TRAVELINGTOCAMP

EACH STAFF MEMBER MUST ARRIVE BY THE DATE INDICATED ON THEIR STAFF AGREEMENT FORM (SAF). PLEASE MAKE ARRANGEMENTS TO ARRIVE ON TIME SO YOU CAN CHECK IN BEFORE TRAININGS START.

Many staff members choose to bring their own vehicles. We have space next to our Log House (staff lounge) for you to park for the summer We will assign you a spot once you get to camp. Upon arrival, follow the signs to registration and check-in

Address for GPS: Friendly Pines Camp 933 E Friendly Pines Rd Prescott, AZ 86303

The nearest major airport to Prescott & camp is Phoenix Sky Harbor (PHX) Many counselors either carpool with local AZ counselors, or they ride a shuttle up to Prescott. If riding the shuttle, we recommend using Groome Shuttles You can book ahead, just make sure you specify the drop off point in Prescott as “Main Office” (740 N. Montezuma St ) Someone from FPC will pick you up at the shuttle station; just indicate your arrival time on your Travel Form (see “Forms & Paperwork Checklist” on page 3)

FIRST-YEAR INTERNATIONALS: We will arrange for a shuttle to pick you up. Please be sure to fill out your Travel Form as SOON as you have your flight details!

If you need a ride to camp, we recommend you post this request in Slack Or if you are willing to offer a ride, post that as well

COMMUNICATION INFORMATION

WE UNDERSTAND THAT STAFF MEMBERS WANT TO MAINTAIN CONTACT WITH FRIENDS AND FAMILY WHILE AWAY FROM HOME. WITH THAT IN MIND, WE HAVE ESTABLISHED THE FOLLOWING GUIDELINES FOR COMMUNICATION:

COMMUNICATION BEFORE CAMP

It is ESSENTIAL you maintain proper communication in the lead-up to camp! We will be sending out lots of important emails and messages on Slack, and you must be able to reply or at least acknowledge these messages promptly!

FPC STAFF SLACK WORKSPACE

We have created a Slack Workspace for FPC staff only. This platform is a great place for staff members to meet, share ideas, ask questions, and get to know one another before the real fun begins! We will also share important information, documents, and announcements via this platform Be sure you download the app so you never miss an announcement!

You're doing a great job! Thanks for really reading this manual, we so appreciate it. To show what an over-achiever you are, please send a direct message to Megan on Slack with the code phrase "LIKE! A! BANANA!", so she can write your name down for our prize list! Phrase must be sent before you arrive at camp. Please don't ruin this for anyone else, and keep this found "clue" a secret!

WIFI & INTERNET

Wi-Fi is provided in the Staff Lounge However, there is only one router, so if everyone is streaming movies or video chatting, you may notice the connection is slower There is also a computer available in main camp for staff, should you need to use one!

There is always a land-line telephone available for staff to use. Domestic calls are free. You can use the camp phone during normal duty hours, or basically whenever access to your personal device is not possible.

CELL SERVICE

Cell service at FPC is dependent on the carrier. Verizon has the best service at camp, but it's not perfect AT&T’s reception is inconsistent. Sprint and T-Mobile basically do NOT have service at camp. Please review our policies on cell phone use under Electronic Devices on page 7

MAIL & PACKAGES

Staff members may send and receive mail at camp. This includes deliveries from places like Amazon or other online retailers. Mail is collected and distributed everyday (except Sunday) You may also purchase postage in our Post Office.

When ordering something, please keep in mind you may not be able to access your locker until several hours later, and shouldn't open snacks or other contraband in front of the campers

Family and friends should mail letters and packages via USPS, UPS, or FedEx to:

FRIENDLY PINES CAMP ATTN: YOUR NAME

933 E FRIENDLY PINES RD PRESCOTT, AZ 86303 CAMPER@FRIENDLYPINES.COM

Family and friends may also send you emails, and we'll print them out and put them in the mail like a normal letter; keep in mind that the Post Office staff will be able to read these emails. Senders should put your first & last name in the subject line, along with “(STAFF)", and send them to:

FPCRULES&POLICIES

GENERAL POLICIES

ALCOHOL

ANYTIME you are on an evening off and/or are on camp property, alcohol consumption &/or possession is COMPLETELY PROHIBITED regardless of age or amount consumed. When you return to work from a 24-hour day off, you must be completely sober and ready to work Any staff member violating this rule will be asked to leave.

