igreensheet am oves forw ard As from January 2007 John Baker will be taking the helm of The Green Sheet and adopting the title of Executive Editor. His brief will be to increase the subscription numbers and the advertising revenue, and also to be involved in the decision making process regarding editorial direction and content. Tim Nixon will continue as UK Editor with US editorial support still coming from Mitch Badler in New Rochelle, New York.

Australian contributions will continue from Laurie Varendorff.

Early next year the Green Sheet will launch its revamped on-line Directory which will be an exciting new tool for everyone in the Information Management industry. Majorca based Gerald Baker will remain deeply involved with the Directory, but as with the magazine, its progress will be included in John Baker's brief.

So who is John Baker?

Born in Perthshire and reared in the Aberdeen area of Scotland, he has had a very comprehensive grounding in many aspects of the information management industry. Starting his career in photography retail back in 1970, he moved into social, commercial & industrial photography in 1973. His first taste of microfilm was whilst working as a technical photographer at Aberdeen University in the mid 70's.

In 1978 he joined a large photographic mail order and retail organisation which had 13 branches throughout the UK. This involved a large variety of marketing and advertising tasks, including highly accurate mock-ups for weekly magazine advertising copy, writing articles, working with advertising and feature partners, compiling newsletters, and a host of other tasks related to retail and mail order marketing.

As John says "It was a bit of a departure from pure photography, but I was still in the [photographic] industry I loved so much, and still part of a creative process."

In 1981 he started 'Image Management', a document processing and print design bureau in Aberdeen. The company produced graphics for print as well as building a reputation as a quality . microfilm bureau. Because of this success, the company asked to act as consultants for Graphic Data, then based in Brixton, London, at a time when they were setting up a managed microfilm bureau operation within Rockall Data Services (now part of Hays Storage) in Aberdeen.

As a part of his consultancy work in the 80's he managed a secure storage facility with blue chip oil industry clients. The facility provided environmentally controlled services to the oil industry, mainly for the storage and

management of reel-to-reel and professional format video tapes, non-destructive testing (NDT) x-rays and conventional box and drawing storage.

In 1987 he sold Image Management to the then Edinburgh Data Services, which over the next few years became Scottish, (and later Kestrel) Data Services. Kestrel was a Cyprus based organisation involved in all aspects of document storage and retrieval, including CAR and specialist fingerprint management equipment. Their database of choice was Sculptor, which led him into working with McDonnell-Douglas mini-computers, and programming in ENGLISH. (A 4GL language of the time.)

Two years later, and with much more industry experience under his belt, he started Digi-File along with his former boss from Kestrel. The aim was to create a Microsoft C based program to view documents, and to link that in turn to a Sculptor database. He maintains to this day that Digi-File was under-funded and before its time.

In 1990 he joined Cimage International as a project manager working on blue chip accounts.

Part of his remit was to provide analysis, design and build services for bespoke applications for the oil & gas, aerospace, utility and nuclear industries. During this time he also achieved his Higher National Certificate in Computing and while enduring a prolonged spell stuck at home with torn ligaments, took advantage of the time to teach himself Visual Basic programming. (A skill he still uses today.) As Cimage provided client-server solutions, he also became conversant with Oracle, Sybase and other SQL based database systems.

Cimage went through a period of change in the mid 90's, and he became a self-employed consultant, ironically, this involved working closely with Cimage once more.

He continued to specialise in large projects for the nuclear power and oil industry, and around this time also started building web sites in his spare time. He says, "This was back in the days when Notepad was the editor of choice. It was tough to see what you were doing as there was no W YSIW YG interface, but the good thing about learning that way, is that now, if I hit a problem, I at least know how to wade through the HTML to fix it") In early 1998 he took his consulting company to the international market, by taking up a consulting position with a Cimage VAR in the U.S.A. He worked with Access Systems LLC, based in Cincinnati, Ohio) for 18 months, and during this time performed as team leader on very large systems (1,800 - 2,000 users). This work was spread across three states, at Carney's Point, New Jersey, with Access in Cincinnati, and at a the headquarters of a major power company in Milwaukee, Wisconsin.

He returned to further education in the UK in 2002, and in 2003 obtained a Higher National Certificate in Multimedia. This qualification covers design and production of graphics (2D, 3D, animation, and production), photography (studio, outdoors, planning & execution, processing & printing), videography (treatment, scripting, equipment handling, lighting, direction, production management and soundtrack creation.), and technical authoring and presentation skills.

In January 2005 he took control of Copydata, a small microfilm and scanning bureau based in Norwich, UK. Since then Copydata has grown considerably, with more than double its previous turnover and increased profits. The company now offers much more with extended services including photographic media scanning, (up to 10" x 8" plate size), secure document storage, scan-on-demand services for microfilm and documents, system re-sales, equipment, consumables and consultancy services.

More recently, John has been searching around the globe for something to fulfil his exit strategy. As he states, "For some time I have been looking for something which would encompass most or all of my past experience in one single job." And continues, "I believe I have found what I am looking for, and the Green Sheet IS that something!"

ARMA explored the business of records management in a historic Texas settinq â– \AsS0ciation^s.51st annual conference and expo gave attendees*..

San Antonio, Texas is an unusual town, even by Texas standards. It has a frontier The Alamo

background and is the home of the famed Alamo, an icon in US history. Today it blends these traditions with cosmopolitan progress from diverse backgrounds and cultures that emphasise its closeness to Mexico.

Sequestered 20 feet below sea level lies one of San Antonio's jewels - The 2.5 mile Paseo del Rio. Better known as the "River

W alk", its broad walkways, cobblestone and flagstone paths, 21 unique bridges and 31 native sandstone stairways, border both sides of the San Antonio River as it winds its way through the middle of the business district.

Here lie European-style sidewalk cafes, strolling musicians, a plethora of shops and specialty boutiques, nightclubs and high-rise hotels.

Nearby also is the Henry B. G onzalez Convention Center, which was home to ARMA's 51 st annual conference and Expo October 22-25. ARM A has 10 membership regions and it moves its conference and show around so that each region gets an opportunity to host the event. This year was the southwest's opportunity and it turned to charming San Antonio, which has been making a drive to attract second-tier shows.

It was the natural choice for ARM A. It was a wise choice, reflected by total attendance of 4,620. O f these 2,604 were conference attendees. The others were basically expo visitors plus exhibitor personnel. A total of 201 exhibitors in 444 booths occupied 199,000 square feet of exhibit space. This was a slight decline in total exhibitors but approximately the same number of visitors as at last year's show in C hicago. In a larger location than the G onzalez Convention Center the expo might have been lost.

