INTRODUCTION

We are pleased to announce that IFMSA-Québec’s national elections are now open!

All members of the Executive Council (EC), the Board of Directors (BoD), the National Officers (NOs), and the support team (Project Management, Sustainable Development Coordinator, National Assistants, etc.) appointed after the Spring Congress are nominated by the BoD based on recommendations from the EC, and this must be done before the Fall Congress.

The other positions presented in this guide are elected via nomination.

Considering that this is the third round, the positions that are no longer available will be marked in red.

Any individual member may run for one of the elected positions, provided they have not submitted their candidacy for another position in the same category (there are two categories: positions on the executive or administrative council, and positions as a coordinator of a committee or a campus).

Any appointment made between the Spring Congress and the Fall Congress must be ratified at the Fall Congress.

HOW TO APPLY ?

The nomination period for all positions will be open for two weeks: from June 9th to June 23nd, 2025, 11:59 PM.

In accordance with section A.7. of the General Regulations of IFMSA-Québec, a nomination is considered valid once the following documents are submitted to elections@ifmsa.qc.ca, in French and/or English:

You will receive a confirmation email within 48 hours of receiving your nomination. If not, please contact us again.

Additionally, candidates applying for elected positions (EC, BD, NOs, Support Positions) must submit a 2-minute candidacy video to allow IFMSA-Québec members to get to know them better. This video will serve as a speech and will be shared in an online public folder with members, who can watch the videos before the General Assembly. There will be a 2-minute question period per candidacy during the Spring General Assembly. (This does not apply to election rounds after the General Assembly.)

IMPORTANT

Any late or incomplete submission will not be considered and will be automatically rejected.

Candidates for nominated positions (support and projects team) DO NOT need to submit a candidacy video.

Here are the conditions to be met for the video:

The video should be filmed in landscape format in a quiet environment.

The video duration must not exceed 2:00 minutes.

The video should be in MOV or MP4 format.

The video can be in French, English, or both languages.

The video file must be named as follows: CAND ["position"] ["applicant's name"]

The video must be sent by email along with the other documents to elections@ifmsa.qc.ca with the following subject: CAND ["position"] ["applicant's name"]

It is important to know that by committing to be part of the national team, you will be required to attend Congresses and training days (beginning of the year, mid-term, etc.).

The terms of all positions extend from September 1, 2025, to August 31, 2026. Officers must also be available during the transition period, which begins as soon as they are elected as incoming officers.

IFMSA-QUEBEC STRUCTURE IFMSA-QUEBEC STRUCTURE

ACTUAL MEMBERS

Members of IFMSA-Québec are individual members of the Fédération Médicale Étudiante du Québec (FMEQ). Therefore, a member is a student enrolled in the first-cycle medical doctorate program (M.D. or M.D., C.M.) at a Quebec university. A member also includes a student enrolled in the preparatory year for the first-cycle medical doctorate (M.D. or M.D., C.M.) at a Quebec university. Current members of IFMSA-Québec have the right to vote at the organization's General Assemblies, held annually in the fall and spring. They can also run for all local and national positions within IFMSA-Québec.

FORMER MEMBERS

A former member of the Division is an individual who has obtained a firstcycle medical doctorate (M.D. or M.D., C.M.) from a Quebec university. This status allows the person to participate in activities and act as an advisor to the current officers. Former members do not have voting rights at IFMSAQuébec’s general assemblies and cannot hold a position within the national team or local teams.

EXTERNAL INDIVIDUALS

This position allows any citizen to contribute their expertise to the affairs of IFMSA-Québec. The external individual should have some interest in the issues concerning the organization's members and helps maintain a connection with the general public, which is important due to the nature of IFMSA-Québec's awareness and advocacy activities

EXECUTIVE BOARD EXECUTIVE BOARD

The governance of IFMSA-Québec is ensured by an executive council, whose officers are elected by the members for a one-year term during the Spring Congress.

The incoming members of the Executive Board are invited to a handover meeting the day after the elections, in person in Quebec City.

Note that no positions on the Executive Council are available in the third round.

