With Sony still slowly but surely picking up the pieces after the hack of the decade, we are all left wondering where that weakness was that allowed them to become vulnerable to such an attack.

Well I'm sorry but if I was in his shoes I'd be a little ticked off if my team neglected to mention such a thing. You know a simple hey how was your weekend, and how's the wife, oh and by the way someone hacked our system yesterday and stole the details of about 100 million of our customers!

Now this is the mother of all types of security issue as it affects the customer, the very people who trust that you will take their personal data and squirrel it away somewhere nice and safe and make sure nobody gets to it.

So how does this apply to the rest of the industry, well it doesn't really matter what the data is, if you are providing a storage service for documentation or a revolutionary retrieval system it's still up to you as a company to keep the data safe and secure.

So we'll cover a little bit about security on page 22 , a little bit about document management systems on page 9 and a bit about the importance of planning and then some on page 22 .

The rash of rogue Apple Mac AV software appearing in recent weeks - culminating in the widelypublicised appearance of MacDefender - highlights the fact that the Mac is just as susceptible to malware as the Windows platform says Trusteer the leading provider of Secure Web Access services.

obe Venafi says Norwegian military cyber attack a sign of things to come Reports that the Norwegian military has admitted to being targeted by a potentially serious cyber attack should act as a wake-up call to UK organisations on both sides of the private/public-sector divide, says Venafi, the Enterprise Key and Certificate Management (EKCM) solutions specialist.

According to Jeff Hudson, Venafi CEO, the rash of targeted cyber attacks in recent weeks against several major corporates such as Sony - and now attacks against military targets shows that the cybercriminals are refining their attack strategy.

"It doesn't take an industry expert to know that “the bad guys”, aka hackers, will always target the most vulnerable area of a company’s security fabric.

Often the weakest link is poor encryption key and certificate management. Where previously cyberattacks against government systems and major corporates could be shrugged off or overlooked because of the efficacy of conventional, multi-layered IT security systems, it's clear that a new strategy is called for," he said.

"That strategy now needs to draw in allied technologies such as pervasive encryption of all data— both at rest and in motion—which requires effective access controls and key and certificate management to protect an organisation's private data, which of course, is what the cybercriminals are really after in these types of attacks," he added.

The attack on the Norwegian military - in which 100 senior

members of the country's defense department received an email plus attachment that appeared to come from the government - was carefully planned and well executed, says Hudson, who added that it was interesting that at least one person is reported to have opened the attachment.

This launched an unknown malware that executed commands that compromised the machine before it was stopped from spreading further.

This proves that - despite the best of security training and the high levels of security defences that military systems have - all it takes is one click and the integrity of an organisation’s IT resources are then put at risk. ■ More: www.venafi.com

86% OF IT ORGANISATIONS DON’T TRACK SENSITIVE DOCUMENTS

A study conducted by Imperva has revealed that organisations in the UK have not changed their attitudes to the threat of insider breaches despite the lessons of Wikileaks. In its survey amongst IT security professionals 86 % could not categorically state that they knew how many sensitive files their organisation had - only 41% had an idea where sensitive files were stored on their networks while 18% admitted they didn’t know. In fact, less than half (43%) knew which users had access to sensitive files while 32% confessed that their organisation had lost data as a result of people abusing file access rights.

Imperva conducted an identical survey in the US and, while there were similar levels of inadequate awareness and protection of sensitive files, the critical difference is that US IT professionals planned on taking some preventative action. ■ More: www.imperva.com

SECURENVOY: NO EXCUSES FOR LOCKHEED MARTIN CYBER-ATTACK

Reports that Lockheed Martin is blaming an apparently successful hack of its IT systems on an earlier breach of RSA Security's system have been dismissed as "smoke and mirrors" by two-factor authentication specialist SecurEnvoy.

