school has met one of its major goals; achieving significant, on-going cost savings as a result of implementing the Konica Minolta solution and replacing stand-alone desktop printers with cost-effective Konica Minolta MFPs.

RICOH HELPS 500-YEAR-OLD SCHOOL DRIVE UP STUDENT ACQUISITION AND IMPROVE LEARNING RESOURCES Sevenoaks School is an independent coeducational day and boarding school for pupils aged 11 to 18. Founded in 1432, Sevenoaks provides academic excellence with a strong pastoral and co-curricular emphasis.

The school is the first all-International Baccalaureate (IB) school in England and has taught the IB for over 30 years. It is located on a 100-acre site in Kent and has 1,000 pupils, including international students from 40

In 2012, the school was ranked No.1 in The Independent newspaper’s Top 100 Independent Schools at A-level. As with many organisations in education, Sevenoaks is using more digital resources for teaching and learning. All pupils at the school have their own laptop or tablet devices and they use external and internal web-based resources and tools for every-day learning. While digital-based learning has increased, it has also driven a greater need and demand for printed material, especially in colour. This includes colour maps and images for subjects like history, through to high-quality reproduction for art and design and technology. “Over the last few years our print needs have increased significantly and the demand is for colour - it’s stepped up ten-fold. We are now doing a lot more colour than we did three or four years ago for things like maps, history projects, art and design technology,” says Sharon White, Reprograph- ics Assistant at Sevenoaks School. Schools like Sevenoaks are also operating in the increasingly competitive education market, where money for school fees is in short supply and attracting and winning new pupils is harder. SOLUTION Printed output is regarded as a key service and so Sevenoaks decided to partner with Ricoh to provide the best facility. The school is using an integrated Ricoh Office and Ricoh Production Print solution. A central reprographics room has two Ricoh digital presses - one colour and one black and white. In addition, there are 13 Ricoh Multifunction Products (MFPs) located around the main campus and in offsite boarding houses for pupils to use during evening homework. Three of the MFPs are colour and are in

countries around the world. In 2012, the school was ranked No.1 in The Independent newspaper’s Top 100 Independent Schools at A-level.

All the devices are integrated into the school’s network and print management software is used to report on print activity and control a Follow Me print system. Staff have swipe cards which account print jobs against departments. Pupils have their own cashless cards for purchasing various items on campus, such as stationery. The cards can also be used for any printing they do. @Remote software is used to monitor print devices, check on performance and deal with faults or issues before occurring so that machine downtime for users is significantly reduced. The school balances print jobs between the distributed MFPs and the reprographics room to maximise the cost effective- ness of the Ricoh solution. While simple, small-run jobs are usually done on a local MFP, there is a policy in place that stipulates larger, more complex jobs get sent to the repro- graphics room. These jobs cost less to produce on the Ricoh presses and can include items such as teacher copying and print work, boarding house booklets and in-house event programmes and invitations. The school obtained the Ricoh print solution via Kent County Supplies - a centralised buying resource for local schools - that reduces costs for schools and removes the need for time-consuming tendering. BENEFITS The Ricoh output solution provides Sevenoaks School with a key education and administration support service, which is fast and delivers high-quality output. It enables pupils to access their work on demand, teachers to print learning support material when they need it and the school to print a wide variety of critical documents to help run the organisation.

These days all schools have to compete to attract new pupils. Having first-class facilities - like the Ricoh output solution - and the ability to produce highquality communication and marketing information is increasingly important. White says, “If you’re competing with other schools like-for-like you’ve got to look at what they are producing and what they are giving out and try and keep up.” The Ricoh solution is also part of the school’s ability to share its resources with the community and generate some extra income. The school has new and impressive sports and arts centres which it hires out and the Ricoh technology is used to produce commercial collateral like programmes for external events. One of the ways in which the Ricoh solution supports the school’s reliance on digital resources is to enable wireless printing. Pupils (and staff) can work on a document on their laptop from anywhere on the main campus or a boarding house and then send the document to the nearest place of production or collection. White says, “We’ve been using Ricoh and its print technology for several years now because the company gives us such a good service and our relationship with Ricoh remains very strong. If I put in a call, we usually have someone out within a couple of hours, which is great. If we’ve got an open day or a school production that night, knowing that Ricoh will be there to ensure we can do all the printing and copying we need is excellent service. The Ricoh engineers and the service is very good, I can’t fault it.”

Photocopier & MFD contracts – buyers beware! The leasing of photocopiers, multi-function devices (MFD) and other equipment is an area in which schools frequently find themselves in contractual difficulties. Headteachers, governors and school staff need to ensure that great care is taken when considering entering into contracts for these products and their associated services. Poorly constructed deals can have a serious and long-term impact on schools’ finances and there are some unscrupulous firms out there saddling unwary schools with expensive arrangements.

