To EVERYONE in Estates and Facilities, I want to express my sincere thanks for all of your hard work, effort and commitment through these unprecedented and challenging times. I oversee and work closely with all our teams so I won't mention anyone specifically I really do mean all of you.

Everyone has had to cope with the stress and strain of everyday life on top of adapting to a different way of working and achieving great things in support of the University.

Our service and our success depends on everyone pulling in the same direction and you have demonstrated this without question.

A huge thanks to everyone for all your efforts.

We’ve had some very challenging projects over the last five months that we’ve worked on together and achieved some amazing results in often very tight timescales. Thanks to all the PrintWorks team for all their work on the covid secure project.

I’d also like to thank all the Conference and Technologies staff who volunteered to help with key tasks which were needed over the last few months. The Centre for Sport Team have been busy with getting spaces ready for the start of term, so a huge thanks to everyone who has been part of this this. A special thanks to Pilar and Lucy who have worked hard to support and accommodate everything we’ve been working on throughout.

Reflecting back over the months, we’ve really transformed as a service, changed the way we work, used systems like we never thought we would, worked flexibly and most importantly, helped each other out. Let’s continue with the team approach to everything we do, no doubt we will have more challenges ahead, but we’ve demonstrated we can respond to anything. Great work everyone!

I truly believe that we have been presented with an opportunity to excel and deliver on our Mission statement to ‘Create and Deliver an Unbeatable Estates & facilities experience.’

Why do I say that, well I have heard the plaudits from our colleagues around the University who have applauded our attitude and determination to deliver a service above and beyond. How pleasing is that to hear?!

The Logistics team have been busy, in conjunction with the BST, in organising delivery and collection of our colleague's equipment across each campus location with over 1500 scheduled collections and deliveries. Now they are liaising with faculty colleagues to move furniture to adapt to the new environment ready for the start of the new academic year.

Cleaning hasn’t stopped and continues to ramp up its offer in line with increasing demands, i.e. multiple cleaning of touch points throughout every building every day and working closely with our supply chain to ensure our stocks are remain replenished.

The Travel & Access team, whilst all working remotely, have been modelling various transport scenarios to aid the timetabling team in an effort to make sure students are actually able to get to and from campuses. Allied with which they have tendered and are now implementing a new car parking enforcement solution which will ensure that those who are entitled to park are able to.

Meanwhile behind the scenes the BST, again all working remotely, have busy dealing not only with E&F related queries but also University wide enquiries and of course as mentioned earlier working seamlessly with the logistics team on a project to reunite colleagues with their IT and work equipment.

What really has been noticeable and pleasing to see is the way in which each team has adapted to change and worked together with other E&F departments without fuss.

Everyone has just got on with whatever needs doing. This really has helped demonstrate the unified face of Estates & Facilities. What is even more remarkable is that this has been done at a time with some people being on campus whilst others have been working remotely. It really has brought out the best in our communications skills and demonstrated how we can be flexible and adapt to any given situation that comes our way.

To our clients what can I say except you are welcome, and to our people a huge thank you. This truly is the face of an integrated, agile and flexible workforce striving to deliver an unbeatable experience for our customers.

Let’s keep up the great work and continue to deliver above and beyond!

ready steady go

Right now in every area of the University we are preparing for staff and students to return to campus. Here's an update of how we're doing that...

In early May the University set up several readiness groups to really focus on getting the different areas of the service up and ready for action.

The Recovery Coordination Group (RCG) is the top level group which all the other groups report to - this is chaired by Steve West and includes all the Senior Directorate, Faculties and Professional Services. This group coordinates all the other groups and makes sure we are on track.

The Place Group and sub group Space Management Group includes representatives from the Directorate, E&F Exec, Space Team, H&S, Faculties and ITS. They have been working with staff across the University on place readiness – this is not about buildings but the activities that take place in them. The team have worked with each business owner to understand their requirements and to enable a Covid Secure operating model to be put in place which covers such things as individual room capacity, wayfinding, signage, cleaning protocol and hand sanitiser/gel stations .

The overall plan has now approx. 500 essential activities that need to be delivered covering teaching, office work and facilities' services. The final stage of the plan is to carry out an audit tailored to each activity carried out in each area.

