glory, there are clear signs that it is in the ascendancy.

Here the Editor looks back on those halcyon days.

Nixon - Editor It is over twenty years since the launch of the Micrographics Market Place (MMP), the forerunner to the Green Sheet.

Even then (Issue 1 of the MMP was October 1986) microfilm was under threat by what was then known as the Optical Disc. This was the seed from which today’s CD grew.

They were 12inch diametre discs which needed very expensive hardware and custom software.

But the microfilm bureaux of the day were too busy making money to worry very much about what the future might bring. Many of those companies have now either gone out of business, been swallowed up in acqisition or changed their names in order to disassociate themselves from microfilm, which was the foundation on which thier business was built.

Examples of the latter, still successful companies are Swansea Microfilm (now TMT), The Microfilm Shop (still retains the name but is becoming better known as the Genus Group), Allsystems Microfilm which went through a few name changes to finish up as Total Imaging Solutions (recently acquired by e-docs UK).

The list could go on but I fear that it will be boring for our younger readers who have probably not heard of some of these companies.

Even the large companies like Agfa, Bell + Howell and Kodak whose core business was film have pulled back from microfilm.

Some, however, are still flourishing with very little obvious change such as Graphic Data, Solar, Zeutschel and Wicks & Wilson.

It seems almost impossible to imagine it now, but in the early 1990s, through the magazine, we organised an annual exhibition, the Microfilm Showcase - an absolute sell out for the first 2 or 3 years. Oh happy days!

Those days are not coming back, but for those few bureaux that have kept their microfilm trade alive I think that their faith will be rewarded and that there will be good times again. Less business than before it’s true, but far less competition now, as many of the old bureaux no longer have the facility for filming, having got rid of their cameras and processors in favour of scanners.

Companies that have been acquired are far too numerous to mention, but some of the main UK microfilm businesses who were then my biggest advertisers are no longer around, such as Embassy, Elke, Gratek, Imtec, Allen, Photomatrix, Micomax, Profile, Imperial Films and Microfilm Management to mention but a few.

I am reminiscing about the UK trade as that was mainly what the Market Place was involved in, but I’m sure that the story would be very similar in the U.S.A.

Neither wind nor rain stopped AIIM The elements tried but couldn’t succeed because “the show must go on”.

By John B a ker (Executive Editor) and M itch B adler (US Editor) Weather affects attendance The weather undoubtedly affected the attendance figures at this years AIIM Expo in Boston. Although the show was still well attended with almost 25,000 visitors, that figure could have been much higher had travel plans not been disrupted.

The rains came; The winds blew; Within a 12-hour period, much of the Northeastern US received eight inches or more of rain.

With the accompanying winds it resulted in great flooding with rivers overflowing their banks, portions of seacoast cities being swamped and the air traffic system - into and out of east coast cities - halted for the better part of tw o days. The intense “ Northeaster” storm, greatest since 1938, pretty much shut down the Northeastern US on the eve of the 2007 AIIM and ON DEMAND Conferences and Expos in Boston April 16th-19th.

Yet, according to the Expos’ organiser, Questex Media Group, attendance was up slightly from the 2006 conferences/Expos held in Philadelphia. AIIM, which like most trade shows has been trending downward, is now "co-located" in the same convention/expo facility as ON DEMAND, a printing and reprographics event. One reason for the uptick in attendance figures may have been that this was AIIM’s first visit to Boston in many years. Many visitors, particularly from overseas, use AIIM as a way of seeing different parts of the US each year.

The AIIM conference programme had more than 80 sessions in 14 tracks. While attendance at the Expos is free, conference sessions - excepting keynote addresses - are not and the numbers of attendees is a fraction of exhibition visitors.

On the Expo floor What follows is a brief alphabetic summary of what some of the AIIM exhibitors had on display or up for discussion at their booths. It’s based on our journey through the exhibit hall and inquiries directed to exhibitors of imaging and micrographics equipment. We’ve tried to list everyone of logical interest to readers of Green Sheet Media but if we’ve missed anyone, let us know and we’ll do our best to follow up in a future issue.

