These rules and regulations are part of the 2026 IIAR Natural Refrigeration Conference and Heavy Equipment Expo – Exhibit Space Contract. Please read them carefully. You must agree to abide by the following rules and regulations to exhibit at the IIAR Natural Refrigeration Conference & Heavy Equipment Expo.

If not outlined below, IIAR follows the IAEE Guidelines for Display Rules and Regulations.

1 Registrations for Exhibitors’ Staff

Two (2) complimentary conference registrations are included with the price of each 10' x 10' booth or 100 square feet . This registration includes admission to all social functions, breakfasts, coffee breaks, technical sessions, plus other conference materials and/or services.

Separate additional registration is required for each additional individual staffing the exhibit. Additional representatives must pay either the IIAR member or non-member conference registration rate based on their individual membership status.

All individuals requesting access to the 2026 Exhibit Hall and/or any IIAR sponsored sessions, presentations, meals, and social functions must be registered for the meeting.

Individuals who staff an exhibit space MAY NOT register as a Guest/Spouse . Registration name changes, including complimentary booth registrations, made after January 15, 2026, will be subject to a name change fee.

2 Priority Points & Space Selection

Assignment of exhibit space will follow a priority system, based on prior year conference spend at the IIAR Conference and IIAR receiving of a completed Exhibit Space Application for the upcoming conference.

Exhibit space assignments will follow the following priority system:

• Prior year IIAR Conference Sponsors receive TOP priority.

• Prior year IIAR Expo Exhibitors, who were not sponsors, receive SECOND priority.

• Current IIAR members receive priority over non-member companies.

Dimensions and Use of Space

Island Booth is typically 20ft by 20ft (6.10m by 6.10m) or larger, although it may be configured differently. Island booths should be be allowed at less than 400 sq ft. Island booths at 200 or 300 sq ft basically result in frustrating everyone behind them.The entire Cubic Content of the space may be used up to the maximum allowable height, which is usually a range of 16ft to 20ft (4.88m 6.10m), including signage.

4 Space Selection Appointments Instructions

Individual remote appointments for space selection will be scheduled only for the first two priority groups (prior year Sponsors and prior year Exhibitors).

Process for Prior Year Sponsors and Exhibitors:

• Once IIAR receives your completed online application and signed contract for the Expo Space and Product Showcase, the IIAR Exhibits Team will schedule a virtual appointment with you, based on priority (see Section 2 of the Rules & Regulations).

• During your appointment:

• You’ll be shown a live view of the exhibit hall floor plan with currently available booth spaces.

• You will select your preferred exhibit space and can also reserve a Product Showcase Presentation slot.

• Missed Appointment Policy:

• If you miss your scheduled appointment, IIAR will assign a booth based on your stated preferences in the application.

• You may request a change later, subject to availability.

• Confirmation: Your exhibit space and showcase selection will be considered confirmed once:

• The application and contract are submitted electronically.

• A 50% deposit is paid within 7 business days of your selection.

Starting September 15, 2025, when the application opens to the public, IIAR will follow up directly with applicants by email or phone to confirm exhibit space selections as needed.

6 Payment Terms and Cancellation Policy

A 50% deposit is due within 7 days upon booth placement in our online platform.

For applications received after December 15, 2025, 100% payment is due within 7 days after booth placement in our online platform .

Before this date, all refunds are subject to a $380 Cancellation Fee.

After this date, No Refunds will be issued .

Cancellations made on or after this date will forfeit any payments already submitted to IIAR and will also be subject to a 50% cancellation fee

PAYMENTS AND PROVISIONS IN CASE OF DEFAULT

IIAR reserves the right to terminate this contract without refund if the exhibitor fails to pay any required fees as outlined in the Exhibit Space Application & Contract or fails to comply with these Rules and Regulations.

Exhibitors with outstanding balances as of two weeks prior to the Conference dates, will not be permitted to exhibit at the IIAR Conference and Heavy Equipment Expo.

Exhibitors with unpaid balances from any prior IIAR Conference must resolve all outstanding payments before exhibit space for 2026 will be assigned.

7 Furnishings and Services

A 10' x 10' exhibit space includes:

• one (1) 8' back wall curtain and two (2) 3'-high side curtain dividers (except for Island Booths)

• one (1) 6' x 30" draped table, two (2) chairs, and one (1) 7" x 44" booth identification sign with company name and booth number (except for Island Booths)

Additional furnishings and services, including carpeting, AV and electricity, must be ordered separately through the 2026 Freeman Exhibitor Service Manual at the exhibitor’s expense.

