Hello graduate of 2024, It's time to begin the last part of your studies: the Graduation Show! Visitors from all over the world with all kinds of different backgrounds will see your work. It will be a super busy but also an exciting time. It’s an end and a new start. Of course, you won’t be doing this alone. We (Co, Clara, Lou and many others present in the background) are excited to start this process with you and we hope you are too. This booklet will help you with the organisation of your project during the Graduation Show. Over the years, we have collected all the necessary information and best practices. In this booklet you will first find information about the planning, documentation and the preview day. After this, you can read more about what is important to know before you start building up your work and during the build up and Graduation Show. Lastly, you will find info about the build-down. Schedule Graduation Show This year the opening hours of the Graduation Show are slightly different from previous years. Saturday 29 June is Veteran’s Day in The Hague. This means that the Prinsessegracht in front of the academy will be closed until approximately 15:00. We will open the Graduation Show at 16:00. The academy will be open for you and staff from 15:00 onwards. To compensate the hours of Saturday we will be open on Thursday evening from 17:00 – 21:00 and Friday from 11:00 - 20:00. Please advise your visitors to check the information on www.kabk.nl prior to their visit. You can find all opening hours and diploma ceremonies in the schedule on the next pages.

Encouragement opportunities During the Graduation Show, there will be scouts walking around from different external parties who are looking for potential works to offer an encouragement opportunity. An encouragement opportunity is meant to support your artistic practice and future development. These parties often want to interact with you about your work, so we would like to stress that during the show you try to be present as much as possible close to your work. Documentation of your work We will photograph all graduation works for accreditation purposes and to use in our academy wide communication. The photographs will also be shared with you after the Graduation Show. If you use the photos on your website or for other purposes, always mention the credits of the photographers (which we will also share with you). We advise you to document your own work as well, because the documentation we make is pretty straight forward and ‘boring’. So, if you want to have more dynamic documentation you can, for example, hire a photography alum or photographer experienced with making installation shots. Or you can, of course, make photos yourself.

Before the build-up PLAN YOUR PRODUCTION This last part of your studies can be a pretty stressful time. These are the times when it is easier for accidents to happen. To avoid this we are asking you to pay close attention to the safety regulations in this booklet and the regulations of the workshops. We also encourage you, at an early stage in the conceptualising, planning and production of your work, to have conversations with your teachers and workshop instructors about the materials you are planning to use. Also think about your material choices in relation to physical, fire and installation safety. SAFETY IN RELATION TO YOUR WORK It is important to keep in mind the safety guidelines listed below when building up. Consult your teacher or a workshop instructor from the workshop if you need more information. Two general notes • You are not allowed to include any animals in your work. • You are not allowed to cook food at the academy or to serve cooked food to visitors. If you are planning to use food in your project, talk to the project team in advance. When making • Use the right Personal Protective Equipment for construction (glasses, shoes, ear protection). • If you work in a workshop, make sure the instructor is aware of what you are planning to work on. • If you are new to the workshop or to a tool, ask for supervision and make sure that you familiarise yourself with the safety rules of the workshop or the tool. 18


Chemical safety • If you are using chemicals, check what hazards symbols they have and follow the safety instructions of the product. • If toxic gases or vapours are released while using the product, consult the metal workshop. There you can use the ventilation hood or the strong ventilation system. If you have questions about chemicals, contact the Facilities department. Electrical safety • Current-carrying parts need to be insulated to prevent short circuits and electrocution. • Is the voltage in your work higher than 220V and/or are there any (high voltage) parts modified in/to your work? If yes, contact your teacher or Facilities to have them double check your project. WHERE TO EXHIBIT You and the other graduates will all exhibit your graduation work in the academy building. This means that the academy will be transformed into a large exhibition space. There are spaces that are already assigned to specific departments and there are spaces outside the departments, such as hallways, galleries and courtyards. To make a division between the bachelor’s and master’s programmes for visitors, the bachelor's programmes will mostly present their work in the Prinsessegracht building. The master's programmes (together with I/M/D) will present their works in Bleijenburg. This means that BA graduates can apply for shared spaces in Prinsessegracht and MA graduates can apply for shared spaces in Bleijenburg. Before the build-up

