Griffith University Higher Degree Research

DURATION OF CANDIDATURE

Duration of candidature refers to the length of time available under University policy for completing a higher degree by research. It is quite separate from the periods for which a scholarship might be held, or the time for which a candidate is funded under the Commonwealth government Research Training Program, although some of these time frames are similar. • Australian Government Department of Education Research Training Program

The duration of candidature applicable for each program determines the minimum and maximum dates for submitting the thesis. These dates are calculated from the date of commencement and are provided to candidates when they first enrol. They are provided each year with the annual progress report, and when a change in candidature status affects the dates. These dates are also available via myGriffith, My Research. Whilst the maximum date for submitting the thesis for each program is specified below, the expected completion period is three to four years for full-time doctoral candidature and six to eight years for part-time doctoral candidature. In some circumstances, these times may change. For example: • applicants with a Research Training Program entitlement transferring from another institution • an application to submit the thesis prior to the minimum submission date • an application to extend the maximum period of candidature in order to submit the thesis Candidature and enrolment ceases when the thesis is submitted. REVIEW OF PROGRESS

With effect from 1 January 2014, candidates are required to report on progress once per candidature year only through completion of either the early candidature milestone, confirmation of candidature, the mid-candidature milestone, or a progress report.

The reporting requirements provide a structured opportunity for candidates and supervisors to discuss performance and progress, identify and resolve any problems, identify if additional resources or other support is required, and to assist candidates to complete their research and writing of their thesis in a timely manner.

The task of monitoring progress is ongoing and should not be confined to the formal reporting requirements. The major responsibility for ongoing monitoring of progress and progress review rests with the candidate’s supervisors, Head of Element, and Dean (Research). Elements and Deans (Research) may introduce additional reporting arrangements for monitoring candidate’s progress and may take steps to rectify problems with particular candidates at any time. Completion of reporting requirements is a condition of continued candidature for all HDR candidates and failure to complete a reporting requirement may lead to termination of candidature. Candidates in receipt of a scholarship may have their stipend payments suspended if they fail to complete a reporting requirement by the due date. Some Masters (Research) programs may be exempt from the requirement to complete one or more reporting requirements. Masters (Research) candidates should consult their Program Director. For those candidates who commenced prior to 1 January 2011 and are not required to complete an early or mid-candidature milestone (although are encouraged to do so), the Progress Report will need to be completed in each applicable year in place of these milestones.

Reporting requirements will be due each year based on the candidate’s date of commencement. The timeframes for PhD candidates to complete the reporting requirements are as follows:

ADDRESSING CANDIDATURE ISSUES

The reporting requirements provide a formal means by which any problems concerning candidates can be identified. However, there may be circumstances in which the student or supervisor are not inclined to raise problems as part of a formal reporting requirement. OBJECTIVES OF THE EARLY CANDIDATURE MILESTONE

The purpose of this milestone is to: • assess whether the candidate has a viable research project and is appropriate for the degree in which the candidate is enrolled. • identify whether any further education and training is required to ensure timely completion. • identify any resources needed by the candidate to undertake the research. • Identify any problems/difficulties that hav caused or are likely to cause an impediment to progress.

EXEMPTIONS FROM COMPLETING THE EARLY CANDIDATURE MILESTONE Exemptions from completing the early candidature milestone include: • Doctor of Philosophy (by Prior Publication) candidates; • candidates who were previously enrolled at another institution who have demonstrated satisfactory progress towards their research topic, as determined by the Dean (Research) • candidates enrolled in a research masters program other than the Master of Philosophy may have different requirements and should consult with their Program Director.

REQUIREMENTS FOR COMPLETION OF THE EARLY CANDIDATURE MILESTONE

The early candidature milestone may include a written and/or oral component. The format for this milestone will be prescribed and administered by each Group and may include a requirement to: • submit a written proposal, which includes aims and objectives of the study, justification for th study, preliminary literature review, timeline for completion, education/training needs, resources needed to complete the project. • make an oral presentation. • attend a workshop or seminar. • any other requirement as determined by your Group. OUTCOME OF THE EARLY CANDIDATURE MILESTONE

The Head of Element or delegate (HDR Convenor), in consultation with your principal supervisor/s, will make a recommendation to the Dean (Research). The milestone will be assessed as satisfactory or unsatisfactory. If a candidate’s progress is unsatisfactory a proposed education and training program will be developed, documented and put in place for the candidate, with progress to be reassessed at a date determined by the Dean (Research). A candidate may be required to enrol in courses and achieve a specified grade where a need for further research training is identified

EARLY CANDIDATURE MILESTONE SUMMARY For this milestone you are required to upload a document that details your progress to date. This will include: * written proposal * timeline for completion * oral (where necessary) * workshop/seminar attendance It is expected that you will consult regularly with your Principal supervisor in preparation for this milestone. This milestone should be completed within the date specified for your program of study. If you require more time, please submit an application for extension. Note: for students that seek to articulate from MVA or MDesResearch to PhD or DVA, this should be noted during the Early Candidature Milestone and actioned at the point of confirmation. This also applies for students seeking to transfer between programs, such as DVA–PhD, or PhD–DVA.

Under the Higher Degree Research Policy, candidates are admitted to candidature on a provisional basis subject to successful completion of the candidature confirmation procedure. This procedure assists the generation of quality research through the early detection of problems with the research program. OBJECTIVES OF CANDIDATURE CONFIRMATION PROCEDURE

The objectives of the candidature confirmation procedure are to: • provide peer feedback to the candidate on the work completed to date through open discussion of the candidate’s research proposal • provide confirmation that the project i appropriate to the degree for which the candidate is enrolled • determine whether a candidate has made suitable progress during the initial stage of the candidature • ensure that adequate resources and facilities are available • confirm that satisfactory supervisio arrangements are in place • identify any specific problems or issues (fo example, ethics or intellectual property)

needing to be addressed; and • determine whether the candidature should continue.

