The Workplace

Office protocols Keep these in mind as you use the space. Note that all protocols are subject to change.

Common property: You must take good care of all parts of the facilities including its equipment, fittings, and furnishings. You will not affix anything to the windows, walls, or any other part of the space or make alterations or additions to the office without prior consent from the Office Administration team.

Workstation: It is not advised to leave any personal items and/or equipment at the workstations.

Refrain from consuming food or drinks at the workstations. Make sure you use the booking system to secure yourself a workstation when you intend to work from the office.

Keys and security: Employees must not make any copies of keys and/or entry cards or allow anyone else to use them without Kantar’s consent.

Any loss must be reported to the Office Administration team immediately. If you use the facility outside normal working hours, it is your responsibility to lock the doors when you leave. This is to ensure the safety of individuals and property at the location.

Equipament: On Welcoming Day, all employees will receive an access card and their working equipment, such as laptop, headset, and IT peripheral devices (i.e. mobile phones, bank cards if applicable). All of these items are company property and must be well taken care of and returned in the same condition as they were received.

Lockers: There are lockers around the office for employee usage.

The code will be assigned before each usage and reset after it is opened. Any belongings in a locker will remain under the employee’s responsability. In case of any loss, damage, or theft of the items, you must report to your line manager and to the Office Administration team promptly to receive instructions on how to solve the situation.

Meeting rooms: Whenever needed, all employees must book the meeting rooms at least 24 hours prior to the meeting. Use the Outlook to book. If a meeting has not started within 15 mins of the reserved time slot others may use the room.

Additional protocols:

You shall bring no animals into the building other than assistance animals and/or for exceptional events.

Alcohol may only be consumed on site with the permission and knowledge of the Kantar´s Porto Hub director and/or HR Manager.

Smoking, of any type I.e., nicotine, electronic, vaping, or any other form shall be prohibited in all public areas including meeting and training rooms, in the parking slot and inside the office.

We will not be responsible for personal belongings of employees, externals vendors or maintenance, nor invitees.

To ensure that all employees have a safe and secure working environment, all staff, contractors, and visitors must comply with all health and safety requirements set out by law and by the requirements applicable to the facility.

Services provided by your Office Administration team will be available during standard opening hours.

We hold no liability over loss or damage of personal mail delivered at the office or in-transit goods.

No equipment can be withdrawn from the office without a written consent from the Office Administration team.

How to use a booking system Kantar Resource Booking is our go-to spot to secure desks and spots around the office.

Unless you are booking a meeting room, use Kantar Resource Booking to secure a workstation. If you need a meeting room, use Microsoft Outlook.

Our Kantar Porto Hub Office

The spaces The floors are filled with over 260 workpoints.

All desks in your team area are unassigned. Within your team area, all desks can be randomly assigned.

There are traditional workstation with 2 monitors, a wired keyboard and mouse.

Also, there are work points, in determined areas, with one monitor. There are 153 standard-height desk and 49 sit-standing desks. Kindly avoid leaving any personal belongings behind or overnight. The Team Rooms are enclosed spaces specifically

designed for teams to work alongside each other. Similarly, the Focus Pods are intended for individual deep focus work.

Huddle Rooms are small spaces intended for 2-4 people with a variety of furniture configurations. The Innovation Hub is a space for teams to ideate over extended periods on a project. If you are planning to host training or events, we suggest using our Flexible Gathering/

The social spaces in the office are intended for building community. The Food Corner is the largest cafeteria space in the office and is intended to be a hub during events with food and drinks. It is also ideal for informal catch-ups. In the space, you can find a fridge, coffee machine, microwave, sink, reusable cups, and a monitor for presentations. Parking protocols

Parking will be available on a first-come first-served basis, but in high demanded days we will accommodate (in this order): 1. Individuals with specific needs (i.e. individuals who are pregnant); 2. Carpool vehicles with 3 or more colleagues beyond the driver; 3. EV cars; 4. Individually owned vehicles; 5. Additionally, there are areas for motorcycle, bike, and scooter.

Friendly reminder: all employees have access to the facilities from 7 AM to 9:45 PM, during working days. The access is granted through an access card to be received on your welcoming day. This badge must be returned in the end of our stay at Kantar; therefore, we expect you to care for it responsibly.

Our Kantar Porto Hub Office

At Kantar Porto we are dedicated to engage with social projects and therefore we created groups where we can give back and participate in projects we feel strongly about.

Below you will find a list of the available groups and the link to their Teams’ Channel so you can enroll and start engaging. You can find the group’s Sponsor as well as its motto and brief description. The governance and structure are also available. The question is: Which one will you choose?

Governance • All the groups will have at least one Sponsor from the leadership team.

• All groups will have a Leader who will overview the group’s work.

• All groups will have a Champion who will organize the group’s actions and work together with the Leader to make things happen.

• The Leader will meet the Sponsor once a month to report on projects, actions and events.

• Now that the groups are starting, the Leader and the Champion for each group will be nominated by the Sponsor.

• Both Champion and Leader will change every 6 months.

• In May, the first time the Champion and Leader change, the new ones will be elected by the colleagues.

Enroll in these groups and start contributing with your projects and ideas.