If you want to exhibit within the department space, the (graduation) coordinator will assign you a space. If you want to exhibit in a shared space outside your department, there is a different procedure. See next section on ‘Presenting work outside your department’. Always talk to your (graduation) coordinator about the space where you would like to present your work. There might be other students wanting the same space, so make sure you have a plan A, B and C. PRESENTING WORK OUTSIDE YOUR DEPARTMENT As explained in the previous chapter there is a different procedure for applying to a shared space outside your department. We will share an overview of the available spaces outside your department with you on the portal. For MA graduates If you want to present your work in one of the shared spaces outside your department you have to request this through your (graduation) coordinator. Representatives from the master's departments will review the MA applications. For BA graduates If you want to present your work in one of the shared spaces outside your department you need to provide your (graduation) coordinator with a PDF of a maximum of 3 A4 pages including the following information: • Cover page with your name, student number, department and which space you are requesting, with 2 alternatives (including space number if available). • Max. 5 sketches/images of your proposed presentation. 20


• A description of your graduation work (max. 250 words). • A description of why you want this particular space (max. 250 words). • A description of the technical needs for your presentation (max. 250 words). Representatives from the bachelor's departments together with the Graduation Show production team will review the BA applications. Important to know • The galleries are daylight spaces; they cannot be darkened • Preferably the doors between Gallery 1, 2, & 3 will be open. • It is not allowed to place works on the roof of the academy. • If your application was not successful, you will exhibit within the already assigned department space. Your (graduation) coordinator will then help you further find a space for your work. It is therefore very important to have a plan A, B and C. Review guidelines When the applications are reviewed, the representatives from the departments and the Graduation Show production team will use the following to make a division of the space: Space • How does the work relate to the space? • Is the plan achievable within this space and do we need to make major adjustments to the space? • Is the space the only option for the work?

Work • Is the work achievable? • Is the work combinable, or does it need its own space? • What are the elements that will influence the surrounding works? Curatorial • How do the works relate to one another? • How does the work come together in the space? Deadlines Make sure that your (graduation) coordinator knows your choice of space on Wednesday 13 March. This is also the deadline to hand in the application for the spaces outside of your department. On Thursday 4 April the (graduation) coordinators will be informed about the division of spaces and they will then inform you, the graduates. FURNITURE IN ROOMS For the Graduation Show we need to create space and store the academy's furniture. Some rooms and basements will be used storage spaces, but some furniture still has to be stored within the department spaces. The Graduation Project Team and Facilities will contact each department separately and make a plan for the furniture. This will take place after the space division has been done. You as a student will receive more information about this from your (graduation) coordinator and, they are always your first point of contact for any question you may have. 22


THE DEPOSIT You need to pay a deposit of €100 before you can start the build-up of your work: • The € 100 deposit is per person. If you share a space, every graduate in the space needs to pay individually. • Only personal payments are accepted; this means that a classmate cannot pay for your deposit. • If you have challenging work, your deposit might be higher. You will be contacted in that case by your (graduation) coordinator or the Facilities department. • In case of damage or if the deposit does not cover the expenses to restore the space, you are accountable for the extra restoration costs. • If payment is not received, access to the exhibition space will not be granted and the build-up for the exhibition cannot take place. • You can pay your deposit of € 100,- at the Rental. You can only pay by credit or debit card. Payments can be made from Monday 8 April until Friday 24 May. Deadline for payment: Friday 24 May. MAKING A NAMEPLATE When a visitor or professionals from the professional field visits the Graduation Show it is essential for them to know whose project they’re looking at and that they have the possibility to read more about the project. Visitors and professionals from the working field also make photos of nameplates to look back at after the show. We therefore want to ask every one of you to hang a nameplate with a short description next to your project. We will make an Before the build-up

interactive PDF template for you and publish it on the portal. You can fill in this PDF and print the nameplate on thick paper in the Computer Workshop. We will provide the paper for you. Please hang or place the nameplate next to your work where someone can easily read it. We will upload the template on 8 June on the portal. Make sure you print your nameplate before Monday 24 June! GRADUATION SHOW CAMPAIGN The academy will set up a campaign to attract people to visit the Graduation Show. We will, among other things, send out mailings, hang up a banner on the front of the building and carry out a social media campaign. You can of course also help promote the Graduation Show by word of mouth or by sharing our Instagram posts. We will also share your posts on the KABK Instagram account as much as possible. We will use the hashtag #kabkgraduation2024, so use this hashtag and tag us with @royalacademyofart.thehague and we will try to share it as well. GRADUATION CATALOGUE Studio Lennarts and the Bruin (company of KABK alums) created a Graduation Catalogue website (graduation.kabk.nl) in 2022. The goal of this catalogue website is on the one hand to showcase your work to the professional field and other interested people. On the other hand the academy uses it to inform press and other relevant parties about your work. Curators, galleries and other professionals also use the 24