According to Steve Watts, SecurEnvoy's co-founder, whilst weekend newswires were citing Lockheed Martin, the US defence contractor, as laying the blame for its data breach at RSA Security’s door, it should instead have been looking at its own IT security review procedures.

"The RSA Security breach occurred in mid-March, which has given its users more than two months to review their reliance on RSA Security's technology on their ITsec systems. Office workers can’t find files on their computers, research reveals Over half (58 per cent) of British office workers have struggled to find important files or documents they thought they had saved on their work computer, according to research released today by leading information management company Iron Mountain. With more than 60 per cent of all company information now carried on PCs and laptops, looking for lost or deleted files is a waste of valuable staff time, a burden on IT helpdesk resources and can sap employee morale.

The research, conducted by YouGov on behalf of Iron Mountain, supports findings

by Butler Group that up to 10 per cent of a company's salary costs and a quarter of its staff time can be ‘frittered away’ by employees looking for information. For a company with 250 employees, this means that up to 2,300 working hours a week - just under two hours a day per employee -are potentially wasted, costing

the business up to £700,000 a year ( 1).

“Looking for documents can be extremely frustrating for employees as well as damaging for the business,” said Richard Ellis, sales director, Iron Mountain Digital. “With more and more employees working remotely on laptops and struggling to deal with an ever-growing quantity of information, it is inevitable that documents will get lost-the consequence of a hard drive failure, the theft of a portable device or accidental deletion- resulting in anguished calls to the IT department.”

“The YouGov research also showed that well-intentioned company policies on how to store and manage company information are not always getting through to the workforce,” added Ellis. “The survey revealed that around a quarter (23 per cent) of office workers are unaware or not very aware of their organisation’s data

PLUSTEK SCANNERS NOW ABLE TO SCAN AND INDEX DOCUMENTS DIRECTLY TO GOOGLE’S CLOUD

Plustek Technology Inc., a manufacturer of consumer, prosumer, professional and office imaging devices (including portable scanners, sheetfed/flatbed scanners, and graphics scanners), announced today its partnership with gDocScan which allows its MobileOffice and SmartOffice scanners to scan and index documents directly to Google Docs.

Node4 addresses major concerns surrounding recent cloud computing scares Lockheed Martin, the American aerospace company, has become the latest high-profile business to have come under a cyber­ attack. Amazon and Sony are among others that have fallen victim to cyber crimes in the past few weeks.

Recent attacks have put the issue of data security firmly into the spotlight, with more and more companies opting for the high levels of security and backup offered by cloudbased data storage.

Gartner predicts that by 2012 , 20 % of all companies will no longer own their own IT assets; further indicating that by 2015, informationsmart businesses will increase IT spending per head by 60%, with tools and automation eliminating 25% of IT-related expenses. Many experts predict that 2011 will

be the year when cloud computing will begin to see widespread adoption across the mainstream business landscape. Jones Lang LaSalle’s recent Data Centre Barometer survey among European stakeholders found an increase in outsourced solutions from 50% 18 months ago to 75% this year.

The biggest driver for companies to outsource their data is the fact that they can make considerable savings and ease cash flow by replacing six-figure CAPEX investment costs - whichthey would otherwise have to pay if they bought their own servers - with OPEX payments for rented equipment. This allows them to conserve cash and create more efficiency without having to worry about

required to contribute to an overall “good patient experience”. One of these factors is the proper maintenance of a patient’s medical records.

The Challenge Advanced Urgent Care is required to retain all adult patient records for 10 years. Pediatric records must be retained until the patient turns 18, plus another 3 years. Before regulations were issued to maintain patient records in an electronic format, all files were generated the old-fashioned way - on paper.

As one can imagine, this meant thousands of documents across five AUC offices. To retrieve a document could mean traveling to different sites, and perhaps having a difficult time locating just the right record if it happened to have been misfiled, ► ID M i:068.09

◄ resulting in extra cost, time and hassle for AUC and its patients.