Presidency

The presidency of IFMSA-Québec is responsible for ensuring the proper functioning of the organization in accordance with its mission. It also serves as a liaison between IFMSA-Québec and the Fédération Médicale Étudiante du Québec (FMEQ), where it sits as a delegate for international and community affairs, as well as between IFMSA-Québec and the Canadian Federation of Medical Students (CFMS). Additionally, it maintains the international connection with IFMSA: through its role as the president of a member organization, it has a responsibility to participate in the development of the international federation and attend the three regional and international Assemblies held throughout the year.

Vice Presidency of Internal Affairs

The Vice President of Internal Affairs is primarily responsible for ensuring the smooth functioning of IFMSA-Québec’s activities and committees across all medical faculties. They maintain constant communication with the national officers of the seven committees, the six campus coordinators, and the project management team.

Vice Presidency of External Affairs

The Vice President of External Affairs is responsible, along with the President, for serving as a spokesperson for IFMSA-Québec to external organizations. Their role is to maintain and expand IFMSA-Québec’s network of partners and to negotiate partnership agreements. They are the official representative to local, regional, and provincial media, in order to increase the visibility of the organization and its activities throughout the province.

Vice Presidency of Activities

The Vice President of Activities is responsible for all matters related to the institutional memory of the Executive Council and IFMSA-Québec. This includes keeping IFMSA-Québec’s official documents up to date, drafting agendas and meeting minutes, calling the spring elections, and creating the electoral committee. They also ensure the application of IFMSAQuébec’s General Regulations and are responsible for the follow-up and implementation of the strategic plan, which is adopted every three years. The Vice President must also ensure the organization’s impact evaluation through its activities, projects, and exchanges, and facilitate IFMSAQuébec members’ engagement in national and international activities.

Vice Presidency for Skills Development

The Vice President of Skills Development is primarily responsible for coordinating the Skills Development Division of IFMSA-Québec and for creating and promoting training opportunities and awareness activities related to social engagement, which are relevant to the personal and professional development of medical students, in collaboration with the rest of the IFMSA-Québec team. Additionally, the Vice President of Skills Development is in charge of organizing IFMSA-Québec’s Sub-Regional Training (SRT) and maintaining the connection with training activities at the international level.

Vice Presidency of Finances

The Vice President of Finance is responsible for preparing IFMSA-Québec’s budget, managing fund advances and reimbursements, monitoring financial statements, and ensuring the appropriate allocation of funds based on available resources, as well as managing IFMSA-Québec’s mail. They are also in charge of financial relations with IFMSA at the international level.

Vice Presidency of Communications

La vice-présidence aux communications a pour tâche de tenir les médias sociaux d’IFMSA-Québec (Facebook, Instagram) et d’y faire la promotion des activités d’IFMSA-Québec. De plus, elle est responsable de la création du matériel promotionnel infographique et de la mise à jour du site internet de l’organisation.

Vice Presidency of Exchanges

The Vice President of Exchanges is responsible for ensuring the smooth operation of exchange programs across the various campuses that are members of IFMSA-Québec, notably by communicating with the national exchange officers and supporting them in their roles. The Vice President provides administrative support for exchanges, particularly by coordinating IFMSA-Québec’s exchange social program, predeparture training, participant selection, and exchange budgeting. They must also ensure a transition period of at least one month for the outgoing and incoming exchange officers. The Vice President is expected to support the President and exchange officers with the renewal of exchange agreements with the Faculties of Medicine.

BOARD OF DIRECTORS BOARD OF DIRECTORS

Since March 16, 2014, IFMSA-Québec has been a fully independent non-profit organization (NPO), no longer administratively tied to the Fédération Médicale Étudiante du Québec (FMEQ). As such, it must have its own Board of Directors. This board is legally responsible for the organization under Quebec law. It oversees the work of all IFMSA-Québec officers, ensures the financial and budgetary health of the organization, and makes sure that the organization operates and grows in alignment with the will of its members and the Strategic Plan.

