This month I felt it was important to remind homeowners about the importance of following the correct procedures when making exterior modifications to your property. As most of you know, if you are making alterations or improvements to the exterior appearance of your property, you must receive prior written approval from the Architectural Review Committee.

Even though you may have seen a similar modification at another house within Grayhawk, do not assume that you can do the same type of modification to your property. For example, there are light fixtures and courtyard gates that are approved in some neighborhoods but not approved in other neighborhoods. This is largely dependent upon the architecture and design of the houses within the neighborhood. Approved color schemes also vary depending upon the neighborhood.

Many times, at Architectural Review Committee meetings there are a number of the modification submittals for changes to the property that had already taken place, and the homeowners were notified that they were in violation of the covenants because they had an unapproved modification on their property. While generally these modifications are eventually approved by the Architectural Review Committee, occasionally modifications that are already completed are not approved and the homeowners either must remove the modification or make changes to the modification to bring it into compliance.

This results in an additional expense to the homeowners which could have been avoided if the homeowners had just called the Grayhawk Community Association office prior to making the change to their property to get information about the modification approval process. Please do not let this happen to you.

Grayhawk Master Association Board of Directors Meeting – August 5, 2024

DEVELOPMENT COMMITTEE

Paul Alessio reported that 1,200 apartments are being built in the area previously occupied by Crackerjacks.

A new fire station build is underway on the corner of Mayo Blvd. and Hayden Rd.

The Axon (Tazer) meeting scheduled for June 24 was cancelled and no future meeting date has been set.

A retail component (Phase 3) of Cavasson is underway. Phase 4 includes 136 townhomes and is approved but no work has started.

Rawhide has received approval for over 1,200 additional apartments, although there has been no activity yet.

A new structure at the southwest corner of Paradise Lane and the 101 will be a storage building.

Mack Development has put up dust fencing around their property in preparation for plant removal.

The Craftsman at Hayden Peak Crossing has closed. There is a sign on the door that a wine bar will be opening there.

The land between 56th St. and Scottsdale Rd. that the Coyotes previously had interested in is no longer up for auction.

OPERATIONAL REVIEW COMMITTEE

The committee has been reviewing GCA Office space and storage needs. The GCA cannot mortgage a building, so the Association must either lease an office building or purchase a building outright. With the current lease nearing renewal, the committee is looking into potential alternatives.

The committee is soliciting RFPs for a speed control device.

The community holiday light contract will be put out to bid this year.

Issues continue in the community with teenagers riding electric bikes. They are being disruptive to property and are also disrespectful to residents. Residents are being encouraged to reach out to the Scottsdale police if they experience any issues.

With the recent passing of HB2648- 2024 Assessment Lien Foreclosure Changes, Legal fees incurred in collection matters are not a Lien until awarded by a Court; This requires a change to the current Collection Policy. The committee reviewed the revised policy edited by the association’s legal counsel and is recommending the GCA board approve the revised policy.

Motion passed.

LANDSCAPE COMMITTEE

Arlene Smith reported the committee met in June and DLC provided a slide show regarding the turf transition from Rye to Bermuda, explaining the difference between last year and this year. Graphs were provided showing the difference in temperatures and dew point which is necessary for the root system of the Bermuda grass.

DLC presented three (3) turf reduction proposals. These are areas that were previously identified by the Committee for transition:

The Monterey Park and Montevina Monument conversion projects are completed.

COMMUNITY ENHANCEMENT COMMITTEE

Richard Zielinski reported that the committee had reviewed three turf conversion proposals and was making the recommendation to the GCA Board of Directors to approve all three.

1. Ridgecrest (74th Way & Galego) for $ 9,907.73

2. Ridgecrest (74th Way & Rustling Pass) for $10,949.18.

3. Monterey (73rd Place & Wing Shadow) for $ 8,987.00

The Community Enhancement Committee recommend the GCA board approve proposals from DLC for turf conversions at three sites totaling $29,843.91 to be funded from the community enhancement account. Motion passed.

EVENT PLANNING COMMITTEE

Ashlie Adamscheck reported that recent events included a pizza making class at Lou Malnati’s, two free family movies at Harkins, and a behind-the-scenes tour of the Musical Instrument Museum.

Upcoming events include a college planning workshop, the Old School Ice Cream Bus, a Foster Alliance volunteer day, bunco, stargazing and a tequila tasting.

COMMUNICATIONS COMMITTEE

Michael Loya reported that the committee would be meeting in a week to review the budget and communication proposal to present to the Board of Directors at the September meeting.

The communications survey closed on August 2 and more information will be available at the next meeting.

ARCHITECTURAL REVIEW COMMITTEE

Paul Alessio reported that the committee reviewed 11 submittals on June 6, five on July 3 and five on July 18. Most were standard submittals, although there was one submittal for a garage relocation.

Barry Ebert will be retiring soon after many years serving as an advisory member of the Architectural Review Committee.