The Exhibit Hall is NOT carpeted . Exhibitors are required to have flooring or carpet in their booth. Flooring and carpet will be available for purchase through the 2026 Freeman Exhibitor Service Manual at the exhibitor’s expense.

There will be Wi-Fi provided in the exhibit hall for exhibitors, however, please note that this is an open connection limited to email and web browsing. If you need a more secure connection, you will have the opportunity to purchase a hardline internet connection using the 2026 Freeman Exhibitor Services Manual.

The 2026 Freeman Exhibitor Services Manual will be available at least 3 months prior to the show.

8 Installation and Dismantling of Exhibits

All exhibits must be fully removed from the exhibit hall by 5:00 PM on Wednesday, March 18, 2026 . If exhibits are not removed by that time, IIAR will have the right to remove the exhibits and charge the expense to the exhibitor. Please note the exact move-in and move-out times are subject to change.

Priority points will be deducted from exhibitors who fail to adhere to the set up and tear down schedule.

9 Exhibit Space Construction, Design, Layout & Diagrams

All exhibit booths larger than 10' x 20' are required to submit a detailed, scaled layout of the exhibit space by completing the online IIAR Exhibit Booth Diagram Submission Form. This submission must include a proposed layout with all equipment, and structures and hanging signs placed within the space following all IAEE Rules & Regulations All diagrams must be submitted by January 16, 2026 .

Any Exhibitor not abiding by this Contract including, but not limited to, violation of booth construction/height rules, may, at the discretion of IIAR, be required to modify its booth at its sole cost, and/or lose part or all its priority points, and may entirely lose the privilege of exhibiting in future IIAR shows.

It is a mandatory requirement that the placement of any piece of equipment within the booth does not block any sightlines of a neighboring exhibitor’s booth. Equipment must also not take up so much space within the booth area that exhibitor personnel are required to stand outside their official booth area. Aisles must be free and clear exhibit display material, signs or advertising matter will be allowed to extend beyond the space allotted to the exhibitor.

All liquid/gas fueled vehicles and equipment displayed in the Convention Center shall comply with the local Fire Code requirements. More information can be shared if this applies.

LINE-OF-SIGHT STYLE

Line-of-Sight display rules provide restrictions on certain areas of booths to allow attendees to view neighboring booths in their line of sight as they walk the floor. There are a variety of booth types, and each one is addressed below with specific insight on how to implement Line-of-Sight regulations.

BOOTH CONSTRUCTION GUIDELINES

LINEAR OR IN-LINE BOOTH

Linear Booths

The ability to have products or services easily seen by attendees as they walk the aisles is essential to all exhibitors, and that is the basis for including a Linear Booth Line-of-Sight setback rule. Linear Booths, also called “in-line” booths, are generally arranged in a straight line and have neighboring exhibitors on their immediate right and left, leaving only one side exposed to the aisle.

• A Corner Booth is a Linear Booth at the end of a series of in-line booths with exposure to intersecting aisles on two sides. All guidelines for Linear Booths apply.

Peninsulas and end caps are not permitted . Endcaps are defined as two (2) corner booths located at the end of an aisle with two different aisle numbers and peninsulas are defined as four (4) booths at the end of an aisle with two different aisle numbers.

10 Eligibility Criteria for Exhibitors (Including Products Eligible for Exhibit Space)

The IIAR Heavy Equipment Expo is an exclusive event dedicated to natural refrigerant technologies . All exhibiting companies must showcase products, services, or solutions that are directly related to natural refrigerants .

IIAR Event Management reserves the right to determine the eligibility of any exhibitor for inclusion in the Event and to prohibit an exhibitor from conducting and maintaining an exhibit if, in the sole judgment of IIAR, the exhibitor or exhibit or proposed exhibit shall in any respect be deemed unsuitable.

An Exhibitor’s eligibility to exhibit in the Event must remain in effect from the time of submission of the Application and Contract to the time of the Event and should IIAR determine that an

Exhibitor which it had previously determined was eligible to exhibit at the Event is no longer eligible to do so, IIAR may notify the Exhibitor and may terminate the Application and Contract without liability upon written notice to Exhibitor.