EXEMPTIONS FROM COMPLETING A CONFIRMATION OF CANDIDATURE Exemptions from the candidature confirmation requirement include: • Doctor of Philosophy (by Prior Publication) candidates • confirmed Masters candidates who hav upgraded to Doctoral candidature, unless a requirement to complete a further confirmatio procedure was a condition of their upgrade • candidates who were previously enrolled at another institution, and who submit documentation demonstrating satisfactory completion of a candidature confirmatio procedure at that institution, however on receipt of the Dean (Research)’s recommendation the Dean, Griffith Graduate Research Schoo will determine whether the candidate should complete the Griffith University confirmati procedure; and • candidates enrolled in research masters programs other than the Master of Philosophy may have different confirmation requirement and should consult with the Program Director to determine candidature confirmatio requirements.

DELAYING CONFIRMATION SEMINAR

Where a major change in the direction of the research has occurred prior to confirmation or in exceptional circumstances, on the recommendation of the principal supervisor, approval may be sought from the Dean (Research) to extend the due date for presenting a confirmation seminar by up to six months full-time equivalent. Candidates

must submit a request to extend their confirmation date describing the circumstances leading to the request. The application will need the support of the principal supervisor and the Dean (Research). Applications can be made via myGriffith>My Research>My Candidate Centre. If the request for variation in date is greater than six months full-time equivalent, approval must be sought from the Dean, Griffith Graduate Research School on the recommendation of the principal supervisor and Dean (Research). Where a period of leave of absence has occurred prior to confirmation, the due date for confirmatio will be extended by an equivalent period.

PREVIOUS ENROLMENT AT ANOTHER INSTITUTION

In the case of an unconfirmed candidate previously enrolled at another university, the Dean (Research) should advise the expected date for confirmation of candidature taking into account the amount of time consumed at the previous institution and the status of the previous research work. Normally confirmation of candidature will occur within six months of enrolment at Griffith University.

EXPECTATIONS OF THE HIGHER DEGREE RESEARCH CANDIDATE: ROLE AND RESPONSIBILITIES

In order for candidature to be confirmed a candidate must: • Prepare a research paper in English (note: the length of the research paper is relative to the field of study. Candidates should be advised b the principal supervisor early in the candidature of any requirements that are specific to thei element of study) that includes: • the research question • where the question came from in the context of relevant literature • why the research question is important • how the research question is addressed including details of methodology • a bibliography of relevant literature • progress made to date; and • a timetable for completing the research. • present a confirmation seminar at which th student will speak to the research paper for approximately half an hour. Candidates should talk to issues raised in the paper rather than simply recite the paper itself. This is an opportunity for the candidate to raise matters that may be troubling them in their research and ask for feedback on specific issues. Followin this, up to half an hour will be allocated for questions from the assessing panel and general audience during which the candidate will conduct a ‘defence’ of the research paper as is the norm for a higher degree research

colloquium. The assessing panel will consist of the principal supervisor/s, if available the associate supervisor/s, and an independent assessor. The seminars normally will be advertised within the host element and Group noticeboards provide the following documents to the Higher Degree Research Centre at least two weeks prior to the research seminar completing and submitting the Confirmation Statement onlin form via myGriffith, My Research, My Candidat Centre. an electronic copy of your confirmatio research paper (the paper must be provided in PDF format, without document security, and in one file evidence that ethical clearance for the research (where required) has been requested advice as to whether any intellectual property agreement has been entered into; and in the case of Doctor of Visual Arts and Doctor of Musical Arts candidates, nomination of format for the final presentation of their writte and studio research where required, attend an interview with the Dean (Research). the Dean (Research) oversees the confirmatio process and may develop additional guidelines or requirements concerning the confirmation o candidature procedure within their Group if you have signed a confidentiality agreemen you must advise the Higher Degree Research Student Centre prior to submission of your confirmation paper

OUTCOME OF THE CONFIRMATION PROCESS

The Head of Element or delegate (HDR Convenor) will make a recommendation to the Dean (Research), who may determine that: 1. candidature and supervision arrangements are confirmed; o 2. the confirmation of candidature date i postponed for no more than six months to allow the candidate a further opportunity to resubmit and present the research proposal, or to allow the effectiveness of the supervisory arrangements to be assessed; or 3. make a recommendation to the Dean, Griffit Graduate Research School that the candidate has failed to be confirmed On receipt of a report of a candidate’s failure to be confirmed from the Dean (Research), the Dean (GGRS) will determine that 1. candidature is to be terminated; or 2. in the case of Doctoral candidates, the candidate is offered the opportunity to be admitted as a candidate to one of the University’s masters degrees. Candidates will be given a debrief by the HDR Convenor immediately following the seminar, where possible. The candidate will be formally QCA-HDR HANDBOOK 2020 V.4

advised whether or not their candidature has been confirmed in writing from GGRS A recommendation to postpone confirmation of candidature will include advice on what must occur before a final recommendation is made, for example, what additional work is required of the candidate, whether another seminar must be given. A candidate whose candidature has not been confirmed will be provided with reasons for the decision. EXPECTATIONS OF THE CONFIRMATION PANEL: ROLES AND RESPONSIBILITIES

Assessment of the confirmation seminar The seminar will be assessed by • the principal supervisor/s; • if available to participate, any associate supervisors; and • an independent assessor (approved by the Dean (Research) prior to the seminar) who is familiar with the field and who is not involve with the candidature. It is expected that the independent assessor will hold a qualificatio equivalent to that in which the student is enrolled. The assessor may be from outside the Group or external to Griffith University Supervisors should note that an assessor will not be permitted subsequently to act as an examiner for the submitted thesis. The research paper will be provided to the assessors via the online confirmation assessment report service request (or via email if external to the University) prior to the seminar. The assessors will attend the seminar, interact with the student, provide feedback on the issues raised in the paper and the seminar, and provide a report on the paper and seminar. Assessors are required to complete their assessment and return it to the Griffith Graduate Research School via the online confirmation assessment report service request (or via email to hdr-confirmation@griffith.edu.au if external t the University) no more than one week after the research seminar has taken place.

EXPECTATIONS OF THE PRINCIPAL SUPERVISOR: ROLE AND RESPONSIBILITIES

As a principal supervisor, responsibilities also include • Appointing an independent assessor for the confirmation seminar; this can be done b completing the online independent assessor

nomination approval service request which should contain the details of the independent assessor’s name, assessor’s qualifications and email address. The approval is to be completed no later than two weeks prior to the confirmation seminar and the Griffith Graduate Research School will arrange for relevant information and documents to be provided to the assessor.