The Board is composed of the President and the Vice President of Finance of IFMSA-Québec, as well as current members, former members, and external individuals with an interest in and/or expertise in the organization’s affairs. The Board of Directors meets regularly four times a year, once per quarter. Please refer to Section A.5. of the General Regulations for a more detailed description of the Board.

Two positions on the Board are open for the 2025–2026 term one for a one-year mandate and the other for two years. The outgoing President automatically joins the Board without applying. Board members are elected during the National Spring Congress and must submit the same documents as the rest of the national team, specifying whether they are applying for a one-year or two-year term.

Each of IFMSA-Québec’s seven committees is led by a National Coordinator, whose role is to manage their committee at the national level, support the local chapters of the committee on each campus, and organize national-level activities involving students from all universities. They are elected by the members during the Spring Congress.

National Coordination Public Health

The Public Health Committee aims to promote and preserve the health of the greatest number of people by addressing key determinants of health, including socio-economic conditions, lifestyle habits, the healthcare system, and the environment. The Public Health Committee’s goal is to organize educational activities for the university community and to offer a platform for discussion on public health issues.

Global Health

The Global Health Committee’s mission is to raise awareness and engage medical students and the general population on the various aspects and issues of global health, as well as health-related injustices. The committee helps shape a generation of socially conscious citizens who understand their role and impact on health at a global level, notably by organizing conferences and other activities at universities.

Sexual Health & AIDS

IFMSA-Québec’s Sexual Health and AIDS Committee brings together medical students from Quebec who are committed to promoting sexual health, both among affected populations and future healthcare professionals. The committee works in areas such as HIV, maternal and reproductive health, female genital mutilation, and sexual and gender diversity.

National Coordination Human Rights & Peace

The Human Rights and Peace Committee works to promote respect for human rights through a global health perspective. It aims to highlight the direct link between human rights and the social determinants of health through awareness campaigns, conferences, and immersion internships in various settings. Topics addressed by the committee include Indigenous health, refugee rights, access to medication, urban health issues, and international conflicts that jeopardize access to healthcare.

This committee provides an opportunity to discuss and contribute to the development of medical education while working on advocacy skills in medical education. The committee reflects on global issues related to medical training, informs members about medical education curricula worldwide, and offers members international opportunities in medical education.

National Coordination Professional Exchanges

This committee aims to provide medical students from around the world with the opportunity to participate in an IFMSA professional exchange program, offering an educational and cultural experience that goes beyond the regular medical curriculum. It allows medical students to experience different forms of medical practice and the health issues of another country For the past eight years in Quebec, around sixty students have participated in professional exchanges each year, with nearly as many students hosted by the four medical faculties in Quebec.

National Coordination Research Exchange

This committee aims to provide medical students from around the world with the opportunity to participate in an IFMSA research exchange program, offering an educational and cultural experience that goes beyond the regular medical curriculum. Each year, over 40 people from Quebec have the chance to participate in these medical immersions in more than 30 different countries. IFMSA-Québec's research exchanges are diverse and offer curious individuals who are ready to explore the world an exciting opportunity to understand medicine from a different perspective!

National Coordination Immersions

This committee prepares and supervises immersion internships in clinical settings with limited resources abroad. Additionally, recognizing the need to improve the preparation and ethics of international exchanges at the student level, the SCOI (Standing Committee on International Exchanges) has also taken on the mandate of promoting more ethical student internships abroad and improving the preparation of student internships organized through structures other than IFMSA-Québec, particularly through the medical faculties of Quebec.

SUPPORT TEAM NATIONAL OPPORTUNITIES NATIONAL OPPORTUNITIES

Projects Director

The Project Management team’s main task is to ensure the smooth operation of the various peer education projects of IFMSA-Québec. It is also responsible for ensuring proper coordination between the projects and the committees overseeing them, as well as with their various partners. The Project Management team works closely with the different national committees and the Vice Presidency for Internal Affairs.

Sustainable Development Coordination

Following AM2018, IFMSA-Québec publicly positioned itself as a leader in organizing eco-responsible events internationally Inspired by AM2018, the executive board proposed the creation of a position for a Sustainability Coordinator during the fall 2018 general assembly. The proposal was unanimously supported by IFMSA-Québec members.