website to look back at your work after the Graduation Show, because they may want to consider inviting you for an exhibition, workshop, or other job opportunities. The academy also actively uses this catalogue website, for example, to show to prospective students or potential collaborators. Besides this, it is an archive of graduation works from the past years. This makes it a very valuable collection of the works of KABK alums. It would be great if you can not only upload the final result of your project but also information about your research process, sketches or any other relevant information. The content will also be used in the promotion of the Graduation Show on our channels such as Instagram, the website and Facebook. It works as follows: You will receive an email on your KABK email with more information about how and when to upload your projects onto the graduation catalogue website. You will get your own personal page where you can show your graduation work. It will be possible to upload images, videos, and texts. You can change the content until the end of August 2024. So, if your graduation work includes a performance, for example, we highly recommend uploading photos taken during the Graduation Show.

During the build-up and Graduation Show STARTING YOUR BUILD-UP You know where you are exhibiting your work and you have paid your deposit at the Rental, now you can start building up your work! The build-up for the Graduation Show starts from Saturday 8 June onwards. The build-up schedule will be set by each department due to exams, so there can be exceptions to this official date for you. Contact your department’s (graduation) coordinator for the exact dates of the build-up. During the build-up, the academy will be open on both Saturdays and Sundays from 10:00 – 17:00. Check the planning in the beginning of the booklet to find out more about opening hours. SAFETY During the build-up and the Graduation Show we are transforming KABK into a large exhibition space. This means that together we need to take certain safety measures to keep you, your work, the building, and around 7000+ visitors safe. A first important step in this safety work is planning. Make sure that you give yourself enough time to outline what needs to be done during the build-up. Make a plan for the materials and tools you need and any necessary safety equipment. Make sure you organise assistance if you are building something large or something that is new to you. Plan enough time for the build-up, During the build-up and show

so if anything unforeseen happens, you have space and energy to make changes or fix problems. Keep in mind that you are responsible for your own installation and the safety of it. If you have questions regarding your work or build up, contact your tutor first. If they cannot help you, you can reach out to the workshop instructors. If you have more specific questions or questions regarding the building, please contact Joop from Facilities. You can reach him via the reception or facilities@kabk.nl Clothing The build-up starts in mid-June and the weather might be hot. Nevertheless, dress properly for the build-up: • Always wear full-length trousers and long sleeves when you do construction work or work that can cause damages to the body or the skin. • Do not walk around barefoot or wear flip-flops or shoes with a soft sole. • If you are lifting or transporting something heavy, wear steel toe shoes and gloves. You can borrow shoes and gloves at the Rental. • When working with hot materials, wear a proper apron made of leather. • Always wear hearing protection when working with power tools or machines that make a loud noise. Safety when building-up When you are building up your work, you need to keep applying the safety measures from the production of the work (page 18) but also think about installation safety. Please check the following: 28


Physical Safety — Make sure that: • there are no loose objects/wires that people could trip over, especially when the room is dark. • there are no heavy components that could fall. • there is nothing you can fall off or over. • there are no hot surfaces or sharp objects that could cause burns or cuts. Keep in mind that visitors touch everything! Fire safety — Make sure that: • all flammable materials are treated with fire retardant (textile curtains, large papers, cardboard objects, etc.). You can get fire retardant at the Rental. • escape routes/doors/stairs are clear (minimum path width of 1.20 metres). • escape route signs are clearly visible. • fire extinguishers and fire hoses are easily accessible. • there are no inflammable items in the escape routes. • electrical equipment, such as projectors, have enough ventilation and do not overheat. • all power extension cords are completely uncoiled. • do not have any open fires, including candles and scent sticks. Safety regarding the buildings — Keep in mind that: • you may not remove anything from your space that is a permanent fixture of the building (lamps, doors, installations of any sort, etc.). • doors must not be blocked or removed. • emergency exits, fire detectors, fire hoses, halls, and stairways are not obstructed. • you are not allowed to present works or hang objects in staircases. • you are not allowed to drill in floors. During the build-up and show

