The Purpose of This Handbook

This student handbook is an essential document governing your time as a student at both Changemaker Educations and Futuregames. In this handbook, you will find important information regarding your study with us. It is important that all students read through this handbook and acquaint themselves with our routines, values, and ways of working.

The handbook is a living document, which means that we will update this in real time as necessary, so students are encouraged to review these changes as they occur.

Welcome to Changemaker Educations and Futuregames!

You are now entering our world of learning opportunities. Learning as an individual and learning in a community, with others. We know that during your education this will make more and more sense. You are always part of a community and never stronger than the relationships that you are a part of now and in the future. So, build your relations from the start. With the industry, the teachers, and your fellow students.

All our educations and the content in our program derives form the needs from the industries we serve, their needs for new competencies, and their needs for you as employees in the future.

We have put together this “handbook” with relevant information that you will find useful during your journey with us. It contains our guidelines for being a successful student, as well as the routines that we as teachers and educational providers will follow to give you a great education, it provides practical information about rules and regulations, as well as our take on pedagogy and diversity.

Learning leads to the development of new abilities, skills, values and an increased understanding of yourself and your surroundings. Our goal is the growth of the individual through group experience and learning in concrete projects. Learning is all about curiosity and the motivation to develop. We hope that we will provide you with a safe framework, onsite and online, where you will be able to fail and fail again – and thus learn more.

We will provide the content, multiple connections to professionals working in your desired industry – and we will provide inspiring teachers all the way. The rest is up to you!

Changemakers Educations has leading, hands-on educations with a focus on game development, immersive media, user experiences, tourism, event management, and agile and remote leadership. We offer up-skill and re-skill educations both for new talents and people already in the business. We are on-line and on-site. At present, we are now located in Stockholm, Boden, Skellefteå and Malmö. And Futuregames starts in Warsaw, Poland, this fall. New educational hubs pop up in unexpected places – for you to connect with!

2. Our Values

Our Pedagogy of “learning by doing” - “learning by reflection” sets ambitious goals and a spirit of entrepreneurship for both students and colleagues. In part, students have responsibility for their own development and to meet every situation, contact, and experience as a chance to learn in relation to other people, rather than individually. The educational environment should be creative and stimulating both for the learning process and for what you create. We always assume a professional approach. We strive to create as much contact as possible between you and the industry. These possibilities are coordinated by the school, but it is the student’s responsibility to make the most of these opportunities, actively make contact, and follow up professional leads. We also encourage all our students to connect their own personal networks to the education. What do we want you to learn as a student? That the knowledge you have acquired after completing your education is the starting point, more than the end result. And you are constantly in learning situations, even after your education is completed.

Learning by doing – Learning by reflection

We learn by doing, trying and testing - often without knowing exactly how to solve the problems we are faced with. Knowledge is created by shared reflection - after creating something, we evaluate which patterns and structures have emerged - what was good and what should be taken further, as well as what was less successful and the knowledge, we can gain from this.

Our Heads of Educations (Utbildningsledare, ULs), Head teachers, mentors, and lecturers convey the scope and requirements of the educational process. For them, as coaches, there are no simple answers – they are the catalyst for knowledge-gathering. The process of driving things forward belongs to all students. It is also their responsibility to ask for coaching and support when needed. This is where reflection can take place that enriches the educational experience!

Community

Changemaker Educations and Futuregames students are part of a professional community from the first day of their education. The networks that can be established with fellow students, teachers and external mentors and Industry guests is a central aspect of our educations. In a similar way, the capacity to see the process of education as one of teamwork rather than individual presentation is equally important. Working on collaborative projects, sharing ideas in discussion, supporting learning in a peer-to-peer fashion are all vital elements that help develop the shared community that is contemporary education.

Entrepreneurship

In our educations, we define entrepreneurship as the ability to turn ideas into reality and reaching one’s goals. This is an attitude to education and work. It is about using your own means to transform and realize your thoughts and wishes. We define entrepreneurship as an approach to problems and solutions, just as much as it relates to starting and running a company. Entrepreneurship is a theme in all of our educations - from admission to graduation. It runs through all our pedagogical processes. Especially during group projects. Your entrepreneurship and entrepreneurial approaches are tested throughout the education.

Diversity makes a difference

At Changemaker Educations and Futuregames, we see diversity as an essential part of everything we do, from the students who study with us to the staff and teachers we employ. But diversity is also crucial for the games and projects we make! We want to break norms, make real change, and inspire future generations to see what we make as inclusive, safe, and truly creative.

But if we really want to be diverse it’s not about what we say about what we want to do, but what we are doing every day.

3. Organization Overview

From September 2022, Changemaker Educations and Futuregames will be part of the education provider AcadeMedia. The united ambition is to provide high quality games and tech educations worldwide. As such, Changemaker Educations and Futuregames will continue to operate as independent schools.

AcadeMedia is Northern Europe's largest education company operating throughout the education chain: pre-school, primary school, upper secondary school, adult education, and edtech. More information at www.academedia.se.

Changemaker Educations AB is the parent company of Changemaker Educations and Futuregames programs at all sites and is responsible for maintaining and developing the educations in relation to the Swedish National Agency for Higher Vocational Education (MYH).

The Managing Director bears ultimate responsibility for the operation of all the educational programs at all sites and leads the development of the company’s short and long-term strategy. The MD is also responsible for creating and implementing the organization’s vision and mission and other overreaching goals, as well has having final financial responsibility for the organization.

The Site Manager has final responsibility for the operational activities at one or more of the sites of Changemaker Educations/Futuregames. This includes implementing the educational plans that have been submitted to the Swedish National Agency for Higher Vocational Education (MYH) and are responsible for quality reporting follow-up and evaluation.

The Head of Education (Utbildningsledare, UL) has responsibility to plan, implement, develop, and evaluate the Higher Vocational Education in accordance with Changemaker Educations’ routines and the guidelines of The Swedish National Agency for Higher Vocational Education (MYH).

The Head Teacher (HT) assists in planning, implementing, developing and evaluating the Higher Vocational Education (YH-utbildningen) in accordance with Changemakers’ quality assurance system and the guidelines of The Swedish National Agency for Higher Vocational Education (MYH). They assist with the evaluation and grading and in recruiting competent lecturers and they take an active role in teaching and mentoring both within the education and across educational disciplines (e.g., group projects.).