Too many small shows?

However, one pioneer industry executive who attended the show offered an interesting comment to The Green Sheet. "We have too many second tier shows and in too many places. I like the European System better.

Instead of dozens of small shows - AIIM, ARM A, the library associations, NIRM A, banking shows, etc. - they have one giant information processing and management show, like CeBit, held once a year always in the same place. W e should do the same thing, perhaps in Las Vegas. For lots of us in the industry that would be easier to handle."

Another executive from one of the exhibiting companies said, "That's wishful thinking. There is too much history and too many egos in this field. Sure, exhibitors would be happier with fewer shows to set up for, but associations, understandably, want to keep their names out there. The best we could hope for is some consolidations of organi­ sations that would result in fewer but bigger shows."

The first comment is an interesting idea, one we're sure wouldn't sit well with many associations and groups, as well as smaller cities seeking convention business. But it doesn't seem to be likely, even to get serious consideration in the near future, so San Antonio and other charming, second tier cities seem assured of continuing business.

Anacomp's multi Vendor Services (MVS) division (the other Anacom p division is docHarbor Document Services) exhibited at ARM A. Multi Vendor Services provides repair and maintenance on a wide variety of imaging, optical and microfilm equipment from many manufacturers. It also provides microfilm services, including its newest service, "Email to Microfiche", and sells microfilm systems and supplies. Additionally, M VS also installs and maintains mass storage devices and high-speed output systems.

Anacomp is the largest global provider of computer output to CD.

Bowe, Bell + Howell showed its range of rotary document scanners, from small to production models. The rotary Truper 3600, which debuted at AIIM in Philadelphia, is a mid-volume scanner that features exceptional speed and a very high duty cycle for a scanner with this production volume. It is designed for everyday document image needs. The production volume Spectrum XF, debuted a year earlier, is built on a proven, high volume scanner platform. It uses the advanced SharpShooter TiLinear C C D and onboard VirtualReScan 4.0 Plus image enhancement technology. Spectrum XF has a maximum speed of 140 ppm. In addition to the Truper 3600 and Spectrum XF, Bowe Bell+Howell showed the Truper 3200, a flatbed-plus-rotary low-volume production scanner and Sidekick, an all-in-one desktop scanner. www. bowebellhowell. com Canon, similar to its exhibit at AIIM, had a "Microfilm" corner showing their A 3 M S800 Microfilm scanner. However, rather than having the DR-605O F scanner/camera as they did at AIIM, they had the M S800 linked to the new Canon IPF 700 A 0 size large format printer. This printer was linked via PC

printer for both microfilm printing and full colour work.

In addition Canon had the full complement of document scanners on show including the D R -2 5 8 0 C , D R -5 0 1 0 C , C R -1 8 0 , C D 4 0 7 0 N W and DR-9080C.

Crowley Micrographics was fresh from its recent factory and H Q move, effective October 1st, to a larger, more modern headquarters (Crowley Micrographics, 5111

Pegasus Court, Suite M, Frederick MD 21704). Brand new on the company's stand

was the Book2net A 2 book and document scanner, which Crowley will represent exclusively in North America and in several South American countries. The Book2net is a new product to the market which is developing interest due to its new technology and very competitive price. Crowley also represents the Zeutschel range of large format book and document scanners and had the Zeutschel O S 1 0 0 0 0 on display. The unit was recently upgraded to provide a 25% improvement in overall scanning speed.

Zeutschel also debuted the new 11.8 operating software, which will be available on the majority of its document scanner range. Although not on display, Zeutschel also manufactures the O P 5 00 digital-tomicrofilm writer, which Crowley sells in North America.

Crow ley also showed another new product, the M 800 aperture card scanner.

The rest of the full Mekel range was also on display with the Mach III, Mach IV and Mach VII production film scanners. The Mach VII is the fiche scanner. A beta version was shown at AIIM but the market-ready product on display at ARM A offers speeds of up to 6,000 images per hour. The Mach IV is the top of the range 16/35mm roll film scanner with speeds of 300 ppm. A brand new product was the Mach III, which is a price competitive lower speed version of the Mach IV with speeds of 180 ppm. This is designed for the cost conscious. Although it is slower at scanning 16mm film than the Mach IV it scans 35mm film at exactly the same speeds.

Crowley also showed the full Agfa Gevaert range of silver halide microfilm products.

Although not on display, Crowley also manufactures the full Extek and HF ranges of Processors and Duplicators.

Thus users can now purchase a system from Canon that allows them to print back to the full original document size. The iPF 700 is also a full colour printer so it can be used as a network

Eastman Ko dak showed its recently announced i 1860 scanner for production scanning applications. This was launched at the Forum de la Geide in Paris in October but ARM A was its US launch. It captures images at up to 200 pages per minute, making it the fastest production scanner offered by Kodak.

panel and a variety of ergonomic features, such as automatic height adjustment and easy-to-reach input and output area. Other capabilities include the ability to pre-scan or post scan print, im age address, three independent, ultrasonic, double-document feed detection scanners, black or white background option, 500-sheet feeder and FIREWIRE connectivity. To enhance the length of service the il 860 features lifetime lamps to reduce lamp changes and lamp calibrations; 600,000 scan rubber roller changes; and improvements on dust reduction. The new scanner will be available in December at an anticipated list price of $US 85,000.

Also new was version 6.10 of Kodak Capture Software. It was announced on October 3 and will be available later this year for the whole scanner range.

The new software will support Kodak's newest scanner lines for both desktop distributed and production scanning. It adds MICR code support, which is a critical function in the sorting of cheques. This new capability augments barcode and zonal O C R support. Also being launched is a pagelimited version of the IRIS PDF output software for producing fully searchable PDF files. This capability will also be bundled with mid­ volume and high-volume production scanning software applications for the Kodak i600 and i800 series scanners and the new Kodak i 1860 scanner. Previously IRIS PDF was bundled only with Capture Software for Kodak i200 Series scanners and below.

Kodak Capture Software 6.10 will first be available on the just-launched Kodak i 1860 Scanner for production scanning applications.