Initially, AUC decided to hire an outside company to convert some of its stored files to an electronic format, however, when a situation arose where a document could still not be located based on an oversight from the outside provider in the conversion process, Renee Biskupski, Vice President of Operations for AUC decided to take matters into her own hands.

Said Renee, “We stopped outsourcing and started storing.

After a time, however, our storage was filling up, so we decided that we need a conversion and retrieval solution with our own controls to ensure nothing gets missed or lost.”

The Solution

This has freed up a huge amount of space and saved us money over the years.

I can search for records in many different ways, and I have never been unable to locate a document easily that has been scanned with this system.

Renee learned of the DocuLex Archive Studio Software Suite through a local office products dealer. She was looking for a complete solution to electronically archive and effectively retrieve AUC’s patient records, and decided that Archive Studio Enterprise for unlimited users was a great fit for her document management needs.

Renee employs an individual to scan older patient files, and uses the DocuLex Archive Studio Software Suite to automate the capture, management, archival and retrieval of the scanned documents.

From a centralized location, the scanner operator uses the Goby capture component of Archive Studio to generate a cover sheet for each patient file to be scanned on AUC’s Panasonic scanner. The Goby software automatically takes the scanned image file, OCRs it, indexes the documents per AUCs specifications and files these documents on a server as a fully searchable PDF, based on a pre-determined file structure customized by DocuLex support staff for AUC. This cover sheet includes selectable custom index meta data per Renee’s specifications, such as name, birth date and social security number.

After the scan process, AUC employs another component of Archive Studio called WebSearch. WebSearch is a secure, browser-based retrieval tool designed to search document-specific descriptions or a combination of keywords, and is permission-based across the organization to allow access to these scanned patient records for employees in all five AUC locations. AUC uses the WebSearch tool to fulfill patient record requests automatically.

Picture a document storage facility in summertime Arizona... Can you imagine trying to locate a paper patient file in that?? This has been totally eliminated.

Now, generally patient record requests are fulfilled the same day from an air conditioned desk at any of our five locations with the DocuLex solution.”

In place of annual audits and document-heavy processes, an ongoing, proactive compliance model works as an extension of normal information security operations. Proactive compliance management (“PCM”), as an extension of the real-time information gathering, assessment and remediation practices of the security operations centre (SOC), can both facilitate the audit process and increase a regulated company’s security profile.

The shift moves from a ‘collect, wait, report’ methodology to one where compliance is managed in real-time PCM, provides a company with a clear understanding of their compliance standing at any given moment, however, achieving PCM presents some technology challenges, requiring large amounts of information to be gathered and processed.

is built upon annual audits, fails due to three primary concerns. Firstly, PCI compliance demands that a security process be in place, and that certain controls are implemented in a certain manner. However, there is little incentive to execute that plan beyond the basic requirements provided, meaning it is possible to become compliant without being secure.

The solution is ongoing PCM, where the documentation and evidentiary retention of logs, activities and plans are integrated into ongoing security operations. In the SOC, logs might be reviewed in real-time in order to detect high-risk activities, threats, and/or breaches - and then immediately investigate, remediate and adapt.

Under the mandate of proactive compliance, the SOC must also look for areas of non-compliance ensuring that the regulated company is in good compliance standing at any given time. This requires a fundamental shift in how we collect and manage compliance information.

Traditionally, compliance management efforts focused on ‘retaining’ compliance information for reporting purposes, using a log management system. This is a reactive approach, which only looks at security incidents after the fact, which could be weeks or months after the incidents occur.

To achieve PCM, this data needs to be collected and analysed in the same manner as security event data.

Compliance information must be collected and assessed in real-time, and reviewed continuously. The information needs to be presented using interactive, real-time consoles and dashboards that directly map security concerns to compliance requirements as they occur. For traditional security management, these tasks are performed by a centralised and automated security information and event management system (SIEM). While this represents a significant change, the benefits of PCM are numerous.

