Motion passes unanimously Special Business A. Colin Sullivan, Division of Student Affairs Update i. Campus Climate Survey 1. Administered to every faculty, staff, administrator and student 2. Understand experience of Hofstra community members 3. Without appropriate amount of information, the data will not be statistically valid a. i.e. Students of Color, First Generation Students 4. Survey minimum of 20 minutes long, may take as many as 35 minutes 5. Senator Denton and Chairwoman Casey have been participating in developing focus groups, data, and forming questions 6. Survey will be available, via the Hofstra Website, February 21st, 2017 7. Survey is completely confidential, but not anonymous as to pull certain data for very specific demographics 8. FAQ Page is accessible on the Hofstra Website 9. Feedback/Contact Us Page available for students to provide feedback 10. Some triggering questions are included, and relevant support services are provided such as mental health services, Public Safety, etc.

11. Videos will be released for marketing purposes and will be very informational and helpful 12. SGA members may volunteer to table, President Gallagher and Vice President Shepherd will provide the schedule to Senators and Justices B. Candace Chau, Compass Dining i. Took information and created an action plan with the following topics: 1. Variety a. More seafood options lead to creation of Fish Market i. About 14 different options rotated in b. Labeling for vegan/vegetarian has been under nutritionist Helene Konsker 5. Allergies a. Unaware of how to make an appointment with Helene, she is available Monday and Wednesday i. She will table every other Wednesday, on the floor on Mondays and Wednesdays, and will do “healthy tables” across campus on alternate Wednesdays ii. Also does tours for incoming freshman 6. Communications a. Meal deals at ordering kiosk b. Status monitor in back dining room c. Deli is now on NextStep Kiosk, may rotate something else out for Fish Market – will see in future d. Revolution Noodle (Thai style ramen) came to Student Center iv. Can get celebrity chefs, farmers markets, or even cause-themed food (i.e. pink for Breast Cancer Awareness, purple for Domestic Violence Awareness) Committee Chair Reports A. Rules – A. Normandin i. CAC came in September and there were some issues with raised funds versus club income 1. Had too few members, they now have more 2. Eboard was appointed, now it is elected ii. Motion passes unanimously New Business A. SGA Club Recognition Hearing i. CAC (Colleges Against Cancer) 1. Five Minutes to Speak a. Tova, President, here to speak. Colleges Against Cancer is a chapter of the American Cancer Society. They are more than just Relay for Life, they also work on Strides Against Breast Cancer, and raise awareness on ways to prevent cancer. Tova has done relay for four years and has worked on logistics for each event. As CAC, advocacy for survivors is an important goal. They hold numerous events, including spending time at the Hope Lodge with survivors and those in treatment, the Great American Smoke out to eliminate smoking, and Relay for Life. They are doing a Chipotle Fundraiser and have been having bake sales and tabling. The fundraising they do supports their needs, and they would not need much from SGA. 2. Five Minutes of Questioning a. Chairman Crofts, “How do you see your club recruiting members?” i. We plan to work with our PR Chair and plan to us SGA as a resource to get more members. We currently have 21 members on GIHU. b. Senator Amadio, “How have you seen the club grow?” i. In the past we have not been a club but a committee for Relay for Life. It has doubled. c. Senator Read, “In your constitution it says how your officers are elected, how are your committee chairs elected?” i. Chairs are chosen d. Comptroller Senderowicz, “What is the class breakdown of your eboard?”

At the moment, all eboard members are seniors. Anyone can run for any position and we currently have shadows Senator Craig, “when you fundraise do you give a certain amount of money back?” i. We currently have a set up that we get all of our funds back into our account here to fund for things like buses or extracurricular things we may need for the club Chairman Durand speaks for i. Met with Tova earlier today and she is very committed to growing this club. They want to do things outside of Relay for Life. They currently have 21 dedicated members, and she said she would like to work with Chairman Kutsch and Chairman Durand to advertise and co-sponsor. They will not be a drain on our budget since they have been self-supporting, and they have initiative.

Senator Amadio speaks against i. The shadowing makes him a little nervous because it seems a little selective and may just be locked in successors by chairs.

Senator Bielunas speaks for i. This is the kind of club we love to see, they didn’t come to ask for money or have some vague answer about SGA recognition. They have grown without us and want to use us as a tool and not a bank. The shadowing is a thing we are all guilty of, people express interest in positions and the favored candidate does not always win because anyone can run.

Hofstra University Student Government Association Two Thousand and Seventeen S.A.2017.81.009 Updated Appropriations Policy

Taken from the Policy Series of the Student Government Association, Section II, Appropriations Committee Subsection A. Sub-sub Section 3.

3. Funding Forms: The Student Government Association shall require that all organizations fill out a funding form to access their budget who are requesting a budget must submit their proposal on the official Appropriations forms. They must contain the following information: a. Organization’s name, requester, date submitted, date of event, total amount requested, description of service or product, quantity, unit price, as well as supporting documentation, and description of either event, service, or product. b. Every event, service, or product shall have supporting documentation of the most recent market value (i.e. email correspondence with a professional, website screenshot with the web address, invoice, receipt, etc.). If proper documentation is not provided, funds shall not be allocated towards the request. i. All supporting documentation shall be the most recent available and shall not be older than two (2) years of the request date. ii. Three (3) bids must be provided from three (3) different vendors before any funds may be allocated towards item requests over $300. c. Attached to this form must be three (3) bids of purchasing items from a specific vendor exceeding $300 or the current University policy as directed by the purchasing department d. A funding form must accompany every purchase