This opens up new applications for the Archive Writers. ★ 2.0 software also allows film to be written to within 3 feet of the spool core to maximise image packing, www. kodak, com/go/docimaging EyeCom was accenting the varied lines of equipment and supplies the company distributes, some of its own manufacture and others for which it uses the EyeCom label or distributes under the original manufacturers' names. These include readers and reader accessories, handheld microfilm viewing systems, cam eras, developers and duplicators, storage systems, scanners, the Scan & View line, the Tablet Mouse and Porta-Mouse tabletop and portable scanning systems, the Print Master 10000 bi-mode plain paper reader-printer and the DRS 3000 W ork Station. ARM A attendees had the opportunity to see some of the lines and were also referred to EyeCom's web site where a comprehensive 46-page catalogue is offered on line.

New at ARM A was the DRS 5 0 0 0 / Universal 5 mega pixel film scanning system.

This comes with a 7-48x zoom lens; USB 2.0 connection; manual and motorised carrier or motorised roll plus fiche carrier. Prices are expected to start at around U S$5,000, rising for the universal system.

From the EyeCom catalogue, EyeCom offered the MDS 2500 letter size and cheque document scanner that it is distributing in the US. EyeCom was also showing other lines of equipment into which it has branched as the microfilm field has matured and declined.

One is a new video surveillance system it has developed called the Code 5 remote stake out unit. EyeCom already has sales to a number of US police departments for in-care surveillance systems. It also offers a number of different products in this line, starting at approximately US$5,000.

Another branch out for EyeCom is a range of currency authenticators, counters and coin counters, starting at $750. These units are for retail as well as banking outlets to ensure bank notes are genuine, www. eyecom.com EDCO is a major Midwestern (Springfield, Missouri) document management service firm and it talked about its services. It bills itself as EDCO-The Document People to reflect that accent. The company, which started life several decades back as a microfilm service organisation, offers a complete range of document management services and

products. These include high volume document scanning, forms processing, secure document storage and online retrieval and, of course, microfilm services. ED CO also is a reseller.

e-lmage Data demonstrated the new ScanPro 1000 scanner with a motorised combination carrier (micro opaque, fiche, and 16/35mm roll film). O riginally debuted earlier this year at the AIIM show, the unit is also available with individual manual or motorised carriers for different microfilm formats.

The compact ScanPro 1000 microfilm viewer/scanner/printer has an extremely small "footprint" and only takes up as much desktop room as two sheets of paper. It weighs 19.5 pounds. The featured 7x - 54x zoom lens handles all microfilm formats. The unit has 360 degree image rotation and digital rotation. Scan speed is one second.

Standard features are automatic focus, exposure control and optical image rotation, all presented in a very nicely packaged software toolbox.

The ScanPro 1000 works with Windows 2000 and XP operating systems and with any W indows compatible video display. All standard file formats are accommodated, including jpeg, TIFF, BMF, and PD. The ScanPro 1000 is built for public use applications such as in libraries. When desired information is found it can be scanned and sent directly to a printer, emailed or sent to networked printers.

The thoughtfully designed ScanPro 1000 has a very nice magnifier tool that displays a pop up window in which the image you want to magnify is displayed making it very user friendly. One of the historical problems of digital film scanner devices like the ScanPro 1000 has been the time delay between moving the film carrier and the digital image settling on the PC screen. With the ScanPro 1000 the image display is virtually instant.

Fellowes-Bankers Box offers a variety of storage solutions, some for microfilm but mostly for paper. Fellowes specialises in onsite solutions. Bankers Box is a leader in storage boxes that are easily assembled and

stackable and also sells steel framing for storage needs. The company also offers shredders for materials that have to be safely destroyed rather than stored. Some units were displayed. There was literature on all.

Fuji Photo Film showcased its A R -1000 Document Archive System for the US market.

The recorder, the A R-1000, and the archive recording film, AM -66, will be sold directly, supported by Fuji USA, through a network of resellers and service bureaux. The latter group, themselves, are a major sales target for the unit.

The A R -1000 input is by TIFF format, single or multiple page, compressed or noncompressed. Business-sized documents can be recorded at up to 200 maximum pages per minute and the unit features parallel processing of jobs onto two rolls of 16mm film. Resolution is up to 300 dpi. Index frames are automatically generated at the beginning of a film roll from file names or text files.

Approximately 5,000 business-size pages can be recorded per roll of film. 24x Optical reduction, division and rotation can be done simultaneously during image editing.

Large size engineering type images are handled by printing a low resolution full image onto 16mm film followed by four high resolution quadrants of the image. It is a compromise but offers a workable option for including on 16mm film images that which previously had to be done separately on 35mm film.

Archive Media AM -66 comes in 16mm x 215' rolls. The film has optimal exposure sensitivity for red LED. Resolving power is 850 lines/mm.

The A R -1000 supports Windows 2000, Professional and Server operating systems.

Fujitsu, the major scanner manufacturer, talked about its complete range of scanners and its collaboration with key software manufacturers to create complete scanning solutions. It also showed some of its presently available units. The fi-5900C production scanner was the newest unit available.

GID Global Information Distribution GmbH (GID) had its first showing at ARM A and discussed the company's complete range of C O M and C O LD machinery, supplies and services. Based in Germany but with sales offices in the US and UK, G ID is a major player in the C O M market stemming from the old N CR days. It offers a full range of CO M films, duplicating film and chemistry. As an organisation it heavily promotes the "Life Cycle Management" theme by promoting its

7 "i" management system. As such it offers services and systems in the capture, storage and archiving of corporate information. GID actively promotes the use of microfilm in the archival stage of the document life cycle, as well as offering a large number of web hosting, CD production and information sharing solutions.

remote access. The user at home receives an email or is given an access code from the library with a web link. The user clicks on this to get an encrypted and firewalled peer-topeer connection. There is no software to download and no license. The user can control the scanner from a home PC, zoom into an image, move the film backwards and forwards, and scan the image they want. And it's all done remotely. This clever system is currently Patent Pending.

Also on display was the ST200 MMS Multi Media Scanning System. Basically this is an existing ST200 microfilm scanner linked to a modified Epson document scanner. The standard ST200 already allows users to scan | fiche and 16/35mm roll film, but the new ST200 MMS also allows scanning high resolution microfiche, books m agazines, aperture cards, colour slides, any reflective or transparent media and engineering drawings (on film). Both scanning units, that are integral to the systems, are controlled by the same operational software. j

NextStar software scans the whole 16mm or 35mm roll just as one image and in grayscale. The Burglar in the Basement W hat are the most common causes of IT security breaches, and how do companies stop the burglars getting in?

Historically, the approach to enterprise security has been to make the fortress bigger and stronger - to install more products, and write more policies. Yet despite heightened security awareness and cutting-edge tools, 2006 was the worst year yet on record for corporate security breaches - continuing the year-on-year escalation of security risk. The problem is, attackers are as advanced as the defenders - and the attacks don't always come from the expected direction.