Instead of imposing a resource drain in advance of an audit, compliance issues will be identified as they occur. Because most compliance

requirements are designed to prevent risk, a detected compliance issue becomes an identified risk by security operations, allowing the risk to be mitigated while also maintaining compliance in advance of an audit.

When it is time for an audit, there should be little additional burden on security or compliance management teams. All required information, reports, and a clear audit trail of all incidents and actions should be readily available as a bi-product of good security practices. This improves security while facilitating an efficient and successful compliance audit, and prevents security resources from being reallocated to audit efforts. It also prevents the degradation of compliance efforts after an audit is complete, by keeping the assessment and remediation of compliance issues at the forefront of daily operations.

A C H IE V IN G P R O A C T IV E C O M P L IA N C E M A N A G E M E N T

Because SIEM solutions and log management systems have begun to converge, newer SIEMs are ideal candidates for PCM. However, there are significant challenges that must be overcome both technically and operationally to achieve this.

The first hurdle is technical.

Compliance requires that every detail be preserved, in full granularity, and with digital signatures and other safeguards to preserve non-repudiation of the information. However, the real-time analytical qualities of a SIEM as used in a SOC rely heavily on information compression or aggregation to minimize the specific data to be preserved. This is done to overcome the performance/scale limitations of current database technology.

In addition, when looking at network and user activity from a combined security and compliance perspective, more information needs to be assessed from more systems, to remove any potential compliance

Therefore, for PCM to be implemented, SIEM performance needs to improve to the point where fully non-reputable information can be collected and analysed in real­ time. This may require older legacy SIEMs to be upgraded, replaced, or supplemented with a modern, more scalable and higher-performance system.

The second hurdle is a shift in how security and compliance are understood by the various involved parties: security managersiand compliance managers need to work together, with the understanding that compliance regulations are designed to ensure and assure better security.

C O N C L U S IO N

A move to PCM practices improves security and compliance standings, while also improving efficiencies and eliminating the negative effects of current cyclic compliance efforts.

With the appropriate tools in place, a regulated company can easily ascertain their compliance standing at any given minute, making an audit a mere formality rather than a significant drain on resources and energy. These tools, in the form of SIEM and log management systems that are likely to be already in place, may require upgrades to handle the new information burden that comes with compliant reporting, chain of custody and non-repudiation.

However, the result will be improved security, improved compliance, and lower costs - both in terms of improved operational efficiencies and fewer compliance fines.

Compliance to regulatory standards such as PCI DSS and PA DSS has gone from being ‘nice to have’ to being a necessary facet of doing business. The truth is it’s controlling who is and isn’t entering your building- virtually and physically, how and where your customers are being dealt with, it’s driving your production line and it even has a part to play in how your coffee is produced. IT is no longer confined to a small back office, possibly in the basement, staffed with geeks all speaking their own language. IT keeps you open for business, but if you’re not careful it can close you down for good.

Business Continuity

For every company there is a requirement to exercise due diligence and care of the company’s assets and the future ability to produce returns for investors, from revenues. This is increasingly embedded in legislation, regulation, standards and best practice guidelines. I challenge you - get a copy of your plan (if you have one), dust it off and actually read it. In the majority of cases it will cover eventualities such as damage caused by fire, theft or even flooding. If you’re based in one of the cities it may even include a section on external threats i.e. terrorist attacks and other disaster eventualities. You’ve probably got a plan for overcoming a power failure, where to resource external staff if yours are ill and, if you’re in production, crisis management if your product fails.

What does it say about suffering a cyber attack? Chances are it doesn’t.

In this day and age most companies, irrespective of whether a single office or a large international conglomerate, are reliant on computer systems to function. If you were attacked tomorrow, the reality is it will shut you down. How long it takes to get back up and running, if at all, is down to you. Sit up, take note and plan for the inevitable.

You’re Under Attack An attacker isn’t just interested in stealing your information or funds.

