1. Cookie Booth Reservations

If you find that you cannot attend a booth you have registered for, please make sure to cancel your reservation in Smart Cookies. This will not only make the time slot available for another troop, but it will also remove the booth from the cookie finder for customers to see. We don’t want customers showing up to a booth with no cookies! Under the “booths” tab, go to “my reservations” find your booth, find the 3 dots on the right-hand side and click “remove reservation”.

Remember, you will not be able to sell cookies at a booth under the troop with Digital Cookie until your troop site has been set up. Once this is complete, you and your caregivers will be able to sell under the troop. You can learn more on setting up your troop site here.

Need help getting your program all buttoned up? Join us for a live walkthrough of important items you need to carry out before your program ends. You can register here. This session will be recorded. Bring your questions to be answered live.

Don’t forget, we have the Product Program Office Hours Thursdays 11:30 AM - 1:30 PM where you can pop in and ask ANY questions.

3. Gift of Caring Requests

You can donate your Gift of Caring (Cookie Share) packages to the recipient of your choice. Request your Gift of Caring packages from Council by April 30th. Donation packages are NOT to be taken from your troop inventory.

You are financially responsible for your troop inventory and will need to pay for the packages if you decide to donate them. If your troop chooses not to donate the cookies personally, they will be donated on your behalf by Council.

Requested packages will be picked up from a local cupboard (based on availability) and the variety will vary. Council will communicate with you the beginning of May when you can pick up your donations.

– Sell Cookies, Win Prizes!

When Girl Scouts get a bingo, they receive an entry to win and an exclusive B2B Bingo patch. When they get a blackout on a separate bingo card, they will receive 5 additional entries to win a $250 Amazon Gift Card!

5 for 5 Cookies— A Sweet Way to win!

When customers buy 5 packages of cookies, they get a chance to enter our online drawing to win 5 cases of Girl Scout Cookies. Plus, the troop or juliette who sold to each winning customer will also receive five cases to donate to a cause of their choice.

Bling Your Booth!

Girl Scouts who Bling Their Booth and submit a photo will have the chance to be featured on GSMW’s social media and be entered to win customized Girl Scout crewneck sweatshirts for each participating Girl Scout and required Troop Leaders/Mentors.

5. Crossover Patch

If your troop participated in the Fall Program and had total troop sales of $375+ and have a 375+ PGA during the 2025 Cookie Program, you qualify for the Crossover patch!

Girl Scouts who qualified in the Fall can sell 375+ packages during the 2025 Cookie Program and receive their patch. Caregivers should have received an email to update the avatar and/or their mailing address by April 30th. Patches should arrive later this summer.

Don’t forget all of the opportunities there are to get sales. Visit local businesses, elder care communities, banks, doctor offices, and more! We are getting emails daily from customers looking for cookies!

2. Distributing Cookies

Girl Delivery Orders

Run the Girl Cookie Order Details report throughout the season to make sure your Girl Scouts get credit for their cookie packages from Girl Delivery Orders. Since the orders are paid online, the financials will already be credited to the girl, but not the packages. You may need to complete a ‘Troop to Girl’ transfer in Smart Cookies.

Cookie Share/Donation Orders

Donation orders that took place after Initial Order (February 18th) and were not already credited, need to be credited to the Girl Scout via Virtual Cookie Share in Smart Cookies. These totals can be found on the Girl Cookie Order Details report.

Troop Online Sales Distribution

If your troop has a site link enabled with shipping capability you may have shipped orders that need to be distributed either to the troop in general, or to the Girl Scouts in your troop. By the end of the season make sure to distribute all packages.

Girl Financial Transactions

Girl financial transactions including cash, check and Clover Go need to be logged in Smart Cookies. Whenever a caregiver turns in payments, it’s important to write a receipt, get the caregiver’s signature and provide them with a copy. Then log it into Smart Cookies so that Council will have access to help with any discrepancies.

