Paper no more The January issue of InSite outlined the plans being made to introduce an automated system for site access and for holiday and sickness reporting.

As many staff will know, the system was extensively trialled in the spring, allowing users to get familiar with it. Just as importantly, we asked the people involved in the trial to report back on how it worked for them and if there were any changes that we should make before the full roll-out.

This edition is to describe the next stages in implementation of this significant advance in site safety and accurate personnel record-keeping.

Safe access Whenever anyone is on any of our sites – in the yard or the factory, office, canteen or warehouses – their safety is our No.1 priority.

H+H has a very clear policy of “zero harm”. It is a fundamental principle of our operations that no-one should be put at risk while they are on one of our sites.

We need a way to be 100% sure that everyone is accounted for and the most efficient way to do this is to record all entrances and exits electronically. This is the reason behind the introduction of the access control system. If everyone - from the Managing Director down, when using the fob, has to tap in to enter and tap our to exit then we have that 100% certainty around who is on site at any moment.

Rollout Everyone working at H+H will have been provided with their own personal fob and those who are regularly on site will already be used to the “tapping in” process.

Readers are on all site entrances and on specific access points across the sites. Once the complete system is operational that all-important real-time log will be available for any emergency.

Timing and training The entire system is scheduled to go live on 19th July 2021. A training programme will be rolled out during June so everyone will be familiar with the system well in advance of it being implemented.

Any holiday requests made before that time will be automatically uploaded into the system from the existing paper process, so there will be no need to re-register for holidays already booked.

The system we are installing has the capacity to do much more than managing this critical safety procedure.

Feedback from staff suggested that common irritations include: inaccurate time records leading to errors in hourly pay; miscalculations on holiday bookings and inadequate cover on shifts when someone is off sick.

We are therefore also implementing the electronic record-keeping system to manage holiday requests and plan shift patterns.

It will be used for reporting sickness and for managing overtime allocations.

This system can be used via a smart phone, tablet or PC and will entirely replace paper-based systems in the future.
