Allergies

Meet-the-Teacher Nights

Harpeth Hall is a peanut-free campus. Please speak with the school nurse regarding any allergies of which we should be aware.

Both the Upper School and Middle School host Meet-the-Teacher nights in the fall. Upper School parents begin the evening in their daughter’s advisory and follow her daily schedule, meeting her academic teachers.

Middle School parents begin in the Frances Bond Davis Theatre and then have an opportunity to meet their daughter’s teachers.

Bear Necessities Store The Bear Necessities Store is located in Souby Hall. Students can purchase P.E. uniforms, school supplies, and spirit wear.

It also contains seasonal gift items and spirit wear for parents and fans. The Bear Necessities Store is open every Friday, 7:30 a.m. to 4 p.m. when school is in session.

Carpool Etiquette (traffic safety)

• Refrain from cell phone use while driving on campus

• Observe campus entrances and exits • Observe all directional signs and marked crosswalks

• Observe 10 mph speed limit on campus • Post carpool tag in a visible location • Yield to all pedestrians • Leave handicapped spaces free for cars displaying a handicapped sign

• When entering and leaving campus from either exit, observe the 15 mph metro speed limit while in our school zone

Campus Security Harpeth Hall employs three armed security officers who cover the campus in shifts from 6:30 a.m. to 10 p.m. Monday through Friday.

All buildings are locked, and every student, teacher, and staff member wears an identification/access card to gain access to our buildings.

Gifts We ask parents not to give gifts to Harpeth Hall faculty, staff, and coaches. The best gift is a note from your daughter to her teacher or coach. We appreciate all the ways you support the school!

Grade Level Meetings Grade Level Parent Meetings occur throughout the year. These meetings provide opportunities for parents to meet staff and faculty members who support their daughter’s education.

Parents also learn about upcoming activities specific to that grade level.

Parent/Teacher Conferences In the Middle School, specific days are set in the fall and winter for parent/teacher conferences. Students do not attend classes on the fall conference day; however, students do attend and lead the winter conference with their parents. In the Upper School, 9th and 10th grade advisors and parents coordinate a day/time to meet in the fall.

Pets on Campus Pets of any kind are not allowed on campus grounds at any time for safety reasons.

Visiting During the School Day Campus visitors are required to check-in at Souby Hall or in the Upper or Middle School offices. All visitors will receive an I.D. sticker at check-in. We encourage our students to be responsible, and we encourage parents to resist the temptation to bring items to your daughter that she may have left at home.

We believe it can be a beneficial experience to manage the consequences of forgetting an item. Obviously, there are times when this is unavoidable, and you may bring those items to either the Upper School or Middle School office.

Visitor Parking There are visitor parking spots available in the Esteswood parking lot by Souby Hall and one visitor spot available in the Hobbs Road parking lot. Visitors may also briefly park by the Middle School flagpole for quick visits/drop offs of less than 5-10 minutes.

SUMMER

TO-DO LIST Participate In Summer Programs Harpeth Hall hosts more than 50 different academic, arts, and athletic camps. Visit the Harpeth Hall website, HarpethHall.org, and click on Summer Programs to learn more about summer offerings.

Try Out for a Performing Arts Group Information about dance tryouts and Upper School musical tryouts is emailed to families in the spring and is available on the Back-toSchool page of the website.

Attend the Team Selections for Middle School Athletics Middle School team selections for fall season (Cross Country, Golf, Volleyball, and Tennis) occur August 20 and 21.

Sign Up for Middle School Sports Harpeth Hall has a no-cut policy in Middle School sports. Families are emailed a Middle School Sports Sign-Up Form in spring. A link to it can also be found on the Back-to-School page on the website.

Tryout for Upper School Athletics Information about athletic team tryouts is emailed to families in spring and is available on the Back-to-School page of the website.

Submit Athletic Forms by May 25 Athletes are required to turn in Harpeth Hall physician’s report by May 25 to the school nurse.