Alero Technology unveiled their Compliance and Integration Platform, which is an architecture, platform and data-independent enterprise information management vault. It has the capability to integrate data across an organisation’s enterprise resources to bring all relevant corporate information compliant to government and industry specifications.

Delivering an end-to-end corporate approach to compliance, CIP includes: data management, security management, enterprise content management (ECM), business process mangement (BPM), enterprise integration management (ECI and Ell) and enterprise information management (EIM). www.alerotech.com Bowe Bell + Howell introduced a new colour duplex scanner for small offices and departments of larger organisations, the Sidekick 1400u. It offers the same features as its predecessor, the 1400, but adds ultrasonic multifeed detection. The added feature uses sound waves to detect multiple documents going through the scanner at the same time. When a double­ feed occurs the scanner automatically stops and alerts the scanner operator.

Another new feature is Multifeed Ignore, which prevents the scanner from incorrectly identifying “ irregular” documents - such as sticky notes, labels, photographs, etc. - as mutlifeeds.

Whatever the reason, it has to be regarded as a successful event, especially in light of the lack of cooperation offered by Mother Nature.

This time ON DEMAND did better, pulling in 13,278. Expo total square footage was 180,000, identical to 2006. The number of AIIM Expo exhibitors was listed at 260, approximately the same as in 2006. This included, in some instances, booth sharing.

The company also announced its first wide-format scanner, the Infinity WF. It is designed to convert documents up to 48 inches wide into digital images. It is available in three models with maximum scanning widths of 36, 42 and 48 inches. It can scan documents in bitonal, grayscale and colour at 600 dpi. www. bbhscanners. com Canon USA announced the availability of the Captaris RightFax application for

Canon’s Multifunctional Embedded Application Platform (MEAP).

The combination is said to provide users with a consolidated solution for all document development, duplication and delivery needs. It replaces the traditional fax machine or fax card sold to enable analogue phone line faxing.

Canon were also promoting their imagePRESS digital devices. In addition there was a new line of imageRUNNER models and Canon imagePROGRAF large format printers. They also demonstrated new workflow and software solutions. www. usa. canon, com Captaris was demonstrating the new Workflow 6.5 release of the Microsoft.NET compatible workflow product. This includes support for MS Office SharePoint Server 2007 and a new version of the Workflow Simulator.

Alchemy 8.2 Service Pack 4 was also on show, supporting MS Office 2007 and Vista. An interesting feature was a new external database lookup facility, which should make indexing more accurate and efficient, www.captaris.com Crowley Micrographics displayed several new developments. The new Mekel Mach VII scanner, the latest fiche scanner in that line, adds a 2-3X speed improvement to Mekel’s fiche scanning capabilities.

Features include auto-loading, autofocusing, strip scanner, a higher prescan camera and electric shutter.

Crowley also showed the Zeutschel 12000 series of book scanners. Model 12000BC is a one-second scanner for up to a 2/C size, which will output directly to a printer, file or both. Model 12000C is a 100-600 dpi production colour scanner that operates with full-featured Omniscan software.

Incorporated into the 12000 series is the Zeutschel “ perfect book” solution for scanning books. The new patented system uses an additional camera to make a 3dimensional view of the book that Omniscan software then processes www. It is being offered to users as a service alternative to installing complex enterprise business management software and hardware. www. anacomp. co. uk www. anacomp. com Eastman Kodak’s major announcements were in the scanner field. It introduced the i1840 scanner for the production market segment. The i1840 captures images at up to 160 ppm. An intuitive colour touch­ screen display simplifies on-the-fly performance by putting a variety of controls at the operator’s fingertips. The i1840 also has the capability of pre-scan and post-scan printing.

Kodak additionally showed enhancements to its i600 series of scanners, including lockable feeder side guides, an enhanced document printer and new print cartridges in black and red. The i600 series consists of four models in the mid-volume production scanning market. In addition, Kodak’s network device, the Scan Station 100, is now available with Notable Solution’s Distributed Capture Workflow Software as a selection within the device.

