COURTESY HOLD

CONTRACT AND DEPOSIT
Once a contract is fully executed you will be expected to provide a credit card plus a nonrefundable deposit of 25% of the total estimated value, which may be in the form of cash, check, or credit card. An advance payment schedule will be outlined in the contract. The estimated full balance will be due ten business days before the event date. All hosted bars based on consumption will be paid immediately following the event conclusion; cash or credit card accepted.
OUTSIDE EVENT PLANNERS
The Sheraton Detroit Novi Hotel would be happy to coordinate your event details with a contracted outside event planning service. We respectively request that you disclose your contracted event planner in advance, so that we may arrange a date/time to discuss your wedding plans. An outside event planner is required, if you do not have one, we would be honored to recommend one.
GUEST COUNT
Guarantees are due by 10:00am fourteen days prior to your wedding date. Your count may increase but not decrease from the guaranteed number given. Meals for any additional guests over and above the final guaranteed amount will result in additional billing.
GUEST ROOMS
Your sales manager would be happy to work with you in securing a group room block at a discounted rate.
FURNISHINGS
Furniture and artwork may not be moved without permission. Nothing may be taped, stapled, glued, nailed, or attached to walls or ceiling without proper advanced approval from the hotel event management team. Candles must be encircled by glass or water.
COAT CHECK
Coat check services are available for a fee of $200 per 100 guests and must be confirmed two weeks in advance.
WEDDING CAKES
Wedding cakes may be delivered to the Hotel on the day of your reception. Please work with our event management team in advance to set a time of delivery through the back-loading dock Note: your wedding cake provider is solely responsible for setting up the cake prior to guest arrival.
ALCOHOLIC BEVERAGES
The Sheraton Detroit Novi Hotel is the sole provider of alcoholic beverages and will confiscate any alcoholic beverages brought into the event space. Shots are prohibited. The hotel reserves the right to decline service to any guests under the influence of alcohol or other substances.
CONCLUSION OF EVENT
All items must be removed from the pergola and function space at the conclusion of your event as outlined in your contract Should your event planner require additional time to break down elaborate decorations we ask that they work with our event management team to arrange for a suitable timeline to complete the removal of all décors. Please note the Sheraton Detroit Novi Hotel is not responsible for items left behind after the conclusion of your event.
GUIDELINES FOR OUTSIDE CATERING
REQUIRED DOCUMENTS
One month in advance the outside caterer is required to provide the event management team the following: copy of their license to operate a food service business, copy of their certificate of insurance evidencing commercial general liability in the amount of $1 million, a serve safe Certificate, and a fully signed and executed food waiver and indemnification agreement. Once approved, the outside caterer must meet the following requirements or risk being denied access to our kitchen.
PRE-CON MEETING
Outside catering is permitted at the Sheraton Detroit Novi Hotel at the discretion of the Executive Chef and Director of Food and Beverage. The outside caterer must be approved in advance (please see our preferred vendor list) and is required to meet with the Executive Chef, Director of Food and Beverage, Sales Manager and event management team in advance at a precon meeting. We also request your outside event planner’s attendance at this meeting. The number of outside catering food items and times of service, as well as space and items permitted to use, will be confirmed during this meeting.
ATTIRE
Upon arrival at the hotel, caterers must be in proper uniform (preferably black pants and black or white dress shirt), non-slip shoes, hair restraints, gloves, aprons, chef’s coat and/or standard kitchen attire.
DELIVERIES
Deliveries and pick-ups must be scheduled in advance and use the loading dock during their reserved time. Special deliveries must be preapproved by the event management team 48 hours prior to the event start time and must occur during normal hours of operation (Monday – Saturday, 11:00 a.m. – 5:00 p.m.). Use of lobby entrance or ballroom entrance are strictly prohibited.
FOOD PREPARATION
Outside caterers must prepare all food off site and come equipped with the proper food service materials. Not adhering to this policy may result in additional fees to be charged to the client.