The responsibilities of the coordinator include establishing ecoresponsible standards for IFMSA-Québec events. They will be responsible for proposing solutions and alternatives to reduce the environmental impact of all IFMSA-Québec activities and its members It is also expected that they will raise awareness among students about the links between the environment and health. Collaboration with the organizing committees of IFMSA-Québec’s national events will be necessary to ensure compliance with ecoresponsible standards.

SCORA Exchange Coordination (NORAX)

The SCORA Exchange Coordination’s tasks include supporting the national SCORA officer in organizing the SCORA X-Change, which involves creating the exchange proposal, recruiting the organizing committee, and liaising with the national SCORA officer. Collaboration with the NORA is expected for the creation of training workshops and committee sessions.

National Assistance for Skills Development

The National Assistance for Skill Development is responsible for organizing local training sessions focused on skill development at IFMSA-Québec campuses, assisting in the organization of the SubRegional Training (SRT), evaluating the impact of skill development activities on campuses, and supporting the VPCB (Vice President for Capacity Building) in their general tasks.

Coordination of the Women's Health Committee

The Women's Health Committee of IFMSA-Québec aims to promote and improve the situation and health of women, primarily in Quebec, while collaborating with members from other regions for a more global approach.

Campus coordination of Quebec

For each of the six medical campuses in Quebec, IFMSA-Québec recruits a campus coordinator. Their mandate is to coordinate and assist the local officers of their campus in their activities, work on national campaigns within their campus, and promote IFMSA-Québec and its activities at the local level They are also tasked with representing IFMSA-Québec within their local student association

Please note that the campus coordinator positions are elected within the local student associations, as part of their annual elections.

Assistance of VPE

The Assistant to the VP External is responsible for assisting the Vice Presidency of External Affairs and the Presidency in coordinating the external affairs division; undertaking initiatives to promote IFMSAQuébec’s positions externally, including writing press releases; overseeing compliance with the guidelines, official format, and layout of position statements by the advocacy team; participating in the development of a media presence strategy in collaboration with the VP of External Affairs and the Presidency; and ensuring the completion of any other tasks assigned by the VP of External Affairs

SUPPORT ET PROJECTS TEAM

The Support Team members assist the Executive Board and the National Team in their activities or are responsible for specific initiatives within IFMSA-Québec that are not associated with a particular committee.

The person in charge of coordinating a project is responsible for ensuring the smooth running of training sessions for student-trainers across all participating campuses, managing promotional and educational materials for workshops, and seeking external funding if needed. Project team members report to the Project Management Team.

THE ALUMNI DIVISION COORDINATION OF THE ALUMNI DIVISION

The IFMSA-Québec Alumni Division brings together all medical alumni from Quebec universities, with a particular focus on former IFMSA-Québec members who wish to continue contributing to the organization. The person in charge of Alumni Coordination is responsible for organizing events to bring together IFMSA-Québec alumni, allowing current members to meet their predecessors, promoting IFMSA-Québec events within the alumni network, and seeking financial support.

COLLOQUIUM

COLLOQUIUM

The Global Health Colloquium (CSM) is an IFMSA-Québec project that has been organized annually for the past nine years. Through conferences and workshops, members from the four medical faculties in Quebec, as well as the general public, are invited to reflect on and debate global health issues, and to recognize the role they can play as future health professionals.

The person in charge of coordinating the CSM is responsible for recruiting an organizing committee, managing team meetings, overseeing the overall logistics of the event, and ensuring the financial viability of the CSM by seeking external funding. Since 2016, the CSM has also served as IFMSA-Québec’s Spring Congress, during which the organization’s Spring General Assembly takes place.

COORDINATION OF INFOAID COORDINATION OF INFOAID

The InfoAid Committee is responsible for producing and sharing infographics that present important public health issues to both local and international audiences. The goal of these infographics is to educate, inform, and mobilize the target audience to become more aware of their own health management. The committee supports the outreach efforts of IFMSA-Québec by contributing to health promotion and prevention among the general population in Quebec and abroad.

