A Comprehensive Introduction to the New Programming Period 2014-2020 WHO ARE WE?

FEE

The workshops are organized by HBH Euroconsulting, Grants Europe Consulting and EU Liaison. These companies (all members of the European Affairs Alliance network) submitted 32 European cooperation projects on behalf of clients all over Europe between 2008 and 2012 of which more than 90 percent were approved. The companies are working with almost 250 organizations all over Europe and they have an in depth knowledge of EU territorial policies. They can be considered as one of the most successful project developers and consultancies in Europe within the various EU cooperation programmes.

The fee of the workshop is 650 EUR which includes one overnight stay, two lunches and one dinner. In case you need to travel the day before the workshop, the fee is 720 EUR for which you get one additional night’s stay and a city-tour in Budapest or an excursion to the building of the Hungarian Parliament (upon your choice). All participants will receive a Workshop Handbook, containing Programme Fiches for major funding programmes, a Subsidy Guide with key policy areas and the related funding programmes, a DO’s and DON’Ts of project implementation (including process, financial and communication management) in addition to all training materials. You will also receive a certificate of attending the workshop.

WHAT DO YOU GET? A pragmatic, hands on and interactive workshop. You will get a comprehensive overview of the Europe 2020 Strategy and the new multiannual financial framework that defines the renewed European policies and their related financial instruments. Besides, the practical know how and experience of the lecturers with project drafting, implementation and communication will be embedded in a workshop session based on the principle of learning by doing. This is why the groups will not be larger than 20 persons.

LECTURERS All 5 lecturers are senior experts having specific training experience but are also practitioners. They are all active in daily project development, management, finance and communication, which gives a guarantee that lessons learnt can be used in your daily practices.

VENUE Budapest is a metropole which has a lot to offer in terms of culture, arts, gastronomy and architecture. The venue of the workshop is right in the heart of the city, opposite to the magnificent building of the Hungarian Parliament. For the overnight stay we offer the boutique Hotel Parliament which has been awarded one of the best 4 star hotels in Budapest.

PROGRAMME OF THE WORKSHOPS DAY 1 12.00-18.00

Introduction and Lunch Funding opportunities 2014 - 2020 The Europe 2020 Strategy and the new multiannual financial framework define the renewed European policies and their related financial instruments. Therefore we will give an up-to-date overview of the:

- Europe 2020 Strategy

- New thematic focuses of the key policy areas, as regional, innovation and other sectorial policies

- New funding programmes with a specific focus on: European Territorial Development (ETC); Innovation Europe (Horizon 2020);

Creative Europe, Urban Development (URBACT); Environment and Energy (LIFE+); Entrepreneurship and Innovation (COSME)

- Major changes in programme regulations: e.g. eligibility rules, financing and partnership, thematic focus linked to the 11 priority

areas and programme related priorities.

SUBSIDY SCANNING Matching upcoming funding opportunities with the future development goals of your organization is the most relevant question in making maximum use of the European funding opportunities becoming available from 2014. We will provide you with tools and suggestions on:

- How to inform decision makers in your organization on the added value of European funding for your organization.

- How to take a strategic approach in acquiring European funding. As project topics can fit in several EU programmes, the best fitting

ones have to be selected based on the required outputs for your project. Since the time and process needed for project preparation

varies per programme, decisions on where your projects will be submitted have to be done at an early stage and based on a strategic

approach.

- How to match the midterm policy plans and intentions of your organization with the available funding programmes.

You will take part in an interactive session to provide hands on experience in ‘financial engineering’ within your organization and ‘best case‘ examples will also be presented briefly.

DESIGNING YOUR PROJECT What are the key components of a successful project development process leading to “implementable” projects bringing tangible results to your organization and getting support from your decision makers? We will highlight the most critical issues. Building a European partnership:

- Where to find and how to select good partners?

- How to create a balanced partnership?

- How to deal with different expectations and cultural differences?

- How to decide between becoming lead partner or a project partner?

Maximizing the financial benefits:

- Smart budget planning techniques.

- Allocation of the budget among your partners.

Selling your project internally and externally:

- Internal communication towards decision makers and other units of your organization.

- Defining tangible outputs and result indicators.

- Making use of the external marketing value of your project.

