MOTIVATION

My lovely IFMSA family, Allow me to introduce a guy from Bangladesh, a country of rivers from South East Asia, who lives for his dreams. And today with a dream again, here I am Mohammad Rahitul Al Nahiyan, a 5th year medical student. My journey of growing up from working as a first year LC associate to being part of IFMSA International Team has itself been a statement for myself to be able to dream bigger With that bigger dream in mind, I am here to present myself as a candidate of IFMSA Supervising Council 2023-25

Turning back in time I go back to my initial days of exposure to works of IFMSA and my NMO, where a first-year student was trying to find ways to be part of works on health leadership and youth involvement in health. I can proudly say, I found BMSS and IFMSA The journey never turned back from there Throughout my journey as a medical student, I have been actively engaged in various leadership roles and have witnessed firsthand the impact that IFMSA has on medical students and the communities they serve I have worked as a Local Officer in my Local Committee and then went on to be the LC President for two consecutive years which ultimately helped me to shape myself as a leader, team player and crisis manager all at the same time and discover dynamics in me that I was not aware of before I was also the Vice President Finance Assist last term that added a new feather to my tally making my proficiency in Finance all too well.

My time and experience in the International Team and Regional Team as SCORA Regional Assistant for Asia-Pacific has equipped me with essential skills in management, teamwork, and effective communication Being able to attend a region along with the IT has built in the diversity in me that I needed to understand and help individuals, groups and even NMOs based on their situation and necessities. My teams and people from my region have been my inspiration in keeping my everyday improvement curve higher. The journey of the past 5 years has in short been a mixture of every tiny bit in shaping myself to the present day where I am proudly presenting myself to be a part of the Supervising Council.

Motivated by the vision of IFMSA and my experience being the icing on the cake, I truly and humbly believe that I will be able to contribute to my organization’s growth and success by being a part of SupCo for the upcoming terms As a super Supervising Council member, I will bring my organizational skills, management skills, attention to details and last but not least ability to provide guidance and support to the EB, TO, NMOs and even members in general. I am confident that my leadership experience and dedication to IFMSA's values make me a suitable candidate for this position.

5 long years with IFMSA and it still feels surreal like day 1 This organization has given me uncountable days of glory, happiness, prosperity and what not With that in mind I do believe I am committed and ready to give back to my beloved organization what I have learnt and got from it being in a different role with the same vision and mission which is to keep making IFMSA glorious every day

With that, I conclude my open letter to my IFMSA family. I hope this letter could establish a bit about my limitless passion for my beloved organization and about my dedication and solemnity towards the position of Supervising Council Thank you for your valuable time

PLAN OF ACTION

Ideological Framework:

● Being a part of the Supervising Council, my commitment is to promote an environment of compassion, ensuring the well-being of our team and NMOs

● I will dedicate myself to cultivating a secure and supportive atmosphere for every individual associated with IFMSA at all levels

● I will be dedicated to upholding accountability and transparency as integral principles in every aspect of the works conducted throughout the term.

● I strive to ensure that all tasks will be conducted with a strong sense of responsibility and a commitment to open communication.

SupCo Teamwork:

● Establish initial communication through online/ offline meetings among the members of the SupCo to ensure proper team development and share the working plans as per team dynamics

● Regular monthly SupCo meetings as a team building effort, also to discuss ongoing situations, issues and upcoming tasks

● Create a dedicated virtual “team space” using both official and unofficial platforms that reflects the team’s identity, where members can share updates, brainstorm ideas, and celebrate achievements.

● Work on to create effective mental watch for the SupCo members to ensure proper mental health for maximum productivity.

● Ensure all decisions are made in alignment with the IFMSA Constitution and Bylaws and IOGs

● Working on the SupCo IOGs for the term 2023/24

● Creating an availability worksheet to ensure work balance among the members and ensuring maximum availability

● To establish an effective team dynamic, appreciate each other's autonomy and the limitations of their respective tasks

● Creating and maintaining SupCo members monthly reports in order to ensure transparency and effectiveness in the SupCo works.

● Intend to collaborate with other members of the SupCo and EB to establish an archiving system that facilitates the collection of significant matters and decisions, while ensuring the preservation of confidentiality and anonymity.