VAPING

Vaping is allowed on camp property ONLY in the designated vaping area behind the Staff Lounge and ONLY on time off/R&R. Vapes must NOT contain any variation of marijuana or THC compound whatsoever during the entire term of employment; don’t forget that we will be conducting an initial drug test for all employees upon your arrival, as well as random drug tests throughout the summer If vapes are used in the main camp area at ANY time (whether on or off duty), it will be grounds for immediate dismissal

SUBSTANCES

The use of cigarettes and/or drugs (including marijuana) while employed at camp is strictly prohibited. Any staff member violating this rule will be asked to leave This policy extends to time and days off

LANGUAGE

As role models and mentors, staff should strive to be positive influences on all campers at all times. This includes displaying appropriate appearance, conversation, and language. Foul language from staff or campers is not tolerated.

HAZARDOUS ITEMS

Knives, blades, and weapons of any type are strictly prohibited at Friendly Pines Laser pointers, matches, lighters, and fireworks are also prohibited.

VISITORS FOR STAFF

Friendly Pines does NOT have an open visitation policy Please do not invite family members or friends to visit FPC without first seeking approval from the Directors. Typically, pre-approved visitors are allowed to visit camp on transition days or days off, if approved

UNACCOMPANIED VISITORS

If you see unaccompanied visitors, politely direct them to the office. Please notify the Program or Post Office immediately if you encounter any unaccompanied visitors

CANDY, GUM, & FOOD

We prefer no chewing gum at FPC. Food and candy may ONLY be stored in the Staff Lounge--you may not keep food in your cabin

PRANKS & PRACTICAL JOKES

Behavior involving any kind of prank or practical joke is not tolerated at Friendly Pines This is a form of bullying, and does not adhere to FPC’s HERO program.

MENSTRUAL PRODUCTS

Due to the septic system at camp, NO menstrual products (tampons, pads, etc ) can be flushed down the toilet Separate receptacles are provided in every bathroom for disposal of these items.

GRATUITIES

FPC strongly discourages families from offering gratuities to counselors and staff, as our staff are already generously compensated for their work & we want to make things fair for all of our staff Staff members are asked to graciously decline tips, but may accept small, non-monetary gifts

TIME OFF

BREAKS, OR "R&R"

Every counselor is usually given one, 2-hour break each day, except for a few nights per session This will typically take place after you have put your campers to bed, from 9-11PM If you are scheduled for night duty, then your R&R will usually be made up earlier that day from 12-2PM. Sometimes, however, you may be scheduled for make-up R&R on a different day, or at a random time

DAYS OFF

We have three "types" of off-camp time off for staff There will not be a day off until the first week of campers in camp, so plan accordingly for training week For the first two weeks of campers in camp, staff will have a day off that begins first thing in the morning, and ends later that night Once our twoweek sessions start, staff members are scheduled two evenings off and one 24-hour day off in a 2week period that is marked by a start time and an end time The start and end times must be strictly adhered to. Staff members who do not return by the end time are subject to making time up, or in the extreme, being let go

OFF CAMP

Staff members may sleep off-camp on their 24-hour off Staff must organize their own transportation & accommodation. We recommend relying on fellow staff members with cars There are many fun and easy day trips accessible around Arizona from camp

ON CAMP

Staff members may remain at FPC during their days off. Please see alcohol policy on this page. You must check in by 11PM at the Program Office if you will be staying on camp for the night of your 24-hour off

ELECTRONIC DEVICES

We strive to provide positive experiences for all of our campers and staff. One of the ways we accomplish this is by providing a break from electronics while at Friendly Pines, thereby encouraging everyone to socialize and recreate in other ways. Our electronics policies further these goals, safeguarding and protecting both campers and staff We thank you in advance for your cooperation and support.