PROGRAMME OF THE WORKSHOPS DAY 2 9.00-15.00

DEVELOPMENT IN PRACTICE How to develop a project idea in practice? What are the focal points of your project? How to elaborate a methodology that enables reaching your objectives? You will take part in a joint drafting exercise of a project idea chosen from the proposals delivered by the participants. This interactive session will provide you with practical experience, using the Logical Framework approach (logframe method). This method is universally adaptable to projects under all funding programmes and it is widely recognized as the most effective project development tool.

Lunch PROJECT MANAGEMENT What does the implementation of a European project mean for a Lead Partner or a Project Partner organization? How to provide a smooth workflow for the management of the project? This block will give you a brief overview of what needs to be taken into consideration when planning the project in order to found a realistic, easy to implement project. We will briefly get you acquainted with:

- The project as a process: what to bear in mind when planning a project? Deadlines, Work plan, Milestones (critical path), Indicators

(outputs, result indicators).

- Management as a process: from approval to project closure. Tips and tricks.

- Reporting in a nutshell

FINANCIAL MANAGEMENT How to provide a dynamic financial management while financing EU funded projects is rather complicated and project budgets are very detailed? Which rules have to be respected and where to find the desired flexibility? The aim of this block is to give an overview of what implementing a European project means financially, especially looking at it from a point of view of what should not be forgotten when drafting the project: how to plan the budget, what to do and what not to do. We will provide you an insight on:

- Financial management at a glance: links to processes, content and activities.

- Planning the financial implementation: financial workplan, cash flow planning, financial milestones.

- Handling deviations from plans: flexibility of budget.

- Financial reporting in a nutshell.

COMMUNICATION MANAGEMENT In what way is a Communication Strategy for an international project different from a classic communication strategy? How to draw stakeholders’ attention on your project and how to involve them? How to create awareness and understanding within the wider audience about your project results? How to communicate in a multicultural environment and create synergies amongst international partners in your project? We will provide you with an overview of our successful methods helping you to avoid communication bottlenecks and hurdles of EU cooperation projects straight from the beginning along project implementation. We will give new insights on how to:

- Adapt your project communication to Programme-specific requirements and publicity rules.

- Elaborate a knowledge-sharing strategy.

- Plan timely budgeted dissemination activities & outputs.

- Get acquainted with successful media and public relation tools & instruments.


LECTURERS

Hen Gerritse

Hen has a long background on policy development linked to European Territorial Cooperation. He has trained in the past years many employees on how to match European grant opportunities with local and regional policy objectives. Because of his extended knowledge of the specific goals and objectives of territorial cooperation in the EU he is specialized in teaching project developers on how to draft successful EU grant applications in programmes like Interreg and Urbact. He has designed training programmes for Interact, for the Region Nord Pas de Calais and also for workshops organized by his own companies. He has also been a lecturer and animator in a significant number of workshops organized by ministries, regions and municipalities. Currently he is owner of Grants Europe Consulting and Director of EU Liaison.

Eszter Kostenszky

Eszter has over 7 years of experience in the field of European Affairs. Since co-founding Grants Europe Consulting in 2008, she has been involved in the development of over 30 European cooperation projects related to territorial cooperation programmes (e.g. NWE, Interreg IVC, CENTRAL, SEE) and other sectorial initiatives, such as LIFE+, CIP and Urbact. In her daily work, Eszter is involved in the full cycle of project development from identification of project ideas until submission, the start-up phase and a continuous follow up of the implementation. She therefore has an up to date knowledge and understanding of the structure and procedures linked to the various funding schemes as well as all relevant European policy areas. Currently, as a senior consultant, she is responsible for the coordination and coaching of the development team with the company and she is also delivering regular external trainings and coaching sessions related to project development.

Eszter Héjj

Eszter has more than 8 years of experience in the field of European affairs and cooperation projects. She is head of the European project management unit of HBH Euroconsulting, being responsible for the implementation support provided currently to over 30 European projects in various programmes like Interreg IVC, CENTRAL EUROPE, SEE, NWE, Urbact, etc. Besides, in certain projects she is acting as a fully responsible external project and financial manager. She is thus deeply involved into each element of the day-to-day management of projects from process overviews through content and financial reporting to budget monitoring. She is also regularly training and coaching her staff in European project implementation matters, as well as delivering regular external trainings and coaching sessions related to implementing European cooperation projects.