Education Coordinator (Utbildningskoordinator, UK) is responsible for coordinating and administering the Higher Vocational Education (YH-utbildningen) in a structured and efficient manner and act as a contact person for potential and existing students together with The Head of Education. They are responsible for government reporting regarding the Higher Vocational Education (YH-utbildningen) to MYH and CSN, and to provide support to lecturers and students for the use of the LMS in an efficient way.

Office

Supervision of the day-to-day work and administrative function of the school sites including classroom assignment and maintenance, and contributions towards the planning, development and organization of the support service systems, procedures, and policies.

IT

The IT department oversees the installation and maintenance of computer network systems within the company. It evaluates and installs the proper hardware and software necessary to keep the specific needs of the schools at all sites functioning properly.

Marketing

The Marketing department maintains all aspects of external and internal communications outside those relating directly to educational content and teaching. As such they are responsible for maintaining websites, social media, advertising, branding, graphic design etc.

Guest teachers

Guest teachers' responsibilities vary according to need. They may include lecturing, feedback, helping with grading, individual student meetings, setting assignments, project review, etc.

Mentors

Industry professional mentoring is an essential part of the education. As such, industry professionals are invited to give both group and individual feedback on practical projects and assignments.

Boards of Education

The Boards of Education (Ledningsgruppen) are responsible for the quality assurance of each education and monitor that the education is conducted well, both in terms of quality and that the syllabi of the educations are executed in accordance with the regulations and guidelines of the Swedish National Agency for Higher Vocational Education (MYH). The Boards of Education are responsible for the admission and examination of students. They meet approximately 1-2 times per semester. The boards consist of strategically selected representatives from industry, universities, education providers as well as student representatives and can include representatives from the respective student unions.

4. Academic Routines

Validation/acknowledgement of prior learning

Students have the right to validate whole or parts of courses including internships (LiA) Validation which can include a written assignment, proof of prior learning, or be attested by a representative from a company. The contents and scope of the validation is determined on a case-by-case basis, but the premise is always to meet the learning outcomes of the current course syllabus. The Board of Education for the respective education must determine and approve all possible validations. If a student wants to validate previous knowledge, the educational leader is contacted in good time before the course starts. Validation based on prior knowledge not dependent on the grading criteria of a given course at Changemakers Education/Futuregames or an education approved by CME/FG, can receive the grades of Pass with Distinction (VG) and Pass (G). As such the Head of Education will provide pertinent information to the respective Board of Education for such endorsement. A validated course is not eligible for CSN funding.

Study Hours / Attendance

For a full-time education, it is estimated that you spend about 40 hours/week on your studies, which includes all education elements. This consists of teacher contact hours, self-study, and group assignments. Teacher-led contact hours can include lectures, seminars, workshops, group and individual feedback sessions and mentorship. The number of teacher-led hours for each education is stated in the ‘educational plan’ for each education.

Being present at lectures and being active in group assignments is critical to develop a professional work-environment. Pedagogic research shows that a large part of learning happens informally, outside of lessons. We want you to take advantage of all possibilities for learning exchange and to help you really make the most of your education, so we therefore encourage our students to be present daily.

Sick Leave

In case of short sick leave, please notify the teacher in charge of the course in which you are studying. It is your own responsibility to make sure you make up for your absence. In case of longer illness notify the Education Coordinator and Head of Education. Always remember to report any relevant period of sick leave to CSN and Försäkringskassan

Attendance Exceptions

According to the guidelines by The Swedish National Agency for Higher Vocational Education (MYH), there is no official requirement on attendance. Exceptions may exist if a course of study applies ‘ongoing assessment’, and where a teacher must assess the student’s study in a continual manner. Where this occurs, information will be communicated in the relevant course description. As such ‘ongoing assessment’, can be applied to lecture-based course-study and to practical training periods and internships.

Kick-off

Each individual education designs a preliminary week of study to introduce the program. This includes an introduction to the school facilities, routines for study, IT, access to the school, and safety regulations.

Student Photos and Names

The school will keep a visual record of each student. This is important for ensuring the safety of our students and is a critical pedagogical tool for our teachers and staff. Students will be asked to sign a separate consent form to give their approval/denial for Changemaker Educations/Futuregames, to publish their photos and names on the schools web page and on social medias.

Student Agreement

At the start of the education the students sign a student agreement with the school. This is a binding agreement that indicates that the student agrees to follow our routines, respects our values, and understands the legal conditions of being a student at Changemaker Educations/Futuregames.

Course Structure

Each education has an ‘educational plan’ that has been submitted and approved by Swedish National Agency for Higher Vocational Education (MYH). The full educational plan is available in the school LMS for each respective vocational education.

All educations are also divided into shorter courses of varying lengths. Each course has a ‘course description’ including details of the length of the course, goals, grading criteria and the number of Higher Vocational Education points (YH-poäng). The course plans are found in the school LMS.

Hybrid And Blended Learning

Modern education takes a variety of forms, but in essence all education at Changemaker Educations/Futuregames can be considered as both hybrid and blended education.

In hybrid learning the real and virtual classroom is a combination of both students studying live and online, in a synchronous way. The lectures, workshops or mentoring can be accessed both in a physical classroom and broadcast online simultaneously. In blended learning students combine in-person-study with a teacher and asynchronous learning such as looking at pre-recorded educational materials.

The benefits of these combined methods are to provide flexibility both in terms of the teaching method and the scheduling of classes. It also allows us to recruit teachers and mentors from anywhere in the world and still be grounded in the immediacy and intimacy of the classroom. For both, the focus is on the shared experience of group work, presentations, Q&A sessions, and deep conversations.

Studying online/onsite

Changemaker Educations/Futuregames work under the control of the Swedish National Agency for Higher Vocational Education (MYH) requiring that all students must be able to attend school onsite. In mitigating circumstances such as the Covid pandemic, these requirements can be lifted or adjusted, and the school will inform all students accordingly. In periods of restricted attendance at the school, priority will be given to guarantee access to the school for international students and students with special needs.