EXPECTATIONS OF THE HIGHER DEGREE RESEARCH CONVENOR: ROLE AND RESPONSIBILITIES

Higher Degree Research convenor responsibilities include • Completing the appointment of an independent assessor nomination approval service request from the Principal Supervisor for the confirmation seminar, which contains th details of the independent assessor (including the assessor’s name, assessor’s qualification and email address). The approval is to be completed no later than one week prior to the confirmation seminar and the Griffith Gradua Research School will arrange for relevant information and documents to be provided to the assessor.

EXPECTATIONS OF THE DEAN OR DEPUTY DEAN (RESEARCH): ROLES AND RESPONSIBILITIES

The Dean or Deputy Dean (Research) oversees the confirmation process within their group Dean or Deputy Dean (Research) responsibilities include: • Developing additional guidelines or requirements concerning the confirmation o candidature procedure within their group: • advise the outcome of the confirmation on th relevant service request • Making a recommendation to the Dean, Griffith Graduate Research School that th student’s candidature should be terminated or downgraded, where a student has failed to meet the requirements of confirmation • Where required, arranging an interview with the student and/or supervisors. • Ensuring that satisfactory supervision arrangements are in place.

Note: for students that seek to articulate from MVA or MDesResearch to PhD/DVA, this should be done at the point of confirmation. This also applies for students seeking to transfer between programs such as PhD to DVA. Program transfer applications submitted after confirmation of candidature will need to be submitted to the QCA HDR Committee for consideration.

OBJECTIVES OF THE THESIS AND CANDIDATURE REVIEW MILESTONE

The objective of the milestone is to provide a forum for a formative assessment of the work completed towards the thesis in order to gather feedback that can be used to guide improvements and to assure the quality of the thesis to be submitted for examination. The milestone also provides a forum to: • review the candidate’s progress and timeline for completion • review the candidate’s publication plan • provide the candidate an opportunity to present their preliminary research finding • identify and resolve any difficulties that hav caused or are likely to cause an impediment to completion.

3 years full-time

The requirements for completion of the milestone are detailed below. Candidates should be guided by their principal supervisor on the requirements specific to their Element of study. Candidates are required to: • Attend a thesis and candidature review seminar where you will present your thesis plan to the Thesis and Candidature Review Panel. Your presentation must include an overview of: • your project and preliminary research findings including an explanation of the significance an originality of the work • your publication(s) (or unpublished paper(s) along with the publication plan) (Compulsory requirement for Doctoral candidates only) • your thesis plan outlining the chapters of your thesis and what each chapter will contain • your completion plan that corresponds with the thesis plan, detailing the work completed to date, the work to be completed, and the timeline for completion • any issues or concerns with the research work, or impediments to completion • any further information as required by your Element or Group. • Seminar: Candidates will present their thesis plan for approximately half an hour. Following this up to half an hour will be allocated for questions from the Review Panel and the general audience during which the candidate will conduct a ‘defence’ of the research. Thesis and Candidature Review Panel: The seminar will be assessed by the Thesis and Candidature Review Panel. The panel will consist of the HDR Convenor (Chair), principal and associate supervisors, and an independent assessor. Normally, a person nominated by the candidate’s

cognate Research Centre or Institute will also attend the seminar for the purpose of further supporting the candidate toward completion.

Candidates who do not complete their Thesis and Candidature Review Seminar by the due date will be placed under review.

The independent assessor will be familiar with the field of research and will hold a qualificatio equivalent to that in which the candidate is enrolled. The assessor may be from the candidate’s Element or Group, or may be external to the Group or to the University. Normally the Confirmation of Candidature independent assessor will be appointed as the Thesis and Candidature Review independent assessor. Supervisors should note that an assessor will not be permitted to subsequently act as an examiner for the submitted thesis.

An application for award of a Completion Assistance Postgraduate Research Scholarship (CAPRS) cannot be considered until the Thesis and Candidature Review Milestone is completed. Completion of the Thesis and Candidature Review Milestone will also inform the support, or otherwise, for an extension to a candidate’s scholarship tenure. Where the milestone has not yet been completed or finalised, the application to extend the scholarship tenure must include advice concerning the milestone status and planned completion date.

The panel will provide feedback to the candidate immediately following the seminar. The Chair of the panel will complete a report summarising the feedback provided by the panel (refer outcomes section below). • Both staff and candidates have defined role and responsibilities throughout the Thesis and Candidature Review process. • Information on the roles, responsibilities and expectations of University staff involved in the Thesis and Candidature Review process

A candidate will not be permitted to submit their thesis for examination until the Thesis and Candidature Review Milestone is completed.

TIME FRAMES FOR COMPLETING THE THESIS AND CANDIDATURE REVIEW SEMINAR

Due Date: The milestone must be completed within the period 2.5 yrs – 3yrs EFT for DVA/PhD candidates and by I.5 yrs EFT for MVA/MPhil/ MDesResearch candidates. The requirement to complete this milestone and the due dates for all other Doctoral and Masters Research programs may vary according to the requirements of the program, refer to the Programs and Courses page. Candidates can view their milestone requirements and due dates via myGriffith > My research. The Thesis and Candidature Review Milestone should be completed no later than six months prior to the intended thesis submission date for doctoral candidates, and three months prior for Masters Research candidates.

Non completion or delayed completion of the Thesis and Candidature Review Milestone: An extension to the milestone due date will not be considered unless the circumstances are exceptional. Requests to extend the due date will require the approval of the Dean, GGRS on the recommendation of the Dean (Research) and principal supervisor. Applications can be made via myGriffith, My Research, My Candidate Centre

Previous Enrolment at another Institution:

In the case of a candidate previously enrolled at another university, the Dean (Research) will recommend to the Dean, GGRS upon admission to the program the due date for the Thesis and Candidature Review Milestone, taking into account the amount of time consumed at the previous institution and the status of the previous research work. The Thesis and Candidature Review Milestone should be completed no later than six months prior to the intended thesis submission date.