Inside job The fact is that the biggest threat to an organisation lies within its boundaries. In its survey, "Information Security Breaches", the DTI and PricewaterhouseCoopers found that 32% of Information Security attacks originated from internal employees while 28% came from ex-employees and partners.

Similarly, law enforcement experts in Europe and the US estimate that over 50% of breaches result from employees misusing access privileges, whether maliciously or unwittingly.

So securing the enterprise isn't just about stopping external threats. It's just as important to contain the threat from hapless or hazardous employees.

O ne of the key internal threats to corporates is spyware, because it's all too often introduced without malicious intent, by employees that naively click through a couple of pop-up browser windows, or install an unapproved yet 'cool' application on the network. The situation isn't helped by the myths that surround spyware.

Mythbusting These are the six most common spyware myths:

1. It's an isolated problem 2. Blocking at the gateway is good enough 3. Locking down the desktop is good enough 4. Drive-by downloads are a primary source of penetration 5. The problem comes from the outside in 6. No one wants spyware But the truth of the matter is somewhat different. Let's look at the real situation that's masked by each myth.

1. Most spyware comes in as the direct result of user behaviour, whether that user is naive or ill-intentioned.

2. Stuff comes in at the desktop all day long.

Blocking at the gateway without securing the desktop PC doesn't make security sense. It's like locking the doors and windows of the house - with the burglar still in the basement - and not bothering to call the police. What's more, gateway defenses cannot detect threats already on desktop PCs. 3. If "locking down" the desktop and restricting user installation were effective, there would be no need for antivirus software. Spyware is designed to get around acceptable use policies and exploits users' inquisitive nature.

4. "Drive-by downloads" should never occur in a corporate environment, because they come from sites that users should not visit at work.

5. Sure, spyware comes from outside because someone opened the door and let it in. Not recognising this results in a porous security infrastructure.

6. True, no-one actually wants spyware, but it

comes as part of that cool application that users do want. So spyware gets installed anyway.

Spy trap So what can companies do to minimise internal threats?

First, make a Web filter a required part of the network security arsenal. This should prohibit users from visiting known spyware and 'drive-by download' sites.

Second, deploy an effective email filter that blocks spyware from entering the network via active HTML, attachments, phishing and spam. There also needs to be protection at the desktop to stop spyware as it's introduced.

Finally, implement a solution that disallows running or installing programmes that in turn install spyware.

Put simply, to keep the burglar out of the basement, organisations need to remove the ability of employees to let the burglars in, in the first place. They need to implement tamper-proof solutions that users cannot easily evade - no matter what the external inducements.

Behind every PC lies a Super Power Password, when you forget your own personal password you rely on an IT person to log you back on. How many people in your organisation know the Super Power Password? This is one of the biggest concerns that most organisations have - they just don't know how many people know the Super Power Password. It's a big taboo and a subject that puts the shivers down most IT Directors' spines and many just don't know how to solve this problem!

It means if you are the Chairman of a

large corporation everything you do can be watched and monitored by all those who know the Super Power Passwords. They'll know how much the C E O is being paid, what his bonus is, what websites he's visiting, you'll be able to see his emails, find out about his personal affairs, know what's happening to the share price way ahead of anyone else, in fact every bit of confidential information that is communicated or stored on the network you'll be able to read if you know the Super Power Passwords!! What Should You Archive?

Every organisation has to decide what their archiving policies are. Which records (or documents) should they keep, and which should they destroy? W hat affects this decision?

Public organisations are often given clear guidance by law, or by the National Archives. Business and industry receive some guidance from law, but that mainly encourages them to destroy records after a defined retention period (often only 7 years).

Private individuals receive no guidance at all. They are left to their natural inclinations, so tidy people throw everything away, and hoarders keep their bus tickets and shopping lists.

Is there any system to the ways different organisations m anage their archives? Should there be?

We should answer this question differently for periods of 10 - 100, or 101 - 999+ years. Within the ten to one hundred year span, Retention Schedules should prevail. Outside of legally mandated retention periods, businesses and individual people should be allowed to follow their natural impulses. O ver this time span, plenty of material will be archived by these natural processes.

For longer periods, perhaps there should N O T be any rigorously enforced system. Archiving will be determined by a mixture of long retention items and whatever regard the government department, business or individual has to history and the future. However, at some point in the longer time period, organisations and individuals should consider the following points when they set policy: ★ how much can you afford to store ★

Archive Security in a Tiered Storage Environment Steve Tongish, director o f marketing (EMEA) at Plasmon, provides a practical assessment of the security implications for using different storage technologies for long-term data archiving The use of tiered storage is becoming increasingly popular within many organi­ sations, driven by the need to meet oftenconflicting demands of information access, cost-reduction, regulatory compliance and risk management. The proliferation of different disk, tape and optical technologies in combination with new software solutions enables significant cost savings by matching the appropriate storage architectures to specific business requirements. At the same time, however, a tiered storage strategy introduces new security challenges, partic­ ularly with respect to the long-term retention and accessibility of corporate information.

Archive data and storage technologies The identification of archive grade data is a reasonably straightforward place to begin for those looking to develop an Information Lifecycle Management (ILM) strategy. Simply put, it is when archive data is no longer being actively created, modified or accessed. It requires less frequent access and therefore can be off-loaded from expensive, highperformance hardware to less expensive and more secure alternatives.

The most common technologies used in professional archive environments are magnetic disk, magnetic tape and optical storage. When used in professional archive applications, all of these technologies can be combined with other components to create more redundant and automated solutions.

W hile each has its own strengths, they also present specific security challenges.

There are a number of major consider­ ations required to secure the integrity and availability of archived information over time.

Controlling access Controlling access, as with any security management, begins by physically preventing unauthorised personnel from approaching the archive system and to prevent individual archive records from being accessed by another person through encryption. File encryption techniques are independent of the storage media and can be used with disk, tape or optical and are incorporated directly into next generation

tape and optical drives. Companies should never use file encryption as the only method of controlling access, since it does not guard against other security risks and cannot be considered 100 % future-proof.

Data integrity It is important that the chosen storage technology employs verification procedures so that all records written to the media are correct and complete. When data is written to a disk or to professional optical storage, such as UD O (Ultra Density Optical), it is fully verified so that the application or user can be certain the record has been accurately recorded. This is not necessarily the case for tape media or consumer optical products like DVD and Blu-ray. It is advisable to use the highest media quality that can be verified at the time it is written.