EXECUTIVE COMMITTEE

David Van Omen reported that the Executive Committee had discussed staffing changes, bad debt write-off recommendations, e-bikes and the recent communication survey that was launched to residents.

BUDGET/FINANCE COMMITTEE

Derek Moore reported that the audit came back, and everything was good.

Management and members of the Budget/Finance Committee recommend that the GCA Board of Directors approve and accept the 2023 GCA audited financial statements prepared by Mansperger Patterson and McMullin. Motion passed.

CONDOMINIUM BOARD PRESIDENTS COMMITTEE

David Van Omen reported they did not meet.

NEW BUSINESS

Allstar Pro Painting LLC. submitted a proposal to paint the two bridges, pony walls, culvert railings and monument details east of Grayhawk Drive on Thompson Peak Parkway for $11,090.00. Allstar Pro Painting LLC. is a vetted vendor within CCMC managed local communities and has been highly recommended. They provide a seven-year warranty on block and stucco surfaces, and a Five-year warranty on wood and metal surfaces. Management requested this proposal for board review and if approved would be funded through the GCA reserve fund.

A motion was made and passed to approve the proposal submitted by Allstar Pro Painting LLC. at a cost of $11,090.00 to be funded by the reserve fund.

TREASURER’S REPORT

Derek Moore reported the GCA over budget by approximately $37,000 after a transfer of money to the reserve fund. There was approximately $7,500 of extra income recorded through June.

MANAGEMENT REPORT

Stacey Harvey reported that the Administrative Assistant had left, and a new hire would be starting in early August.

Max has been doing a fantastic job leading collection efforts for delinquent homeowner accounts.

Stacey and Ashley have been working on draft budgets for both associations and all seven neighborhoods. The Budget/ Finance Committee will be conducting their first initial review in early August.

A new phone system was installed at the office this month. The new system has greater reporting and tracking features and offers remote calling for the team to be able to contact homeowners while out in the community.

Meet Briana Minjarez

Grayhawk is excited to welcome Briana (Bri) Minjarez to the community. In her new role as the Administrative Assistant, Bri will be the first point of contact for most residents. She’ll be the voice you hear when you call and the face you see when you stop in the office, and we’re excited to have her join the team!

Bri is originally from New Mexico. She played college softball in west Texas and moved to Arizona at the end of 2015.

Bri loves to travel. She has visited 12 different countries and 19 different states. Her favorite time spent is with her fiancé Bryce, and their two adorable goldendoodles Pablo and Chloe. In her free time you can catch her golfing, hiking, at happy hour, or eating something delicious. Fun fact: She is really good at pickleball!

Ladies Bunco

Thursday, Sept. 5 at 6 p.m.

Join your neighbors for a night of food, drinks and Bunco! Never played before? Don’t worry! It’s an easy dice game- all you need to know is how to roll dice and count! We will do a quick lesson before we get started. Your $5 will go into the pot for cash prizes at the end of the night. Stargazing at Grayhawk

Friday, Sept. 20 from 7:30 p.m. to 9:30 p.m.

Grayhawk Greenbelt at 78th Way & 78th Pl

Grab a flashlight and some chairs and head over to the Grayhawk Greenbelt for a night of stars and planets with Stargazing for Everyone. There will be no parking on the street, please park in the offices at Grayhawk parking lot located at 7940 E Thompson Peak Pkwy. and take the sidewalk path to the greenbelt. You'll have the chance to view the wonders of the universe through their telescopes. Bring your camera or cell phone for great shots of the night moon or catch a fleeting view of Saturn and Venus. We'll have Moon Pies, drinks and lots of fun for celestial fans of all ages. Cost is $3 per person. Registration at www. grayhawkcommunity.org and payment are due by Wednesday, Sept. 18.

Tequila Tasting

Community Red Cross Blood Drive

There is no better way to give than giving to save a life! The Grayhawk Community is sponsoring a life-saving blood drive and hope you are able to participate! All blood types are needed! Although walk-ins will be allowed,time slots are limited. Please schedule an appointment by visiting www.redcrossblood.org/give.html/donation-time, type in our zip code (85255) and click on Grayhawk, or call 800-733-2767 for help with registration. You will register for a specific time slot when you sign up. Please remember to bring a photo ID, drink extra water, and eat plenty prior to donating. We will have some snacks and juice for those participating! Feel free to invite friends who do not live in the community to register as well! Thank you for helping us replenish the community blood supply for the patients of Arizona! As a thank you, all donors will receive a $10 gift card.

Pumpkin Patch

Saturday, Oct. 26 from 11 a.m. to 1 p.m.

Greenbelt at N 73rd Way and E Whistling Wind Way

Throw on a costume and come pick out the best pumpkin in our “patch”! We will have tons of fun activities including Debs Dragons, face painting, our pumpkin patch, carnival games, crafts, sweet treats and so much more! DLC Resources will be grilling up delicious hot dogs and serving up chips and cold drinks. Cost is $10 per child which includes all activities, one pumpkin and a hot dog lunch. Be a Hero, Save a Life!