THESIS AND CANDIDATURE REVIEW MILESTONE OUTCOME

The Chair of the Thesis and Candidature Review Panel (HDR Convenor) will facilitate the provision of feedback to the candidate by the review panel immediately following the seminar. The Chair of the Thesis and Candidature Review Panel will then prepare a Thesis and Candidature Review Milestone Report following the seminar detailing the feedback provided by the panel, and may attach additional written reports from the principal supervisor(s) and independent assessor. The report will address the following matters: • The readiness of the research work for examination, and any required or recommended amendments to the thesis plan and/or the draft thesis chapters. • Appropriateness of the timeline for completion. • Support, or otherwise, for extension to the candidate’s scholarship tenure or for award of a Completion Assistance Postgraduate Research Scholarship (CAPRS). • The plan to address any issues or concerns with the research work, or with progress towards completion. This may include a recommendation to place the candidature under review. • Any other feedback or recommendations.

Where remedial action is required this will be detailed in milestone report. In such cases, the HDR Convenor may recommend that the candidate be placed under review in order to ensure that appropriate support is provided to the candidate and to monitor the fulfilment of any remedial actions The milestone report will be considered by the Dean (Research). The Dean (Research) will approve, or otherwise, any remedial action as recommended in the report, including approval of an under review status. The milestone will be assessed as ‘completed’, with a copy of the milestone report provided to the candidate. In instances where it is deemed that a candidate is not progressing at a standard expected for the degree, and every reasonable attempt has been made to rectify the situation, a recommendation to terminate or downgrade candidature may be made.

PROGRESS REPORT The progress report is a major method of monitoring candidate progress and keeping the appropriate officers of the University informed. It is an important formal means by which any problems concerning candidature can be identified. It is also the means by which the University assesses whether a candidature should continue. For these reasons, progress reports must be completed in English by both candidates and supervisors in consultation, and with candour and care. The progress review provides a structured opportunity for candidates and supervisors to • discuss performance and progress in the research and adherence to other candidature requirements • identify, address and resolve any problems • comment on candidature in the context of the remaining time available for completion of the thesis and in the case of a scholarship holder, in light of the time available on scholarship, and • check your details regarding any changes to your full-time/part-time status, thesis title, supervision and scholarship details and update as necessary by completing and submitting the applicable online form via myGriffith, M Research, My Candidate Centre. Candidates are also requested to complete the on-line survey on training and support that allows candidates to provide confidential feedback on the quality of support they receive from their Elements. The task of monitoring progress is an ongoing process and should not just be confined to the formal progress report. The major responsibility for ongoing monitoring of progress and the progress review rests with the candidate’s supervisors, Head of Element and Dean (Research). Elements and the Deans (Research) may introduce additional reporting arrangements for monitoring candidates’ progress. Elements and Deans (Research) may take steps to rectify problems with particular candidatures at any time, including instigating termination procedures, however, only the Dean, Griffith Graduate Research School can terminate candidature.

PROGRESS REPORT TIMING AND PROCEDURE Higher Degree Research candidates are required to complete a progress report each year, due on the anniversary of the candidate’s date of commencement. In years where a candidature milestone is completed (i.e. early candidature

milestone, confirmation of candidature, mid candidature milestone) completion of a progress report is not required. However candidates will still be requested to complete the on-line survey on training and support annually. An email requesting completion of the on-line survey on training and support will be sent to candidates in late June of each year. The candidate and supervisor are entitled to read each other’s comments and both are required to sign the report. There may be circumstances in which the candidate or supervisor are not inclined to write comments in the progress report. In such cases, the following Griffith University staff may be approached for advice:

Candidates will receive follow up advice if any specific request or problem is identified tha requires action. Candidates will be informed if the Dean proposes any action.

ELIGIBILITY TO REPORT

Completion of the progress report is a requirement of continued candidature. Failure to complete the report may lead to termination of candidature. Candidates in receipt of a scholarship may find their stipend payments suspended if they fail to submit their progress report by the due date The following categories of candidates must submit a progress report. • candidates who have been enrolled for at least three months of the reporting year • candidates on approved leave who have been enrolled for at least three months of the reporting year • candidates nearing submission but who will submit their theses after the due date The following categories of candidates are not required to submit an annual report on progress

• candidates who have been enrolled for less than three months of the reporting year • professional doctorate candidates during the coursework phase of their program • candidates who have submitted their theses for examination or are revising their theses after examination

EMPLOYMENT The University’s expectation is that candidates complete their programs in a timely way. Full-time candidates engaging in significant amounts of employment is not compatible with this expectation. Consequently, full-time candidates (including those in receipt of scholarships) are permitted to undertake only a strictly limited amount of paid employment. The following conditions apply:

ATTENDANCE CHANGING ATTENDANCE STATUS (FULL-TIME/PART-TIME)

Candidates Students may apply to change their attendance status at any time (ie, full-time to part-time and vice versa) by completing and submitting the online form and request via myGriffiht , My research, My Candidate Centre. A change in attendance status will impact upon the maximum submission date for the thesis and the availability of resources and facilities. If an application is approved, candidates new maximum submission date for their thesis will be updated and available on myGriffith , My Research, My Candidate Centre. It may not be possible for a higher degree research candidate undertaking doctoral coursework or a program of advanced study to change enrolment status part way through a semester in which they are enrolled in a course. Candidates enrolled in coursework are bound by the Student Administration policy with respect to adding or withdrawing from courses. • Student Administration policy (PDF 120k) An application to change attendance status will not be approved once a candidate has exceeded their maximum period of candidature and an extension of candidature has been approved.

Full-time to part-time

A change from full-time to part-time status will increase the maximum submission date of the thesis. This may also impact upon the dates of your candidature milestones so candidates should discuss new consultation arrangements with their supervisors as this may differ from those arranged while they were enrolled full-time. If candidates intend to take up full-time commitments outside of their studies (for example, employment) they are advised, in consultation with supervisors, to put in place a revised schedule for completion of the research and the writing up of the thesis. This will help provide goals and direction, and assist in keeping the candidature on track.