Campus Readiness Group (Exec / Estates / Space / PSS) This group has now completed its work getting our buildings and spaces back to statutory compliance having been mothballed (closed down) and after a huge plan of work we are all up and running safely again with regular maintenance of every space. They also worked closely with the Place Group and arranged installation of new way finding signage, sanitizer stations, zones and one way routes.

Student Accommodation Group (Exec/Accommodation/Estates/H&S) This group considers the planning of all aspects of student accommodation, firstly concentrating on allocations and clearing and now finalising safety protocols in our accommodation. They are working on guidelines around behaviour and sanctions, staff safety and support.

Throughout the whole of lock down we have not had any confirmed cases of coronavirus on UWE campuses but we are preparing for all the "what ifs" - possible use of track and trace, decisions around how students and households should self isolate if needed and safe spaces for people to quarantine on arrival.

Hospitality Readiness Group (Exec / Hospitality/ H&S) This group is working its way through every outlet and catering service to make sure all our cafes, pop ups, shops etc are Covid Secure and ready and open for the start of the new academic year.

A huge amount of work is going on to auditing every aspect of the service both in front and behind the counters. From staff induction, working out how to safely make and deliver a cup of coffee, installing perspex screens on counters and deciding where and how people should queue! A mammoth task.

ENERGISED!

This issue we're catching up with the Estates Energy Team headed up by Kirsti Norris.

Before we find out about what the team has been up to, some congratulations are due!

A little birdie tells us a few of your team have recently had a bit of a run on achieving external recognition. Work that you have been doing for the last few months and years is all bearing fruit...

Melissa, (now known to the team as Melissa Clarke AMEI) has passed an Energy Institute course, and has also achieved Associate Membership of Energy Institute.

You, yourself Kirsti, have recently achieved Chartered Environmentalist and Full Membership with the Institute of Environmental Management & Assessment. This is the gold standard for environment and sustainability professionals who are setting agendas and leading initiatives within their organisations. This also lead to you achieving full membership of Energy Institute!

Abbie Basketter, Carbon Action Manager has also sent off her application last week for MEI - hopefully before too long she will hear back.

So - Congratulations one and all! It takes months to put these submissions together and must feel great to finally get results.

The Energy Team have been coming to campus over the last few weeks - what are they up to Kirsti?

Yes, the Energy Team have been keeping very busy. The closure of buildings offers a prime opportunity to understand more about the university energy baseline – i.e. what is always running. Some buildings have only reduced their electricity consumption by 40% so what is still going on in there?! Abbie is putting a focus on identifying and eliminating excessive energy consumption across the sites. We analyse what we can from home, but have also been coming to site to survey buildings, to spot what’s still on.

It is shocking really, so many PCs, photocopiers, podiums through to fridges left open (and on!) and lights with no off switch! We have switched a lot off, and have built up a project list of things to improve on our return.

Nicky is keeping the utilities bills validated and paid, ensuring that we can still do our best to forecast spend going forward.

Alan has given the hospital a fair amount of attention to effectively supply and monitor water and energy use. And the carbon challenge hasn’t gone away!

We are still working on the carbon reduction strategy to hit the 2030 target; working with the Projects team to feed into new builds and refurbs; planning staff carbon literacy training; a lot of forecasting (and re-forecasting!) potential energy spend this and next year; keeping an eye on the PV and CHP operations; etc.

Melissa is now kicking off a number of energy projects – lighting replacements, transformer replacements, and the full refurbishment of the Student Village heating system – with incredible controls which will save energy, improve legionella control, and save a lot of time for our colleagues in Accommodation Services. It is going to be a very busy Summer.

We keep in touch through regular phone calls and have weekly Energy Team tea breaks on Team on a Tuesday morning – kids and cats welcome!

I am sorry to say that our wonderful students Rick and Julie’s student placements ended in July. They were invaluable members of the team, bringing great energy to the Team, and their success in building the monitoring and measurement system will underpin our work going forward.

COLLEAGUE FUNDRAISING APPEAL I, along with my grandson and four friends are walking the Southdown Way, 100 miles over 6 days, from 22nd August to 28th August and are hoping to raise funds for this small, self funded charity.