ALL STAFF

Regardless of housing type, we ask ALL staff to leave unnecessary electronics at home Any electronics at camp must be stored in the Staff Lounge at ALL TIMES, and should not be carried around, especially into Main Camp. Cell phones, tablets, and laptops may only be used discreetly in the Lounge so as not to draw attention from campers.

CABIN COUNSELORS

Before camper arrival, Cabin Counselors (i e staff members living in the camper cabins, and not in staff-only housing) MUST store all electronic devices that place phone calls, access the internet, play music, or display TV/movies in the Staff Lounge. This includes but is not limited to: cell phones, game players, DVD players, e-readers, tablets, and laptops. Cabin Counselors may only access these electronics during break times. Simple point-andshoot or disposable cameras are allowed in the camper cabins Please direct anyone needing to reach you in the event of an emergency during nonbreak hours to the camp phone line, +1 (928) 4452128

PLEASE NOTE: Use, or even possession, of cell phones, tablets, or computers in ANY PART the Main Camp area (AT ANY TIME! i.e., on- OR offduty!) can be grounds for immediate dismissal.

MEDICALINFO

MEDICAL CARE

Friendly Pines Camp’s Worker’s Compensation Insurance takes care of certain expenses incurred by employees due to injury, if the injury is sustained while the employee is carrying out the responsibilities of their employment. If you are injured at FPC OR away from camp on your time-off, you must IMMEDIATELY notify the FPC Medical Staff and Directors, regardless of Worker’s Compensation situations

MEDICATIONS

Medications brought to camp must be reported on the Staff Health History Form (see “Forms & Paperwork Checklist”, page 3).

Staff members living in a cabin with campers must store all over-the-counter and prescription medication in the Staff Lounge or preferably, the Infirmary, and NOT in the cabin

INFIRMARY

The FPC Infirmary is staffed by at least one medical staff person 24-hours a day. We have many overthe-counter medications, like ibuprofen, acetaminophen, benadryl, etc , on hand However, the Infirmary should first and foremost be a resource for campers For health care outside of our Infirmary, we recommend staff visit a local Urgent Care Center. See below for suggestions:

NEXT CARE URGENT CARE

2062 Willow Creek Rd (928) 443-5103

Open 8AM-7PM M-F 9AM-4PM Sa & Su

Please note, staff are responsible for paying for their own visits to Urgent Care or a Hospital Emergency Room, UNLESS they were injured while on the job

PACKING&CLOTHING

WHILE SUMMER DAYS IN THE BRADSHAW MOUNTAINS CAN REACH INTO THE UPPER 80ºFS (30ºC), NIGHTS CAN COOL DOWN TO AS LOW AS 40ºF (4ºC). PLEASE REFER TO THE SUGGESTED LIST OF ITEMS TO BRING TO CAMP, AND KEEP THESE THINGS IN MIND WHEN PACKING:

CLOTHING POLICIES

See pages 9-11 for dress code expectations while at camp

LABELING

We strongly encourage you to permanently and conspicuously label all of your clothing and possessions with your first and last name. Things get lost all the time, so be sure to label ANYTHING you would like to make sure you go home with!

SAVE ROOM

If traveling long distance to get to camp, several of the items on our suggested packing list can be bought in town during time off

You're doing a great job! Thanks for really reading this manual, we so appreciate it To show what an over-achiever you are, please send a direct message to Megan on Slack with the code phrase "Come, join the Rendezvous!", so she can write your name down for our prize list! Phrase must be sent before you arrive at camp. Please don't ruin this for anyone else, and keep this found "clue" a secret!

CAMP STORE

We do have a small store that carries essentials, like toothpaste, stamps, shampoo, etc. We will keep track of anything you purchase at the store, and provide a statement at the end of the summer You will need to pay your outstanding balance before you will receive your final paycheck.

VALUABLES

We strongly recommend you not bring any valuables or expensive items to camp You should keep money, passports, cell phones, tablets, laptops, plane tickets and other valuables in a safe place, such as a personal locker in the Staff Lounge Every effort is made to safeguard money and other valuables. However, Friendly Pines Camp cannot take responsibility for any missing, stolen, or damaged items

STORAGE

Everyone gets one shelf unit to organize their belongings, but you can also bring plastic bins or other storage containers to keep things under your bed!