Grading

The grading scale is ‘Fail’–‘Pass’–‘Pass with Distinction’ (IG-G-VG). The Head of Education is responsible for grading, which is done in collaboration with the main teachers/lecturers. The grading criteria for any individual course is documented in the course description and available to all students prior to the commencement of each course. The final grades are communicated and published through the schools LMS where the student can monitor current grades and examination status. The study results are followed up by the Head of Education and the school, and individual meetings will be scheduled with students as necessary if remedial action is required.

Our educations take place in environments and fields that are characterized by exact delivery times and deadlines. That’s why it’s important for students to follow the course syllabus and deliver set assignments on time.

Note; The student has the responsibility to monitor any unfinished courses or assignments due to illness, absence, or for other reasons.

Additional Assessment and Reassessment

All students have the right to have their academic performance assessed or re-assessed on two assessment occasions. The right to a second assessment applies regardless of the reason for failure including approved absence owing to ill-health or other mitigating circumstances. The following routines and criteria govern student additional assessment and reassessment. As such the school will attempt to arrange additional assessment and reassessment as close to the completion of a course as is practically possible or in relation to an existing individual study plan.

• The student will be informed about the delivery date of necessary materials for assessment in good time.

• In certain cases, the dates for delivery of additional assessment for a student will be determined and listed in an individual study plan.

• Additional assessment can occur up to 6 months after the set date for the conclusion of the education with subsequent approval of successful completion of all courses necessary for graduation made by the Head of Education.

• Additional assessment of group projects (e.g. game projects) may involve an additional assessment task set by the Head of Education and approved as validation for successful completion of a course.

• The grading criteria duplicate those of the existing published course plan including individual assessment for group-projects.

• Failure to deliver materials for additional assessment by the set date for delivery

will result

in a

failing

grade (IG)

Individual Study Plans

In particular circumstances an individual study plan can be created for a student. This can be as a result of a study break, because the student has a particular form of functional variation or other mitigating circumstances. An individual study plan is developed in consultation with the Head of Education. After approval, the individual study plan must be documented and approved by both the Head of Education and the involved student. As such, the individual study plan is a contract between the student and the school and is subject to continued review and must be approved for the duration of study.

Examination/Graduation

Upon completing the education, you receive a degree certificate. The degree certificate is received if all the courses in the education are completed with at least a passing grade (G). If you have not graduated all the courses, you receive a separate certificate upon request. The student has the right to complete any unfinished courses and graduate within 6 months after the official graduation date. If a student wants to complete any courses, they must contact the Head of Education. If you complete a YH-education of a minimum 200 YH-points which includes a thesis work you acquire a degree certificate, corresponding to Level 5 on the SEQF-scale.

Accessibility and Functional Variation

We at Changemaker Education/Futuregames are committed to give everyone equal access to complete their studies. Pedagogical support can and will be provided as needed to students with functional variation such as hearing impairment, visual impairment, dyslexia, and neuropsychiatric diagnoses etc.

Students with concerns around functional variation should contact their Head of Education (UL) for more information. Where necessary an individual study plan can be created for a student to support them during their studies (See: Individual Study Plan)

Evaluation

Evaluations are critically important for the school's quality assurance and development. They also play an essential role in student influence at the schools. For a student evaluations and feedback are an important part of achieving your study goals. Evaluations take place both verbally and in writing, openly and anonymously. The class meetings are usually used to give time to answer the evaluations. They are also posted in the LMS and sent our though e-mail. The results will be presented for the class and the school management. Results of evaluations are also presented to the respective Boards of Education (Ledningsgrupp).

Higher Vocational Education (YH)

Higher Vocational Education (YH) is a form of education with a clear focus towards a profession, giving the student the theoretical and practical skills required by that field. The general entry requirements are a post-secondary education. Theory is layered with practice where approximately 25% of the education is spent gaining work-place experience (LIA). Five ‘YH-points’ correspond to one week of full-time studies (every day is one YH-point). A YH-education of 60 weeks is 300 YH-points, 80 weeks is 400 YH-points, 90 weeks is 450 YHP, and 110 weeks are 550 YHP. Read more here.

5. Student Life

Well-being

The collective well-being of our students and staff is the primary concern of Changemaker Educations/Futuregames. To create a safe, secure, and mutually supported work environment must always take precedence and be regarded as the principal concern of the organization at all levels. As such, the organization has an obligation to ensure that it both follows all legal requirements and the regulations of the governmental education authorities under which we operate.

Obligations and Guidelines

For educations based in Sweden the following govern our main obligations and define our policies and practices regarding Well-being:

Collective and individual well-being

As an organization, the collective well-being of all students and staff takes precedence over the needs of any individual student. In practical terms this means that the principal focus of the organization must be to ensure the provision of a safe, secure and mutually supportive workplace for everyone. Student representation through student class representatives, class meetings and through the student unions, constitute the main vehicles for communication of issues pertaining to collective well-being. (see: Student Representation). In order to support collective student well-being, the individual schools organize regular meetings with student representatives and staff members.

Individual student and staff well-being is of course also important. It is the declared aim of Changemaker Educations/Futuregames to support every student or staff member in the ways necessary to reinforce their individual well-being during the time they are studying or working with us. Students needing individual well-being support should reach out directly to their Head of Education. Particular routines exist for the support of international students and for students with functional variation (see: International, Accessibility and Functional Variation).

Mental and physical health

When you turn 18 in Sweden you are counted as an adult. So, if a student needs help with mental or physical health you seek help through primary care and health centres which have doctors and therapists.

Call ‘Vårdguiden’ on telephone number 1177 if you or someone else gets ill and you need to talk to a nurse for advice on what to do or where to go for help. The nurses speak Swedish and English.

Call telephone number 112 if a person’s life is in danger and you need help straight away. You are offered to speak through an interpreter if needed.

Accommodation

Changemaker Educations/Futuregames can offer support in securing student accommodation during a student’s study. Below you will find basic information for each of our sites. International students should consult the section for international students of this document.

Boden Accommodation

All students studying in Boden will need to apply for accommodation separately from their application to the school. Boden business park offers student apartments available near the school.