Part-time to full-time

A change from part-time to full-time status will decrease the maximum submission date of the thesis and this may also impact upon the dates of your candidature milestones. The Dean or Deputy Dean (Research) will be asked to certify that supervision and resources necessary to support the full-time candidature are available.

Effect on scholarship holders

LEAVE LEAVE OF ABSENCE AND SPECIAL LEAVE OF ABSENCE

Candidates may apply for a total of up to twelve months leave of absence, throughout their candidature by submitting a service request via myGriffith, My research, My Candidate Centre. Leave will be granted in the first 6 months of candidature only in exceptional circumstances. In special circumstances, an additional twelve months special leave of absence may be granted at the discretion of the Dean, Griffith Graduate Research School. Candidates must nominate the dates on which the period of leave will commence and finish. Retrospective leave normally will not be approved. As leave of absence and special leave of absence are temporary cessations of candidature and are not counted as part of the period of candidature, the minimum and maximum submission dates for the thesis will be adjusted by an equivalent period. While on leave/special leave of absence, a candidate’s normal privileges, for example, regular access to supervisor, office space, library and computer access etc, are suspended. It is not considered appropriate to use the leave provision as a mechanism for extending a maximum submission date. In such circumstances, a candidate must apply to extend their maximum period of candidature. An application for leave of absence or special leave of absence will not be approved once a candidate has exceeded their maximum period of candidature. Candidates enrolled in courses as part of a professional doctorate program or program of advanced study, normally will take leave for the relevant semester. The maximum period of sick leave available is twelve weeks for the entirety of the candidature. Sick leave may be granted for periods of more than 10 continuous working days on presentation of a medical certificate. Claims must be made within 30 days of the end of the period of illness by submitting a service request via myGriffith, My Research, My Candidate Centre. using the Higher Degree Research Leave Application form (PDF 245k). Sick leave is a temporary cessation of candidature, which results in an extension to the maximum submission date for the thesis by an equivalent period.

International candidates

An application by an international candidate for sick leave will be processed in consultation with Griffith International to ensure student visa conditions are not contravened.

Scholarship holders

Holders of certain scholarships may be entitled to remain in receipt of stipend during part of a period of sick leave. Not all scholarship conditions are the same, so candidates must familiarise themselves with the sick leave entitlements for their scholarship. PARENTAL LEAVE Maternity leave

A pregnant candidate may be granted maternity leave of up to 52 weeks. The leave must be taken over a period commencing, at the earliest, 20 weeks before the medically certified expected date of birth and finishing no later than 52 weeks after the period of leave commenced. Paternity leave is deemed a temporary cessation of candidature, which results in an extension to the maximum submission date for the thesis by an equivalent period.

International students

A candidate who accepts responsibility as primary care provider of an adopted child may be granted an unbroken period of up to 52 weeks adoption leave. Appropriate evidence of adoption will be required. Entitlement to leave ceases if the child is five years of age or more. Apply by submitting a service request via myGriffith, My Research, My Candidate Centre Adoption leave is deemed a temporary cessation of candidature, which results in an extension to the maximum submission date for the thesis by an

RECREATION LEAVE

All higher degree research candidates are encouraged to take their entitlement of recreation leave annually. Leave should be taken with the agreement of the principal supervisor. Candidates can apply for recreation leave by submitting a service request via myGriffith, My Research, My Candidate Centre. Full-time candidates accrue 20 days recreation leave each year for the duration of their candidature. Parttime candidates will accrue leave on a pro-rata basis. Recreation leave accruals will be deemed as taken annually.

International candidates

International students should consult with Griffith International to ensure student visa conditions are not contravened.

Scholarship holders

Scholarship holders should refer to their scholarship conditions of award regarding their entitlement for paid recreation leave.

STUDY AWAY

A period studying away from the University usually is taken for the purpose of conducting fieldwork, data gathering, or to attend a conference. Candidates remain enrolled whilst studying away from the University. Requests can be made via myGriffith, My Research, My Candidate Centre. Periods of less than three, 3-6 and 6-12 months have various approval processes. EXTENSION In exceptional circumstances where progress has been delayed by factors beyond the control of the candidate, an extension of candidature may be granted by completing and submitting the online form via myGriffith, My Research, My Candidate Centre. Extensions of up to six months full time equivalent may be approved by the Dean or Deputy Dean (Research). The application will need the support of the principal supervisor. Extensions beyond this period require approval form the Dean, Griffith Graduate Research School and will not normally be granted unless the circumstances are exceptional. An application to change attendance status or take leave of absence or special leave of absence will not be approved once an extension to the maximum period of candidature has been granted. An application must include a report that • describes the circumstances leading to the request • gives a detailed assessment of the work remaining to be completed • gives a timetable for completion of the work, and • gives a projected date for submission of the thesis. The principal supervisors will be asked to confirm that the report is accurate and realistic.

IMPACT ON RESEARCH TRAINING PROGRAM ENTITLEMENT

If a domestic candidate (Australian or New Zealand citizen, or Australian permanent resident) has exhausted their Research Training Program (RTP) Domestic Fee Offset entitlement but remains enrolled, the Commonwealth government will no longer fund the candidature, and the cost of maintaining the candidature will be borne by the element of enrolment. While the University does not at present charge tuition fees for domestic candidates in these situations, the policy is under continuous review and may change at any time. The RTP Domestic Fee Offset Guidelines can be found on the following website: https://www.griffith.edu.au/research-study/ scholarships/au-gov-research-training-program

However, a candidate may submit the thesis within a period of three years from the lapse of candidature date. This is subject to any conditions imposed by the Dean, Griffith Graduate Research School. The candidate may continue to undertake research and writing of the thesis, however as a lapsed candidate, normal privileges, for example, office space, library and computer access etc, are suspended. The candidate will still be provided with access to their supervisory team, however the nature and frequency of this access will be at the discretion of the supervisor/s and the candidate’s enrolling element. The candidate may obtain access to the library as a member of the public. Prior to submission of the thesis, the Higher Degrees Research Application to Submit Thesis under Lapse of Candidature Regulations form must be completed and submitted to the Griffith Graduate Research School and will require approval by the Dean, Griffith Graduate Research School, in consultation with the candidate’s principal supervisor and Dean/Deputy Dean (Research). Approval to submit the thesis may be subject to any conditions imposed by the Dean, Griffith Graduate Research School which may include a minimum period of re-enrolment in a program of study. Where a candidate allows their candidature to lapse by failing to re-enrol, failing to pay tuition fees, or failing to meet any other requirements of their candidature, submission of the thesis as a lapsed candidate will not be approved. A lapsed candidate may apply for readmission to the program if the period since the lapsed date exceeds three years. The candidate will be advised that any application for re-admission to candidature will be subject to the admission and enrolment requirements in force at that time.