Application Form

Communication: As a member of the Supervising Council, to ensure proper and regular communication and to create a safe space for EB, TO, IT as well as the NMOs.

● EB/TO:

o Advise EB/TO on IFMSA Strategy 2022-2025 and ensure its implementation

o Establish communication with IFMSA Officials through the SupCo Buddy System

o Review EB meeting minutes and report templates regularly

o Review and ensure TO reports progression and updates

o Establish formal and non-formal communication channels as a part of team building effort among the officials.

o Support my TO buddies in their works through regular meetings.

o Being a good advisor, provide feedback and support EB/TOs in any of their works or in resolving any disputes.

o Be open to newer methods and ideas suggested by EB with an aim to ensure smooth functioning of the federation

o Review Annual Working Plans

o Ensure effective ways of familiarizing TOs with the AWP through guidance

o Monitor and ensure smooth transition for the officials getting into the new term

o Ensure works are being done on the basis of bylaws and constitution

o Keeping a mental health check of the officials

● NMOs:

o Ensure effective ways of communications for all NMOs.

o Ensure NMO involvement in reform related decisions.

o Being available for any discussion or support needed by the NMOs

o Improve Approachability and accountability to prevent issues from happening

o Create a strategic plan that outlines the goals, objectives and actions needed to help EB to address the NMO’s needs and improve its conditions

Financial Overview:

● Review financial reports from previous terms (if any)

● Review and evaluate financial transactions in order to boost organizational productivity on various financial aspects.

● Ensure submission of financial reports within due time limits.

● Help EB and particularly VPF to review financial implications including grants applications, budget for the organization

● Review outgoing transactions of over 2000 euros

● Supervise financial committees' work and reports

Reporting System:

● Biannual GA reports would be ensured as the official reporting system.

● Provide regular and timely updates on SupCo work through monthly reports.

● Ensure the progress of activities are consistently monitored and reported in a timely manner.

● Aim is to promote consistency and fairness in maintaining essential reports

Investigations:

● Take a proactive approach in addressing and resolving issues whenever possible, without resorting to formal investigations

● Call forth in case a formal investigation has to be issued

● Ensure confidentiality throughout the investigation.

● Ensure abidance of the constitution and bylaws of IFMSA while an investigation is ongoing.

● Establish due diligence and take into consideration all perspectives for all the concerned parties before making a decision.

● Conflict of Interest to be taken into consideration and abstaining from participating if found

● Evaluation and improvement of the current COI systems

● Overviewing and follow-up of previous investigations

IFMSA meetings:

● Establish effective communication to support EB in GA or RM works and stay in constant contact with the EB contact person for GA or RM.

● Ensure SupCo report is submitted and presented before GA

● Be available to attend plenary sessions in GA especially on decisions of GA.

● Support the COCC and CCC prior to GA.

● Review any mandates given by NMOs to the SupCo.

● Take the initiative to actively participate in Regional Meetings, fostering regional involvement and communication, which leads to enhanced understanding and collaboration

● Be present in the president's session in GAs to provide inputs if needed

Ethics and Accountability:

● Establishing a safe and inclusive working environment by creating a space where everyone feels valued, respected, and empowered to freely share their thoughts and experiences

● To abide by the constitution and bylaws and IOGs in any forms of decision making

● Will ensure self-accountability and also be accountable at every phrase of the work vested.

● Aim is to consistently provide timely updates on the work conducted by SupCo, ensuring effective communication and transparency through monthly reports.

Application Form

● Provide updates about the ongoing activities as well regularly through official monthly reports

Approachability:

● Open an anonymous channel of communication for everyone in general to report any conflict or misconduct

● Ensure complete safe space in case of approach made regarding any matter from any officials or members of the organization.

● Be available to address anyone who intends to approach SupCo regarding any matter in both formal and non formal media if proper documentation supporting the matter is ensured.

Availability:

● To be accessible for both online and in-person sessions during the entire term as needed.

● To be available at every situation which would need assistance and supervision at any level and for anyone who comes up for it

Handover:

Ensure transparency and efficiency in successful handover to the successors in order to ensure smooth transition of the SupCo members and ensure effective and continuous functioning of the SupCo
