Roles and Responsibilities Adele Jeffs Could be Good: Design concept led. Art and design associate at Heart n Soul. Wellcome facilities team: Source furniture and plan layout of spaces informed by this design brief. Production manage, oversee and install all elements.

Although we would like to make some changes to the space before October 2018. We know that not everything can be achieved before Heart n Soul move in. We are also keen to make sure that we have the resources and capacity going forward, to respond to the needs of the audiences that will be visiting the Hub in the future. We want to make space and time to collaborate and include the right people.

Heart n Soul access support team: A team of people we can work with to review design choices and make sure the furniture and other things we are installing is accessible. Next steps... It would be great if the facilities team could come back to all with a proposed space layout plan and furniture list for the Hub based on this brief.

The following document contains a design brief for the Wellcome facilities team. We are presenting ideas informed by feedback from; Heart n Soul core Hub team, focus groups with other artists and participants from Heart n Soul and information from the access report carried out by the Helen Hamlyn Centre for Design.

Heart n Soul would like the Hub to look and feel...

Heart n Soul would like the Hub space to:

Be a place were you feel comfortable making noise and being messy, basically being creative. Look less like and office while still having the basic things you need to work. Feel more like the reading room downstairs, broken up into smaller intimate spaces and more soft places to sit. Have creative things like music to listen to, art to look at, art materials, books and musical instruments and sensory things.

Feel less intimidating, so not overly sophisticated. We are looking for more of an art studio crossed with a comfy living room, rather then office crossed with a nice hotel lobby. The feedback was if everything is to pristine and orderly the space feels less friendly and welcoming.


Have different types of lighting which can be adjusted. We would like a few more lighting choices in the Hub, anything that allows you to dim or change the light. Some coloured lighting would be nice. Have real plants to nurture. Maybe hanging from the ceiling or on bookcases etc.

Have flexible furniture that you can move around if you need to and different types of seating options. To suit different people and different moods. Stuff like trolleys, bookshelves, tables and room dividers on wheels. Furniture that can be moved around, and reconfigured to divide and define spaces. We need to store: art materials, musical instruments, books, records and tech like ipads, laptops etc. Could we use room dividers to display artwork on or use as chalk boards etc? Have more comfy stuff like cushions. Heart n Soul have some great artwork which we can turn into textiles for soft furnishings?

Some things need to be made more obvious so it’s easy to find them, for example the bins need to be less camouflaged in the space.

Along with the soft furnishings we would like to have some more materials that make the Hub feel more like a creative space. So materials like; plywood, colourful recycled plastics, cork, metals both unfinished and colour powder coated. Maybe some worn or second hand things. Basically surfaces that are not overly pristine.

We would like to: • Add a bench which people can rest on when they get to the top • Add stickers with Heart n Soul branding to the doors so visitors know where to go. Our colours and stickers are key way finding tools to help visitors find the Hub. Please see the branding concept for more on this • Paint the doors to the Hub

An audio video bell/entry system: Placed lower on the wall. Needs to be more obvious what it is and how to use it. A sign will be required support this. Could a number code door lock be used instead of passes? Doors to Hub: can they be changed to something that works better? If we stick with current doors, can we mark on the floor where they open to and move the bell buzzer so you don’t get trapped behind the door when it opens?

A key bit of feedback was that every floor looks the same and some kind of landmarks and signs are needed to identify when you are at level 5.

We would like to: • Remove the desk that no one sits at because it’s a bit confusing? • Paint the walls and add our branding with stickers, so visitors know where to go. Our colours and stickers are key way finding tools to help visitors find the Hub. Please see the branding concept for more on this • Replace the carpet tiles with a blue (see colour for RAL refs) lino or vinyl flooring • Create a DIY look, vinyl tape welcoming mat or leading line, that guides your way to the Hub door • Install moveable leaning shallow picture shelves down one wall to display artwork on

The second door to Hub also needs addressing. We don’t want anyone to get trapped in the hall. Generally making getting in and out of the Hub simpler in some way would be good. Toilets: • Double doors into toilets were an issue for some people as they found them confusing and made people panic • Loud sound of hand dryer is also a issue for some people, made people panic • Clearer signs on the toilet doors would be better, maybe in a brighter colour?

We have some more ideas about how this area could be developed see phase 2.

The feedback was that finding your way to Hub needed to be much more obvious. Colour, artwork, signs and lines on the floor were all discussed.