Smart Booth Divider

Following a booth, you should credit cookies sold to your Girl Scouts. Under the ‘Booths’ tab > My Reservations, you can click the three (3) dots to the right of your booth and select Smart Booth Divider. Then you will enter the total packages sold by variety and distribute to your Girl Scouts.

Important Note

Outstanding Balances at the end of the season will not be accepted without signed receipts.

5 Cookies – A Sweet Way to Win!

When customers buy 5 packages of cookies, they get a chance to enter our online drawing to win 5 cases of Girl Scout Cookies!

1. For every 5 packages a customer purchases, write your troop number on an entry card and give it to the customer. Juliette’s will put their troop number followed by their first name and last initial on their entry cards.

2. Every additional 5 packages give the customer another entry—the more cookies, the more chances to win!

3. Customers enter the contest by submitting their entry card information.

4. Promote the 5 for 5 Cookie Promotion using our flyer at your booth.

On May 30, we will draw five lucky winners, each receiving five free cases of Girl Scout Cookies (60 packages) at no cost to the participating troops!

Plus, the troop or juliette who sold to each winning customer will also receive five cases to donate to a cause of their choice. Stay tuned to our Facebook Page for the winner announcements.

We have created a variety of resources to help you navigate conversations with customers regarding cookie ingredients and other potential topics. Several of the resources can be utilized by troops at their cookie booths, including a “Girl Scout Cookies are Safe” flyer and Council Contact Cards. 1. Booth Inventory Tracking

Booth sales begin March 21st! Make sure that you keep your booths organized so they can run smoothly. Take inventory and count your cookies by variety before and after each booth session with a cookie inventory tracker. This will help you keep track of money and inventory as well as making distributions easier through the Smart Booth Divider.

2. Accepting Card Payments at Booths

Digital Cookie Mobile App: Payments taken through the Digital Cookie Mobile App are credited automatically to the troop in Smart Cookies and reduce the amount due to council.

▶ Download or update to the newest version of the Digital Cookie Mobile App.

▶ Submit Troop Secured Booth Requests in Smart Cookies at least 24 hours in advance.

▶ If your booth is not entered and approved in Smart Cookies, you will not be available to take payment through Digital Cookie.

Clover Go: Payments through Clover Go deposit directly to your troop bank account. You must add girl payments in Smart Cookies to have the proper girl balance shown for the amount due to the troop.

▶ If you haven’t already, sign up your troop for access to Clover Go.

▶ Add caregivers/girls as cashiers.

▶ Add girl financial transactions in Smart Cookies.

3. Cookie Deliveries

Girls should be delivering pre-ordered cookies to customers. If girls need additional cookies, they can get those from your troop booth/extra cookies or a local cupboard. Complete a signed receipt any time product or money exchanges hands.

4. Cupboards and Planned Orders

Starting March 20th, Cookie Cupboards are open! There are 16 Council Cookie Cupboards where you can restock your cookies for booths, in-hand sales, and Girl Delivery Orders.

To get cookies from a cupboard, place a planned order in Smart Cookies by 11 PM on Sunday evenings throughout the program. Orders submitted after Sunday evenings will be filled based on available inventory.

Plan to be on time and only visit the cupboard during scheduled pickup appointments. Most cupboards are volunteer-run and they set their own hours.

New this year: When you select a cupboard for a planned order, cupboard specific instructions or notes will pop up. Make sure to read them each time as they may change.

5. Bling Your Booth

Decorate your booth and submit a photo for the chance to be featured on our socials and be entered to win personalized crewneck sweatshirts for each participating Girl Scout and required Troop Leaders/Mentors! More details here.

6. Talking Points and Guidance

You may have heard about GSUSA and Girl Scout cookies in the media recently. If you are confronted by customers or the media regarding any of this information, we would like you to refer them to our council at customercare@gsmw.org or 406-252-0488.

March 10 - 16

1. Caregiver Cookie & Reward Pickups

Following Service Unit pickups, leaders need to distribute cookies and rewards to caregivers.

To prepare for caregiver cookie pickups, pull the Girl Initial Order Report. Print two copies of the report for easy receipts or use a receipt book to write out the total cookies to be picked up. Whichever method you choose, a signed receipt MUST be completed by both parties.