Now that lockdown is easing Camglen Buddies are hoping to arrange some events to ease these kids back into some normal living and also provide support for the parents. Any donations would be greatly appreciated.

ACCOMMODATION NEWS ACCOMMODATION MAINTENANCE TEAM (AMT) The AMTs have been flat out doing their inspections, in two weeks they inspected 66 houses and flats at Wallscourt Park and have finished off inspecting all of the vacant flats in Quantock Court.

Mike Beard has been super busy carrying out maintenance and other repairs, following inspections he has completed 446 jobs since this time last month.

We have been doing a lot of lumping and bumping during the last week moving furniture around to make the office COVID 19 ready for our return to work.

Window cleaning has started at Glenside and will be then working over to the village.

ALLOCATIONS UNDERWAY

ACCOMMODATION TURNAROUND

Having mapped the campus accommodation to identify areas for certain cohorts. We have been allocating students

by Course and Faculty in groups for all areas, whilst keeping UK students and international students separate. Of course, this will make allocating more complicated as we try to also match some applicant preferences and needs. Offers started going out after the A Level results embargo on 13/08.

The Admin Team have had a couple of Virtual Picnic Lunch’s together on Teams which was really good fun and so nice to all spend time ‘together’.

The AM team have been very busy on campus. All properties that can be inspected have been. Over 60% of the deep cleaning is now completed and cleaning checked, which is amazing and setting us up to meet our aim to have all accommodation ready for the end of August. It’s very practical and physical with one team member hitting 17,000 steps in a day!

Andy and Debz have been working together on the inspections of the current occupied flats. This has been going very well and at the moment this week only two flats failed their inspection which is amazing compared with around 40% at the start of this process. Andy is now planning to visit the occupied flats on a weekly basis to keep on top of this as students continue to vacate.

What IS this new Block Zero thing?

Once per academic year students will take part in Block Zero, an online-only teaching block, providing them with personalised support, making sure they're ready for the academic year. Both new starters and returning students will take part in Block Zero.

Block Zero has been designed to create an exciting and engaging way to connect students to each other, programme teams and the wider university in a low risk environment, where they're free to experiment with new technologies, enhance their digital capabilities and build the confidence to succeed whether online or face-to-face.

The work effort on Days has been relentless with contractor and staff access, and the Nights team have continued to provide a vital security presence protecting our estates and remaining students. Great work!

NEW JNCHES PAY NEGOTIATIONS 2020 Negotiations took place earlier this year between the Universities and Colleges Employers Association (UCEA), on behalf of the 146 participating higher education employers and the five sector trade unions (including UNISON, UCU and Unite).

This is done through the Joint Negotiating Committee for Higher Education Staff (JNCHES).

Given the financial pressures and uncertainty facing the sector, UCEA is not offering an uplift in the national pay spine for 2020-21. This means that there will be no cost of living increase for staff in 202021. This includes myself and my senior team, and I can also confirm that I will not be accepting any bonuses this year.

The financial impact of the Covid-19 crisis is affecting all Higher Education institutions.

Many universities face shortfalls in income over the 2020-21 academic year, and there is still considerable uncertainty.

This comes alongside other, pre-existing financial challenges such as Brexit, the future funding of higher education and very large increases in employers' pension contributions.

However,we have taken the decision as a university that in 2020-21, staff will continue to benefit from an incremental pay point progression if they are due one. Our pay and benefits package remains competitive and we are also proud of our commitment to the Living Wage Foundation. We will continue to ensure that all of our rates of pay remain in line with the Foundation's recommendations.

UCEA has agreed to a New JNCHES autumn meeting to review the financial position of the sector, and if circumstances allow, UCEA is willing to begin negotiations earlier for the 2021-22 pay round.

I understand that this message is not an easy one, but one which is line with other HE institutions and one which we must support in order to secure the financial future of our University and to protect jobs in these uncertain times. The current Covid-19 pandemic has heightened uncertainty over the economy, employment, finances, relationships, and this will of course, have had an impact on our physical and mental health. Please continue to talk to your people manager about any concerns you might have and look out for each other.

BOWER MADE OVER

A new dedicated Student Services Centre, as well as relocated new spaces for the art shop and Student Union shop, together with ancillary support spaces.