We would like to: • Have some tables and chairs for full time staff (6-8 people) • A humours welcoming object on the desk of the welcome person, so that they are more easily identified and friendly • Paint the green wall yellow • Yellow coloured, individual lockers to store peoples belongings, basic stationery and admin stuff • Have some real plants • More lights to make the space brighter • A large pin-board on wheels

Make this space more of a reception area. Have some staff tables in this space for staff who are more full time so that visitors to the Hub see someone when they arrive.

The glass wall was highlighted as an issue for peoples judgment of distance and space, in particular defining the doorway opening.

We would like to: • Have some desks in here (8-10 people) *note we are abandoning the idea of the wavy desk • Paint the green wall blue • Have some real plants • Install some shallow picture shelves (where the green wall is, to accommodate art work which is A1 size if possible) • Paint white wall with magnetic paint

We would like to address this by: • Adding bright vinyl stickers to the glass • And/or adding a curtain behind the glass featuring Heart n Soul artists work, that can be optionally drawn for privacy

We think this would make good working space away from the main area for people that need a calmer space to work, like other Wellcome residents and researchers.

6. Puffing and Wooling Sensory Space This is a very important room so we need to take our time to develop it with the right input from the right people. We would like this to be a soft space a place, a room to reflect, share and be clam. We would like to approach this space in phase 2, when we are in the Hub.

7. Working, art, taking part and sharing space

Access Audit

Some of the feedback was about the height of books and objects on shelves. Would be good to keep this in mind when thinking about furniture. Overall stuff on wheels is good it can be repositioned easily to suit different people and situations. We need the furniture in this space to be flexible and multi functional, things like storage trolleys and desks on wheels would be great. Furniture we can display artwork on, that can be reconfigured used as room dividers or packed down when not needed would be great.

We would like: • Tables and chairs for Heart n Soul/Hub team • (8-10 people) • Plenty of resting areas and soft seating of different types • A good sized space with tables and chairs to make artwork and be messy (for min of 12 people) • A spaces to perform and share work with small invited audiences • Furniture to display artwork and other things we make

This is the core of the Hub. The key thing here is to break up how open plan the space currently is, we are very inspired by the feel of the reading room. We need a few different things to happen in this space basically: working, art, taking part and sharing at events.

We need: • Open storage trolleys for art materials and musical instruments, so that people can see what there is • Furniture to store a record player, records and books and tech like ipads • Plants hanging from ceiling and in other places • Art display boards something on wheels maybe • Paint the white wall outside the Puffing and Wooling Sensory Space with magnetic paint • Paint the green wall a lighter green • A blue tooth or wireless record player and headphones • A screen on a trolley for presentations • Tables and chairs for Heart n Soul/Hub team • (8-10 people) including a round meeting table and chairs (this could be the black table you have already) • Tables and chairs for art area (for min of 12 people) • Rubber mat to protect the floor from messy activities in the art area

Tables as opposed to desks... In both space 7 (Working, art, taking part and sharing space) and space 3 (Welcome Desk, Office and Storage). We are keen to move away from having individual office type desks. We feel that having large shared tables suit our approach more. Something flexible on wheels so they could be reconfigured pushed together, moved, pulled apart etc would be great. Could be Good

Phase 2 Space Design


Project 3 A Heart n Soul at the Hub Hallway Exhibition Space Lead: Hub Team and Heart n Soul Artists Time frame: October-onwards Description: We would explore using this space to curate different exhibitions.

Project 1 Puffing and Wooling Sensory Space Lead: Dora, Tilley, Helen Hamlyn Description: We would like to create a soft space in room 6, where the design is informed by artist Tilly Hughes and her puffing and wooling. Potentially collaborating more closely with individuals profound and multiple learning disabilities to inform the design of the space. Project 2 Audio Design (across the Hub lift, hallway, main space, puffing and wooling room) Lead: Helen Hamlyn (Will), Tom Slater? Time frame: October-onwards Description: There was lots of feedback around sound at the Hub. We would like to explore the sonic environment. Maybe creating audio for the Hub hallway (2), The Puffing and Wooling Sensory Room (6), the lifts and something for the other spaces, that conceals the low hum of the air conditioning.

Project 4 Accessible Lift Lead: Helen Hamlyn Time frame: October-onwards Description: Finding your way up to the Hub was a very significant part of the discussions we had. Some inspiring ideas were put forward for customising one of the Wellcome lifts to make it more accessible and friendly.