To prepare for reward pickups, pull the Recognition Order Summary by Girl Report. Please note, if you have received Pom Pom Beanies, they are for each Girl Scout that had at least 1 pkg sold at Initial Order and required leaders.

REMEMBER

All cookie booths MUST BE entered and approved in Smart Cookies in order to use the Digital Cookie Mobile App when accepting card/Venmo/PayPal payments at a booth. Submit requests at least 24 hours in advance.

2. Money Tips

PRODUCT = MONEY Any time product (cookies) or money exchanges hands, a signed receipt MUST be completed for both parties.

⇨ Money is due to the troop from caregivers by April 14th. Please retain all records/receipts until all finances are settled June 30th.

⇨ Provide the troop bank account information to your caregivers so they can deposit funds collected into the troop bank account. Then just send a picture of the deposit receipt with their Girl Scout’s name written on it.

⇨ When caregivers turn money in directly to the troop, it should be deposited in the troop bank account early and often. Don’t hold on to money!

⇨ Customers may pay by check as long as it is less than $200. Checks are made out to the troop and must be deposited within 30 days of the check written date.

When money is turned in, always make sure to complete a signed receipt, and provide a copy to the caregiver.

3. Booths

Booth sales start Friday, March 21st. All booths should be selected/entered into Smart Cookies. To schedule Troop Secured booths, have the business sign the Booth Request Form, then enter it in Smart Cookies. If you need assistance, email customercare@gsmw.org.

It’s Pandamonium: Girls have 6 days left to sell 150+ cookies on Digital Cookie and/or submit their It’s Pandamonium Paper Order Card, to receive the exclusive It’s Pandamonium Patch. We know you’re often at the forefront of your communities when it comes to questions about Girl Scouts, so we’re making sure you have the most accurate and updated information about the alleged presence of glyphosate and other metals in Girl Scout Cookies. Don’t miss fun promotions this month

1. Cookie Deliveries

Service Units begin receiving deliveries March 10th and will be contacting troops about pickups. Delivery dates vary so please be patient!

Ensure you have room to store the troop cookies until caregivers pick up their orders. The cookies need to be stored in a temperature-controlled space safe from weather and liquid so that they do not get damaged. If in a garage – make sure they are not sitting directly on the ground.

2. Cookie Ownership & Responsibility

At cookie pickups, caregivers will sign for the total amount of cookies requested at Initial Order. The Caregiver will then be financially responsible for all the cookies signed for and must turn in money no later than April 14th. We recommend that you keep copies of the caregivers’ requests and receipts until all financials are resolved at the end of the Cookie Program.

Always remember PRODUCT = MONEY. Anytime product or money changes hands a signed receipt must be completed for both parties.

3. Initial Order Rewards

Thank you for turning in your Initial Orders on time and for helping your girls to reach goals and Embrace Possibility!

Our top 25 Girl Scouts in each state and top 5 troops who won the booth kits have been announced and are on the GSMW Website under promotions.

The Panda Sherpa Hoodies and Double Pom-Pom Beanies will be shipped to your Service Unit and should arrive in a couple of weeks.

3. Promotions

It’s Pandamonium: From March 1st – 16th, girls who sell 150+ packages through Digital Cookie and/or our special It’s Pandamonium Paper Order Card, will earn the exclusive It’s Pandamonium patch!

But that’s not all— the top seller in each of our 12 regions will get to choose between a 3-in-1 Wild Animals LEGO Set or a Girl Scout Cookie Build-A-Bear with accessories! 2. Use the Booth Request Form to secure additional booth locations. Bring the form to the business, have them complete it, then enter the booth into Smart Cookies.

3. Continue Selling Until Cookies Arrive

Girls are encouraged to continue selling while we wait for the cookie delivery mid-March. You can print a Additional Paper Order Card from the website to collect more orders. Council recommends that you do not take payment from customers until cookies are delivered.