Exhibitors are prohibited from assigning or subletting a booth or any part of the space allotted to them, nor shall they exhibit or permit to be exhibited in their space any products or advertising materials for other companies.

11 Freeman Services Exhibitor Service Manual

An Exhibitor’s Service Manual will be made available to each exhibitor after full payment is received and 3 months prior to the show. This manual includes shipping instructions, customs information, order forms for additional equipment and services such as chairs, AV equipment, monitors, electrical power, carpeting, etc., and payment information. The Exhibitor Service Manual will be provided by our General Service Contractor, Freeman.

12 Insurance and Liability

Exhibitor is required to maintain and to provide a certificate of insurance to Show Management on or before February 2, 2026 evidencing the following:

a. General liability with limits not less than $1,000,000 per occurrence, $2,000,0000 in the aggregate

b. Owned (if applicable), hired and non-owned auto liability with limits not less than $1,000,000 per occurrence

c. Workers’ compensation with state statutory limits

d. Employer’s liability with limits not less than $500,000

e. Commercial umbrella liability with limits not less than $2,000,000

f. Personal property and equipment on a special form replacement cost basis

IIAR, Smithbucklin Corporation and the Henry B Gonzalez Convention Center, are to be listed as additional insureds on a primary and non-contributory basis with respect to general/auto/umbrella liability.

A waiver of subrogation must apply to all policies. All carriers are to maintain an A.M. Best rating of not less than A- VII.

Exhibitor will not be permitted to set up their booth prior to submitting the proper certificates.

13 Exhibit Hours

Exhibitors must remain outside of the exhibit hall during non-exhibit times, exiting promptly at the conclusion of the exhibit hours of operation. Exhibitors will be allowed to set up their booths 60 minutes prior to the opening of each exhibit hall period.

All exhibitors will be asked to leave when the exhibit hall closes. Exhibitor set-up will hours are described in section 8 of this document . Please note the exact move-in and move-out times are subject to change.

14 Exhibit Security

A security guard will be posted at the exhibit hall entrance during the hours the hall is open to monitor and control access into the exhibit area. However, exhibitors are ultimately responsible for obtaining insurance protecting their property while on the premises of the Convention Center and/or in storage with Freeman. IIAR, the Convention Center, and Freeman, shall not be responsible for injury or theft or loss by exhibitors on the exhibition property. Exhibitors are advised to take individual precautionary measures such as securing portable articles of value and removing such articles to a place of safekeeping after exhibit hours.

15 Labor Laws and Union Regulations

Full-time employees of an exhibiting company may install and dismantle their own and respective company displays.Any outside or additional labor required for installation and dismantle, or decorating is to be performed by the Official General Service Contractor (Freeman) or by Exhibitor Appointed Contractors (EAC) under the guidelines established by the International Association of Expositions and Events (IAEE).

Names and information for outside contractors must be submitted to IIAR for them to gain access to the 2026 Exhibit Floor. Please submit additional labor information via this form: IIAR Exhibits Additional Labor.All EAC’s will be required to submit a COI, all liability information is outlined in Clause 9.

16 Subletting of Exhibit Space and Prohibited Uses

Exhibitors are prohibited from assigning or subletting any part or all the booth space allotted to them. Exhibitors shall not exhibit, or permit to be exhibited in their display area, any merchandise or advertising materials that are not related to their own regular products.

Exhibitors shall not display products of manufacturers who they represent solely for the duration of the IIAR Natural Refrigeration Conference & Expo .

17 Prohibition of Sale of Products for Show Delivery

Selling products for delivery at the IIAR Natural Refrigeration Conference & Expo is strictly prohibited. IIAR provides display space solely for product and service exhibitions and demonstration based on their commercial value.

18 Policy on Solicitation at the IIAR Expo

At the 2026 IIAR Natural Refrigeration Conference and Heavy Equipment Expo, anyone observed soliciting business in the exhibition aisles, in another company’s booth, or in other public spaces—including the Henry B Gonzalez Convention Center and official IIAR hotels—or violating any portion of the Exhibitor Contract Rules & Regulations will receive a formal warning. Continued violations may result in removal from the event.

Starting with the 2026 IIAR Natural Refrigeration Conference and Heavy Equipment Expo, this policy will be strictly enforced. Individuals engaging in unauthorized solicitation will be asked to leave the premises immediately, and additional penalties may apply.

If you observe any violations, please report them to IIAR Show Management.