Authentication For many organisations, the need to demonstrate the authenticity of individual archive records is paramount, driven by the need to comply with industry regulations and risk management policies. This is clearly, however, a multifaceted requirement since no single product feature of capability can guarantee absolute record authenticity and immutability. A number of interlocking procedures need to be considered.

Disk, tape and optical all offer W O RM (Write Once Read Many) versions of their products, which are specifically designed to prevent the alteration of the data once written to the media. However, not all W O RM products offer the same level of protection and only optical storage offers physical W O RM functionality that cannot be modified in any way.

The ability to track and identify individual pieces of storage media can further strengthen the case for record authenticity. A unique, software readable serial number allows applications to track when and on which specific piece of media records have been archived. Furthermore, digital signatures can be a very effective w ay of tracking an archive record and operate at file level across all media. W hat they cannot preclude,

however, is the creation of a fraudulent record generated by an authorised person.

Therefore it is critical to have other physical and electronic checks within the overall system.

An archive strategy seeking to address the issue of authenticity should therefore use a combination of W O RM recording, media identification and digital signatures.

Disaster prevention and recovery Archive data is often protected by short­ term back-up and on-going duplication or system replication. But much is dependent on how critical the archive is to the operation of the business, which implies how quickly the data needs to be accessed.

With disk archives, it is possible to have multiple disk failures that can result in significant loss of large pools of archive data and the only w ay to protect against this is to have some form of short-term backup or replication to cover lost data. Being forced to implement a backup strategy for a disk archive, however, negates any financial benefit, imposing additional cost, complexity and security exposure.

With tape there is also a high risk of massive data loss, since damage to just one tape can cause the loss of hundreds of gigabytes of archive data. Optical technology provides the most stable of all three storage backup technologies, since it is a non­ magnetic, non-contact media that has a high tolerance to environmental conditions and requires no ongoing maintenance.

A replication strategy is also vital for any disaster recover plan, providing offsite data copies to preserve the archive in the event of a major site failure. There are pros and cons for replication with all three technologies.

Authorised destruction Destruction of archive records can be as critical to system security as their preser­ vation. Emails are a good example of this, since generally speaking they represent a greater liability than asset and most organi­ sations would prefer to destroy them as soon as their statutory retention period has expired. There are two main methods for

data destruction: logical and physical. Either method may be acceptable, but complete destruction of the file, which leaves no residual or shadow image that could be recovered is often a business necessity. This type of dynamic physical destruction is not possible with tape media, is a time consuming and awkward process with disk but can be achieved quickly and easily through UDO. Validation Companies that cannot prove that they have managed their records as part of a wellcontrolled process will undermine their ability to comply with regulations. As a result, all secure environments must have the ability to track and audit the management of their archive data. This should include how the

data is committed to archive, who has accessed the data, changes to the status of the data throughout its lifecycle and the authorisation of data destruction at endoflife.

important factors to consider are that disks will need ongoing maintenance and upgrades, while tapes are extremely fragile and must be monitored and refreshed.

Optical storage provides the longest and most stable media life of the available technology options.

Summing-up, it is apparent that choosing an appropriate storage technology can have a major impact on security, as well as the cost and operation of the archive. Disk, tape and optical can all be used, but each introduces weaknesses that must be accounted for within an overall risk assessment and may impact upon the overall business risk profile.

Data Availability It is also vital to remember that an archive cannot be considered 'secure' if the data is, for whatever reason, no long accessible.

Because archived data is retained for many years, the longevity of the storage media plays an important role in the lifecycle of the data. If records must be preserved for decades, it will be necessary to repeatedly migrate the data to new technologies over time. Protecting computers is also an important preventative measure - with Firewall, Privacy Control and Security Suite software accounting for 31% of all non-Games software sold in the UK. Increasingly these products are purchased as part of a Security Suite, which provides comprehensive, integrated protection, rather than piece-meal components. Sales in 2006 have increased 14% on 2005, standing at 1.5 million units so far for 2006. The sales ratio of Suites to Firewall and Privacy Control elements now stands at 8.8 to 1.

DISASTER RECOVERY One never knows when disaster may strike, so it is wise to be prepared for the worst.

Whether it be fire, flood, earthquake or even a terror attack it is vital that information is saved and disruption is minimised.

There may be a disaster in your future - Be prepared for it.

Many archives claim a disaster recovery plan on their web sites.

So why is information lost from archives after a disaster?

The following article is based on a presentation made by Tom Bruno before the 2 0 0 6 Midwest States Micrographics Congress.

Tom Bruno is Senior Technical Manager, Document Imaging, Kodak Graphic Communications Group No matter where your office is, you can be sure that some day you will fall prey to disaster.

By developing a disaster preparedness plan, you can minimise the damage.

The first step is to implement a recovery plan NOW. ★ Designate a recovery director and staff. ★ ★

List who else can help.

Designate a staging area.

List all your disaster recover vendors.

★

Determine boxing material to be needed.

★ ★

Do the same for protective clothing.

Plan for temporary storage.

Immediately after these steps are taken, there are many critical checklists that must be prepared.

First, establish a "Checklist for Disaster Preparedness." This sets out the duties of the recovery director and gives a timeline for accom plishing them. It goes into how individual records media should be handled i.e. photographs and negatives, microfilm and motion picture film, bound volumes, with subdivisions for the degree of damage such as wetness. By doing these things in advance you can avoid last minute panic and save time.

There are other things that should also be done now.

Survey your facility Since structural breakdowns of buildings that house records cause most disasters, you must inspect your building thoroughly inside and out, ideally in the company of the director of building maintenance.

You should also find out if your building is

on a flood plain. Although time-consuming, the inspection will yield valuable information for the future.

In addition to checking out your facility physically, check your insurance coverage. In the US most government offices are "self insured". That means they have to raise the money for recovery when a disaster strikes.

Often, this results in costly delays and unnecessary loss because most commercial vendors want their payments up front.

O n commercial insurance, check out exactly what is covered. Do you have enough insurance? W ill it cover what might happen?

Know now and avoid worries later.

Label vital and historical records; set up a recovery site Because the damage you could sustain in a disaster may prevent you from saving everything, you should identify and label records that you will need to restart business as well as those of permanent or historical value. To pinpoint records, you should develop a simple inventory as a "shelf list".

Do it electronically or on paper and maintain the list off site.

To assess damage, you'll need a recovery site. Determine now where it will be.

