Outdoor Exhibitor Note: If your exhibit includes large equipment or requires additional time for set-up or unloading, it is essential that you coordinate these needs in advance with both the Show Service Provider and the Show Manager. Unscheduled deliveries or late arrangements may not be accommodated onsite.
*Global Convention Services will provide target freight move-in times on setup days for those booths that require freight to be delivered to their booth

Exhibitor Breakfasts:
Start your show day right! A complimentary exhibitor breakfast will be served on May 13 & 14 from 8:00 AM to 10:00 AM in the foyer of the TARA Centre.
Please bring your exhibitor badge for admission.
Exhibitor Rest Area:
Need a break from the floor? A designated quiet room will be available for exhibitors only during show hours to recharge and refocus.
Food & Beverage in Booths

All food and non-alcoholic beverage service must be pre-approved by Evergreen Park.

Note: Alcohol is strictly prohibited in all exhibitor booths. Consumption and service are limited to licensed areas only.
Exhibitor Badges (via CONEXSYS)
Access to the show floor requires a badge at all times.
Each booth includes eight (8) exhibitor badges.
Staff must be registered through the CONEXSYS exhibitor portal. The registration link is emailed to the primary contact following booth confirmation.

Shipments of Freight or packages to Venue:
Direct shipments to Evergreen Park cannot arrive prior to May 4, 2026. Please ensure that the shipment indicates it is for the Peace Region Energy Show and please mark your booth # on the shipment.

Hospitality Lounge & Drink Tickets:
Two hospitality lounges (indoor and outdoor) will operate during the show. Drink tickets with your company logo can be pre-purchased in bundles of 10 at a discounted rate.
Deadline to purchase and submit logos: April 27, 2026 Email janice@gpchamber.com for drink tickets and logo submission.
24-hour on-site security will be provided beginning Monday, May 11 at 6:00 PM through Friday, May 15 at 8:00 AM.
Note: While show security will monitor the premises, exhibitors are responsible for the safety and security of their own materials, particularly during move-in and move-out periods.

If you plan to use a tent in your outdoor exhibit space, please review the following requirements to ensure safety and compliance.
Official Tent Supplier: To Be Determined
Tents 10' x 10' or Smaller (100 sq. ft. or less):
Must be properly anchored as per manufacturer specifications
Must contain a fire extinguisher
Registration with the show office is mandatory (include booth number and tent size)
No permit is required
Staking tents into asphalt is strictly prohibited
Utility location maps will be available at the registration desk
Tents Larger than 10' x 10' (Over 100 sq. ft.):
Must be properly anchored as per manufacturer specifications
Must contain a fire extinguisher
Registration with the show office is mandatory (include booth number and tent size)
Permit is required and will be provided by the show if registered
An engineering certificate is required for safety inspection
A fire rating materials sheet must be provided
Staking tents into asphalt is strictly prohibited
Utility location maps will be available at the registration desk

Insurance Requirements: All exhibitors must carry adequate liability insurance to participate in the Peace Region Energy Show. By submitting your exhibitor registration, you agree to the following:
Maintain a comprehensive general liability insurance policy with coverage of not less than $2,000,000 per occurrence, including bodily injury, property damage, and loss of use.
The following must be listed as additional insureds:

Grande Prairie Petroleum Association
Grande Prairie Regional Agricultural and Exhibition Society
County of Grande Prairie No. 1
Certificates of Insurance must be submitted to janice@gpchamber.com prior to movein. The certificate must:
Identify the insurer and policy number
Include the name and address of the insured
Clearly define the policy period (covering all show dates including setup and teardown)
Describe the coverage and policy limits
Specify the event location and insured activities
Be signed and dated by an authorized representative
Failure to provide a valid certificate of insurance will result in denial of access to the show floor.
Liability & Final Terms:
Neither show management, its officers nor agents will be held responsible or liable for any manner of loss or damage that may occur to property or persons during times of move-in and/or move-out. Exhibitors are responsible for all their materials and should take adequate security measures at all times.
Exhibitors are entirely responsible for leased space and agree to reimburse for any damage to premises, furnishings, or equipment occurring in the area leased under this agreement providing such damage is due to negligence of the exhibitor, its servants, agent, or others for whom the exhibitor is, in law, responsible.