This makes it possible to capture, process, and route content to a variety of business applications. www. kodak, com/go/doc imaging E-Image Data announced the release of updates to PowerScan software for the ScanPro 1000 microfilm scanner. New features include customisable tool bars, storage and recall of application settings, secure screen mode, multi-page file formats and support for multiple languages. The new features will be built in to all Scan Pro 1000 units and are available to all current users at no charge. The ScanPro 1000 is an all-in-one microfilm viewer, scanner and printer that takes up the same desktop space as just two sheets of letter-sized paper. Its zoom lens covers 7X to 54X applications. The ScanPro 1000 utilises a high-speed video capture scan process so the image on the computer monitor moves at the same time as the film.

Their new scanner, the fi6000NS Colour Duplex Network Scanner is the first Fujitsu scanner to combine the intuitive, easy installation of a desktop scanner, with the productivity of a network scanner for sharing documents. Ideal in today’s multi-location, global business environment.

The idea of using a scanner to work with documents and route them electronically via a corporate network is not so far­ fetched. It’s been going on for years but not in straight-forward manner. “We scan to our PCs and then rely on PC applications to work with those documents, either locally or remotely. This is where we have gotten stuck” , said a Fujitsu representative. The company believes the tide has turned with scanner, MFP and digital copier manufacturers all leading a crusade to integrate scanned documents into their multi-talented networked machines. h ttpJ/US. The acronym stands for Reduced Instruction Set - On Site Capture Archive and Retrieval. It is a simplified capture concept that departs from a “do it all at capture” approach. It conforms to the new Energy Star regulations to help reduce global emissions. These included Printgroove, an automated production print system that is said to provide automated production printing at less than the cost of large-scale legacy production and print management software. Also included was bizHub Open API, the latest version of the company’s OP architecture that enables control of both device’s print and scan functions from external applications. It’s all in a digital day’s work A IIM survey describes who does what, how and where within the US Health Care industry In 2005, AIIM International did a user survey of 54 organisations to explore "Capture and Scanning in the Health Care and Pharmaceutical Industry". There were no surprises in the results but they were interesting.

First and foremost, and certainly no surprise, was that everyone queried now captures records by scanning. Everyone does black and white scanning but colour scanning, while moving up, still has a way to go. Fifty percent (50%) responded they did no colour scanning at all. Some 37% did 1-10% of their scanning in colour.

Another 16% had 11-40% of their work done in colour while just 7% did over 50% of their image capture in colour.

After scanning, a variety of technologies are used to store and preserve images with most organisations using multiple technologies. The most popular storage media were hard drives (74%), CDs (39%), magnetic tape (33%), WORM discs (26%), and DVDs (19%). Microfilm is used by only

15% of the respondents.

Where is scanning done? How is it used?

In 41% of the organisations both centralised and decentralised scanning occur.

An equal number (23% each) is done departmentally or in a centralised in-house shop. Desktop scanning by users and oursourced scanning bring up the rear at single digits of usage.

The biggest single use to which scanned documents or images are put is to answer customer inquiries. Next is for exchanging confidential and/or sensitive information, followed by responding to regulators, and exchanging invoices, statements and payment information.

Major responsibility for making purchase decisions on capture and scanning technologies rests with the in-house IT professional. The CEO or president ranks third in this decision-making hierarchy.

The biggest motivations for capture spending in 2005 were to improve efficiency (67%), get faster turnaround and improved response (52%), to cut costs (45%), and for statutory compliance (43%).

Is it paying off? What comes next?

Reviewing the impact of capture and scanning technology in terms of return on investment (ROI), 48% of the respondents said ROI met expectations. Only 13% said the ROI fell short of expectations while 13% said they couldn’t judge since they have not yet implemented a solution.

Asked to look ahead, everyone expected spending levels to stay the same or increase. No one foresaw a decrease.

ARMA survey says records management training lags A recent survey of information managers and human resources professionals conducted by ARMA International reveals that nearly half of the organisations are not training their employees on how to properly manage records and information.