Contact Joop from the Facilities department via facilities@kabk.nl if you are planning to: • drill in the ceilings. • use a smoke machine. • use a strobe light. • paint with other paint or colours than those provided by the school. • use water. • use heavy materials. If you have doubts or concerns regarding your space during the build-up, you can call the Facilities department: +31 070 3154703. The number will be available from Saturday 8 June onwards. SAFETY CHECK Before the Graduation Show opens, the Facilities department together with the workshops will carry out a mandatory safety check. They will check that the works, installations and that the buildings meet the required safety standards. It can happen that you will be asked to take (more) safety measures, so please make sure you think about safety early in the process of your graduation project. If you receive such as request, you need to follow up on this before the show opens. Use the point from the production and installation safety sections as a guideline. If you have any doubts, consult your tutor or the workshop employees. The safety check is mandatory and will be carried out on Friday 21 June.

SOCIAL SAFETY The Graduation Show attracts a lot of visitors. If at any point, during the Graduation Show you as a graduating student, do not feel socially safe in relation to a visitor, you can call this number: +31 070 3154777 or inform the reception. The Facilities team will then come to your aid. You or your department do not have to handle these situations on your own.

You can buy or collect all these materials at the Rental. You can find the overview of prices and opening hours of the Rental on the Portal or at the Rental. RENTING EQUIPMENT You can, of course, rent equipment from the Rental for your presentation. The request for equipment will open on Monday 22 April. To request equipment, you need to go to the Rental in person (email requests will not be handled). Take into account that you will have to pay both a rental price and an equipment deposit. The equipment deposit is a separate deposit from the space deposit and will be reimbursed if the equipment comes back in the same condition. When you have decided on what equipment you want to request, you need to pay the rental price and the equipment deposit directly. This payment confirms the request. At the Rental you can only pay with a debit or credit card. Bear in mind that the academy has a limited amount of equipment, and it might be that you will not get the equipment that you requested. It is therefore important that you request your equipment in good time and have thought carefully about what you need to use. Each student needs to do this individually; the department will not do this for you. If you need advice, please contact the Rental. You can pick up your requested equipment when the build-up starts, on Saturday 8 June. In case anything goes missing or gets damaged during your rental period, your own risk is set at a maximum of € 500 euros.

SUSTAINABILITY + RUBBISH Make sure you take your rubbish to the designated areas in or out outside the academy right away. It is not allowed to store rubbish in the hallways. Outside, between the academy buildings, there are blue bins for normal rubbish and paper. During the build-up and build-down there will be a container for larger rubbish. If you have chemical waste, this needs to go to a chemical disposal outside the academy. Recycling centre In the Prinsessegracht basement there is a student-run recycling station ‘Ginkgo’. You can take materials there that are in good condition if you think another student can reuse them. You will also find an information sheet with rules and regulation. Please read this before you leave your materials at the station. Have a look and recycle! Refund for chipboards If you have chipboards that are in good condition, you can bring them back to the Rental for a small refund. The academy will then reuse them. The chipboards can be brought back if they are not sawn, have no screws attached (screw holes are not a problem), and only if they are painted with white latex paint.

The build-down WHAT NOW Many people have seen your work and it has been a hectic few months. There is only one thing left now: the build-down. You have the time to build down your work From Wednesday 3 (08:00) to Friday 5 July (17:00). You need to build down your work yourself and therefore plan it as part of your production. Make sure you take enough time to build down without getting stressed, that you have people helping you if needed and that you have the right clothing and safety gear. SPACE CHECK + REFUND DEPOSIT When you, or the people you share a space with, have cleaned and restored the space, you need to contact Facilities. They will then come and check if the space is still in a good condition. If you have shared a space, at least one person needs to be present for the final check. To have your space checked call the Facilities department: +31 070 3154703 The deadline for having the space checked is Friday 5 July, before 17:00. It will take about two weeks to refund your deposit. If you miss the deadline of Friday 5 July, your deposit will be refunded after the summer break. The deposit will be refunded to the same account from which the deposit payment was made. If necessary, the deposit will be offset against outstanding bills. Questions about your refund?