Order New Textbooks Follett Educational Services is our textbook vendor. Families will be able to purchase books through the Virtual Follett Bookstore beginning in early July. Families do not have to use Follett and can purchase their books through any source (amazon.com, half.com, collegetextbooks.com, etc.) However, families need to

make sure they order books with the same ISBN numbers as listed on the Harpeth Hall book list.

Additional resources are available to assist with the cost of textbooks for families who receive financial aid. Note: Renting books is also an option.

Complete Back-To-School Forms Before August Harpeth Hall’s Back-to-School webpage launched in spring and contains links to many valuable resources for the 2018-19 school year. A link to the page is found on the Current Families Page of the website. Parents are sent a series of emails from May to August that link to the Back-School-Page which contains information including reading lists, textbook lists, supply lists, uniform information and more. In late June parents are asked to complete a series of Back-to-School required forms for their daughter that include medical forms, immunization forms, media releases, trip agreement forms and more. These forms are required for every Harpeth Hall student and must be submitted by August 1.

Purchase Uniforms Harpeth Hall hosts a Hang Up Sale (gently worn uniform sale) at the end of the school year in June and before school starts in August. Dates and location of the sales will be emailed to all parents.

New uniforms can be purchased at the Mills Uniform Store located at 204 Ward Circle, Suite 400, Brentwood, TN, or at www.millswear.com (For online purchases, Harpeth Hall school code: 3816) Mills is in the process of sourcing and producing Harpeth Hall uniforms; most uniforms will be in-stock by July 1, 2018. Attend New Student Orientation Information on new student orientation in August, including date and time, will be available during the summer. All new students should plan to attend.

Daily Uniform Campbell Plaid skirt (no shorter than 3-inches above the knee), tall or calf-length white socks, polo shirts with HH emblem in white, hunter green, or gray colors. Note: Students may also wear the dress uniform shirt as an everyday shirt, too.

Outerwear During the winter months, a student may elect to wear her own winter coat to school when moving from building to building; however, Harpeth Hall outerwear is required in all buildings.

P.E. Uniform P.E. clothes can only be purchased in the Bear Necessities Store in Souby Hall or the HangUp Sale. The white t-shirt with HH in the center is the required P.E. shirt for all Middle School girls. Additional uniform guidelines can be found in the 2018-19 Student Handbook, available in August.

Uniform Shoe The approved shoes for 2018-19 are white or gray athletic shoes with white or gray shoelaces. If you have any questions, please contact the Middle School or Upper School Dean of Students.

Athletic Uniforms Upper School wellness and Athletics practice uniforms can be purchased in the Bear Necessities Store in Souby Hall, the Hang Up Sale, or the BSN online store.

EXPENSES AT HARPETH HALL

Tuition at Harpeth Hall includes

that is necessary for a particular sport such as practice gear, cleats, lacrosse stick, softball, glove, etc. is purchased by families. This equipment will remain in the possession of the families after the season.

Class Trips in Middle School (trip costs for 2017-18)

• 5th grade day trips to Huntsville and Birmingham: $140 ($70 each)

• 6th grade trip to Tremont: $275 • 7th grade retreat to Camp Laney: $345 • 8th grade trip to Washington, D.C.: $1,489

Upper School Winterim Trips Juniors and seniors are eligible to participate in Winterim travel, which includes academic trips, international exchanges, and internships in New York City and Washington, D.C. These trips are optional. The majority of our students participate in Nashville-based internships.

Optional Expenses

• Choir: 7th/8th choir dress is $60 new;

Upper school choir dress is $81 new.

There are previously worn dresses available for purchase ($30 for MS, $40 for US).

• Orchestra: instrument rentals are

approximately $35-$50/month; Middle School and Upper School orchestra uniform is $56.

• AP exam fee is $93 per exam • Upper School art fee is $150 for year-long courses; $75 for each semester course.

• Some co-curricular activities, mixers

and dances with an average ticket price of $10 are an additional expense.

GIVING TO HARPETH HALL

The Annual Fund The Annual Fund is the cornerstone of the fundraising programs at Harpeth Hall. As an independent school, Harpeth Hall receives no government funding and relies on tuition and charitable gifts as the primary sources of funding.