Specifically, 45% don't provide formal training on managing corporate records

and information. Almost 46% of those organisations don't have plans to implement such training in the near future.

Of the organisations that do provide formal training 79% include e-mail and 75% legal holds in that training. But only one-third cover voice mail as an information

management risk and even fewer (29%) address instant messages.

ARMA conducted the survey in April 2007.

Respondents included 502 records and information management professional and 59 human resources information management professionals. ■

UK bureau invests heavily Hugh Symons embraces intelligent, high-volume scanning for consolidation, profit and growth Hugh Symons Information Management is a large, established UK document scanning bureau with a wealth of experience in records management spanning thirty years. Over 150 staff members serve a customer base of more than 500 from the Hugh Symons head office in Poole, Dorset and regional centres in Bradford and Sidmouth.

The company has made significant inroads into many sectors including healthcare, central and local government, financial services and human relations. Hugh Symons scans, processes and archives a wide variety of documents, records and project files varying considerably in age, fragility, size, quality and thickness.

Hugh Syynons has always been a dedicated Kodak bureau, capturing fifteen million images per month using twelve Kodak i600 scanners and four Kodak i800s. Kodak has served the company well, providing outstanding service and support throughout their long-standing relationship.

Setting clear objectives In April 2005 the Hugh Symons management team conducted a major business review to evaluate the company’s efficiency levels and competitive position.

According to Chris Booth, Scanning Services Director at Hugh Symons, the team recognised the need to consolidate operating costs.

“The success of any scanning bureau lies in its ability to capture as many images as possible, at the lowest possible cost, without compromising quality. Hugh Symons is no exception. Labour costs represent a significant proportion of our total operating costs, and each Kodak scanner requires one dedicated operator.

We realised that we could reduce costs, boost profitability and improve service by consolidating our scanning operation,” explains Mr. Booth.

The management team also examined the company’s service portfolio and identified

a range of diversification opportunities that would enable Hugh Symons to achieve business growth and competitive edge.

These new value-added services clearly required a more intelligent approach to scanning.

With consolidation and diversification in mind, Hugh Symons began its search for a solution.

Following a thorough investigation of the market for high-volume intelligent scanners, and a visit to the 2006 Philadelphia AIIM Show, the management team short-listed three products, one of which was IBML’s ImageTrac High Volume Colour Scanning Platform. The management team eliminated one contender based on poor build quality, then sent sample documents to the two remaining suppliers for processing. IBML emerged the clear winner.

High-volume intelligent scanning adds value Mr. Booth explains: “ Initially we had concerns about the ability of these highvolume scanners to process the wide variety of documents that we handle, however IBML’s ImageTrac performed well. The ImageTrac solution also has the intelligence to recognise, extract and capture data automatically, without manual intervention, which opens the door for Hugh Symons to accept new and different data processing projects. The ImageTrac is solid and well-built, and we felt certain it would stand up to the rigorous demands of our business."

Before making a final decision Mr. Booth wanted to be sure that IBML had the presence and size to support the company in the future. “We visited IBML’s headquarters in Alabama, and we also visited a large IBML customer whose business was running very smoothly. We were impressed by the com pany’s manufacturing scale and the range of highquality, in-house expertise we found there.

Currently eighty per cent of scanning projects are run on the ImageTrac units, although this is set to rise as data processing projects increase. Currently fifteen to twenty million images per month are being captured much faster and more cost effectively than before, allowing ample capacity for business growth. Last year there was a backlog of projects awaiting scanning, with a lead time averaging six weeks. That lead time has now halved.

JUPP STOEPETIE The CEO of software house ABBYY, Jupp (pronounced Yoop) took time out of his busy day to talk to Green Sheet.

Executive Editor, John Baker, caught up with Jupp Stoepetie at the AIIM Roadshow in London.

GSM - So how did ABBYY begin?

JS - We started in Russia in 1997 although I myself am Dutch. We now have our European headquarters in Munich which we set up in 2001, although \t/e do sell our software right around the world.

G S M - W hat are you sh ow ing here today?