BEDDING

For international staff, we do have some bedding available for loan All domestic staff must provide their own bedding ALL counselors MUST have a sleeping bag for the weekly overnight campout, but feel free to use sheets & a comforter in the cabin!

Our beds are standard twin-sized bunk beds.

RAIN GEAR

It does rain in Arizona, we swear! So don’t forget to pack rain gear!

STAFF SHIRT

Upon arrival at camp, staff will receive one collared FPC Staff Shirt These are to be worn on camp Arrival and Departure days, as well as Cabin Photo days You will indicate your preferred size when you complete your WorkBright account creation

Other than this Staff Shirt, there is no uniform staff need to wear each day

LAUNDRY

THERE ARE TWO OPTIONS AVAILABLE FOR DOING LAUNDRY WHILE AT CAMP:

SEND OUT WITH CAMPERS:

Campers will have their laundry done in town once during a two-week session. Prices in the past have been about $1 65 per pound of laundry If choosing this method, make sure your clothing is labeled! Also, please note that you will not receive your final paycheck at the end of the summer until your laundry/store outstanding balance has been settled

DO IT YOURSELF:

This is the most popular method for staff, as it is usually the cheapest option There are several reasonably priced laundromats in town Below are some that staff have had success with in the past:

THE CLEANING MACHINE (Gurley St & Pleasant St )

IRON SPRINGS LAUNDROMAT (Iron Springs Rd & Haining St )

CLOTHINGPOLICIES& DRESSCODE

The purpose of the FPC Dress Code policy is to ensure that all campers and staff are able to have the best time at camp without having to worry about what they're wearing. Usual play clothes - jeans, tshirts, shorts - are what we wear at camp; Camp is not a runway or a place to show off your fancy clothes. Clothing that you can comfortably move in, participate in activities in, and feel confident and good about yourself in are all great things to wear at camp.

There may be some articles of clothing that we may ask you to bring that you maybe aren't used to wearing. This is mostly to do with safety and practicality concerns. For example, we require all campers and staff to wear t-shirts that have sleeves (i e no tank tops or spaghetti straps) This is for sun protection, as days in the mountains can be VERY sunny! We ask that swimming costumes are practical for high energy play: a one-piece bathing suit or comfortable-length boards shorts are better suited for attempting to stand up on the rolling log in the pool than a bikini or super short swim trunks would be. We wouldn't ask you to pack certain items if we didn't have a good reason for it!

While our staff works hard to enforce our standard of dress, we try not to make it our only focus All campers and staff should be able to dress comfortably for camp and engage in activities without fear of or actual unnecessary discipline or body shaming. What we don't want to happen is for our clothing requirements to reinforce or increase marginalization or oppression of any group based on race, sex, gender identity, gender expression, sexual orientation, ethnicity, religion, cultural observance, household income, or body type/size, and our dress code policy shall be enforced consistently.

At the end of the day, FPC expects all campers, staff, and visitors will dress in a way that is appropriate for camp & participation in our activities. The last thing we want is for both the individual and those around them to feel uncomfortable due to clothing choices All campers and staff should understand that they are responsible for managing their own appearance without regulating another individual’s clothing/selfexpression. With all of us working together to uphold our standards, we hope to maintain a focus on what truly matters: having the best time ever at camp!

TOPS

All tops must have shoulder-covering sleeves--no spaghetti straps, tank tops, etc They must also be long enough to cover the midriff--no crop tops.

SHORTS

All shorts must be of a comfortable length to ensure full range of motion and participation in our activities A good rule of thumb is to make all shorts at least finger-tip length but wear the best fitting shorts for your body.

FOOTWEAR

In order to prevent injuries, all staff are required to wear closed-toed shoes at ALL times. Open-toed shoes (i e flip flops, Tevas, Chacos) are only allowed inside the cabin, in the shower, and on days off They must never be worn outside the cabin while on camp property For days off, we ask that you wear closedtoed shoes until you are off camp property

JEWELERY

Refrain from bringing unnecessary jewelry Earrings & nose rings must be straight studs/posts, no hoops or dangling jewelry allowed.