FIERS ET EN FORME FIERS ET EN FORME

Fiers et en Forme (Proud and Fit) focuses on the theme of body image. It is designed as an interactive workshop for students from Grade 7 to Grade 11. The workshop is divided into three sections. The first defines the concepts of body image and self-esteem, and explores family, social, and cultural influences. The second educates youth about normal pubertal development, body types, and the various factors that influence height and weight. The third section supports young people in their journey toward body acceptance by offering advice on nutrition and physical activity, while also demystifying fad diets and dietary supplements.

OSMOSE OSMOSE

OSMOSE, which stands for Openness to Mental Health in High School, is a project aimed at breaking the silence around mental health. These are workshops led by medical students with the goal of demystifying this often-taboo subject. The workshop is delivered in Grade 10 and 11 classrooms and covers various topics such as anxiety disorders, depression, eating disorders, schizophrenia, bipolar disorder, and phobic disorders.

CURIEUX MANGEURS CURIEUX MANGEURS

Curieux Mangeurs is a project aimed at raising awareness among elementary school students about the importance of healthy eating through dynamic in-class workshops. It also trains medical students to deliver lessons in primary schools, while educating them about the significance of nutrition and diet on health.

MA PLANÈTE, MA SANTÉ MA PLANÈTE, MA SANTÉ

Ma planète, ma santé is a 4-hour training course conducted over 4 weeks during school hours for students in grades 4 to 6 of elementary school. This project consists of an interactive presentation given by medical students, targeting students from grades 9 to 11. It covers various topics, including the harmful effects of UV rays on the skin from an aesthetic perspective (wrinkles, dark spots, skin thickening), skin cancers, especially melanoma (risk factors, how to recognize it, prognosis), methods of skin cancer prevention (sun protection, alternatives to tanning), raising awareness among youth about common dermatological conditions, and debunking the culture of perfect skin.

This interdisciplinary project aims to reduce children's fear of the white coat. Involving health sciences students from the four medical faculties in the Quebec region, it targets children aged 4 to 6 years old and takes the form of a day of playful activities. The child progresses with their teddy bear patient through several medical stations, recreating the various steps of care provided by the healthcare system. The child witnesses the care given to their stuffed the fear generated by medical procedures fort in the participating child.

This peer education project is a student initiative in partnership with Héma-Québec, the Swab the World Foundation, and the Leukemia and Lymphoma Society of Canada. It aims to raise awareness among secondary and university students about blood stem cell donation. The chosen format is a workshop that educates and raises awareness about stem cell donation. The objectives of the workshop also include educating about leukemia, the requirements for donors, the procedure to become a donor, and understanding the psychosocial impact of blood cancers and stem cell transplants.

DÉMYSTIFIONS LE DON D’ORGANES DÉMYSTIFIONS LE DON D’ORGANES

The project, an initiative of the Dr. Marsolais Mission, involves giving lectures on organ donation to college and secondary school students (grades 9 to 11). The presentations have two components: a scientific aspect and an ethical one. The goal of the lectures is to spark the interest of young people in organ donation, dispel common myths surrounding organ donation prevalent among the general public, and foster compassion for the families of donors. These lectures are not intended to convince young people to sign their donor card. The lectures are interactive, incorporating a quiz throughout the presentation. Additionally, to maintain students' interest, the presentation includes videos and anecdotal clips. The duration of the lectures is between 45 minutes and 1 hour, depending on the number of questions asked. The content of the presentation is provided by the Dr. Marsolais Mission to ensure accurate information and to assist speakers in approaching this sensitive subject.

INcommunity is a learning program neglected and marginalized communities in Quebec. Aiming for action centered around local needs, the program sends medical students to engage with vulnerable populations in Quebec, providing an opportunity for human exchange and understanding that cannot be gained in the classroom. The identified populations include migrants, incarcerated individuals, disadvantaged urban populations, women, and Indigenous peoples.

The person responsible for coordinating INcommunity oversees the development and visibility of the project on Quebec campuses and assists in the development of partnerships with internship environments. They supervise a team of section coordinators and assist them in organizing immersion internships.