The recovery site should be aw ay from fire personnel and other rescue workers. It should have access to clean running water. There should be sufficient workspace for packing, stacking and moving carts in and out.

O rganise recovery teams according to tasks. Have enough people on hand to work in two-hour shifts. Make sure they have sturdy worktables. Because they'll probably be

working with wet and/or damp materials you'll have to inhibit the growth of mold.

Plan now to place fans in the area to circulate air and to keep the temperature at a low, but workable level. If you can, consider temporary storage facilities such as refrig­ erated vans.

If disaster strikes....

Learn from the lessons of others. In New O rleans much water-damaged microfilm from Hurricane Katrina was not addressed until 13 months after the storm. Invaluable information was lost forever.

While it wouldn't have helped in the case of Katrina, a good rule to be followed is that the bottom of storage cabinets and shelving must be six inches from floor level in case of flooding.

Evaluate the damage and put the plan into action If the worst happens, evaluate the mess quickly. W hat disaster has affected your archives? Has it been water? Fire? Smoke?

W hat media has been- affected? Paper?

Microfilm - masters, duplicates? CDs? Tape?

Other media?

These figures suggest that take-up of business continuity is higher than ever in the UK. The survey also found that almost half (44%) of respondents had customers that demand a business continuity plan as part of the contract.

Headline-making disasters like 2005's Hurricane Katrina have highlighted the need for more sophisticated disaster recovery (DR) plans for even the smallest and newest of organisations. The need to back up has hit the boardroom, as access to information 2 4 /7 from a variety of locations has become a business-critical issue.

Data loss comes in all shapes and sizes. It might be the result of accidental deletion, corruptions, viruses, hardware failure or site disasters. Whatever the cause, it can severely damage the reputation of the company and put the business out of action for days or even weeks. So what must the board consider when planning for the worst?

Massive amounts of distributed data Digital data volumes are set to grow 30 percent in the coming two years. But burgeoning data volumes are only a part of the problem. Far more serious is the fact that a large proportion of corporate information is distributed across numerous data media such as departmental servers, desktop and laptop PCs and, more recently, also employees' PDAs and memory sticks. In many cases, administrators no longer have any control over where individual staff members store their data or whether these are backed up on a regular basis.

And, as if that is not enough, many IT managers are in store for a rude awakening in the coming years when new rules such as Basel II - whose rule set includes fixed elements such as risk provisions for data protection - take effect. W hile the US Sarbanes O xley Act limits itself to companies listed on the US stock market, it nevertheless serves as a strong driver for this target group to invest heavily in data security. And overall, there is a clear trend towards increasingly rigorous sector specific regulations for industries such as pharmaceuticals, banking and insurance.

Backup, the whole backup and nothing but the backup In other words, while the data torrents continue to rise and become increasingly diversified, IT managers have the challenging task of identifying vital data files and backing

them up centrally and regularly, then archiving the backups so that they are protected effectively from natural disasters.

Iron Mountain is a specialist in this interaction between collecting, backing up and archiving physical company folders and digital data.

The issue of continuous data protection is becoming increasingly prominent in the digital world. A modern CD P concept encompasses the entire data protection process - from continuous data backups and the constant removal of data to safe external locations, to archiving the entire data history for any desired period of time. In the US one lost hard disk contained unencrypted personal information relating to 26.5 million former and active military personnel.

W hy the Information World is at Risk from 'Digital Alzheimer's Disease' Twenty years ago a unique 'Digital Doomsday Book' project was launched in the UK. Its ambitious objective was to preserve a wide variety of aspects of British life for future generations. The 'book' contained over 50,000 images, sixty minutes of film, 25,000 maps and over 3,000 other records. All of the information was stored on a 12 inch video disc, only viewable on special computers.

But just sixteen years later a rescue mission had to be launched - the Digital Doomsday Book had become impossible to read because the special computers were obsolete.

And therein lies the problem.

The rapid pace of technical change means that data storage media and formats quickly fall out of date - leaving the information society highly vulnerable to the threat of "digital Alzheimer's".

The challenge to turn the internet into the largest imaginable virtual library will of course be won - but there are substantial archiving problems yet to overcome.

Critics believe a significant part of our cultural heritage is being endangered with libraries, archives, museums and scientific data centres fighting a losing battle against a 'digital loss of memory'.

The BBH Scanner Configurator then calculates the results and breaks them down into a three-step analysis of what scanner is best suited for the user's needs.

Step one tells the user the total scanning speed required to scan the number of pages in the time allowed.

Step two, the Compatibility Matrix, lists the scanners available and places a checkmark by the models that are compatible with the criteria selected.

Step three tells the user how many of each model is required to meet the user's scanning needs and singles out the one that would be the best fit.

"We ask the minimum number of questions in order to point the user in the right direction," said Parnell. "They don't need to be scanning experts. The four parameters ask the basics, and the BBH Scanner

Configurator calculates the results based on those answers." Parnell says the tool is designed not only for new scanner users, but also for new VARs and channel salespeople.

Advanced parameters are available for scanner-sawy users who have more specific requirements. For example, sophisticated users can input the scanning resolution desired, specify if imprinting or ultrasonic multifeed detection is required, and indicate if a flatbed is needed. Special needs such as "difficult" paper - paper that is fragile, crumpled, torn or dirty - can also be taken into consideration, and the user can stipulate the minimum and maximum page width and length. Xerox expands in Wide-Format market Two new ranges o f colour inkjet production printing systems join the Xerox wide-format device family Xerox has announced today the launch of two new ranges of solvent colour inkjet wideformat production printing systems - the 8200 and 8300 series.

The Xerox 8200 series Eco solvent and 8 300 series Mild solvent systems are available in 65-inch and 90-inch width versions, which offer the versatility required to cover a variety of indoor and outdoor applications. With the outdoor market predicted to grow by 16 percent Compound Annual Growth Rate (CAGR) until 2009 (according to the analyst house InfoTrends/CAP Ventures), Xerox yet again proves well-prepared for what the future holds.

Genus assists Borthwick Institute's move The Borthwick Institute needed a scanner that could handle A 2 size The Borthwick Institute for Archives is one of the largest archive repositories in the north of England and in its 50 year history has collected archives from all around the world from the 1 2th century to the present day.

Following a grant from the Heritage Lottery Fund the Institute was able to relocate to a state of the art archive building adjacent to the J.B. Morrell building on the University of York's Heslington campus.