RENDEZVOUS

Once a week, everyone will participate in our Rendezvous ceremony This is one of the more “serious” things we do at FPC, where we recognize the campers for good deeds and for certain virtues they embody There is a “uniform” that everyone wears to the ceremony We’ve provided information on what counselors should wear for Rendezvous on the next page

S U M M E R 2 0 2 4
2024 FPC COUNSELOR GET READY GUIDE PAGE 9 OF 18

HOWTODRESSFOR RENDEZVOUS

All campers and staff will participate in our Rendezvous ceremony, a recognition ceremony at the end of each week Rendezvous is one of the oldest and most solemn traditions at Friendly Pines. We have a standard of dress for campers and staff to honor this tradition.

The theme of the ceremony is a mix of “Pioneer, ”Mountain Man”, “Old West”, and the like See below our suggestions and required articles for proper Rendezvous attire Don’t spend a fortune on the best Rendezvous duds, but we do expect everyone to adhere to our ceremony “uniform.”

Counselors will receive a loaner raccoon-skin hat at the end of training week Campers will wear cowboy hats

FPC will provide loaner bandanas; the color will correspond to the cabin’s village (ie, age group)

Not required, but a longsleeve shirt is nice to have on those cooler camp evenings

Long pants are required, and we do not have loaners available Staff should pack long pants (denim is preferable but not required)

Completely optional, but why not round out the whole look! Any shoe though must be closed-toed

ACA

American Camp Association; the accrediting body for camps around the country Friendly Pines is an ACA Accredited camp

ACTIVITY CHANGE REQUEST FORM

Form filled out by campers to request a schedule change. They are picked up in the Program Office and MUST be reviewed and signed by the counselor before submission Each camper is allowed one activity change form per session.

ACTIVITY GONG

Bell outside the Program Office that is rung at the start and end of activities.

ACTIVITY OBSERVATIONS

A requirement for ACA Standards & Accreditation. A member of the Program Office will occasionally make an unannounced visit and observe your activity. Nothing to stress about! Just a way we can maintain a level of observation for the activities and ensure they are being conducted in a safe and fun manner

BABY MONITORS

Used on Night Duty so counselors can cover several cabins at once; they should stay in the cabin, on the charger, when not being used

BEAR TRACKS

Markers on the floor of the Dining Lodge that help with the flow of meal-time traffic

THE BENCHES

Meeting and seating area in the center of camp Where the camp convenes after meals, before evening activity, for Re-Group, and in the event of an emergency

THE BIG BELL

Bell located in the center of camp used to wake up camp in the morning, meet at the benches for evening activity, and alert the camp in the event of an emergency.

CABIN CLEANUP

Clean-up hour that takes place after breakfast every day Campers are assigned a specific job This is also when cabins can complete their daily assigned work projects. A reward is usually given for the cleanest cabins each day.

CAMPBRAIN

The camp management software we use to register campers, make cabin assignments, & collect paperwork

Campers in Leadership Training 14-year-old campers, who have to apply to come back for their last year of camp. They live in camper cabins and do regular activities, but will have one period of their activity schedule devoted to leadership development. CILTS

CITS

Counselors in Training. 16-year-old former campers that stay for 4 weeks Are assigned to activities like regular counselors and can be used to assist Should never be left alone with campers!

CLEAN-UP BELL

Small bell outside of the dining lodge that is rung 1015 minutes before meals start. This signals that it’s time to wash up and/or head to flag raising or lowering

EVENING ACTIVITY

Daily scheduled activity that the whole camp participates in Examples include the FPC Round Dance, Games in the Meadow, Talent Show, etc.

FIRST HELP

For the first helping of food at meals, the entire dining lodge is silent. This allows for everyone to concentrate on their food and not forget to eat because they were talking too much It’s also a nice break from the hustle and bustle of the day, and it’s one of Camp’s oldest traditions Once the Head and Feet of the table agree that everyone has finished their first helping of food, they permit the campers to talk