How does my gift to the Annual Fund help the school?

Unrestricted gifts to the Annual Fund immediately benefit each student and faculty member by enriching all academic and co-curricular programs. Gifts also support faculty professional development, financial aid, service learning, and the maintenance of our campus. Funds raised are used in the same year they are received.

Who contributes to the Annual Fund?

Alumnae, parents of current students, parents of alumnae, grandparents, faculty, trustees, foundations, matching gift corporations, and friends of Harpeth Hall all support the school via the Annual Fund. Last year, more than 2,500 donors gave gifts totaling nearly $1.9 million to the Annual Fund.

How much should I give?

Every gift, no matter the amount, is vital for Harpeth Hall’s success. All donors at all levels are recognized in our annual Report on Philanthropy.

When and how may I give?

Participation by each family every year is important. Gifts made by check, credit card, or with appreciated securities may be given between July 1 and June 30 of each school year.

Day of Giving Each spring, we designate one day as our Day of Giving. We work with our network of volunteers to connect with our community via email and social media posts. Each year our goal is to surpass the previous year.

How do matching gifts work?

If you or your spouse work for a company that matches charitable contributions, you may be

able to double or triple the amount of your gift. Information is available through your company’s human resources department.

Capital Campaigns and Endowment Harpeth Hall conducts capital campaigns periodically for bricks and mortar projects and for its endowment. While Annual Fund gifts support the daily operations of the school, charitable gifts for capital projects have built the campus that our students enjoy today.

From the Ann Scott Carell Library to the new Athletic and Wellness Center, each building is the result of personal philanthropy and a commitment to providing educational excellence for girls. Gifts to the endowment provide a permanent source of support for faculty salaries, financial aid, and the long-term maintenance of our campus. Planned gifts may also be directed to endowment. It is our hope families will support the Annual Fund each year as well as capital campaigns when underway.

COMMUNICATIONS AT HARPETH HALL

Emergency Protocols In the event of a campus emergency, the Harpeth Hall Core Crisis Team activates the School Messenger Alert System to notify parents through email, voicemail, and text message. The system calls every phone number listed in our database for each family. Additionally, Harpeth Hall posts information on its website. Students, faculty, and staff practice fire, tornado, and lock-down drills throughout the school year.

Weather Protocols In the event of inclement weather that may delay the opening of school, close school, or cancel after school activities, Harpeth Hall notifies families through the School Messenger Alert System, in addition to posting information on our website and on local television stations.

Student Handbook and Directory The student handbook and directory is updated and distributed every August. The student handbook contains student policies and expectations.

A digital version of the student handbook is also available on the Current Families Page of the website. The directory contains household information about each student and should not be used for solicitations or shared with/given

to third parties. Note: Consult the Current Families Page on the website for the most updated information on family addresses, phone numbers, and email addresses. The directory is password protected, and you must log in to access it.

Website HarpethHall.org The Harpeth Hall website provides information about current and upcoming events on campus.

Parents may access daily and monthly calendars, their daughter’s report card, athletic schedules, dance rehearsals, news, newsletters, social media posts and more.

Harpeth Hall Newsletters @Harpeth Hall—Weekly parent newsletter, delivered every Thursday afternoon, providing information on upcoming community events and activities.

Inside the Hall—Divisional newsletter for parents giving insight into the academic program and daily life of our students. It is published multiple times each semester.

Daily Announcements—Daily email to students from the division Deans of Students with information about the next school day.

HHPA Newsletter—Monthly newsletter from the HHPA President sent to all parents.

AFTER SCHOOL PROCEDURES

Extended Care Morning Extended Care is available from 7 to 7:30 a.m. Afternoon Extended Care is available from 3:30 to 5 p.m. Both are provided free of charge. Supervision is available from 5 to 6 p.m. for a fee. Extended Care is an option for students participating in late athletic practices.

No prior registration is required, and drop-ins are welcome. More information on Extended Care will be communicated this summer.

Carpool Afternoon carpool begins at 3:15 p.m. All students remaining on campus after carpool are checked into After School Study Hall in the dining hall and can be picked up there.

