Congratulations on your appointment!
Now that you have been offered a conditional offer letter via our ATS Trac system, we hope this guide will help you to complete the Trust's pre employment checks that all new starters must complete prior to commencing a role at FHFT. Once cleared you will be offered your unconditional offer of employment; at this point you can resign from your current employer. This guide also offers information on what to expect on your first day and other relevant onboarding information.
Typical employment checks include:
DBS check – this checks your criminal record (if applicable for the role)
Reference checks – this checks your last three years of employment history
ID Check and Right to Work – this confirms your identity and your ability to work legally within the UK
Professional registration (if applicable for the role)
Occupational Health – We will ensure all of your vaccinations are up to date as well as support you with any health related needs.

Offer Stage Roadmap
You will be asked to book an onsite ID check appointment via Trac. All new starters within the NHS require an Identificaton Verification and Right to Work check in line with NHS Employers Check Standards https://www.nhsemployers.org/recruitment/employ ment-standards-andregulation
You will be asked to complete the Occupational Health pre-placement questionaire in full (sending directly to the email address stated on the form). The purpose of a work assessment is to help prevent work-related illnesses and injuries. The assessment will support us to verify if someone is capable and fit to undertake a particular role.


A conditional offer letter will be sent to you via Trac.




If you have recieved a link from Trac to complete a DBS, please


click on the link on your offer letter to complete your DBS application form online. If you have a portable DBS dated within 3 years in hardcopy format please disclose on the link. The level of DBS will be dependant on the role, and in some cases a DBS check may not be required.


We need to cover a full three year employment history check. Please notify your chosen referees that they may be contacted via Trac and to respond promptly as to avoid any delays to your onboardingreferences must be recieved from a professional email address.

Complete new starter paperwork for tax and payroll purposes, & model declaration form to let us know of any convictions or malpractice.




Once a start date has been arranged with your resourcing officer you will recieve an unconditional offer (contract) via trac and you will also be booked on to Trust induction.


Once all your pre employment clearances are completed, you will recieve an unconditional offer letter via trac to arrange a start date.


START YOUR NEW ROLE ! before your start date, you will recieve an email (the one you used on your job application form) from the Learning & Development team, inviting you to attend a virtual Trust Induction on the Monday prior to your start date.


On the Friday

Starting Your New Role
Virtual Induction
Prior to starting your new role, and once a start date has been agreed, you will be sent an email and a teams link on the Friday before your start date by the learning and development team to attend a virtual Trust induction.
Attendance to the corpoate induction programme is mandatory and seen as a condition of employment. The induction will welcome you into the Trust and provide helpful information to support all new employees in their new roles; these sessions run every Monday from 9.15am-3pm.
As well as this, the learning and development team will be intouch with a list of MaST (Mandatory and Statutory Training) that must be completed within two weeks of your induction.
Local Induction
On your first day onsite (the day after your virtual induction) you will meet your manager, meet your team, and start your local induction, which is designed to ensure you get off to the best start at the hospital. This will include all relevant training on hospital systems and processes, as well as a wider introduction to our NHS Trust and the colleagues you will be working with throughout your career. IT Access ID Badge Uniform Parking
On your first day, during your local induction, your manager will give you your log in details for a Windows account as well as an NHS.net email. If your role requires a laptop, this will be arranged by your manager. If you have any questions regarding your IT access please contact the IT Service Desk on 0300 6132468
Prior to starting, or on your first day, you will need to provide a headshot, and copy of ID document i.e. passport or driving licence to your manager who will liase with HR to arrange your ID badge. For those based at Frimley Park Hospital, HR will liase with security to obtain the correct ward access. If you're at Wexham Park or Heatherwood, you'll liase with security on your first day to arrange access.

Your manager will liase with you prior to your start date to order your uniform. If your role does not require a uniform, you will be advised of the appropriate work attire. Further details can be found in the staff uniform policy via the intranet on your first day.
Staff parking is provided at a cost per permit - this is deducted directly from your salary each month. It is the responsibility of all staff to ensure that they have applied for a permit. If you have any questions, please contact 'Frimley Site' on 0300 613 6611 or email

Payroll
When your start date is agreed, your manager will set you up on payroll for that month. Payday is on the 28th of the month, every month (or the closest Friday to it should it fall on a weekend day). Your payslips are available for you to view via ESR (Electronic Staff Record) and should be paid close attention to incase of overpayments and underpayments. Once you have started your role and you have your NHS email, please contact the ESR team at fhft.esrsupport@nhs.net who will be able to provide your log in details. Annual Leave
All new employees are entitled to annual leave in the year of joining the Trust on a pro-rata basis. The Trust's leave year runs from 1st April - 31st March every year, with new staff entitled to 27 days + 8 bank holidays (increasing to 29 days + bank holidays after five years of service, and 33 days + bank holidays after ten years of service) The full policy can be found onthe Trust intranet, OurPlace.
To view and book annual leave you will need to download the 'LOOP' app from your chosen smart phone store.
Pension
Anyone who starts working for the NHS automatically becomes a member of the NHS pension scheme. This membership is voluntary, and you can opt out at any time - note that every three years at the NHS you'll be auto-enrolled again. To opt out you must complete the application form on: www.nhsbsa.nhs.uk/nhs-pensions. You may apply to rejoin so long as you're employed by the NHS.