Karlstad Accommodation

All students studying in Karlstad will need to apply for accommodation separately from their application to the school. KBAB offers different types of student housing in Karlstad: Student - Karlstads Bostads AB (kbab.se)

Skellefteå Accommodation

All students studying in Skellefteå will need to apply for accommodation separately from their application to the school. Skellefteå municipality via Skebo (www.skebo.se) provides the students at Campus Skellefteå with an accommodation guarantee. The students need to contact Skebo if they have any questions regarding the accommodation. There is a shared kitchen in most of the students’ accommodations

Stockholm Accommodation

All students studying in Stockholm will need to apply for accommodation separately from their application to the school. It is suggested that students contact their classmates and the Stockholm student union, GameChangers, for advice and help.

CSN – the Swedish board of student finance

Students studying part time, or full-time at a Higher vocational education or Folk high school can often apply for student finance and student loans with CSN. This is an agreement between the student and CSN for which the school is not responsible. Read more at www.csn.se

At the start of every semester, the Educational Coordinator records the names of the students who will be starting the semester. At the end of each semester the Educational Coordinator reports the study results for each student. Continued student finance requires passing grades in all course modules each semester. If a student has not complied with the program syllabus, this is reported to CSN who then decide regarding continued student finance and/or a demand for repayment.

Note: Students are responsible for notifying CSN if they’re taking a study break or interruption of studies.

Additional costs in the education

The school guarantees supply of all necessary equipment, hardware, study materials and software as specified in the ‘Educational plan’ for each respective education. When necessary, additional provision can be provided where possible. However, students should expect that there may be additional study-related costs in any education that can include, textbooks, tablets, basic office and art materials etc. A computer is not provided for all educations and students may be required to use their own computers for the duration of this study.

6. Internships (LiA)

LiA stands for ‘Lärande i Arbete’ (Learning in Work) and is a required workplace-based course in many of our vocational educations. This means that the student will deepen and broaden their knowledge in their professional field in a period of practical placement. The LiA period is usually at the end of the education. Thus, the students have learned everything they need to start applying the knowledge acquired during their courses in the professional workplace. The LiA periods are usually 15 to 30 weeks long, depending on the length and focus of the current education. The student is entitled to study funding from CSN throughout the LiA period.

The workplace-based course of the education (LiA) is particularly important. The knowledge, competence, and skills you are expected to have after your education is completed are detailed in the ‘Education plan’ for each respective education.

Note: During your internship all equipment, communication devices, computers etc. is provided by the company or organization offering the internship.

LiA agreement

The LiA period is regulated by the ‘LiA agreement’ that the industry representative/LiA mentor and the student go through and fill in together. Thereafter, the school and the Head of Education approve the ‘LiA agreement’, which is drawn up in three copies for: a) the student b) the LiA supervisor c) the Head of Education at Changemaker Educations/Futuregames. The LiA agreement can be supplemented with appendices regarding remuneration, confidentiality and other workplace-related rules and policies. The ‘LiA agreement’ follows the Swedish labor law with regular working hours of maximum 40 hours per week during daytime from Monday to Friday. If something else is expected regarding the student at the workplace this must be stated in the ‘LiA agreement’.

Inability to find a LiA internship

On occasion a student might find themselves in a situation where they have not secured an internship. As the internship is a requirement for graduation, the school will make accommodation to provide an alternative educational plan for the student involved. An alternative LiA placement will be organized by the school that as far as possible mirrors the intended contents of an internship in relation to the respective education. Students will be required to sign a ‘LiA agreement’ with the school and additional mentorship and professional industry contact will be organized as necessary.

7. Study break/Interruption of Studies

Study break

A study break is when a student takes a time-limited leave from their studies, with the intent of returning to complete their education. Acceptable reasons for a study break can be illness, pregnancy, care of children, or other reasons determined to be valid by the school. The student contacts the Head of Education, stating the reason for the leave of absence, as well as how long the absence will be if known. In some cases, the school may request a certificate from a doctor detailing the student’s medical condition and recommendations for an intended study break.

Decisions regarding a leave of absence are signed by both parties, archived, and reported to the respective Board of Education (Ledningsgrupp), and shall upon request be given to the Swedish National Agency for Higher Vocational Education (MYH).

Note: If the education is no longer running at the time of the recommencement of studies, the school cannot take responsibility for continued education or examination of the student.

Note: The student is responsible for notifying CSN of the study break. Changemaker Educations/Futuregames reports the period of the study break to the Swedish National Agency for Higher Vocational Education (MYH) and to CSN.

Interruption of studies

Interrupting one’s studies, or non-completion, means the student’s right to their current place in their program of education is terminated. If a student notifies the school to end their studies of their own free will, this must be documented in writing and signed by both the student and the school.

If a student leaves the education without requesting a leave of absence, this is still regarded as an interruption of studies. Absence from school of a period longer than 8 weeks will result in the school taking action to make an interruption of studies. In these cases, The Head of Education decides regarding non-completion as per routine and communicates this to the student. Before a decision of non-completion, the student is to be given the possibility of presenting their position. If the student doesn’t reply to any further communication for two weeks, the student will be removed from the education and the interruption of studies will be reported to the Swedish National Agency for Higher Vocational Education (MYH) and to CSN.

Decisions regarding non-completion are signed by the Head of Education, archived, and reported to the respective Board of Education, and shall upon request be given to the Swedish National Agency for Higher Vocational Education (MYH). Other serious issues can also result in an interruption of studies can be found in section Suspension/Termination of studies of this document.

Note: The student is responsible for notifying CSN of the termination of studies. Changemaker Educations/Futuregames reports the date of the interruption of studies to the Swedish National Agency for Higher Vocational Education (MYH) and to CSN.

8. International Students

International Student Coordinator

At Futuregames, there is a designated International Student Coordinator who handles all international student-related questions. The coordinator can be reached via email international@futuregames.nu

Form of education

Educations at Changemaker Educations/Futuregames are designated as ‘Higher Vocation Educations’. For this reason, students apply under the category ‘Higher Education’ via this link: Residence permit for studies in higher education - The Swedish Migration Agency. International students from certain countries may also need to obtain a valid visa for the duration of study. If uncertain, please visit this link: List of foreign citizens who require Visa for entry into Sweden. Applications for visas are made at a Swedish embassy, not via the Swedish Migration Agency. Please read more about the visa applications here.

