Step By Step Guide To HRMS Implementation HRMS, which is also commonly known as Human Resource Management System or Human Resource Information System (HRIS), is the combination of Human Resources and Information Technology. The process of HRMS implementation is critical and mostly takes about six to eight weeks of time to implement when steps are followed properly.

Key steps to effective implementation of Human Resource Management System include: Research & Development Phase Research and Development is the first of step of HRMS implementation. This phase usually takes 1-2 weeks of time. This one to two week phase involves Business Process auditing. HR professional and top managers take important decisions regarding what steps must be taken to automate the desired processes. Later, a timeline of subsequent steps is established.

Installation Phase The installation phase does not take much time and is usually done within a couple of days. This phase requires the expertise of an IT professional or consultants. Proper installation of some products requires specific knowledge and skillset which is usually done by the concerned vendors.

Data Conversion Phase This phase takes days or weeks to complete and usually depends on the ease of data conversion in the new system, its compatibility with the old system and the amount of time data needs to get manually entered. In case information is required to be entered

manually, then certain employees get assigned for the specific task. Meanwhile, regular tasks are handled by other managers and employees.

Configuration, Testing and Review Phase At some point during, before or after the data conversion phase, the HRIS/HRMS dashboards are needed to be configured to best fit the needs of the company and its employees. Once the formulas have been entered and dashboards are configured, certain groups of HR professional, managers and employees are assigned to review and test the system. This process takes a week or two depending on the tweaks and feedbacks received.

Employee Training Phase Beginning of this training phase requires scheduling of a meeting for an organizationwide roll out of the new system. The training phase may take several weeks depending upon the magnitude of changes within the organization and intuitiveness of the new system. Later when employees get a proper understanding of using the HRIS/HRMS, their feedbacks are evaluated to improve the process within the organization.

Go-Live Phase The go live phase usually comes after the training phase. A subsequent training phase is required if the go live phase is not successful. Since managers, employees and HR professional get a proper understanding of the system by this time; this phase does not take much time. The HRMS/HRIS is officially used for real processes within the organization during this phase.

Review of Implementation After successful implementation, efficacy of the system is discussed and feedbacks concerning improvements are noted and completed.