19 Use of Space (Promotions, Contests, Give-Aways, etc .)

• Exhibitor personnel, models, hostesses, etc. are not permitted to engage in promotional efforts outside the confines of their booth. The distribution of advertisements or promotional material must also be confined to the space occupied by the exhibiting company. Distribution of promotional materials to attendees’ hotel rooms is prohibited.

• Solicitation in person or by any sound producing process — above the ordinary speaking tone of voice is prohibited. The distribution of noisemakers, such as whistles, horns, clickers, etc. is prohibited. Exhibitors are not permitted to distract attendees away from other booths.

• Items offered as sponsorship opportunities through IIAR may not be distributed or offered by exhibiting companies.

• Please note there are no helium balloons or balloons of any kind permitted in the Exhibit Hall.

• Exhibitors are not permitted to distribute food or beverages to attendees. This excludes small candies or mints. All other food or beverages will need to be provided by the convention center catering team.

20 Meetings and Private Functions

The IIAR Executive Committee has established the following policy regarding company-sponsored meetings, functions, or events to ensure these activities do not compete with or detract from the 2026 IIAR Natural Refrigeration Conference and Heavy Equipment Expo:

• It is the policy of IIAR to ask member companies and other participants to refrain from holding meetings or separate functions during the official dates of the IIAR Annual Conference.

• Members and other IIAR participants are asked not to sponsor any company activities that conflict with any IIAR sponsored events.

• To this policy, the 2026 IIAR Natural Refrigeration Conference and Heavy Equipment Expo officially begins with the Chairman’s Reception on Sunday and concludes following the final program session on Wednesday morning.

• No company-sponsored activities from any ancillary groups shall be scheduled in conjunction with the IIAR program except with written permission of IIAR Headquarters (pre-, during or post-meeting).

• IIAR requires all companies interested in holding ancillary functions to contact IIAR Headquarters. For ancillary meeting requests, please email exhibits@iiar.org.

21 Exhibit Space Booth Diagrams

All exhibit booths larger than 10' x 20' are required to submit an exhibit space diagram by completing the online IIAR Exhibit Space Booth Diagram Submission Form. This submission must include a proposed layout with all equipment, structures and hanging signs placed within the space following all IAEE Rules & Regulations.

All diagrams must be submitted by January 16, 2026 .

22 Amendments and Enforcement

IIAR reserves the right to enforce compliance with these Exhibitor Rules and Regulations at the exhibitor’s expense. IIAR reserves the sole and exclusive right to interpret, amend and enforce these Exhibitor Rules and Regulations. Written notice of any amendments or interpretations shall be given to each exhibitor. Each exhibitor, including his/ her agent and employees, agrees to abide by the contract conditions, rules and regulations set forth herein, or by any subsequent amendments or interpretations.

Any Exhibitor not abiding by this Contract including, but not limited to, violation of IAEE’s booth construction/height rules, may, at the discretion of IIAR, be required to modify its booth at its sole cost, and/or lose part or all its priority points, and may entirely lose the privilege of exhibiting in future IIAR shows.

23 Americans with Disabilities Act (ADA)

Exhibitors shall be responsible for making their exhibit accessible to persons with disabilities as required by the Americans with Disabilities Act, and shall hold IIAR, Freeman and Henry B Gonzalez Convention Center harmless from any consequences of exhibiting company’s failure in this regard.

24 Miscellaneous Exhibitor Responsibilities

Exhibitors will be responsible for securing all necessary licenses or consents for:

a. Any performances, displays, or other uses of copyrighted works or patented inventions

b. Any use of any name, likeness, signature, voice or other impression and other intellectual property owned by any third party which is used, directly or indirectly by the exhibitor.

The exhibitor agrees hereby to indemnify, defend, and hold IIAR harmless from and against any claim of liability and any incident or resulting loss, cost, or damage (including costs of lawsuit and attorney’s fees) for failure to obtain these licenses or consents and/or for infringements or other violations of the property rights or the rights of privacy or publicity of any third party.

The exhibitor agrees to give permission to the organizers of the IIAR Natural Refrigeration Conference & Expo to photograph, videotape, and duplicate any materials used for or at the meeting.

By submitting the IIAR Exhibit Space Application, the exhibitor agrees to abide by all the provisions of this document, Exhibitor Rules & Regulations, made available online at www .iiar .org/Conference, and governing the IIAR Natural Refrigeration Conference & Expo .