Library Middle School students may study in the library until 4:45 p.m. Parents should come in to the library to sign out their daughter for pick up. After 4:45 p.m. students will go to Extended

Care. Students waiting for a delayed athletic practice or game, for Strength and Conditioning (always 3:30 to 4:30 p.m. for Middle School) or dance company rehearsals must attend Extended Care until practice begins. Girls may not wait in the gallery or an athletic facility for a rehearsal or practice to begin. At the appropriate times, students are escorted to their athletic and dance activities. Students who need to stay for Extended Care after their rehearsal or practice are escorted back to the dining hall.

Upper School students are not supervised after school. They may study in the library or in the Upper School Junior Lobby until 6 p.m.

The Upper School office closes at 6 p.m., and students need to leave campus by this time. Special campus hours are communicated prior to exams.

INVOLVED Harpeth Hall Parents Association

Bear Necessities Store

The Harpeth Hall Parents Association (HHPA) which exists at the invitation of the Harpeth Hall Board of Trustees is a vital and active organization whose primary purpose is to build community among parents, the administration, and the faculty. All Harpeth Hall parents are members of the HHPA. The HHPA consists of 35 committees that organize activities and events for our community.

Volunteer to work at the Bear Necessities Store.

Located in Souby Hall, the store is open every Friday during the 2018-19 school year that classes are in session.

Volunteer through HHPA Consider volunteering your time, chairing, or being a member of one of the 35 committees, organizing activities for the girls, participating in the Dad’s Network, or sharing your talents and resources. The Harpeth Hall website and the Student Handbook and Directory includes HHPA information. Visit the Current Families Page for a list of HHPA committees. The HHPA sends a Volunteer Survey for parents to complete in advance of each school year.

Admission Preview Day Preview Day is the Office of Admission and Financial Aid’s annual event in November for prospective students and their families.

This is a great way for families to tour the campus and learn about Harpeth Hall. Your volunteering to support this event is vital to its success.

Volunteer for the Annual Fund Each year, Harpeth Hall parent volunteers ask parents in each grade to make a tax-deductible contribution to the Annual Fund. No matter the size of the individual gift, Harpeth Hall seeks 100 percent parent participation in the Annual Fund.

The Plaid Dash

The Main Event

The Plaid Dash occurs during the school year and is a community building 5k neighborhood Fun Run for the entire Harpeth Hall community, especially new families.

The Main Event is the HHPA’s largest fundraiser. This dinner/auction is held annually in the spring, usually in March.

From auction solicitation to decorating, there is a committee that can use your talents and skills. Among the items funded by The Main Event are classroom furniture, dance floors, stage lights, assembly speakers, and the Hobbs Road school zone light.

Sunday on Souby Sunday on Souby is a fall Harpeth Hall community festival presented by the HHPA and the Head’s Young Alumnae Council (HYAC) that brings together past, current and new families, as well as extended family, alumnae, and neighbors.

This free annual event is an opportunity to come together and enjoy student entertainment, carnival games, and food.

Numerous parents volunteer to help with this festive afternoon.

Dad’s Network The Dad’s Network is responsible for planning fun events and service projects for Fathers/Daughters/Special friends and building community throughout the year among the dads. The signature fundraising effort is the Firewood Sale.

GLOSSARY

OF TERMS AT HARPETH HALL Advisory

Honeybear

Small groups of students who meet once during a seven-day rotation with a faculty/staff advisor. Parents have conferences with their daughter’s advisor, and the advisor serves as a liaison between students and their teachers.

Harpeth Hall’s school mascot

Angkor, Ariston, Eccowasin, and Triad Harpeth Hall has four spirit clubs originating from its predecessor school, Ward-Belmont.

Each student belongs to one of these clubs and participates in friendly athletic and academic competition with the others.

Students are randomly assigned to clubs unless the student has a family member who attended Harpeth Hall or Ward-Belmont and was in a specific club.

Honor Day The day we honor the 8th graders for the completion of the Middle School program.

5th-7th graders are required to attend Honor Day.