JS - There is the ABBYY Fine Reader which is now at version 8.0. This is our PC based PDF reader which can also be configured for enterprise use.

We also have PDF Transformer 2.0 and a preview of Flexi-Capture 8.0 which is due out this summer.

There is a new development tool called Mobile OCR SDK. This is a single engine OCR process but it is adaptive and heuristic in nature which in turn provides users with more robust results.

We also have ABBYY Capture software which offers a cost effective forms processing solution. Basically it is a form reader which can operate on structured or semi-structured forms.

Our recognition server offers a corporate solution operating on different formats and at different

resolutions. With a delivery tailored to the needs of the organisation, it is very flexible and caters for a number of requirements.

More than just post How do companies square the triangle of improving communication with customers, enhancing internal business processes - i.e. going ‘paperlight’ - and delivering compliance with regulations such as SOX and other measures?

With communication methods becoming increasingly varied, it surely makes good business sense to go beyond a digital mailroom to a messaging centre capable of capturing everything from paper-based mail to fax, email and voicemail.

If it sounds like an impossible dream, the reality is that it’s possible right now. There is a grand unification theory for handling all types of incoming and outgoing correspondence and getting payback in service and customer perception.

Most mailroom automation focuses on processing inbound correspondence and mail, but the benefits don’t have to stop there. As corporate mailrooms handle both inward and outward mail, the next phase of automation will deliver further major benefits through response automation.

The impetus behind the theory comes from a number of origins, including industry requirements for increased transparency and accountability across the business.

The drive towards integrated, unified handling of business correspondence is growing, as companies seek to capture and index all forms of business data electronically, to meet mandatory compliance rules, as well as speeding up correspondence with customers, improving customer service and overall business processes.

Moving past first base It could be argued that this is an extension of the digital mailroom. Many organisations are already moving toward this by implementing document scanning in their mailrooms to speed document delivery and processing. But scanning is only the first step of the journey.

The critical step is what happens after the scanning phase - the classification of all scanned documents and application of auto-indexing techniques via OCR or ICR technologies.

It is this step that allocates each document to a specific workflow path, with recipient details extracted so that documents can be automatically routed to the right destination: purchase orders to the sales and manufacturing departments, invoices to finance, and so on. If the document management system can link to core business systems such as ERP or CRM, so much the better, as this can further automate and enhance processes. Without automated indexing and classification, companies are still simply moving paper around - albeit in a digitised format.

So why stop at simply scanning and indexing incoming paper-based mail? The digital mailroom should evolve into a unified messaging centre for all business communications which need to be traced within an organisation.

Extending the intelligence used to route incoming mail into the corporate workflow, certain types of incoming documents can trigger automated responses - such as acknowledgements of receipt of payment, or a customer letter without manual intervention. This further boosts efficiency and raises the ROI of automation, and enables staff to be reassigned to more strategic tasks.

Greater communications automation, from closing off a contract, to acknowledgement of the receipt of signed documentation, or confirming that a client instruction left on voicemail has been received and actioned, will provide valuable reassurance to customers that their requirements are being listened to and fulfilled.

Marketing through online corporate blogs is also growing in popularity. It is a breach of confidence for an employee to disclose confidential information via the internet and is usually sufficient reason for dismissal. However, even w ithout any breach of confidentiality, there is still a risk to the businesses’ corporate reputation if people associated with it blog freely online. In addition, sites such as MySpace and YouTube contain content that is illegal or grossly inappropriate for the corporate environment and as a result we recommend prohibiting these sites. A full visibility policy giving access rights to employees for parts of restricted sites which are considered appropriate - e.g. an employee’s online wedding photos - is a good balance to strike..

5. Buying or banking online: MONITOR Many people bank, buy and sell online and your employees may well find online banking and purchasing at work more secure than at home because of the rigorous firewalls and restrictions put in place. Some argue that this saves businesses time as employees can shop or bank from their desks rather than having to leave the workplace to do so in person.

The reality for most businesses, however, is that instant access to the internet is not necessarily conducive to productivity, particularly in lower skilled administrative roles, so we recommend it is restricted to out-of-hours use only.

