INTRODUCTION
This guide is designed as a tool to facilitate the application process for local coordinators (Local Officers, LO). You will find task descriptions, the application procedure, brief descriptions of the committees, and contact persons for any questions.
On every campus, there are five Project Committees (Global Health, Reproductive Health, Public Health, Medical Education, and Human Rights and Peace) and three Exchange Committees (Clinical, Research, and Immersions). IFMSA-Québec is currently recruiting Local Officers to form a dynamic team of medical students committed to social involvement.
Please note that a cover letter is required for each position. If you are applying for multiple positions, you must be willing to accept the position of coordinator for all those posts. Otherwise, you should write a letter of refusal to cancel your nomination for the undesired position(s).
If you are applying for more than one position and plan to accept only one, please notify us in your email and provide your priority ranking.
APPLICATION PROCEDURE
The application file must be sent in .pdf format to the following email address: elections@ifmsa.qc.ca by Monday, September 29th, 2025, at 11:59 PM. (The email must specify the university and the campus of the application.)
It includes:
A cover letter (maximum one page) explaining why you would like the position and what you plan to accomplish during the year.
A curriculum vitae (CV), with a maximum of two pages, including your personal contact information.
A signed IFMSA-Québec Code of Conduct (CoC).
A declaration of potential conflicts of interest (list of decision-making bodies you currently sit on), in WORD or PDF format. Here is an example of a conflict-of-interest declaration.
Note: You must send this document even if you have no conflict of interest.
An action plan, of one (1) page (only for peer-led projectsNational Opportunities, in addition to the other documents).
All selected candidates must undergo mandatory training provided by national team members. The training camp will take place October 4-5th in Sherbrooke. Additional information will be sent via email after your election.
IMPORTANT
All candidatures sent in after the set deadline will be automatically deemed invalid.

LOCAL POSITIONS LOCAL POSITIONS
The local coordinators (2 per committee per campus) of the Standing Committees are responsible for initiating, continuing, and coordinating activities on their campus. They are supported by the national coordinator and collaborate with their colleagues at other universities. Here is a non-exhaustive list of activities that can be organized on campuses by committee:
Public Health (SCOPH) : conferences on public health topics and noncommunicable diseases, four workshop given in primary or secondary schools (mental health, nutrition, skin cancer...), organ donation awareness, etc.
Global Health (SCOGH) : conferences on global health topics, tuberculosis awareness campaigns, climate change awareness workshops, trips to attend global health conferences, film debates, thematic days, etc.
Sexual Health and HIV/AIDS (SCORA) : workshops on sexual health in high schools (the "Sexperts!" project), activities on HIV/AIDS, raising awareness of sexual diversity, hygiene product drives, etc.
Human Rights and Peace (SCORP) : conferences on topics related to human rights, global conflicts, and migration, raising awareness of issues affecting refugees and migrants, film debates, campaigns, etc.
Medical Education (SCOME) : sharing international opportunities in medical education while creating various local activities.
Local coordinators for the exchange committees are responsible for managing exchanges on their campus throughout the year. Specifically, they: Ensure the smooth running of internships offered by IFMSA-Québec on their campus.
Receive applications from outgoing students.
Welcome international interns and recruit contact persons.
Work on developing the social program on their campus. Ensure necessary documents are received on time.
Liaise between the national officer and students on their campus.
Time commitment varies weekly and is adaptable to campus realities (exam schedules, holidays, etc.). Expect to spend 1 to 3 hours on average per week, with some weeks being quieter and others busier, at your discretion and that of the students involved in your committee.

PROJECT COMMITTEES PROJECT COMMITTEES
The Project Committees (internationally: Standing Committee on ...) focus on a specific theme and are responsible for promoting it on campuses through various means. These same committees exist within the Federation at the international level, which facilitates the sharing of ideas and knowledge.

The Standing Committee on Public Health (SCOGH) focuses on critical public health themes such as organ and stem cell donation, mental health, healthy lifestyle habits, cardiovascular diseases, anti-smoking efforts, and vaccination against infectious diseases. The committee also engages in political advocacy to promote these causes. Their activities include the "Bonbons Bons Dons" event in partnership with Héma-Québec, a Public Health-themed Escape Room, and awareness-raising infographics, with more initiatives to come.