Organisations are experiencing attacks, whether denial of service or injected with malware, that is designed to wreak havoc and ideally shut the business down. Recent high profile victims include Wikileaks, Facebook and Twitter. However, it’s often not just the victim that suffers as PayPal, VISA and Mastercard can attest having fallen victim by association. Any company can be a target as it’s not just anonymous cyber terrorists waiting to pounce, a disgruntled employee could wreak just as much havoc on your system if the notion takes them. What about if your IT system just fails, even the BBC has to hold its hand up to that one!

The expense isn’t limited to the immediate problem of restoring services or production - there’s the lost time, ruined stock, ongoing costs of rebuilding confidence in the customer base and potentially amongst shareholders, plus the knock on effects such as an increase in insurance premiums. The costs quickly mount.

The AT&T Business Continuity Study 2010 , reported thatl: Three-quarters (77%) of organisations indicate that employee use of mobile devices plays a major/minor role in the business continuity plan Half (50%) have virtualized their computing infrastructure, with less than four out of ten (38%) having implemented a business continuity plan for the virtualized infrastructure 84% of all companies surveyed have e-mail or text messaging capabilities to reach employees outside of work, and three-fourths (73%) have systems in place that enable most employees to work from home or remote locations While, on the surface, all of these Business Continuity

resources offer a lifeline to an organisation in the event of a general infrastructure failing, and you’ve probably rubber stamped the budget on some of these initiatives yourself.

However, on a day to day basis they also ‘throw open the doors’ to the outside world risking extreme disruption through attack.

First Line o f Defence An organisation’s IT team has many responsibilities with one main, overriding objective - to deliver the best service possible. However, this does not always promote the best security possible. Why? Well, budgets are usually the biggest issue. CEO’s MUST understand the need for enhanced security and ensure their IT team deliver it.

When the corporation has spent millions on network defences it is then close to incompetence to not make sure those investments are working to the optimum effectiveness. Regular audit and validation leads to enhanced security, that costs very little and is a must have process. With constant vulnerability testing and security enhancement through configuration, better rules can be defined and implemented. This activity can even avoid additional capital expenditure in unnecessary security devices, saving budgets.

Making sure your defences are working to the optimum is not just the responsibility of your CIO, CSO or whatever you call your IT management head. It goes all the way to the top. The function of the CEO and board of directors, as part of their legal responsibility and charge by shareholders, is to exercise good corporate governance.

You wouldn’t build your office on the sand, so why allow your IT infrastructure to have insecure foundations. Ignoring your network defences is tantamount to corporate suicide. ■ More: www.idaDDcom.com

WHY IT STAFF SHOULDN’T TACKLE ONLINE SECURITY (WITHOUT A LITTLE HELP FROM MARKETING) In many - or indeed most companies that buy website security to protect their visitors’ privacy online, it is a technical person who does the buying. This seems logical - it is a technical remit, needs some technical knowledge to get it working, and because it is seen as a technical necessity, is just palmed off to the IT guys in the corner.

So why do we see this as a problem? Like many buying decisions, it is easy to boil everything down to numbers, and buy purely based on a calculation like miles per gallon, or monthly repayment amount whilst ignoring total cost of ownership over time, or interest rates for example. They know that the more their visitors feel that they recognise, trust and are confident in the site, the less risk they perceive (another feeling, or set of feelings) the more likely they are to register for the newsletter, complete a purchase, and generally interact with the business online. When marketing buyers do the specifying and purchasing, in a larger sense they foster greater trust and transparency of identity online by picking the best products that make us feel safe on the “big web”.

Conversely, technical buyers often do the opposite, by buying lesser products that are merely “probably statistically good enough” but devoid of the signs of trust (who owns the site, prominence of padlock and other visual cues), this just seeks to commoditise encryption at the expense of the other critical aspects that give us the feeling of genuinely trusting a site. This is a vicious circle which is to the detriment of everyone.

The more sites that do their job properly, and refuse to compromise and save a few pounds, the more every other site out there has to do the same.

