We appreciate your participation in the Tour de Scottsdale Expo. Please review these important details regarding setup and event day procedures.

1.Event Details

The event begins on Friday April 12, 2024 & Ends on Saturday (Ride day) April 13, 2024

● Location: WestWorld of Scottsdale (North Hall)

16601 North Pima Rd

Scottsdale, AZ US 85260

● Time Friday: 12:00pm-9:00pm

● Time Saturday (Ride Day): 6:00am – 4:00pm

o Registration opens at 6:00am (vendors are NOT required to be present at 6:00am. Music & lunch will begin at 10am)

● Thursday (4/11) Vendor Check-in & unload:

o 4:00pm-8:00pm

o We will have staff & volunteers assisting you to your designated space.

o ** Thursday is the only day you will be able to drive into WestWorld.

● You will be able to drive to your location inside WestWorld.

● If you are traveling & are unable to make Thursday Vendor check-in, please use the timeline below for FRIDAY ONLY:

o 7am-10am

o Vehicles may park near the entrance to unload, however, driving into the WestWorld on Friday will not be permitted.

● Unfortunately, VENDORS WILL NOT BE ALLOWED TO SET UP ON SATURDAY due to race day, safety, & hazards.

● There will be 24 hour security & police on Thursday afternoon. Since the event will be indoors, items will be better secured, and doors will be locked after the event.

● Each 10x10 Vendor Space includes: (1) 6ft table, (2) Chairs, Wi-Fi, & pipe and drape. Overhead lights will be on throughout the event.

● Wi-Fi is available; however, we strongly suggest utilizing your own hotspot as a backup.

● If you are unable to have someone available for the entirety of the event, that is completely fine, we ask that materials cannot fly away and nothing of high value is left at your booth as we are not responsible for anything lost or stolen.

● Food sales are prohibited.

o It is very important that you follow these directions as WestWorld of Scottsdale will be extremely congested with traffic, road closures, & foot traffic

o Load-Inwilltakeplaceon: Thursday (4/11) Vendor Check-in & Load-in:

o 4:00pm-8:00pm

o We will have staff& volunteers assisting you to your designated space.

o All vehicles must vacate the building promptly at 10am

● UNFORTUNATELY, VENDORS WILL NOT BE ALLOWED TO SET UP ON SATURDAY due to race day, safety, & hazards.

● There will be security & Police presence at WestWorld and the surrounding area. Security will be from 8:00pm-8:00am. Staff will also be on site during expo hours.

● Each 10x10 Vendor Space includes: (1) 8ft table, (2)Chairs, and Wi-Fi.

● If you purchased electricity, electricity will be set prior to Thursday.

● If you are in need of electricity still at this point, email Dan Shannon dshannon@commonwealthelectric.com at Commonwealth Electric and they can add it at your expense. This must be done prior to the expo.

o You will be able access the load-in area at WestWorld (north hall) and drive in to unload your items. Please find the map to unload below.

o Two parking passes will be provided for you at no additional cost. The lot parking is $10 on Saturday only. Passes will be in your packet when you set up on Thursday or Friday.

o We ask that you are set up by 11:30am on Friday & No later than 9:00am on Saturday.

o On Saturday April 13th, cyclists will be arriving early to line up, vendors are welcome to open at 6am. The event festivities will begin at 10am

o You are welcome to start tear down by 3:30pm - close.

4. Parking Information

There are several parking lots surrounding Westworld including RV spaces. Vendors will receive a parking pass Tour De Scottsdale Vendor parking Expo Location Parking

7.Canopy Information (If bringing own tent)

Canopy’s DO NOT have to be weighed down if you are indoors

Any Canopy’s that are outdoors will have to be weighed down properly. If you do not have weights for your tent, you will unfortunately be asked to take it down by the fire marshal. Below is an example of permissible weights. 40lbs per leg.