Kirkman House The house located on campus and serves as the Head of School residence. School, HHPA, and Advancement events are also held at Kirkman House.

Lady of the Hall

Located in the lower level of the library, students bring their laptops here for repairs.

The senior voted by the students and faculty to be the most representative of the ideals of Harpeth Hall. A student representative from each grade is also elected by her peers to represent her grade on the Lady of the Hall Court at Step Singing.

Bear Necessities

The school store in Souby Hall where students can purchase P.E. uniforms and school supplies, and parents and fans can purchase spirit wear.

Campbell Plaid

The two-story building on the south end of the upper school; the Massey Center houses the upper school math and science departments.

Bear Cave

The Harpeth Hall uniform plaid is Campbell Plaid.

Class Year A student’s class year is indicated by an apostrophe and the graduating year. For example, Oscar-winner Reese Witherspoon ’94.

Early Help From 7:30-8 a.m. each morning, students may meet with teachers to ask questions about homework or projects.

Graduation Celebration This event is an off-site overnight party sponsored by the senior parents for graduating seniors.

Hang Up Sale The Harpeth Hall school uniform consignment sale that is held monthly. Location of the sale will be emailed.

Massey Center for Math and Science

The Max A student café in the dining hall that offers healthy snacks for purchase before and after school. Upper School students and 8th graders may purchase snacks during break and before/after school.

MS Stands for Middle School

Pod The gathering areas in the middle and upper schools. Each grade is assigned a pod. Fifth and sixth graders are on the lower level; seventh and eighth grades are on the upper level. Class meetings are held here. In the Upper School, freshmen gather on the 3rd floor of the Wallace Wing, sophomores gather on the 2nd floor of Wallace, juniors gather in the Massey Lobby, and seniors gather in the Senior House and the Gambill Courtyard.

The 100-seat lecture hall on the second level of Patton Visual Arts Center.

Located on the north end of the Upper School building, the Wallace Wing houses upper school English, History/Social Sciences, and the World Languages departments.

Saturday School Students serve hours at school on a Saturday as a result of demerits. If a student cannot serve on a Saturday due to religious observance, another day is arranged.

Ward-Belmont

Located between the Massey Center and Souby Hall, the Senior House is decorated, maintained, and used by the current senior class.

Formed in 1913 by the merging of Ward Seminary and Belmont College for Young Women, Ward-Belmont was a college preparatory day school and junior college. It was the first junior college in the South to receive full accreditation by the Southern Association of Colleges and (SACS) Schools. After it closed in 1951, a group of Nashvillians founded The Harpeth Hall School.

Harpeth Hall was modeled after and still derives many traditions from Ward-Belmont.

Souby Hall

Winterim Trips

The original brick house on campus that includes administrative offices; it is named after Susan S. Souby, Harpeth Hall’s first Head of School.

Begun in 1973, Winterim is a three-week program in January that offers Upper School students experiential learning opportunities. Freshman and Sophmores return to campus after Winter Break with an alternative schedule that allows them to take specialty courses on campus that are not offered in the regular Harpeth Hall curriculum. Examples include: Adventures in App Making, Songwriting for Guitar, and Fencing.

Juniors and Seniors participate in a range of experiences including Academic Travel to places like India, Spain, France; Internships in locations like New York City, Washington D.C. and Nashville, and also Language Immersion trips and Independent Study opportunities.

Senior House

Step Singing Held the night before graduation, Step Singing is a year-end event when the leadership of the School is passed from the senior class to the junior class. At this ceremony, which was brought to Harpeth Hall from Ward-Belmont, the junior and senior classes sing their class songs on the steps of the library and the Lady of the Hall is honored. All Upper School students are required to attend Step Singing and Middle School students are encouraged to attend.

TSSAA Athletic Dead Period Sunday, June 24-Saturday, July 7, 2018 Two-week time period over July 4 when all athletics cease per the Tennessee Secondary School Athletic Association (TSSAA).

All Harpeth Hall athletic facilities are off limits to Upper School students during dead period, and Harpeth Hall coaches have no contact with student athletes.
