MC Plus One introduces...

GIP & GCDP report Feb – March 2012 Incoming & Outgoing programmes

Zuzana Saladiakova Katarina Korcova AIESEC Slovakia

2012

Hi AIESEC Slovakia! Welcome to Incoming and Outgoing program' program's report for February ebruaryary-March. March MC decided to create this report in order to present the current reality of incoming and outgoing programs not just on national level but on local as well. By this report, LCs have chance to check their results and compare it with other LCs. What is more, LCs can see also their contribution to the results of AIESEC Slovakia. The report is divided in 3 parts: parts The first part is general so you can find there general statistics statistics of Global Internship Program (GIP) and Global Community Community Development Program (GCDP) (GCDP mainly from national point of view. The second part is focused mainly on outgoing programs programs. You can find there except from general performance of OGP in last 2 months also performance of individual LCs. The aim of the third part is to present performance of incoming programs programs on national and local level. Furthermore, you will find there interesting rates such as calls/meetings, meetings/raises etc. I hope you will find this report useful. In case you have some feedback towards it, do not hesitate to approach one of the MC VP responsible for incoming and outgoing programs. Enjoy! Katka (MC VP ICP) & Zuska (MC VP OGP)

General part In the first part you can see the comparison of GIP and GCDP results of this and last year in both months of February and March. It is very visible that our GCDP side is much more successful than it was last year, however we are sensing drop on GIP side especially in matches and realizations.

GCDP programmes are more succesfull what means that we already learned how to work efficiently with GCDP, although we also need to focus more on matching as this is the weakest point.

Next graph is showing us the current situation in fulfilling of the plan. Currently we are on 32% in GIP and 53% in GCDP. Alltogether we are fulfilling the plan on 42%. We have only 1 more quarter to catch up with the current gap. Fortunately the upcoming quarter is one of the peaks, so we do believe that we will be able to lower the gap on minimum and at least overachieve last year s results. In order to hit our target we would need to have 2,6 realizations per day.

If we look at the contribution of each LC towards the results in February and March we can see that in GIP the distribution is quite equal. Bratislava was the greatest contributor in these two months. Sadly Kosice did not have any results in GIP in this period. pe

Outgoing Programs Programs In the following table you can see how the LCs performed in terms of fulfillment of their LC plans as well as their contribution towards national results. These two months were obviously quite successful for some of the LCs. As you can see Nitra hit their goal for the period and there are 3 other LCs that achieved more than 50% of the plan. In terms of contribution towards national results the greatest contributor was Bratislava. Bratislava LC

February and March general performance In the graphs below you can see how the LCs as well as Slovakia stands in terms of achieving their plans in GIP and GCDP. In GCDP we almost hit the goal mostly thanks to the LCs that planned low and were able to overachieve it. In GIP the situation is not as bright. We have significant gap in realizations on this side.

Raising: As you can see in raises we achieved only 50% of the plan what is quite weak. We still have LCs that managed to overachieve their raising goals – Banska Bystrica and Comenius University. University. Just for your better imagination, after Q1 we are 83 raises short, what is a huge gap.

Matching: As it was mentioned already several times in this report matching is our huge weakness. None of the LCs (except Trnava that planned 0) managed to achieve their plans in matching. This is the area where we necessarily need to improve and pay more attention – because it is not enough to get people into the the system. Matching reflects how well are we servicing and educating our EPs. Where did we go wrong? After Q1 we have gap of 110 matches.

Realization: We managed to achieve achie almost 60% of realizations what is still not the most satisfactory result considering that February should have been continuation of the winter peak. We do have an LC that managed to overachieve their results in these 2 months –

We are on magical 100 realizations currently. However, we have last 3 months of the term to lower the gap and achieve our goal. Can we do that? Will we work hard on it s achievement? In order to achieve our magical 245 OGP realizations we would need 1,8 realizations every day.

As you can see only two LCs fulfilled their plan for 100% - LC BB and LC TT. TT Although, LC TT planned to realize one GIP but instead of that they realized one GCDP. LC CU & LC KE realized only one internship according to their plan and contributed to the results of AIESEC SKIA by 14,3% same as LC TT. The biggest contributor for February and March was LC BB with 4 realizations from total 7.