Application to the Swedish Migration Agency

International student applicants need to make the application to the Swedish Migration Agency themselves. As the process of application can take time, we encourage all successful applicants to begin the process as soon as their ‘admission letter’ from the school has been issued. All requirements for the residence permit application are listed here

Curriculum

International students follow the identical curriculum and course plan as all other students both at Changemaker Educations/Futuregames. This includes the internship (LiA), and they receive the same opportunity to do work study at a company. However, it is recommended that all international students undertake their internship at a company in Sweden as internship at a company outside of Sweden can cause complications for their Swedish residence permits. The official designation of the education is approved by the Swedish Migration Agency as Higher Education.

Study hours

To comply with the guidelines from the Swedish Migration Agency all students will receive the average number of teacher-lead education per week that is indicated in the respective education plan for each education cycle. Exact hours each week may vary in relation to any given course. Teacher-led contact hours can include lectures, seminars, workshops, group and individual feedback sessions and mentorship

Studying online/onsite

Changemaker Educations/Futuregames work under the control of the Swedish National Agency for Higher Vocational Education (HVE/MYH) requiring that all students must be able to attend school onsite. It is also a requirement of the Swedish Migration Agency that international students are resident in Sweden for the duration of their study. In mitigating circumstances such as the Covid pandemic, these requirements can be lifted or adjusted, and the school will inform all international students accordingly. However, international students should be prepared that their study will be onsite and should take appropriate measures to ensure that they can attend classes in person. In periods of restricted attendance at the school, priority will be given to guarantee access to the school for international students.

Application Process

There are three types of international applicants:

1. International applicants from the Nordic countries (residents of Denmark, Finland, Iceland or Norway). More on the eligibility to study at Higher Vocation Education (HVE).

2. International applicants from EU countries.

3. International applicants from non-EU countries.

1. Nordic countries

International applicants from the Nordic countries must apply through ‘YH-antagning’ (Swedish Higher Vocation Education). The process is quite simple, select the education you are interested in on Futuregames website and click on the ‘apply’ button and you will be taken directly to the ‘YH-antagning’ where you will create your account and upload all documents.

2. or 3. EU and non-EU countries

International applicants from the EU and non-EU countries apply via email international@futuregames.nu. What needs to be included in your application email is described in the section ‘Application process’ on Futuregames’ website here.

Payment of School Fees

Payment of the ‘Deposit fee’ must be paid promptly. All students will be invoiced for all outstanding fees in good time with deadlines for payment. Full payment of the fees is made in two installments and the deposit fee is deducted from the first installment. The first installment must be made immediately after the commencement of studies. The second installment must be paid at the start of the second year of study.

Failure to make payment in time can result in disciplinary action. A Higher Vocation Degree diploma or course certificate can only be issued once all fees have been paid.

Payments from certain countries might be restricted. Please look at this list to make sure a payment from your country will be accepted.

International Student Representation

In order to support international students during their course of study an international student representative (and a reserve) will have the opportunity to schedule meetings with the International Student Coordinator and the school leadership. In addition, meetings can be scheduled for all international students to attend during their course of study on a regular basis.

Student ID

As a student at Futuregames/Changemaker Educations you have the right to student discounts. The school has a partnership with Mecenat AB and orders the Mecenat student ID cards for the international students at the beginning of each term. These cards are cost-free and are valid within Sweden.

Studentkortet.se is another provider of student ID cards. International students can order the student ID cards with Studentkortet online. To do so, the international students must have a Swedish personal identification number issued by the Swedish Tax Agency. Student ID cards issued by Studentkortet are cost-free and valid within Sweden.

To have a globally recognized student ID card the full-time students can order an International Student Identity Card called ISIC. These cards are not cost-free. Read more about it and order on isic.se/en

CSN

Some students may have the right to Swedish student finance through The Swedish Board of Student Finance (CSN). Different rules apply for EU and nonEU citizens, and you can read more about possible eligibility on the CSN website.

Arrival in Sweden / Swedish personal identity number

If you are accepted to an onsite education that is longer than one year, you will be required to be listed in the Swedish Population Register upon your arrival in Sweden. Once you are registered as resident in Sweden, the Swedish Tax Agency will issue you a Swedish personal identity number. International Student Accommodation in Skellefteå

All students studying in Skellefteå will need to apply for accommodation separately from their application to the school. Skellefteå municipality via Skebo (https://www.skebo.se) provides the students at Campus Skellefteå with an accommodation guarantee. The students need to contact Skebo if they have any questions regarding the accommodation. The rent is approximately 2000 SEK/month, with July and August rent free. It´s shared kitchen in most of the students’ accommodations.

International Student Accommodation in Stockholm

International students studying in Stockholm will need to rent accommodation privately. The rental market is highly regulated in Sweden and consists of ‘firsthand’ or ‘second-hand’ rental arrangements. ‘First-hand’ agreements generally require a Swedish personal ID number or guaranteed income, so, these will typically be off-limits to international students. Most students live in ‘second-hand’ rental apartments where the accommodation agreement is made directly between yourself and either the owner of the apartment or the holder of the ‘firsthand’ rental contract. Students must sign a paper contract as a proof of the arrangement. Students should be aware of potential fraudulent behavior, such as property owners asking for a deposit before the signing of a contract.

The school is unable to help directly in finding accommodation for students in Stockholm, but it is suggested that international students contact their classmates and the Stockholm student union, GameChangers, for advice and help.

Merit scholarship

Changemaker Educations/Futuregames wants to make a difference. Everybody from the whole world should have the chance to be part of our educations and to help with this we have four Merit Scholarships, one each for our schools in Stockholm, Boden, Skellefteå and Karlstad.

The scholarships cover the full (100%) cost for tuition for study for any full-time Futuregames’ program. The scholarship, however, will not cover living expenses during the period of study. Scholars must also fulfil all other financial requirements of the Swedish Migration Agency.

Our scholarships are competitive, so not everyone that applies will be successful. The head teachers of each program will make the final selection of the strongest application. Above all else, applicants must demonstrate clear reasons for why an education at Futuregames will help their own future professional ambitions.

Responsibilities of Merit Scholars

Merit scholars must achieve passing grades in the first year of study approved by the head of education of their program to be eligible to receive the award for their subsequent education.