Although management of the security risks stemming from all of these new technologies is critical, it is clear that a total ban on the use of most of them is not necessary. Many graduates will expect to be able to use these technologies at work - at least to a certain extent. There is no need to scare your new tech-savvy employees off with a draconian IT security policy. By following the guidelines above and talking to a security specialist, you can move with the times while maintaining high level of security at your organisation. ■

What is C-Cube?

C-Cube is the brand name for a full family of Electronic Document Management (EDM) and W orkflow Software Solutions marketed by the Genus Group. The C-Cube family of software products has been written and developed by OITUK, a member of the Genus Group. This allows the Genus Group quick and easy access to the software developers for any customisation or specific direct development. With a larger format for the UK show this year, and a real who'swho of speakers throughout the three days, the show is certainly comprehensive. It is hard to go to all of the good presentations and get round the stands, but if you plan in advance, it is possible to get around everyone you want to see.

Fortunately it is a 3 day event, so you can spread your time.

However, you really need to be keen as the presentations are as intense as the subject matter.

Show Facts - 12,181 visitors (pre ABC audit) - 311 exhibitors compared to 290 in 2006! The Venue OK, so I am not a great fan of Olympia or Earls Court, but as they are so close to good rail links, I totally understand the fascination of having shows there. The catering is poor and expensive, and when the show is busy, you do have to queue.

Moral: Arrive early, eat early, go for a walk at lunchtime and leave about 3:30pm before the London Crush Hour starts.

Ta i l The Rough Guide to Business Shows and Seminars & How to Survive Well, I survived the first part of the 2007 show circuit, although at times it was touch and go. The somewhat circuitous route started way back in February, with a trek from my home village in rural Suffolk to Birmingham. Focus on Imaging was my first show, and the last was The Wireless Event in London in the middle of May. In between those times I travelled over 10,500 miles by car, train, RTS and plane.

I stayed in 9 hotels in 5 major cities, walked approximately 60 miles and drank gallons of water. Early on (CeBIT) I wore out a pair of half decent loafers. (I still have the remains of the blisters to prove it!)

However throughout it all I remained cheery and happy. (Well that was the public face of it anyway!) But how did I survive? What is the secret?

Easy! ... Be Prepared.

The first obvious thing to do is plan ahead and don’t rely on local knowledge being available when you get there. (Or taxis being available, even at busy rail stations!).

The internet is of course a valuable resource for all types of travel info, and do

remember to print off maps, directions and key info. (Your memory will without doubt fail you after hours of travelling.) Also be aware that an apparent new arrival resplendent with briefcase, suitcase and crumpled map of the area is an easy target, so memorise the basics of where you are going.

Oh, and another thing, regarding language - when in foreign climes at least TRY to speak the local language. Even if you fail miserably, if you can at least tell them in THEIR language where you are from, you are much more likely to get truthful directions which will not see you down a blind alley with a dozen ruffians walking behind you ready to relieve you of luggage, laptop, camera, traveller’s cheques, credit cards etc.

The more obvious things once you are settled in to your hotel (you DID book one near the venue, didn’t you? - of course you did.) are to; eat a hearty breakfast (shows are expensive to eat in even if you are on expenses), wear your comfiest walking shoes, wear as little as possible (subject to the local nudity laws) and check in to the cloakroom everything you don’t need for the show. Take bottled water with

you, and keep sipping at it. Some of these places are akin to hothouses with the temperature switched to the ‘desert’ setting. Perhaps it’s a ploy by the organisers to get you to drink the expensive wares from the caterers. On the subject of alcohol - try to avoid it. It de­ hydrates the body and makes you drunk which is never a good way to spend an afternoon*. Keep the socialising for the cool (!) of the evening and repent the next morning when you awake for another day ‘treading the boards’. * With a few notable exceptions outside the remit of this magazine!

As a (by now) seasoned journo I will give you some hints, tips and tricks of the trade on how to avoid being hi-jacked at every stand you pass.