The project improves accessibility, providing ramped access to a new entrance point and enhancing the main internal circulation link between B Block and the student social spaces in adjacent A Block.

The new space is accessible, welcoming and attractively designed, offering improved facilities for staff to better engage with students.

Estates and Facilities Sustainability Commitments 2020-21 As part of the continued work to embed our Estates and Facilities Mission and WELCOME Values, each of our E&F teams has made sustainability commitments - big and small.

Staff and teams have produced a list of almost 100 actions or behaviour changes which they have committed to, to help the university achieve its Strategy 2030 carbon neutral ambition.

The list ranges from relatively small things like promising to turn off equipment and lights or using refillable cups to changing their working processes if there is way of doing things which uses less energy, means they buy less or create less waste.

There are also commitments to "Work Together" (another one of our values) sharing information and data across teams to be more efficient and make carbon savings wherever possible.

The Sustainability and Energy Teams are working closely with each department to monitor their progress against each commitment and stay on track. They will also be able to report back in a few month's time to see how everyone is getting on.

This is really amazing work which will hopefully inspire the rest of the university to follow suit and make their own commitments.

CLIMATE ACTION CAFES

During lockdown everyone has had to change the way they do things. We have realised that we can change and adapt to our circumstances.

As we return to the new academic year everyone can build on this and make the most of the opportunity to build a better, more sustainable future. The Sustainability, Energy and Travel teams are offering tailor-made climate action cafes to you and your work colleagues throughout the year.

If you are interested in exploring changes you can make in work, on campus and at home and in finding out more about what the University is doing to improve sustainability and tackle climate change, email sustainability@uwe.ac.uk.

Approx. 300 tonnes CO2e saved!

As a result of the installation of Combined Heat and Power and reduced campus activity, between April and July (inclusive) this year we have saved £2,310 per day on utilities (comparing this year spend to last year spend). That is a total saving of £281.7k over these four months. A 21% reduction! And approx 300 tonnes of CO2e saved (CO2e is carbon dioxide equivalent, a standard unit for measuring carbon footprints). IMPRESSIVE!

I am very grateful for all the hard work from all of you whether it be home workers, those in the office and those spanning the office and home.

However, I would particularly like to thank those of you who are also supporting your line managers by demonstrating a positive, can-do attitude.

UWE Bristol balloon taking part in key workers fly-out Nominate a key worker!

At the beginning of August, you may have noticed many hot air balloons ascend over the city. Among them was the Bristol Blue Balloon which is sponsored by UWE Bristol, Business West and Destination Bristol and is piloted by Derek Maltby.

Derek and his colleagues from the region’s balloon club are offering something special to local key workers or carers who have been working hard during the lockdown by putting on a special balloon ‘fly-out’.

They have asked for nominations of any key worker or carer, which could include school staff, postal workers, refuse collectors and those working in retail. Derek explains, “We are so grateful to those people who have continued to work for us all in the region during the lockdown and with the gifts, skills and assets we have, felt we could show our thanks in a tangible way.

A balloon flight is on a ‘bucket list’ wish for many people so this could be a special treat for someone who has worked hard over the past months to support their community.”

Some of the new features include: A downloadable multipage PDF for every level of every building on Frenchay, Glenside and City campus Detailed three dimensional models of some buildings to navigate in your web browser Some buildings contain detailed cross sections of floors A new City campus map Some buildings do not have all the detailed 3D models and cross sections yet but the Estates Digital Campus Team (BIM) are working hard with Facilities Technologies so all areas reach the same level of information.

The new and improved features have been designed based on staff and student feedback.

Starbucks, based in E Block, provide a range of premium coffees including whole bean and ground coffee, classic favourites like Frappuccino, Latte, Espresso and Americano, and hot chocolate and a range of teas.

Plus breakfast sandwiches/rolls and filled croissants as well as cakes, cookies and pastries.

Open Monday-Friday 08:30-15:00 Bristas is based in Northavon House, providing a modern, relaxing space serving a range of speciality tea, coffee and hot and cold meals.

Open Monday-Friday 08:00-14:00 Social distancing measures are in place in both outlets.