The Standing Committee on Global Health (SCOGH) is dedicated to global issues such as climate change, environmental health, infectious and tropical diseases, as well as challenges in humanitarian aid. It also addresses ethical questions related to diversity and multiculturalism. The committee organizes various activities, including conferences with partners like Doctors Without Borders, the Multicultural Week, and a Global Health Colloquium. Additionally, it promotes environmental initiatives through the Inter-Campus Green Challenge, bringing together students and professionals around these key topics.

Reproductive Health & HIV/AIDS

The Standing Committee on Sexual and Reproductive Health (SCORA) addresses issues such as sexually transmitted infections, HIV/AIDS, homophobia, LGBTQIAS2+ concerns, women's rights, female genital mutilation, and other taboos related to sexuality. Its activities include feminine hygiene product drives, SCORA X-Changes (Québec), LGBTQIAS2+ tea parties, Pride Month events, and fundraising for World AIDS Day.Coming soon: a Women's Health Committee.

Human Rights & Peace

The Standing Committee on Human Rights and Peace (SCORP) focuses on themes such as access to healthcare, human rights, migrant health, cultural diversity, health in times of war, and issues related to homelessness and substance abuse. The committee’s activities include a refugee simulation experience, infographics on international issues and healthcare access during crises, as well as training in emergency medicine, war medicine, and humanitarian medicine. Indigenous health is also a key topic for the committee.

The Standing Committee on Medical Education (SCOME) focuses on medical curricula and teaching, artificial intelligence, language and accessibility in education, medical research and progress, career paths, and care for disabilities and functional limitations. The committee's activities include infographics on the experience of racism as healthcare professionals, sign language workshops, global health networking events (5 à 7), and workshops on artificial intelligence, with more initiatives to come.

EXCHANGE COMMITTEES EXCHANGE COMMITTEES

The exchange committees organize clinical, research, and immersion internships in over 30 countries. The committees are responsible for finding internship placements, facilitating the application process, providing pre-departure training, and supporting both local students going abroad and international students coming to Quebec for internships.
ELIGIBILITY EXCHANGE COMMITTEES
In accordance with current rules, only campuses hosting international students, which excludes remote campuses other than UdeM Mauricie campus*, can have an exchange committee. We acknowledge that this was not clearly stated in the application guide for the first round of elections, and we sincerely apologize for this lack of clarity. At the next General Assembly, a modification will be proposed to allow students from remote campuses to apply for the positions of LOs for the SCOPE and SCORE exchanges at the main campuses. Although the issue was raised, it would have been unfair to accept applications this year, as not everyone received the same information.
*UdeM, Mauricie campus: Given that the Mauricie campus has been hosting international exchange students for several years, it is an exception to the rule regarding remote campuses. Therefore, for this year, we are accepting applications for the LEO and LORE positions for this campus, even though it is a remote campus.

The Immersions Committee is responsible for organizing and overseeing the clinical immersion of Quebec students in resource-limited settings. Emphasizing the importance of thorough pre-departure training that includes the ethical aspects of international internships, the Immersions Committee (SCOI) is tasked with promoting pre-departure training for all students going on international exchanges. SCOI also actively collaborates with Quebec’s medical faculties.

Description: The Planetary Health Committee is part of IFMSA-Québec, founded in 2020, with the goal of mobilizing Quebec medical students around planetary health issues. INCommunity
Description: A project with IFMSA-SCORP (human rights and peace) and an immersion program focused on learning more about marginalized communities in Quebec. With the aim of sensitizing medical students to local challenges and needs, the four-week internships are organized in the summer with one of five identified populations : Indigenous persons, Incarcerated persons, Urban populations, Migrants, and Vulnerable Women. Each of the INCommunity internships is supervised by a stream coordinator. The coordinator’s duties are divided into 3 parts: internship planning, selection and support of interns, and participation in the INCommunity team.