LAPSED CANDIDATURE

If the thesis is not submitted by the due date, and an extension of the maximum period of candidature is not applied for and granted, the candidature will lapse.

UNDER REVIEW STATUS A Higher Degree Research (HDR) candidature status of ‘Under Review’ may be assigned to a candidature as a mechanism to monitor progress and provide additional support to assist a candidate toward the successful completion of their program.

OBJECTIVES OF THE UNDER REVIEW STATUS

The objective of assigning an under review status is as a supportive measure, not a punitive measure. Candidates are placed under review to ensure that an enhanced monitoring process is put in place to benefit the candidate. Assigning an under review status provides a mechanism: • To identify candidates whose progress is of a concern so that supervisors, HDR Convenors, and Deans (Research) are able to manage such candidatures. • For input to be provided by the HDR Convenor in the management of the candidature. • For enhanced support to be provided as early as possible to prevent progress issues escalating. • For support to be provided to the supervisory team in managing difficult candidatures • To formally document a plan of action for the candidate, and monitor achievement. • To ensure candidates are referred to the appropriate support services available within their Element, Group or Research Centre, and more broadly across Griffith University

ASSIGNING AN UNDER REVIEW STATUS

A candidate may be placed under review in the following circumstances: • The candidate does not complete a candidature milestone by the required date. • The outcome of milestone completion includes the recommendation to place the candidate under review. • The candidate does not submit their thesis by their original maximum submission date. • The candidate does not meet the expectations of their supervisory team, e.g. submit requested work for review, attend scheduled meetings etc. • The candidate requests to place their candidature under review. The under review status will normally be applied for a period of three to six months.

UNDER REVIEW STATUS PROCEDURE

Normally, an HDR candidate, principal supervisor or HDR Convenor will contact the Griffith Graduate Research School (GGRS) (hdr-enquiry@griffith edu.au) requesting that the candidature be placed under review. The GGRS may also be advised via a milestone outcome or a candidature variation outcome where a recommendation is that the candidature be placed under review. The Griffith Graduate Research School will then initiate the online Under Review Status Assignment service request. The Dean (Research) will approve the assignment of an under review status for an HDR candidate, including the timeframe for the under review status, on the recommendation of the HDR Convenor and principal supervisor. Approval will be obtained via the online Under Review Status Assignment service request. Following approval by the Dean (Research), the candidate will be notified in writing and will be invited to attend a meeting with the supervisory team and HDR Convenor to discuss the reasons for placing the candidature under review, and the plan of action for continuation. The candidate, supervisory team, and HDR Convenor will complete the Candidature Progression Action Plan form at or following the meeting, detailing the following: • the concerns with progress • why the candidate is not progressing at the level expected for the degree • what is needed for the candidate’s progress to get back on track including referrals to support services • the specific actions to be completed b the candidate, and where applicable the supervisory team, during the under review period • timelines for completion of actions and the standard of performance expected • recommendations to vary candidature where applicable (for example, applying for a period of leave). The Candidature Progression Action Plan will be signed by the candidate, supervisory team and the HDR Convenor, with each party provided a copy. UNDER REVIEW STATUS OUTCOME:

EnglishHelp – The Griffith English Language Institute provides support for HDR candidates with English as an additional language via consultations, free online resources and HDR Language Workshops.

At the end of the under review period, completion of the actions as specified in the agreed Candidature Progression Action Plan will be assessed by the HDR Convenor. The HDR Convenor may arrange a meeting with the supervisory team and the candidate to determine if the Candidature Progression Action Plan has been adhered to and if the candidate is now progressing at a level expected for the degree. If the Candidature Progression Action Plan has not been adhered to, the HDR Convenor may recommend that the under review status be extended where such action is deemed appropriate. The HDR Convenor may also recommend another course of action, such as a change to the supervisory team. In instances where it is deemed that a candidate is not progressing at a standard expected for the degree, and every reasonable attempt has been made to rectify the situation, a recommendation to terminate or downgrade candidature may be made. In such cases candidates will be provided with reasons for the recommendation. The University’s expectation is that problems will be resolved on an informal basis without resort to formal procedures. Candidates who consider that they have a problem with any aspect of their candidature should first discuss the matter with their supervisors and attempt to reach a solution with the supervisory team. Candidates should acquaint themselves with the Griffith University Candidate Charter, the Code of Practice for the Supervision of Higher Degree Research Candidates and the information about resources and facilities made available to HDR candidates by their element of enrolment. Familiarity with this information may clarify misconceptions about roles and entitlements that sometimes lead to dissatisfaction. OBJECTIVES AND REQUIREMENTS FOR PUBLISHING DURING CANDIDATURE Higher degree research students are expected to publish during candidature as a means of disseminating their findings and developing their writing skills. In addition, published outputs of research are important records of research activity and are used by the government and the University to measure the intensity and quality of research performance at Griffith

The output must be produced under supervision and during the period of candidature. The output must be published or accepted for publication during the period of candidature and would normally include the Griffith University by-line. Where there are co-authors, the candidate should be a principal author. The published output must be peer reviewed and may be a journal article, conference publication, book or book chapter, original creative work, performance or exhibition. With the exception of creative works it is expected that the output be a Higher Education Research Data Collection (HERDC) or Excellence in Research for Australia (ERA) eligible publication, with the exception of creative works Creative works must meet the ERA definition of research: ‘The creation of new knowledge and/or the use of existing knowledge in a new and creative way so as to generate new concepts, methodologies and understandings’. Candidates must notify completion of the requirement to publish during candidature prior to submission of the thesis for examination. Candidates can notify completion of the publication requirement at any time via myGriffith, My Research, My Candidate Centre. Candidates will be requested to provide the Griffith Research Online URL for the output, or if this is not yet available the output DOI. If the output is not yet published, candidates will need to attach the output along with evidence that the output has been accepted for publication. The candidate’s principal supervisor and Dean (Research) will be required to verify that the publication meets the candidature requirement.