According to the American Red Cross, every two seconds, someone in the U.S. needs blood. Blood is essential to help patients survive surgeries, cancer treatment, chronic illnesses, and traumatic injuries. This lifesaving care starts with one person making a generous donation. The need for blood is constant. But only about 3% of age-eligible people donate blood yearly.

You can help the American Red Cross make sure that supply meets demand. The Grayhawk Community Association will host a blood drive on October 16 from 9 a.m.-2 p.m., right here in your community! You can read more about how to register in the event section of this magazine or on grayhawkcommunity.org.

Facts About Blood Needs

• Every 2 seconds someone in the U.S. needs blood and or platelets.

• Approximately 29,000 units of red blood cells are needed every day in the U. S.

• Nearly 5,000 units of platelets and 6.500 units of plasma are needed daily in the U.S.

• Nearly 16 million blood components are transfused each year in the U.S.

• Sickle cell disease affects 90,000 to 100,000 people in the U.S. About 1,000 babies are born with the disease each year. Sickle cell patients can require blood transfusions throughout their lives.

• The average red blood cell transfusion is approximately 3 units.

• A single car accident victim can require as many as 100 units of blood.

• Blood and platelets cannot be manufactured; they can only come from volunteer donors.

• The blood type most often requested by hospitals is type O.

• One donation can help save more than one life.

• According to the American Cancer Society, more than 1.9 million people are expected to be diagnosed with cancer in 2023. Many of them will need blood, sometimes daily, during their chemotherapy treatment.

As we embark on a new school year, I am filled with excitement and anticipation for all of the amazing experiences and opportunities that lie ahead. Our school continues to grow, and it is my pleasure to extend a warm welcome to all of our new families joining us this fall. We are delighted to have them become part of the Grayhawk family. To our returning families, welcome back! We are thrilled to see you again and look forward to another fantastic year together.

I am proud to announce that our school has been honored with the Civil Air Patrol National ACE School of the Year Award. This recognition is a testament to the hard work, dedication, and commitment of our entire school community, especially our incredible STEM teacher, Michelle Lindstrom, who has been named National ACE Coordinator of the Year. Congratulations, Ms. Lindstrom! Your passion and dedication to STEM education have truly impacted our students in a very positive way.

As we prepare for the year ahead, let's embrace the opportunities for growth, learning, and connection. Together, we can continue to foster a supportive environment where every student can thrive.

You can also find guidelines for common updates including exterior lights, house numbers, artificial turf and windows; as well as approved exterior paint colors and landscaping information.

Please remember that when making any changes to your home that are visible from the street or neighboring property, modifications must be approved by the Architectural Review Committee. Reach out to the Scottsdale Police Department through Scottsdale EZ

Whether it’s a short-term rental problem or a barking dog complaint, the City of Scottsdale has an online service that makes it easier for residents to report problems to the Police Department. Reporting an issue is “EZ”!

• Visit ScottsdaleAZ.gov/EZ on your desktop or mobile device, or search online for “Scottsdale EZ” to find the application link

• Enter the request or issue in the search bar, select a top request or browse by category

• Choose an address related to the request, or use your device’s GPS to pinpoint the location of the issue. Provide details and submit a photo, if applicable

• City staff will get back to you to confirm they’ve received your request

The more accurate the information you provide when submitting a request, the more quickly it can be assigned to staff and resolved.

HOA Payments Q&A

When is my payment due?

Your Grayhawk Community Association (GCA) assessment is paid quarterly to the management company, CCMC. Payments are due on January 1, April 1, July 1 and October 1. Your payment is considered late after the 30th of those months.

I paid before the grace period ended, but still got a late fee. Why?

You do have a 30 day grace period. but your payment must be applied to your account within that 30 days. If you pay by credit card there is typically a two or three day delay in the payment clearing and applying to your account. If you mail a payment (either yourself or via bill pay from your bank), please make sure that you account for potential mail delays.

Can I set up automatic payments?

Yes! Visit grayhawkcommunity.org and click the “HOA Dues” button right under the main image to access all of your payment options. Follow the link for setting up a recurring payment. To set up a recurring payment, you will need the management company ID and association ID found on the main page, as well as your account number. Your account number is found on your HOA statement. You can also reach out to Bri Minjarez at bminjarez@ccmcnet.com or 480-563-9708 to obtain the account number.

Do I have more than one HOA fee?

You might! Every resident in Grayhawk pays the GCA quarterly dues. If you live in the Retreat Village Association (RVA), you also have a an RVA quarterly fee. If you live in one of the

eight condominium communities, you also pay a monthly subassociation fee. Cachet and Avian owners pay the GCA, RVA and also a monthly sub-association fee.

Please take a moment to ensure that you are paying the correct amount to each of your associations, especially if you are in a condominium as those are paid to a company other than CCMC.

Can I pay my HOA fees together?

No, each association has it’s own account number and must be paid separately.