By raising the bar, and only going for the best, all legitimate sites get elevated above the rest, and overall consumer confidence in being safe online grows too. Nobody here loses out except online scammers, fraudsters and phishers.

In short, anything other than the biggest signs that your site is secure, is trusted, trustable and genuinely run by your company (and not someone malicious) is a huge false economy, so this critical decision shouldn’t ever be solely up the IT guys.

The CEO and his Elusive Token A tale of inadequacy, woe and career destruction - or is it?

Let me tell you a story. It has everything a gripping tale needs conflict, a power struggle and a gripping climax. Best of all, it’s loosely based on true accounts could this be your story?

Paul Brown is CEO of a FTSE 100 retailer. It’s summer and he’s jetting off with his family for three weeks on Safari in Kenya. He’s done his research and the reserve he’s travelling to offers wi-fi access, his mobile is unlocked and set to roam wherever he does, and IT has been exceptional in making sure he knows all the passwords, processes, and exactly how to input the authentication codes that will grant him access to the network remotely.

There’s a message from Sharon, the company secretary - the share price has risen suddenly with rumours that the company is the subject of a hostile takeover.

It has been two months since the call with Martin, the CEO of S&E Pic and Paul’s main competitor. Martin had made an offer for the company. Paul had laughed, rebuking it and stating he’d never let Martin, or his cronies, get their feet under his table. He’d meant it then and, even now six thousand miles away, he still believed the offer was bad for business, bad for shareholders, and definitely bad for him. He would fight this takeover.

Paul needed to get on line, now.

It was then that the visual image of his authentication token, swinging from his keychain as he handed over the car keys, hit him as hard as a charging elephant. Without the little bit of plastic he couldn’t log onto his laptop or connect remotely from another computer. Paul felt sick.

Calling his secretary, Paul sheepishly explains the situation, and gets her to tell him exactly what’s going on. The two hour journey to the reserve passes in a flash as he dictates emails he needs her to send, briefs her on calls she needs to make, and pleads with her to get IT to remove all the security precautions blocking his access to the network.

Arriving at the luxury lodge Paul plugs in his laptop and starts trying to ‘hack’ the system. It's futile as, without the authentication token, he can’t get past the welcome screen to the veritable wealth of information that should be at his fingertips.

A call to reception confirms that there are computers in the bar, with internet access, that he can use, though still not the answer to Paul’s prayers.

While his wife and children are happy with the distraction, and the wine is very tasty, unfortunately without his authentication token Paul can only access public systems and newswires to read what’s happening back in London. Still locked out of the network, Paul’s powerless to access

the information he desperately needs to start changing what’s happening.

The authentication security system, while obviously effective, had seemed pricey when the board had first authorised the budget five years ago and the on-going costs aren't cheap either - Paul’s nervous it’s going to prove even more expensive than first calculated on a personal level!

The screen looks very similar to his welcome screen and the man appears to be consulting his mobile while inputting the authentication code. A few seconds later and, while Paul can’t read what’s written on the screen, he can tell the man is busy perusing an excel file. A quick chat reveals that it is exactly what it appears - an alternative to physical two factor authentication that uses virtual tokens.

Any phone that receives SMS messages, which Paul’s and practically every mobile in the world does, can be used as an authentication token.

the company’s website, it can be installed within 24 hours and 18,000 users can be up and running in an hour - that beats the six months it took for the present system! The icing on the cake is, while resolving his current predicament, it also reduces the ongoing running costs of the physical tokens his company's using by almost 60% making it a no brainer.

A few phone calls later and the expense is rubber stamped by the rest of the board.