We couldn´t manage to fulfill the plan in both of the programmes. As usual we were better in GCDP but we still lack 3 realizations. realizations All LCs together realized 5 GCDP TNs. 2 LCs did not realize any GCDP TN. Interesting for that two months was that LC CU & LC NR did not plan any realization for that period but they realized 1 GCDP TN each.

erms of raising we did well as we fulfilled fulfilled the national plan. plan. LCs together raised Raising: In terms 20 TNs and MC added one more in Kraft Foods. The biggest contributors were LC CU & LC BB that raised 13 TNs together. together AIESEC SKIA raised 14 GCDP and 7 GIP TNs. TNs LC CU & LC BB & LC BA raised GCDP forms for their 2nd round of the project EDUCATE

Slovakia that should be realized in the middle of May. May. Other LCs added some random raises in NGOs or orphanages. n GIP side, except of mentioned Kraft Foods, LC CU raised 2 TNs in Amazon and LC BB On raised two GIP focused focused on ET that will be realized in September. LC BA and LC KE added 1 TN each.

Matching: When we look at matching, matching we didn’t manage to fulfill fulfill the national plan even for 50% and we couldn´t catch the gap from the previous months because of the fact that LC BB and LC NR matched 3 TNs that were not in their plans. We struggle in matching of our available forms because to o this date AIESEC SKIA has 45 available available forms. forms LCs should think about new ways of matching because it seems that the current ones are not so effective. If we are not capable to match our forms we cannot expect the realizations in the future.

Realization:: In terms of realizations realization we fulfilled only 50% of the plan as we realized 5 GCDP Realization and 2 GIP TNs.. Many LCs stayed sta behind the expectations as they didn´t ´t manage to realize even 50% of their plans. Only LC BB and LC TT fulfilled their plans for 100%.

February and nd March were focused on GCDP mainly on raising of project EDUCATE Slovakia and matching and realization of AIESEC to Kids. Kids The realization of ES is expected in middle of May in all 3 LCs (BA, BB, CU), what is postponed in 1 month to compare com with the plan made in January on functional meeting. In terms of GIP, GIP, there was expected to have follow-ups ups after big selling wave in November-December, mainly in February. February But the results came in March, together 7 GIP TNs raised. In GCDP we need 24 realization to fulfil the plan for the term. term We expect 15 realizations from EDUCATE Slovakia in May and many AIESEC to Kids forms are still on available. In GIP we probably won´t fulfil the numbers but I still hope we can manage to overcome 22 GIP TNs from last MC term. How to achieve it? Simple! Match your available forms. Challenge accepted?

In the following table you can find some indicators of the performance of AIESEC SKIA. Firstly, I would like to say that I did not receive a lot of weekly reports from LCs especially in March so those figures do not show the reality but they are only estimates. In February we called to 141 organizations and we were successful only 18 times to agree on first meeting that means that we needed almost 8 calls for one meeting. meeting In March we called to 190 organizations and appointed 38 first meetings and we improved a ratio from February. We needed 5 calls for one meeting. meeting If we want to have better ratio in the future, the better segmentation, better preparation and better offer for our potential partners are necessary. In terms of agreeing the follow ups it was better. In February there were 18 first first meetings in GIP and LCs succeed 11 times and met with the organizations again that means we need approximately less than 2 meetings (1,6) for one follow up. In March the ratio was 38 first meetings and 20 follow ups and we still needed less 2 meetings (1,9) for one follow up. In February we organized 21 initiatives for interns which were 2nd biggest number after October but on the other hand in March it was only 8 and this is the lowest number since October. Don’t you love your interns? Take care of them better and provide them really life changing experiences in Slovakia. In terms of raising we needed more than 4 meetings (4,35) to sign one contract. contract LCs attended 87 meetings (including also follow ups) and signed signed 20 contracts.

One more interesting statistic in the end. I made statistic how long it lasts lasts to match our available forms. So between 1.7.2011 to 27.4.2012 I took all forms that were on status matched and I calculated the average ratio between raised and matched date of forms. In GIP, GIP we needed 138 days to match one of our forms. The longest period between raised and matched form was 581 days and the shortest was matched in 4 days (It was Rafa to Next Level :D). In GCDP, GCDP it was better. We needed 64 days for one match but I think it is still a high number. The longest time a form stayed available in my@net in that period was 447 days and the shortest time of a match was 4 days (together 3 forms in 4 days). So the question is: Does it take too much because we are using inefficient ways of matching or did we promise our partners interns that are difficult to match to Slovakia?