THE ALUMNI DIVISION
THE ALUMNI DIVISION
The IFMSA-Québec Alumni Division brings together all medical alumni from Quebec universities, with a particular focus on former IFMSAQuébec members who wish to continue contributing to the organization. The person in charge of Alumni Coordination is responsible for organizing events to bring together IFMSA-Québec alumni, allowing current members to meet their predecessors, promoting IFMSA-Québec events within the alumni network, and seeking financial support.

COORDINATION
The Global Health Colloquium (CSM) is an IFMSA-Québec project that has been organized annually for the past nine years. Through conferences and workshops, members from the four medical faculties in Quebec, as well as the general public, are invited to reflect on and debate global health issues, and to recognize the role they can play as future health professionals. The person in charge of coordinating the CSM is responsible for recruiting an organizing committee, managing team meetings, overseeing the overall logistics of the event, and ensuring the financial viability of the CSM by seeking external funding. Since 2016, the CSM has also served as IFMSA-Québec’s Spring Congress, during which the organization’s Spring General Assembly takes place.

FIERS ET EN FORME FIERS ET EN FORME
"Fiers et en Forme" focuses on the theme of body image. It is an interactive workshop aimed at students from grades 7 to 11. The workshop is divided into three sections. The first section defines the concepts of body image and self-esteem, exploring the associated family, social, and cultural influences. The second section educates young people on normal pubertal development, body shapes, and factors influencing height and weight. The third section helps young people in their journey of body acceptance by offering advice on nutrition and physical activity, while debunking myths about fad diets and dietary supplements.

OSMOSE OSMOSE
OSMOSE, which stands for Ouverture à la santé mentale au secondaire (Opening Up About Mental Health in High School), is a project designed to break the silence surrounding mental health. Through workshops led by medical students, the initiative aims to demystify this often-taboo subject. The workshops take place in 10th and 11th-grade classrooms, addressing a variety of topics, including anxiety disorders, depression, eating disorders, schizophrenia, bipolar disorder, and phobic disorders.

The "Dans Ma Peau" project aims to make dermatology more accessible to teenagers. Young people are a vulnerable group, and in the digital age, it is easier than ever to exploit their insecurities by selling them various deceptive products and services. By redefining the concept of perfect skin, warning about the dangers associated with so-called "natural" products, and addressing common skin conditions in adolescents, the project demystifies misconceptions about skin health.

This interdisciplinary project aims to reduce children's fear of healthcare professionals. Bringing together students in health sciences from the four medical faculties in the Quebec region, it targets children aged 4 to 6 and takes the form of a fun-filled day of activities. The child, accompanied by their teddy bear "patient," moves through several medical stations, recreating the various stages of healthcare procedures. This peer education project is a student initiative in partnership with Héma-Québec, the Swab the World Foundation, and the Leukemia and Lymphoma Society of Canada. It aims to raise awareness among secondary and university students about blood stem cell donation. The chosen format is a workshop that educates and raises awareness about stem cell donation. The objectives of the workshop also include educating about leukemia, the requirements for donors, the procedure to become a donor, and understanding the psychosocial impact of blood cancers and stem cell transplants.

DÉMYSTIFIONS LE DON D’ORGANES DÉMYSTIFIONS LE DON D’ORGANES
The project, an initiative of the Dr. Marsolais Mission, involves giving lectures on organ donation to college and secondary school students (grades 9 to 11). The presentations have two components: a scientific aspect and an ethical one. The goal of the lectures is to spark the interest of young people in organ donation, dispel common myths surrounding organ donation prevalent among the general public, and foster compassion for the families of donors. These lectures are not intended to convince young people to sign their donor card. The lectures are interactive, incorporating a quiz throughout the oresentation. Additionally, to maintain students' interest, the presentation includes videos and anecdotal clips. The duration of the lectures is between 45 minutes and 1 hour, depending on the number of questions asked. The content of the presentation is provided by the Dr. Marsolais Mission to ensure accurate information and to assist speakers in approaching this sensitive subject.