Merit scholars will be asked to participate in marketing events at least twice during their period of study (i.e., interviews for marketing purposes, presentations of themselves and their work on the Futuregames website and in social media, participation in student recruitment events, etc.).

9. Communications

External

The education homepages – www.cmeducations.se and www.futuregames.se - are the face of the education, and an important channel of communication for both the school and its students. Posts on the homepage should further contacts with the industry, the LIA-companies and all of our students. In order to keep the homepage attractive and current, we publish news, trends, and articles. These might be from the day-to-day studies, from our events or industry mixers, or information regarding school activities.

Internal

The class schedule can be found in the LMS which each student is given access to at the start of their education. All formal communication regarding the education takes place within this LMS and the email-account given to students at the start of the education.

E-mail is the most important way we contact students with important information which pertains to things outside of a particular class. The student is responsible to regularly check their emails and the LMS so that they are updated on any changes in the educations.

It is critically important that all our internal communications are conducted in a respectful manner. It is the responsibility of both staff and students to make sure that all communications they are involved in, are conducted in a respectful and professional way.

10. Student representation

Student representation is an essential part of all our educations. We encourage active participation and strive to create forums where open and transparent discussion can take place. Students play an important role in the scheduled meetings of the respective Boards of Education, class meetings, and other forums. In circumstances where conflicts occur, we try to deal with these as quickly and as effectively as we possibly can. Most often direct communication with the respective Head of Education is the most efficient way dealing with such issues, however in particular circumstances students are encouraged to have direct communication to the Head of School or Site Manager.

Student Representatives

A student representative is the main link between the class members and the school staff and leadership. The best way to make sure that all students know about changes to the educations, planned events and Changemaker Educations/ Futuregames as a whole is for the student representatives report back to their respective classes after the Board of Education meetings (Ledningsgruppsmöte). Board meetings for the respective educations take place 1-2 times per semester and after a Board meeting the class representative arranges a meeting for the class to report back on the decisions that have been adopted by the Board and can use this as a forum where information that is important can be disseminated.

In our aim to be as transparent as we can and to make sure that all students are updated this is the best way – the representative can of course also use the scheduled class meetings for forwarding the information. Class meetings are scheduled approx. once a month.

Each class nominates a student representative and a reserve for their class at the beginning of each semester or school year. If the education is seated at different cities but are the same class, they will not need to have representatives from each site.

The main responsibilities as a student representative are:

• Participation or nomination of a spokesperson for the respective Board of Education Meetings and report decisions made at the Board Meetings to their respective classes

• Bring forward thoughts/ complaints/ ideas from the class to Changemaker Educations/ Futuregames in class meetings and other forums.

• Participation in the Well-being council (Stockholms students only, see below)

The student unions’ goals are to ensure that students from our schools have an unforgettable time as students. They try and help to create connections between classmates and with industry professionals. Each student union is organized differently, read more below about the student union at each site.

Arctic student union - Student Union in Boden

The Arctic Student Union consisting of students across all Changemaker Educations/Futuregames educations on the Boden Campus. They work in conjunction with the staff, Boden Gamecamp as well as other stake holders on and off the campus, and with the Boden Municipality, to organize extra-curricular activities and projects to enrich the experiences of both current students and the alumni, as well as to improve the environment and ecosystem that we are part of.

Gamechangers - Student Union in Stockholm

GameChangers is a non-profit organization run by Changemaker Educations/ Futuregames students in Stockholm to improve the school environment and organize non-curricular events and activities for both students and alumni.

Becoming a member will simultaneously register you as a member of GameChangers and the Stockholm Student Union Central Organization (SSCO). This makes you eligible to join the student housing queues’ SSCO offers. A membership costs 100 Swedish crowns and will make you a member for one year. 100% of the money goes back straight into the organization, which we use to create social events and pay fees.

The schools arrange lectures and workshops, parties, and events, where we invite past students and companies. We also offer shorter courses, free of charge or at reduced prices. It’s all about development and the exchange of ideas, at the same time strengthening the bonds between the school, the students, and our most important ambassadors.

11. Equality Plan

Changemaker Educations responsibility is to ensure a safe working environment for students and staff and follow all legal requirements that support this within the Swedish Work Environment Act as governed by the Swedish Work Environment Authority. Changemaker Educations is committed to the promotion of equality of opportunity in respect of religion or belief, political opinion, ethnicity, functional variation, age, gender, sexual orientation, non-binary identity, marital and family status. In line with this commitment, we have developed an ‘Equality Plan’. This Plan is a voluntary initiative designed to ensure that the policies and principles we work with support students and staff at Changemaker Educations and meet legal requirements across all equality categories.

We will also seek to promote good practice across the range of our policies and in respect of all equality categories. The Plan will build on existing equality work undertaken by Changemaker Educations and assist in meeting future equality requirements.

Changemaker Educations provides the resources to ensure the implementation of the Plan. Targets resulting from the Plan will be incorporated into our overall management routines and includes reporting mechanisms to ensure that progress will be reviewed by senior management, student representatives, The student Unions and Changemaker Educations Boards of Education at all sites and on a regular basis.

Behaviors that we need to act upon

General Harassment

Harassment can take many forms and may be directed in particular against women and ethnic minorities or towards people because of their age, functional variation, sexual orientation, gender/gender reassignment, marriage/civil partnership, pregnancy/maternity, race, religion or belief. It may involve action, behavior, comments or physical contact which is found objectionable, or which causes offence; it can result in the recipient feeling threatened, humiliated, or patronized and it can create an intimidating work environment.

Sexual Harassment

Sexual harassment can be defined as an uninvited, unreciprocated, and unwelcome behavior of a sexual nature which is offensive to the person involved and causes that person to feel threatened, humiliated or embarrassed. Examples of sexual harassment are:

• Requests for sexual favors, including implied or overt promises of preferential treatment or threats concerning educational grading present or future employment status etc.

• Offensive gestures or comments.

• Sexually orientated, innuendo or jokes.

• Unwanted physical contact.

• The display of sexually offensive visual material such as pornography, photographs, books or videos.

Sexual harassment may be experienced by men or women as a result of the conduct of men or women. It applies equally regardless of grade or level of job and may also occur when dealing with external clients and/or members of the public.