After the relocation, the institute wanted to upgrade its reprographic service and explore w ays of making their archives more accessible to remote researchers by means of digitisation projects.

- In particular the Borthwick Institute was looking for an overhead scanner which could tackle a variety of material up to A 2 size, in both loose sheet and bound material format.

TRADE NEWS Turnover exceeds Expectations Fantastic First Year for Capture Imaging Solutions Providing a document management, copy, print and scan solutions service to the north east has proved to be a business success story for Aberdeen based Capture Im aging Solutions (Capture). Capture, which was set up in October 2005 reported, on 20th November 2006, that turnover for their first twelve months of trading has exceeded £ 1 ,5m. It is expected that year end results for 2006 will be £ 1 ,8m Since October 2005 Capture has signed over 80 clients and installed more than 230 machines across the north east. Major contract wins include the provision of digital copying services to SBS Logistics.

Lynn Blodgett, who began at A C S a decade ago as president of A C S Business Processing Solutions, which included supervising the company's im aging and microfilming business, is the new president and CEO .

Prior to his elevation Blodgett had been serving as executive vice president and chief operating officer.

King and Edwards had to leave because

both had been found guilty of violating the company's code of ethics for senior financial officers. Their departures resulted from an internal company investigation into its historical stock option practices. The investi­ gation was done in response to a formal inquiry by the Securities and Exchange Commission and a subpoena from the US attorney's Office. During the course of the investigation more than 2 million pages of electronic and hardcopy documents and emails were reviewed. The investigation determined, among other findings, that King

and Edwards used hindsight to select favourable grant dates for their stock option dates and then intentionally misdated memoranda. The estimated benefit they gained exceeded US $4 million As of this writing, A C S said "non-cash compensation expenses...related to incorrect accounting...will be approximately US $51 million", a figure A C S admits might be subject to change. Financial statements going back a number of years will be revised and refiled.

Architects go underground World famous architectural practice Foster and Partners, founded and led by Lord Foster, has announced today that they are transferring some of their important archive drawings, files and architectural models to DeepStore, an underground storage and document management facility situated 150m below the Cheshire countryside.

The material relating to some of the practice's thousands of different projects will be carefully shipped from London to Cheshire and stored in unique environmental conditions within DeepStore. The facility is ideal for storing documents and sensitive or fragile materials due to its naturally stable atmospheric conditions: there is no UV light, no risk of flooding or lightning strikes, no moisture and no pests or vermin.

The temperature remains at a constant 14°C all year round together with a relative humidity band of 60-70%.

Double capacity and boosted service with high-volume scanning solution W hat do you get when you combine very high-volume scanning with digital-tomicrofilm conversion technology? Answer: double capacity, significant service level improvements and greater access to new business, according to Cosmo G raphis Imaging Limited (CGIL) based in Altrincham, Cheshire.

Since the company was founded over thirty years ago CG IL has grown from a reliable microfilm scanning bureau to become the largest full-service document management service provider in the North West of England, with a turnover of ÂŁ1.7 million and staff of fifty. The bureau has evolved to meet changing customer requirements and now caters to a wide range of customers' document capture and conversion needs, whether they involve paper, microfilm or digital media.

By June 2006 C G IL was running seventeen Bell and Howell 8080 scanners and thirty microfilm cam eras, which enabled a production capacity or around 90 ,0 0 0 images daily. Despite the increasing popularity of digital media for long term storage purposes CG IL has found that for many clients microfilm remains a very stable, cost-effective storage medium and very often the two must co-exist as part of a hybrid storage strategy. CGIL's business was split 5 0 /5 0 scanning and microfilming, and the company enjoyed particular success with local authorities and backlog conversion projects.

Investing for growth According to Mark Savage, Managing Director at CG IL, "In order to grow the company and improve customer service levels we needed to address two areas. First, we felt sure that we could handle our current business more efficiently and cost-effectively, enabling us to free resource to accommodate increased volumes and accelerate project delivery. Second, we wanted to pursue new business that relied on high volumes being processed very quickly, regardless of document size or type, and we recognised that the core technology we had in place would prevent us from doing so."

Capacity up, costs down The diversity of CGIL's client base requires them to handle a vast array of document types including invoices, expense slips, PODs, A&E records, medical records and invoices. There is no uniformity with most of these jobs, yet the ImageTrac can accommodate virtually any document regardless of paper size, type, thickness, age and quality. The ImageTrac achieves throughput rates unparalleled in the industry, whilst also delivering supreme image quality and accuracy. Capable of scanning 200,000 documents daily, the system provides ample capacity to accommodate new growth. New jobs can be prepared and programmed very quickly, minimising downtime and accelerating turnaround times.

Best of both worlds O f particular interest to Mr. Savage and his team was the ability to integrate the ImageTrac with Kodak's Archive Writer 4800 digital-to-microfilm conversion system.

Archive Writer delivers 9600 pixel image quality using a new, prem ium l6m m microfilm that is IS O /A N S I certified for a 500-year life expectancy when stored appropriately. "This integration enables both us and our customers to benefit from the best of both worlds: rapid and very accurate throughput combined with very high quality microfilmed images. We couldn't achieve this using conventional document scanning and microfilm platforms," says Mr. Savage.

The ImageTrac, which was delivered in September 2006, has already made its mark.

Helen C lark, C G IL Bureau Manager, describes some of the benefits: "Already we have experienced significant cost, time and quality improvements. Jobs that would have taken three days to complete using our existing scanners will take just two hours using the ImageTrac, because our throughput has increased to 10,000 documents per hour.

W e can offer same-day delivery for many projects such as electronic mailroom applications, which previously could have taken up to twenty four hours to complete. Far fewer errors and jams occur, and the accuracy is high, so we spend far less time handling exceptions."

Several CGIL's Bell and Howell scanners and microfilm cameras have been retained for jobs that require high levels of pre­ preparation due to the nature of the documents involved, such as expense receipts that are provided in many and various forms.

However C G IL recognises that the more work they can pass through the ImageTrac, the more efficient they will become. Ongoing maintenance for the ImageTrac is provided

by Kodak Service and Support.

Motivating the team C G IL expects to achieve return on investment in a relatively short timeframe. The company's investment has not only increased business prospects, enhanced service levels and reduced costs, it has affected the morale and motivation of staff throughout the operation. According to Mr. Savage, "Since the ImageTrac arrived, our staff has been noticeably more proactive and motivated. It's a large piece of equipment that's hard to ignore. Seeing is believing, and it's very impressive when operating at full throttle. We have recruited additional sales staff to develop new business opportunities, and it's exciting to see the enthusiastic reactions of prospects during a demonstration. O ne viewing is normally enough to convince them that outsourcing their project to us will be far more cost-effective and efficient than trying to handle it in-house."