In no time at all Paul receives a text, with his authentication code, and gets logged into the network. He’s able to review and authorise the statement reassuring shareholders that the current board are on top of the situation and advising them to dismiss the offer. He sends various documents and contracts to his legal team, prepares financial statements and material to assure the bankers and even accesses and circulates the dossier he’s compiled ‘just in case’ on Martin and S&E Pic. Over the next three weeks Paul experiences the thrills that seeing the ‘Big Five’ in the wild has to offer, while overseeing a take over for S&E Pic. Arriving back into Heathrow and collecting his keys, Paul slips the little piece of plastic off his key ring and drops it into the nearest bin. All in all it’s been a fantastic and rather productive vacation that he’ll never forget.

Paul didn’t have to be on holiday in Kenya, and he didn’t have to be fighting a take over battle. He could have been facing the inconvenience of a day at the office while his token was at home, out for a meeting while his token was on his desk, or having a coffee and unable to log in to send a quick email as his token was in the laptop bag in the boot of his car.

The reality is everyone is more likely to check they’ve got their mobile with them than they are a physical two factor authentication token. Are you one of them? ■

A few months ago, somebody asked me if I would take a look at one of their systems to ascertain what would be required to purge it and get it moulded into a reasonable information service. The system was called the <name-changed> Acme BMS. I was led to believe that the BMS acronym stood for Business Management System, and that throughout the company and its many subsidiaries, it was a common name.

All of the preceding examples are commonplace in the Englishspeaking world, however there are many instances where acronyms are use incorrectly in business, thus causing great confusion.

All I am saying is that care should be taken to Pre-Qualify Acronyms (PQA), or PQA (PostQualify Acronyms). Ah! Do you see the problem there? Two acronyms with the same letters but different meanings. Hmmm!

So my acronym to be commonly used for wide acceptance in 2011 is - FUA. It stands for Frequently Used Acronym(s), and is pronounced FOO-WAH. Please do not get me started on TLA’s, FLA’s, and RAS (Redundant Acronym Syndrome). The latter coming from such faux-pas as ‘PIN Number’ (Personal Identification

For example you might want the program to Print Top Left xO, yO, cx50, cy50, which in theory at least, would print the top left box 50 x 50 pixels or whatever unit you are measuring in. However the programming language would not understand that and would use the more cryptic term: PRINT(0,0,50,50). Terse but not informative. [Not a bit like you then CRUSTY. Ed.] Does one boldly go where no one has gone before? No, of course not - you cannot 'boldly go' anywhere. However you can 'go boldly'. See the subtle difference that makes the first words a split-infinitive?

Semantics again. But it sounds right. Commands, to humans as well as computers, are open to misinterpretation. I recall working with a delightful deaf and dumb girl who, when entering my office and on being asked to Take a chair’, literally took me to my word, picked up a chair and looked at me questioningly (or should I have said ‘questioningly, she looked at me?,). Of course had I said Take a seat’ it might have been better, but in her world - things are different.

My business associate, the one who had asked me to take a look at the 'BMS’, regaled me with the tale that in a management team meeting, he was broad-sided by Mr Consultancy and lambasted for calling a popularly named BMS system, the ‘BMS’. This started me thinking about the use of language in business, and in particular, the frequent use of what I call ANA. (Ambiguous Naming of Acronyms)

As a small boy a few (!) years ago, I used to enjoy having my parents test me on the various mainstream buzz-acronyms around at the time. (BOAC, BEA, UNESCO, QANTAS to name but a very few.) Because of this, I have always been keen to pre or post-qualify acronyms in any documents I write. So, in the best interests of practicing what I preach .... BOAC = British Overseas Airways Corporation, BEA = British European Airways, UNESCO = United Nations Educational Scientific and Cultural Organisation*, and QANTAS = Queensland and Northern Territories Air Services. * Organisation and Organization being interchangeable depending on where you are from!

The other side of the coin is the WPA (Widely Perceived Acronym). I think IT is widely perceived as being the acronym for Information Technology don’t you? So where did ICT (Information & Computing Technology) come from. Who decided? Come on - I want to know what global method of broadcasting the intent to change was made. I know what - there isn’t one, and never will be one.