If Girl Scouts are completing door-to-door sales they can download, customize and print door hangers to leave at homes to get sales from missed customers.

1. Troop Initial Orders due by Feb. 18th at 11:59 PM.

2. Reach out to your Service Unit Product Manager or to other troops if you need additional GF cookies.

3. Create your Initial Reward Order and make size selections by Feb. 18th.

4. Encourage girls to sell after Initial Order using additional paper order cards or Digital Cookie site links.

5. Don’t miss out on promotions—Encourage Girl Scouts to reach their goals!

6. Cookie booth selections are now unlimited!

7. Setup your troop site links—They will be live for customers on Feb. 17th.

8. National Girl Scout Cookie Weekend is Feb. 21st - 23rd.

1. Initial Orders

Review the Initial Order Worksheet, and watch the Initial Order Entry Webinar. Then, complete the following steps to have a successful Initial Girl Delivery Orders placed after Initial Order:

1. Enter Paper Order Card totals by girl.

2. Pull the Girl Cookie Order Details Report in Smart Cookies to enter additional Girl Delivery sales from Feb. 13th – 18th to the girl’s Inv. Pkgs.

3. If your troop is selling Gluten Free cookies, please do not exceed the amount you have available to sell.

4. Add booth/extras. Please plan to order enough booth cookies for at least the first 2 weekends of booths.

Please Note: Caregivers do not have access to enter Initial Orders in Digital Cookie this year. If Paper Order Cards are not added to the Initial Order, cookies will need to be transferred from your booth/extras after the Initial Order.

2. Additional Gluten-Free (GF) Cookies

Council has a very limited supply of gluten-free cookies available. If you need additional GF cookies, contact your Service Unit Product Manager or consider reaching out to other troops. Please only sell what you can confidently fulfill. Remember, GF cookies are available for shipping through girl and troop site links.

If your troop has excess GF cookies to transfer, notify your Service Unit Product Manager so they can share that information with others.

3. Initial Order Rewards

Create your Initial Rewards order and make size selections by Feb. 18th. Girls who reach 195+ pkgs will earn the Panda Sherpa Hoodie—Check the sizing chart and enter S (Youth) or L (Adult) size choice. If orders/size choices are not completed by Feb. 19th, Council will make selections for you.

The Troop Initial Order PGA reward is processed by Council and will not show in Smart Cookies. Troops that reach the 375+ PGA on Initial Order will receive this reward for all participating girls and necessary leaders to maintain adult/girl ratios.

4. Cookie Selling After Initial Order

Girls can continue selling after the Initial Order deadline by using additional paper order cards or by safely sharing their Digital Cookie site links. Orders placed after the deadline will be fulfilled using troop booth inventory, extras, or by picking them up from a cupboard.

Top 5 Troops at Initial Order

The top 5 selling troops at Initial Order will each win a Cookie Booth Bundle that includes a Cookie Table Riser Display, Cookie Time Twist Sign, Cookie Time Box Bag, and a Cookie Time Banner! The top 5 troops will be announced on Feb. 28th at 4 PM live on our Facebook Page.

3. Paper Order Card Totals Due

Caregivers need to submit Paper Order Cards totals to the troop by Feb. 16th.

Important Reminder: Online Girl Delivery Orders up to Feb. 12th automatically feed from Digital Cookie to Smart Cookie and do not need to be entered.

Troops should pull the Girl Cookie Order Details report in Smart Cookies to add any Girl Delivery sales from Feb 13th –18th to the girl in the Initial Order entry tab. Take advantage of the Intial Order Worksheet to help you plan your order.

4. Gluten Free (GF) Cookies

Make sure to not exceed the amount of Gluten Free Caramel Chocolate Chip cookies that you requested and were approved.

Need more GF Cookies? You can place an Additional Gluten Free (GF) Request and Council will fulfill requests as we are able in the order they are received.

Cookie Booth Signups

You can view available booth locations in Smart Cookies starting today, Feb 3rd. Use the table below to view key dates and details to help you sign-up for council scheduled booths through Smart Cookies.