Racial Harassment

Racial harassment may take the form of actual or threatened physical abuse or it may involve offensive jokes, verbal abuse, language, graffiti or literature of a racist nature or offensive remarks about a person's skin color, physical characteristics, or religion. It may also include repeated exclusion of a person from an ethnic or religious minority from conversations, patronizing remarks, unfair allocation of work or pressure about the speed and/or quality of their work in a way which differs from the treatment of others.

Bullying

Bullying can be characterized as offensive, intimidating, malicious or insulting behavior, an abuse or misuse of power through means intended to undermine, humiliate, denigrate, or injure the recipient. Some examples of bullying behavior are included below (this is not an exhaustive list):

• Spreading malicious rumors, or insulting someone in words or by behavior.

• Ridiculing or demeaning someone – picking on them or setting them up to fail.

• Exclusion or victimization.

• Unfair treatment.

• Overbearing supervision or other misuse of power or position.

• Unwelcome sexual advances – touching, standing too close, display of offensive materials, asking for sexual favors, making decisions on the basis of sexual advances being accepted or rejected.

• Making threats or comments about a lack of educational success without foundation.

• Deliberately undermining someone’s competence by overloading them with work and then adding constant criticism.

• Individuals progressing by intentionally blocking promotion or training opportunities.

Legitimate, constructive, and fair criticism of a student’s performance or a staff member’s behavior at work is not bullying or harassment. However, it is unacceptable to condone bullying behavior under the guise of a particular teaching style or as management. Effective teaching obtains results whilst ensuring that students are treated with dignity and respect.

Ethical Standards

Changemaker Educations strives to always work within a framework of a complete freedom of expression. As such it does not prohibit all legal forms of expression regulated under Swedish law. However, in order to avoid potential discriminatory, sexist and chauvinist representations we have undertaken not to work with certain areas. So-called ‘adult gaming’ that contains images of an overtly pornographic nature can generate a culture that directly affects our aim to create a safe and open work environment and can also lead to the possibility of harassment and discrimination. In a similar way, the school also undertakes not to work with aspects of the games industry that are predominately concerned with ‘bookmaking’ ‘betting’ or other forms of ‘on-line gambling’ as these can also have detrimental effects on student well-being.

Well-being Council

The students' Well-being council from Changemaker Educations and Futuregames in Stockholm meets once a month and is organized by the Office manager. Student representatives from all classes are invited to attend and this is an excellent forum for an open discussion of issues affecting the students' working environment and the general well-being in the class. The meeting minutes are distributed to all student representatives so that they can pass these on to their respective classes.

12. Suspension/Termination of Studies

Decisions on suspension or termination of studies are made by the Head of School/Site Manager. The decision is announced in writing. Gross or repeated deviations from the rules set out below on the school premises or regarding the school's values can lead to a temporary suspension or a permanent termination of studies.

Grounds for Suspension/Termination of studies

Please note: Grounds for Suspension and other disciplinary routines pertain only to incidents and behaviors occurring on school premises.

• Discriminatory or abusive act/bullying regarding gender, transgender identity or expression, ethnicity, religion or other belief, disability, sexual orientation or age.

• Drug use.

• Alcohol use without special permission from the school.

• Repeated and prolonged mismanagement of studies such as cheating or copying another student’s work.

• Unpaid invoices to the school.

• Thefts, threats and acts that cause damage to a person or property, someone else’s, or the school's property.

• Actions that lead to fellow students, lecturers or employees judging that the education is hampered or that the quality of the education deteriorates.

• Publication or sharing of documents that conflict with Changemaker educations values, policies, rules, student agreements, student handbook and/or student law standards.

• Publication or sharing of documents that contravene current legislation regarding discrimination as outlined in the Swedish Discrimination Act (Diskrimineringslag 2008:567) and work environment (Work Environment Act) (Arbetsmiljölagen 1977:1160).

Action plan for disciplinary measures

• The Head of Education together with the school management Head of School/ Site manager calls for a meeting with the student and they are given a written warning. During the conversation, a written agreement is drawn up, which must be signed by the student and the (Head of School/Site manager) about what measures the student must take and how the school can support the student.

• In serious cases where students or employees are exposed to risk, The Head of School/Site Managers, immediately removes or separates the student from study at the school. Decisions on suspension or dismissal are made by the Head of School/Site manager. These decisions can be appealed in writing to the school boards.

• If the problems are repeated or an agreement is not fulfilled, the Head of School/ Site manager decides on a termination of studies. This decision can be appealed in writing to the school boards.

• All cases are documented and followed up.

• All criminal acts are reported to the police.

13. Health and Safety

In the school LMS you will find more information about our premises and safety routines, each site can have different routines.

Access to the school/Key tag

As a student at Changemaker Educations/Futuregames you are given a key tag with a personal code. With this key tag you have access to the school’s shared premises. Access to the school is available 24 hours a day. Exceptions to this may occur during holiday periods. The key tag is personal and should not be lent out to a classmate or any others school personnel. External people are not allowed on school premises unless permission is given by school personnel. If you lose the Key tag, or if it can’t be returned upon end or completion of studies the student will be obliged to pay a fee which may differ depending on location (exact price can be find in the LMS).

In an Emergency

If there is an accident during school hours, you often have members of staff onsite to help you. If you are on school premises at any other time or when members of staff are not present, you should be aware of the following numbers to call:

• In case of emergency: 112

• Police (non-acute): 114 14

In Case of Emergency Contact (ICE)

The school needs to have an in case of emergency contact for each student. This important safety information is only used in emergency situations. When signing the student agreement the school will also collect information from each student with emergency telephone numbers and next of kin (närmast anhörig).

Allergies

Allergies are common and can be extremely dangerous. To create a safe working environment, we therefore must be restrictive on a number of things that we can permit on our premises.

• We do not allow pets or animals of any kind (there are of course exceptions for service animals such as guide dogs)

• We avoid perfumes with a strong scent

• If there is a vending machine on our premises, it only provides food free from peanuts and nuts

• We are restrictive with the consumption of shellfish on our premises

Smoking/alcohol/ social events

All school facilities are smoke-free. Alcohol is not to be consumed at school, other than at events organized by the school. For security reasons we are very restrictive regarding social events on school premises. It is therefore not allowed for students to arrange events on school premises without explicit permission. Breaches of our routines can lead to disciplinary action.