EXEMPTIONS FROM PUBLISHING DURING CANDIDATURE

An exemption from meeting the candidature requirement of publishing during candidature may by granted for those candidates whose research • contains material that will require access to be restricted because of its confidential or sensitive nature • requires access to be restricted due to commercial or industrial factors Requests for an exemption from completing this candidature requirement are approved by the Dean, Griffith Graduate Research School, on the recommendation of the candidate’s principal supervisor, and Dean (Research). Multiple exhibitions/performances of the R1 and T1 research output types listed above may be counted as separate outputs only where each subsequent exhibition/performance introduced a new research component to the work. For example, a touring exhibition could usually only be submitted as a single output. Note: If a creative work is intended as a minor component of a series or sequence of investigations that will form a portfolio of works on a particular theme, it should be categorised as a Q2, R2, S2 or T2 output, as appropriate. Once a portfolio is complete, it will be reviewed for the appropriate Q1, R1, S1 or T1 category. If a creative work is the product of professional practice rather than research, it will not be eligible for inclusion in ERA.

FACILITIES AND SUPPORT FOR HDR STUDENTS MINIMUM STANDARD OF RESOURCES, FACILITIES AND OTHER SUPPORT

The provision of appropriate resources and facilities to Higher Degree Research (HDR) candidates is integral to ensuring HDR candidates are able to conduct and complete their research in a timely manner, as well as providing candidates with the best possible research environment and experience. The following represents the University’s recommended minimum standard of resources, facilities and other support to be provided to HDR candidates. This includes physical facilities, financial assistance and participation in research culture. Each Element will be responsible for providing information to its candidates on the support that is to be provided. The level of support and resources to be provided will also be dependent on the nature of the research activity. Within these standards, provision will also be made for part-time and remote candidates. The facilities provided will meet University policy requirements for occupational health and safety, and will be in keeping with the Griffith University Code for the Responsible Conduct of Research, including safe and secure storage of research data and primary materials. Further, in the provision of space to HDR candidates, the right of all candidates to work in an environment that is free from harassment, bullying and unlawful discrimination will be respected. Responsibilities for ensuring HDR candidates are provided with appropriate facilities and resources are detailed in the Code of Practice for the Supervision of HDR Candidates. The resources and facilities that are required to complete an HDR program will be assessed according to the needs of each candidate based on the research project Assessment will occur as part of the application for admission process. In order to be admitted, the Element is required to confirm that they are able to provide the necessary research place, supervision, resources and facilities; and there is an appropriate fit between the applicant, research environment, available resources and supervision. The University is not able to support any research project regardless of cost. As such it is essential that

direct research costs are considered carefully when decisions are made about the scope of the research, including techniques, experiments, field work etc. at the time of admission. During candidature, the availability of resources and direct research costs must be considered prior to changing the research project. Where facilities or resources in addition to those specified below are required for a candidate’s research project, the candidate’s principal supervisor will be required to detail the requirements (as well as providing a costing if applicable) upon admission to the program, or upon a request to change a research project.

PHYSICAL FACILITIES

The following facilities are to be made available to HDR candidates: • Access to a desk in a suitably configured space in a secure area. The space will be to University Standards, and will meet health and safety regulations. Refer also to the Management of Space in the University Policy and Planning and Design Controls. Wherever possible the space will be dedicated to HDR candidates. Part-time and remote candidates are to negotiate their needs with their Element. It is expected that parttime and remote candidates will have access to suitably configured desk spaces for short term periods and/or on a time share basis, or by another arrangement as determined by the Element. Elements may provide access to a hot desk rather than a dedicated desk where appropriate to the needs of the candidate and the nature of the research. Where there are hot desk arrangements in place, the Element should ensure that each candidate has adequate access with due regard to the requirements of the program and the stage of candidature. • Access to networked computing facilities. Normally candidates will be provided a dedicated desktop or laptop computer. Where candidates are required to share computing facilities, the Element should ensure that each candidate has adequate access with due regard to the requirements of the program and

the stage of candidature. • Reasonable internet download quota. • Bench space, consumables, and access to suitably maintained scientific and technical equipment appropriate to the discipline in which the research is being conducted. • Studio, workshop and rehearsal space appropriate to the discipline in which the research is being conducted. • Sole use of a standard lockable filing cabinet will be provided to full-time candidates, or to parttime candidates who demonstrate a need for secure storage (e.g. ethical reasons). Part-time candidates may be requested to share a filing cabinet • Reserved notice board. • After-hours access to facilities, subject to security, and health and safety considerations. • Internal and local telephone access and reasonable access to STD, ISD and fax where applicable to the project. • An on campus mailing address and access to postage and courier services. • Reasonable access to basic stationery, e.g. University letterhead, pens, business cards and paper, subject to Element policies and control. • Reasonable access to University facilities and resources (e.g. University vehicles) where appropriate for the conduct of the candidature.

