SUPERVISOR GUIDE TO WEEKLY CHECK-INS
REMEMBER YOUR ROLE
(1) Accountability - making sure that expectations are met to maintain a safe and successful summer (2) Growth - providing opportunities for supervisees to develop skills and get the most out of their experience
DISCUSS HEALTH & WELL-BEING
Ask these questions, note response on the form and make sure to provide follow-up where necessary How are you? If there is a challenge, what can be adjusted? How can I support you?
IMPORTANT NOTE: You are not expected to provide mental health support or therapy, but rather to direct staff to appropriate resources if required. You can also always plan a follow-up conversation for a later time if it is needed.
DISCUSS PERFORMANCE & DEVELOPMENT
1) USE THE CHECKBOXES TO TRACK PERFORMANCE
Mark the appropriate symbol in each of the six skill areas:
✓ If all expectations are met in a skill area (we hope that everyone will be meeting expectations, and so most will receive this) ◯ If there is an area you’d like to discuss specifically (this provides a record of the conversation and agreed action)
IMPORTANT NOTE: If you find yourself marking ◯ for the same eXPECTATION multiple weeks over the summer (2 or more times), then this is an area for concern - extra coaching required or action to be taken by your camp leadership
2) USE THE eVIDENCE SHEETS TO MAKE NOTES
At Camp, I eXCEL: Use this section to make notes of instances where a staff member eXCELLED - to give specific praise / feedback Maybe you didn’t get a chance to see them in action this week? Don’t worry, you can also ask if there is anything they’d like to share or add that they are proud of or wish you had seen All moments of success are worth celebrating, big and small!
At Camp, I eVOLVE: Use this section to expand upon any ◯ mark or to note anything the staff member wants to try.
Supervisor-Led Targets (meeting eXPECTATIONS)
If you made any ◯ marks, have the following conversation and add to your notes in the eVOLVE section:
● I have noticed <<specific eXPECTATION or Skill Area>> has been a challenge for you
● I want to support you What are the barriers here?
● What is one specific change you can make before our next check-in toward meeting this eXPECTATION?
Supervisee-Led Targets (developing eSSENTIAL
SKILLS)
Ask the supervisee if there is anything they would like to work on and add to notes in the eVOLVE section
○ Are there any challenges or issues you would like to discuss/get some support in handling?
○ Are there any particular eXPECTATIONS you’d like to work on / grow your skills in?