School facilities are equipped with an alarm. A triggered alarm can only be stopped by qualified personnel. Each site will inform student of the local routines.

Fire regulations

In case of fire, leave the premises immediate and gather at the assigned gathering spot. Evacuation plans can be found on each floor. Never use an elevator when evacuating.

First aid

First aid kits can be found on each floor.

Kitchen

If the students have access to a kitchen, everybody is responsible to keep it clean after each use.

14. IT

General info about classrooms

Between 9:00 a.m. and 5:00 p.m., classrooms are a place to focus on schoolwork. During this time, keep the sound level so as to not to interrupt or disturb your classmates.

The computer should be shut down at the end of the day. When you leave the computer during the day, it should be locked (WIN+L). In some cases, it is ok to leave the computer during the night; for example, in case of a demanding rendering.

IT might have to temporarily restrict the use of a computer/network during service. This is communicated to the students ahead of time but for acute actions, be prepared to give IT access after 6 pm.

Your workplace

It is important that you keep the area around the computer tower clean and always have it placed like it was at the start of the term under your desk. Do not obstruct airflow.

Be sure to keep the desk clean, when guests or your classmates enter the classroom, they should be greeted with a clean floor and desks.

Saving Work

IT recommends that you save your work on OneDrive or bring your own external hard drives for backups. The school does not provide backups for any area of your work, and any hard disk can break, hence the recommendation for saving to OneDrive. The school is not responsible for any data stored on the server or a student computer.

Always save your work on the computer before finishing the day, but don't forget to save a copy on your own backup solution. At all times it is your responsibility to ensure the safety of your data containing important schoolwork (i.e. a portfolio).

Operating System (OS)

It is not allowed to change the installed operating system to install an extra operating system (dual boot, etc.) or anything similar.

Software

Most applications that you will need for your courses have already been installed on your computers. Some other programs will be downloaded together with guidance of your teacher.

If you require additional applications, you are free to install them, if they have a valid license.

If you have private licenses that you are willing to install on your dedicated school computer for your work during the teaching period, then do it safely in coordination with IT. It is your responsibility to uninstall and deregister this license.

Bring Your Own Device

It is not allowed to connect own devices to the wired network unless this is directed as part of and education. However, you can connect to the wireless network. If you need to transfer files - use USB memories or wireless networks.

Wireless network

The password to the wireless network can be changed at any time, IT will inform via e-mail. Guests have a separate SSID and password.

PC Loans

Under special circumstances a student may be allowed to borrow a PC or other equipment to use from home. The student must get permission from both IT and Education coordinator/Head of Education. A contract is signed before any equipment leave school premises. Removing school property without asking or signing a contract is considered theft.

Torrents, download of pirated material

Pirated material is not allowed. It is not allowed to download media for which the school has no rights. In case of IT crimes, the school cooperates with the respective authorities. Organizations (such as Changemaker Educations / Futuregames) are punished harder than private individuals involved in piracy. The use of pirated software involves a risk for us to be unable to use anything at all in the future, in addition to big fines. The school ask for the students help and compLiAnce to protect both themselves and the school.

Teacher Computers

Never disconnect the power, network, monitor, keyboard, or mice from teacher computers. On teaching computers there are also all the programs needed for teaching. Students should not be using the teacher's workstation unless the teacher has given permission.

Projectors and Speakers

There is often an extra HDMI cable available for a laptop that a guest teacher may use. Help the guest teacher to plug in their computer without disconnecting anything. Students should not be using projectors or speakers without permission from a teacher.

Student Accounts (Only for Futuregames students)

The login for the campus computers is the same as your Office 365 email and password. Because Microsoft Azure and our Active Directory are connected, if you change your Office 365 password it may affect your PC Login. At the same time, if you change your password using CTRL+ALT+DEL onsite, it may change your Office 365 Login since the two systems are now linked.

15. Rights and Legal Obligations

Principles of archiving and transparency

Changemaker and Futuregames Educations are under state supervision through the Swedish National Agency for Higher Vocational (MYH). All study results are reported and archived by www.myh.se and/or www.csn.se

Changemaker and Futuregames Educations also retains documents following the regulations of the General Data Protection Regulation (GDPR).

Guidelines for archiving and transparency

• All employees have signed a confidentiality agreement on professional secrecy.

• School versions of student diplomas are kept for 10 years.

• Information about study results can be passed on to other staff and to stakeholders such as CSN and MYH.

• The school does not disclose personal information to people outside of the organization without student consent. Exceptions are information we are required to report to the authorities to which we have a reporting obligation: Statistics Sweden, CSN and MYH.

• ‘Works’ or ’productions’ (e.g. game projects, films, VR prototypes, public presentations or final reports), made by students as course work whilst enrolled at the school, are the ‘property’ of the school. If a student wants to use these for commercial purposes, a written agreement from the school, that often includes consent from other students who have been involved in the production process, is required.

• The school may save personal information (including doctors notes, important correspondence) until the student graduates or completes their studies.

• When working with external companies, the student may be asked to sign a personal NDA (non-disclosure agreement). After signing this, the school is not responsible for any violations made by the student in relation to work with or for said company.

• Degree project and other projects are official documents.

• Changemaker Educations AB owns the commercial rights to everything the student produce over the course of the education, as part of a group or individually. The student owns the moral rights. Further commercial development of students' materials/productions shall always be done in consultation with the education and the student in question.

• The student acknowledges and undertakes not to spread, share, or further disseminate any prerecorded lectures, streamed lectures/meetings or any study materials sent to, or made available to me during the education and courses at Changemaker educations/Futuregames. The student further acknowledges and understands that the material is only to be used by the student and not for any external third parties or for further commercial exploitation or purpose whatsoever. Failure to comply with this undertaking could result in legal action being brought against the student for breach of this agreement and copyright.

• Recording images and/or sound requires approval from school staff, lecturers, and students. The student is responsible for always requesting permission to record before doing so. Recorded lectures are only allowed to be used for presentation or learning purposes, not for external/third parties or for commercial purposes.