Bowe Bell + Howell continues expansion with 2 promotions and 5 recruitments Bowe Bell + Howell Scanners continues to grow and expand with a series o f promotions and new hires Roland Simonis, 48, has been promoted to vice president of technology and business development. In his new role, Simonis will manage new product development, scanner project portfolios and product roadmaps. He will also play a key role in shaping the company's business growth strategy and leading business development initiatives in new territories, including China.

In the past 20 years, Simonis has made several key contributions at Bowe Bell + Howell Scanners. He has worked closely on the development of the company's flagship Spectrum Series of scanners, the Copiscan 8000 Series and the Copiscan II Series of scanners, as well as the imprinter, A C E image enhancement and SCSI controllers. Simonis holds a bachelor's degree in electronics

automation from HEMES in Liege, Belgium.

Kirk Bonniwell, 30, has been promoted to director of finance. In this new position, Bonniwell will have key financial responsi­ bilities for the manufacturing and supply chain operations at Bowe Bell + Howell Scanners. He also will maintain his current responsibilities in the finance department of the scanner division.

Bonniwell previously held finance positions at KLA Tencor Corporation and PricewaterhouseCoopers. He is a certified public accountant and holds a bachelor's degree in accounting from the University of Iowa.

Patrick Treacy, 52, joins Bowe Bell + Howell Scanners as a senior buyer. In his new role, Treacy will work closely with vendors on quality and pricing issues. He will also be responsible for purchasing efforts within the company's production department.

Treacy brings more than 25 years of purchasing experience to the company. He previously held m anagerial positions in purchasing at Soleil Systems and E.H. Wachs Co. Treacy holds an associate's degree in science from the College of Lake County in Grayslake, Illinois.

Dimitry Fabrje, 36, joins the company as a technical support engineer. In his new role, Fabrje will be responsible for expert level technical support for BBH's workgroup and low-volume production class scanners.

Fabrje brings to the company a wealth of

experience, which includes product design and development, systems integration and support, and C A D application and PC hardware instruction. He holds a master's degree in business administration from Olivet Nazarene University in Bourbonnais, Illinois., and a bachelor's degree in industrial design from the University of Illinois in Chicago.

Brian Mitton, 43, joins the company as an advisory engineer for software. With more than 20 years of experience in software design and testing, Mitton will help maintain and develop several initiatives within Bowe Bell + Howell's engineering group.

Mitton holds a bachelor's degree in computer science from Eastern Michigan University, in Ypsilanti, Michigan.

Richard Multan, 52, joins Bowe Bell + Howell as an electrical technician. Bringing more than 30 years of technical experience to the company, Multan will work with Bowe Bell + Howell's engineering group to test new designs and technology. He holds a bachelor's degree in electrical engineering and technology from the DeVry Institute of Technology in Chicago, Illinois.

Terrence Ferreira, 21, joins Bowe Bell + Howell as a scanner operator. In his new role, Ferreira will work primarily on projects that evaluate the performance of new and existing scanners as they operate in conjunction with other media.

DeepStore is celebrating the news of record results with the announcement of three key appointments. In the last two years the records management company has seen new

Canon UK makes new appointment Adam Poole to head up Canon UK's channel and customer offerings Canon UK, a world leader in digital imaging technology, recently announced the appointment of Adam Poole to the role of Head of Channel Marketing. In his new role, Poole will be responsible for implementing strategic plans to develop Canon's channel and customer offering to the industry.

Poole's objective in 2006 and beyond is to continue Canon's growth within the reseller community for both the office and profes­ sional print markets, whilst driving marketing activity in Canon's direct sales and Corporate channel.

Working directly with Canon's three routes to market - the Canon Partner channel, Canon Business Centres (CBCs) and Corporate & International, Poole will manage a 9 strong channel marketing team, based at Canon UK's headquarters in Surrey.

Poole worked for a number of resellers in different roles before joining Canon in March 1998 as a Direct Channel Marketing Executive. Since then he has held the role of Marketing Communications Manager, responsible for all Canon Business Solutions communications and PR activity, and more recently the position of Head of Professional

Marketing, overseeing Canon's significant success and development in this market.

Midwest States Micrographics Congress Microfilm is still important to m ajor US state government users The annual Midwest M icrographics Congress, held in Madison, Wisconsin, in September was attended by half the usual amount of people, but still had representation from ten states. The major factor restricting attendance was the lack of funds in state departmental budgets.

Among the attendees was a high interest in film scanners as well as in archive writers.

Most of those showing interest said it reflected their belief in the importance of film as a retrieval medium.

Speakers and Subjects Since Wisconsin was the host state, a number of speakers were from Wisconsin institutions after Peter Gottlieb, Director Wsconsin Historical Society Library/Archives and State Archivist, opened the two-day session. Lori Bressler of the Wsconsin Historical Society spoke on microform reference in genealogical referencing. Sandra Paske, in charge of preservation at the

University of Wisconsin's Memorial Library, gave an update on preservation and led a tour of the UW Memorial Library Microfilm and Digital Lab. Tim Law, Genealogical Society of Utah, spoke on the move from analogue to digital image capture. O n a related subject, Rebecca Ryder, University of Kentucky Young Library, discussed the National Newspaper Digitisation Program. Tom Bruno, Eastman Kodak, gave an interesting presentation (see PI 4 in this issue) on "Disaster Recovery" in which he included recent natural disasters and unfortunate results that came out of some of them.

John Glover, Crowley M icrographics, spoke on both days. His first talk covered "Microfilm-Yesterday and Today". His second presentation was a forecast for "MicrofilmTomorrow" giving his reasons why it will always be around. After going through the benefits and advantages of microfilm and

digital technologies in his talks, Glover reviewed integrating existing microfilm archives into electronic document management systems as well as the reverse going from microfilm to digital.

Many states spoke of a concern about how long microfilm will be available.

Because there is a lack of an organised group to distribute generic information about the micrographic industry (FblA is gone and AIIM has shown no interest), there were rumours of some microfilms no longer being available and, worse, that support for microfilm might soon disappear.

Despite these worries and the disappointing attendance, attendees expect the Midwest States Micrographics Congress to continue to exist and play an important role. The 2007 gathering will be held in W yom ing in September with following meetings scheduled for Illinois in 2008 and Utah in 2009.