Lolita Szabó Lolita has been working for Grants Europe Consulting as a free-lance consultant on project & communication management since 2009. She is responsible for managing EU-ERDF funded projects (Interreg IVB, IVC, IVA) and related dissemination activities, developing tailor-made communication strategies, including knowledge sharing process and media plans for both project tenders and on-going assignments.

Viktor Gulyás

Viktor has 7 years’ experience in the field of project development and generation related to Interreg IVC, CENTRAL, South East Europe (SEE), North West Europe (NWE), IEE, Urbact. He has been a member of the HBH Euroconsulting project development team since 2009 and he has been responsible for the development of several successful projects, such as GovernEE (CENTRAL), PLUS (Interreg IVC), DaHar (SEE), SYNAPTIC (NWE).

Terms & Conditions

1. Area of application

The following terms and conditions settle the contractual relationship between workshop participants and HBH Euroconsulting.

2. Registration / Confirmation of Application

A registration can be made via internet, mail, fax, or email. The registration is considered granted and legally binding if not rejected by HBH Euroconsulting in writing within seven (7) days after receipt of registration. The registration will be supplemented by a booking confirmation via email.

3. Service

The workshop fee covers the fee per participant in EUR net, subject to Hungarian VAT. The fee of the workshop is 650 EUR, which includes one overnight stay at a four star hotel in Budapest, two lunches and one dinner as well as refreshments during breaks. In case you need to travel the day before the workshop, the price is 720 EUR, including one additional night at the hotel and a city-tour in Budapest or an excursion to the building of the Hungarian Parliament (upon your choice). All participants will receive a Workshop Handbook, containing Programme Fiches for major funding programmes, a Subsidy Guide with key policy areas and the related funding programmes, a DO’s and DON’Ts of project implementation (including process, financial and communication management) in addition to all training materials. Participants will also receive a certificate on attending the workshop. HBH Euroconsulting has the right to change lecturers and to modify the program if and where necessary while maintaining the overall nature of the workshop. All registered participants will be notified in case of a workshop cancellation due to force majeure, due to troubles at the chosen location or due to a low registration rate. Cancellation notification due to a low registration rate is issued no later than 10 days before the workshop date. Workshop fees are reimbursed in the cases listed above. Any reimbursement of travel expenses are to be considered as an exceptional goodwill gesture and form no future general obligation. In case of disturbances and/or interruptions, HBH Euroconsulting commits itself to solve or limit any problems that might occur in order to maintain and continue the workshop as planned.

4. Payment Date and Payment Method

Payment of the workshop fee is due immediately upon receipt of invoice by bank transfer. In case payment is not received or lacking clear assignment to a participant prior to commencement of the workshop, HBH Euroconsulting may refuse the relevant participant’s participation in that workshop.

5. Cancellation

Cancellations need to be issued in writing. Cancellation by the participant will be subject to cancellation charges as follows: - 30 days or more prior to commencement of the workshop: workshop fee will be reimbursed, - 11 days to 30 days prior to commencement of the workshop: 50% of workshop fee net, subject to Hungarian VAT, - non-attendance or cancellation less than 10 days prior to commencement of the workshop: 100% of workshop fee net, subject to Hungarian VAT.
 HBH Euroconsulting gladly accepts a substitute participant nominated in case of a cancellation without additional costs if the substitute participant is registered at least three (3) days prior to the commencement of the workshop. Neither cancellation of a specific part/day of the workshop or substitution per module/per day is possible.

6. Copyright

Workshop documents are protected by property rights and may not be duplicated, processed, amended, circulated or published in any other way without the written consent of HBH Euroconsulting. HBH Euroconsulting reserves all rights.

7. Applicable Law, Place of Jurisdiction, Place of Performance

All cases shall be governed and construed in accordance with Hungarian Law. As far as legally admissible, place of performance and place of exclusive jurisdiction shall be Budapest, Hungary.

8. Data Protection

HBH Euroconsulting protects personal data by taking appropriate protection measures. For the purpose of optimization of the service portfolio and according to the regulations of the data privacy laws, it stores and processes person-specific data on the training participants. All personal data will, in accordance with the law, be used for documentation requests, placed orders or other enquiries in order to send information out by post. The participant may, at any time, express their objection to data collection for the purpose of advertisement or address via email or fax. Any data provided to HBH Euroconsulting will be processed for reservations and bookings, as well as, for information about other workshops, trainings and seminars.