FINANCIAL ASSISTANCE

Research Allowance The research allowance as detailed below applies to candidates admitted from 1 January 2016. Candidates who commenced prior to 1 January 2016 are advised to refer to their Element for information regarding their research allowance entitlements. Candidates will be allocated a research allowance by their Element based on the expected cost of their research project. The cost of the project will be categorised into one the bands specified below with the corresponding research allowance allocated, which will be no less than the minimum amount as specified for each band. The research allowance category will normally be reviewed as part of the candidate’s review of progress (i.e. milestone completion). In order to review the category, candidates may be requested by their Element to put forward a budget outlining their research allowance expenditure to date, as well as proposed expenditure for the remainder of the candidature. As a guide, an amount within one of the following band ranges would usually be allocated for the entirety of a doctoral or research masters candidature: Doctoral Candidature Band 1 Band 2 $4500 - $6000 $6500 - $8500

Available to all HDR candidates, the research allowance is intended as an aid to carrying out the research project. The allowance is administered by the Element and may be allocated annually, or at defined points during candidature as specified b the Element. Part-time candidates will receive a pro rata amount of the full-time allocation each year. The research allowance is also available to remote candidates, however the needs of the candidate will determine the most appropriate use for the allowance, and must not be used toward the cost of travel for on-site visits to the University. Where the maximum candidature duration of the Doctoral or Masters Research program is less than four years or two years respectively, the Element may provide a research allowance that is lower than the values specified above, commensurate to the requirements of the program and each candidate’s research project. Conversely, the Element may provide a research allowance that is higher than the values specified above where deemed necessary based on the discipline and expected cost of the research. Elements may choose to nominate a set allowance covering all reasonable costs, or may provide specific allocations against each heading point below: • Reasonable photocopying • Data analysis and other specialised software packages • Reasonable fieldwork expenses appropriate to the program of research • Costs associated with conference attendance • Assistance with research related travel • Access to specialised equipment/infrastructure • Thesis editing. HDR candidates will not be permitted to access their research allowance whilst on a period of leave. Candidates who withdraw from their program will not be asked to refund any spent funds, however in accordance with Griffith University’s Assets Policy items purchased from these funds remain the property of the University and may be retained in the Element. Where a candidate transfers to another Element, the relinquishing Element is liable for expenses actually incurred in the project up to the date of transfer. The new Element of enrolment is liable to meet the expenses associated with the project from the transfer date.

CONFERENCE TRAVEL FUNDING Funding for doctoral candidates to support

international conference attendance is available on a competitive basis through the co-funded Griffith Graduate Research School and International Experience Incentive Scheme International Conference Travel Grant. Conference funding may also be supplemented from a candidate’s research allowance. Research Masters candidates may be provided financial assistance to support conference attendance, for example from their research allowance, at the discretion of the candidate’s academic Group.

COMPLETION ASSISTANCE POSTGRADUATE RESEARCH SCHOLARSHIP

Completion Assistance Postgraduate Research Scholarships (CAPRS) are offered on a competitive basis through the Griffith Graduate Research School to assist candidates who are at the final writing-up stage of their program. Candidates may be awarded a CAPRS for up to 12 weeks, and international candidates may also be awarded a Griffith International Postgraduate Research Scholarship to cover the cost of tuition fees for the duration of the CAPRS.

PUBLICATION ASSISTANCE SCHOLARSHIP FUNDING

Publication Assistance Scholarship Scheme (PASS) are offered on a competitive basis through the Griffith Graduate Research School to provide support to HDR candidates who have submitted their thesis and wish to write up their research and submit for publication whilst they await the result of their examination. This scheme is designed to encourage candidates to disseminate their research findings through quality publications. Candidates may be awarded a PASS for up to 12 weeks.

OTHER SUPPORT

Participation in Element/Group research culture

Involvement in a program of research seminars based on research being undertaken by candidates and academic staff • Access to any distinguished visitors, either in group seminars or on an individual basis as appropriate. • Entry to any space (e.g. reserved tea room provided for academic staff) and opportunities for social interaction with other research candidates and academic staff.

Orientation

The Griffith Graduate Research School will provide enrolling candidates with information about University policies pertaining to higher degrees by research, and other relevant policies via the compulsory HDR Induction Program (e.g, research ethics, intellectual property, copyright, sharing of responsibilities for higher degree research management between the

Elements, the Deans (Research), and the Griffith Graduate Research School). The Elements will provide specific information about the resources and facilities to which the candidate will have access, as well as the following: • A tour of the Element’s facilities. • An introduction to relevant academic, technical and administrative staff advice on how to contact the librarian appointed to assist the Element’s research candidates. • Information on access to relevant training opportunities, e.g, AARNET and computer training, workplace health and safety. • Information for candidates whose candidatures are located away from the University (remote candidates) on resources available to them when visiting campus. • Information on the Element’s problem resolution procedures. • Information on opportunities for participation in Element/Group decision making processes, including arrangements for electing student representatives to relevant Element/Group committees. • Guidelines on ethical and safety procedures appropriate to the discipline ( in addition to the University and Group level guidelines).

Candidate association with a research centre The majority of HDR candidates, in addition to being enrolled in an element, are associated with a research centre. Association with a research centre provides candidates with significant opportunities for professional development and networking. Whether a candidate is associated with a research centre will depend on the relevance of their research topic to the research activities of the centre of which their principal supervisor is a member. Candidates can apply to be associated with a research centre, by contacting the relevant research centre directly or via their principal supervisor.

Compliance and Performance

Each Head of Element, through their Group Dean (Research) will report annually to the Board of Graduate Research regarding compliance, or issues with compliance, in respect to these minimum standards of resources, facilities and other support. In addition, the Board of Graduate Research will review and note the responses of candidates for each Element in the annual on-line survey on training and support. This survey allows candidates to provide confidential feedback on the resources, facilities and other support they receive from their Element. Heads of Element and Deans (Research) are expected to introduce additional arrangements for monitoring the suitability of resources and facilities provided to HDR candidates.

QCA FACILITIES AND SUPPORT FOR CANDIDATES SUMMARY The QCA provides both studiobased space as well as deskspace, this includes fixed and shared-zones. QCA HDR candidates have access to the workshops on campus – Gold Coast and South Bank, as well as to the AV store. However, students will need to undertake necessary WH&S training in order to be eligible to borrow/use equipment. There are also studios at the Mt Gravatt campus. When you begin your studies, you will need to consult with the Postgraduate Support staff (Ms Dawn Hendrick) and the HDR Convenor (Dr Laini Burton) to discuss your research needs and requirements.

Where supervision is tied to a particular project, as with an industry scholarship for example, special approval will be required. Requests to change supervision arrangements are approved by the Dean (Research). As a matter of courtesy, candidates and the proposed new supervisors are asked to discuss their intentions with the current supervisors. There may be times when a candidate is reluctant to discuss potential supervision changes with their current supervisors. In this case the candidate should raise the matter with the Head of Element or delegate (HDR Convenor),or the Dean (Research).