Some tips to help protect you and your school If you are considering entering into a new contract and want to make sure that you are getting the best possible value for your school, following these simple recommendations will help you to make the right choices:

Lease type – make sure that the contract is an Operating Lease and not a Finance Lease. An Operating Lease allows you to rent the equipment directly from a manufacturer or supplier who retains responsibility for maintenance and repair. The structure of a Finance Lease means that it is considered a form of borrowing. The finance company buys the equipment from the manufacturer and leases it to the school. The school

Terms and conditions – read these carefully and ensure that the document you are signing reflects the actual deal that the salesperson said you were getting. Always ask for all the costs to be broken down in a way that makes it clear to you exactly what you’re paying for, and why. Never allow yourself to be talked into signing an incomplete agreement and always keep copies of signed agreements.

Shop around – there are now providers in the market who will lease equipment on a shorter term basis rather than tying you in to the typical three to five year contracts, and who won’t require long periods of notice to terminate. Find out if there are any existing tried and tested contracts or frameworks available within the local authority that you can buy into – these are likely to offer better value than a standalone deal. Upgrading – if you upgrade during the term of an Operating Lease make sure the price you are paying for the newer machine does not also include a rolled over amount from any time outstanding on the original lease. This can lead to escalating costs.

Outsourcing can prove expensive. This is why Oxford City Council uses Sharp’s technology to add the impact and appeal of colour to its print communication. Documents that would have been outsourced are now printed in-house, saving time and money. Oxford City Council A university town and popular tourist destination with a thriving business community, Oxford is one of the fastest-growing cities in the UK. Therefore print is an essential communication tool it’s council. Whilst black-and-white documents were printed in-house, colour print was outsourced to an external supplier. With growth in colour document volumes pushing up print costs, the council revisited the decision to outsource colour production. After a review of its print strategy, it was apparent that consolidating print facilities would improve flexibility and reduce lead times. Sharp came to the council’s aid installing new colour and black-and-white printers. Using the Sharp devices the council’s print room now meets all demand in-house.

Sharp’s Solution Sharp installed an MX-6500N Pro Series printer to meet the council’s colour production requirements. Equipped with a booklet finisher and printing edgeto-edge onto a variety of media, it enables the council’s print room to produce professional collateral with minimal effort. To reduce turnaround times and increase capacity, Sharp also installed an MX-M1204 high-volume black-andwhite production printer. Both machines support a Fiery workflow. To simplify job management and save space, the Fiery Command Workstation is accessed via the 15.4 inch touchscreen operation panel of the colour printer.

Customer Benefits With the installation of the new printers, Oxford City Council was able to change its print strategy. Colour documents that would have been outsourced to an external supplier are now printed in-house, saving time and money. Using the new facilities to good effect, the council has improved the effectiveness of its print communication. The print room operatives take pride in the professional quality of the print collateral they produce using the Sharp technology. Comprehensive operator training was provided by Sharp and, with pre-set media profiles available to simplify setup and powerful workflow tools supporting operation, the Sharp print technology is proving easy to use. WHAT IS CLOUD STORAGE? There are an increasing number of services offering ‛cloud storage’ where you can upload documents, photos, videos and other files to a website to share with others or to act as a backup copy. These files can then be accessed from any location or any type of device (laptop, mobile phone, tablet etc.). DATA PROTECTION – What should I think about when placing personal information in the cloud? 1. Think carefully about who can access your files Cloud storage services typically allow you to set one of four settings to control who can view your files. These settings might be applied to individual files or to all files within a specific folder: • Private – only you can view the files (although the cloud storage provider may still be able to view your files); • Public – everyone can view the files without any restriction; • Shared – only people you invite can

view the files; or • Hybrid – a combination of private, public and shared. 2. Choose your passwords carefully Like most online services, access to your files will be controlled by your username and password. It is good practice to use a unique and strong password for each online service, especially if you are storing important files in the cloud. 3. Check the storage provider’s terms and conditions and privacy notice A good cloud storage provider should have clear and transparent information on their website about how they will secure your personal information and what they will or will not do with it. If you cannot find this information or feel terms are unfair or unclear, speak to KCS Professional Services for advice. 4. What type of encryption does your cloud storage provider offer? A cloud storage provider might

store your data in an encrypted form and keep the key in a safe and secure location. When you use your username and password to log into the service they will decrypt your files so that you can access them. This means that you can invite other people to log in and view your files because the storage provider manages the encryption. 5. Can you encrypt your information before placing it in the cloud? The most secure way to use a cloud storage service is to encrypt your files before they leave your computer. If you hold the encryption key, no one else will be able to easily decrypt your files and therefore read or use your personal information. Whilst this is a good approach for a storage or archive service it will not be possible to share these files with anyone without also sharing the encryption key which can be difficult to manage. It is important to remember that if you lose or forget the key you will not be able to decrypt your files.