All booth signups are first come first serve (FCFS). If a troop does not sign up for all of the available booths during the specific round, those selections do not carry over to be selected later until unlimited selections begin.

Fall Product Early Booth Selection

Troops that participated in the Fall Product Program and met the criteria for early booth sign-ups, will receive a reminder email with details today Feb 3rd. Eligible troops can select up to two premium booths and four regular booths until 11:00 PM on Feb 8th.

Service Unit (SU) and Troop Secured Booths

To schedule your own SU/Troop Secured booths at approved locations, have the business sign the Booth Request Form to obtain permission, then upload it into Smart Cookies as a Troop Secured Booth. All Service Unit/Troop Secured booths must be entered into Smart Cookies at least 48 hours in advance for Council approval.

Accepting Payments with Digital Cookie

To use the Digital Cookie Mobile App to accept card/Venmo/PayPal payments at a booth, the booth must be entered and approved in Smart Cookies. Submit requests at least 24 hours in advance.

Make sure your troop and girls Embrace Possibility and participate in these “Panda-tastic” promotions! All winners will be announced through the GSMW Facebook Page Live at 4:00 PM on the dates listed below and updated on the GSMW Cookie Resources Page as they are announced.

▶ Blow Up Your Sales

Girl Scouts who set up their Digital Cookie Site and have at least one sale online by Feb 5th, will be entered to win an inflatable panda costume! Winners (one per state) will be announced on Feb 6th.

▶ Fill Your Order Card

Through Feb 21st, girls can submit a picture of their filled and completed Paper Order Cards to be entered to win an 8” Panda Squishmallow! There will be 2 winners drawn every week. There will be a Grand Prize drawing on Feb 21st including all entries to win a 14” Squishmallow Velvet Panda and a 32 oz Owala FreeSip Water Bottle. Winners will be announced on Feb 7th, 14th, and 21st.

▶ Top 5 Troops at Initial Order

The Top 5 Troops at Initial Order will win a Booth Bundle! The Booth Bundle includes a Cookie Table Riser Display, Cookie Time Twist Sign, Cookie Time Box Bag and a Cookie Time Banner! The winners will be announced on Feb 28th.

Register to join us during Cookie Program Office Hours occurring every Thursday from Jan 30th to April 17th between 11:30 AM and 1:30 PM.

This is an opportunity for volunteers to drop in with any Cookie Program questions, observe live walk-through scenarios, and receive valuable tips and tricks to support their success. Volunteers are welcome to attend as needed or simply listen to questions from other volunteers.

Volunteer access to Digital Cookie begins today! Check your email to log in. Verify girls are showing correctly and get your Troop site link set up. If you received the email and have trouble logging in please click on the “forgot password” option. If you did not get an email, visit https://digitalcookie.girlscouts.org/login select the “Need Help to Log In” option.

Set up your Troop Site link. Your troop site link can be shared so customers can purchase in support of your whole troop.

Register and attend the Cookie Tech Demo Webinar to get a detailed look into our cookie technology and how to manage the Cookie Program for your troop. Encourage caregivers to attend the Caregiver Cookie Training Webinar on January 29th at 6:30 PM.

Getting Girls Started Selling

Caregiver access to Digital Cookie begins Wednesday, January 29th. Make sure your caregivers help their girls get their Digital Cookie sites set up. Encourage them to send emails to customers right away!

Girls start taking orders on January 31st (online and pre-orders with their Paper Order Card) Encourage girls to share site links and send emails. Please review our Social Media Guidelines before sharing links.

Gluten Free Cookies

If your troop pre-ordered Gluten Free (GF) Caramel Chocolate Chip Cookies, discuss with your Girl Scouts and caregivers how your troop plans to sell this variety. Please make sure you do not sell more than the amount you ordered. If you did not order GF cookies you can put in a request. Requests will be fulfilled in the order they are received according to available supply.

Login and check that your troop and girl information is correct in Smart Cookies. Report any changes through the Girl Changes or Updates to Smart Cookies Form by January 22nd at 12 PM.