KITCHEN EQUIPMENT
Equipment such as fryers, ovens, steamers, stovetops, dishwashers, or microwaves are not to be used. The outside caterer must have advance approval and instructions from the Executive Chef / Food and Beverage Director should they require the use of refrigeration or freezers Hot boxes and chafers will be provided by the hotel Outside caterers are responsible for bringing in their own well-designed place cards with a description of all food selections, platters, bowls, knives, serving utensils, cutting boards, kitchen towels, aprons, disposable gloves, plastic wrap, aluminum foil and all carryout containers.
WORKSPACE
The hotel will provide an adequate dedicated workspace for you to execute your event, as well as trash receptacles and sanitizer buckets. The dedicated work area must remain clean and sanitized during the event and before leaving. Trash receptacles must be emptied in the trash compactor and boxes brought in must be broken down and put in the recycling bin. Floors must be swept of any large debris. Absolutely no garbage or grease is allowed in the sinks or toilets. Please ensure all items delivered are removed. Check to make sure that none of the hotel equipment is with your belongings. Additional fees will apply if this policy is not followed.
TIMELINESS OF SERVICE
The Sheraton Detroit Novi Hotel is not responsible for the timeliness or accuracy of deliveries made by the client or vendors. Additionally, if food service is delayed from the time set in the banquet event order a $250 fee per every 30 minutes delayed will be applied to the final client bill. It is the client’s responsibility to address this additional fee with their outside vendor.
EVENT SPACE
Be cautious with red wine, berries, and spices such as curry, that can stain the carpet/exhibit flooring. If stains do not come out, the client will be charged to have the hotel professionally cleaned and will address with their outside caterer. In addition, if the outside caterer has not cleaned their dedicated space a $500 fee will be applied.
FOOD WAIVER AND INDEMNIFICATION AGREEMENT

THE SHERATON DETROIT NOVI HOTEL POLICY
It is the policy of the Sheraton Detroit Novi Hotel to discourage hotel patrons from purchasing (a) food from sources other than the hotel, (b) using the hotel facilities to prepare food, and (c) serving food to hotel patrons. Improper handling of food may lead to food poisoning and other health hazards. However, the Hotel recognizes that for religious or other special reasons a Hotel patron may find it necessary to permit such purchase, preparation, or service. In the event that a patron insists on the purchase, preparation or serving of food by persons other than Hotel employees, the Hotel may allow such activity or activities only if such patron acknowledges, by its signature below, its agreement to accept responsibility and abide by the terms set forth in this Agreement.
SERVE SAFE CERTIFICATION
Outside caterers must prepare foods in accordance with the current Michigan food code. At least one member of the outside caterer’s staff must be Serve Safe certified and have their certificate on the premises at the time of the event.
WAIVER
The undersigned patron (“Patron”) agrees to waive any claim for damages of any nature whatsoever and to release the Hotel, the Hotel owner, the Hotel Manager, Marriott International, Inc and each of their respected subsidiaries, affiliates, officers, directors, employees and agents from any liability or responsibility whatsoever for any ill-effect, injury, or loss incurred by patron or any third party including but not limited to all manner of actions, causes of actions, suits, debts, damages, claims, demands, costs, losses and expenses of any type or kind whatsoever, arising from, connected with or related to the purchase of food from sources other than the Hotel. The preparation of food by persons other than Hotel employees, or service of food to Hotel patrons by persons other than Hotel employees.
INDEMNIFICATION
Patron agrees to indemnify, defend, and hold harmless the Hotel, the Hotel owner, the Hotel Manager, Marriott International, Inc., and each of their respective subsidiaries, affiliates, officers, directors, employees and agents from and against all liability, claims, actions, causes of action, suits, demands, damages, judgments, costs, losses and expenses, including reasonable attorney fees, to which any of the above-named parties may be subject, including but not limited to any claim for any injury to or the sickness or death of any person or persons, or for damages to property or otherwise, arising from, connected with or related to the purchase of food from sources other than the Hotel, the preparation of food by persons other than Hotel employees , or the service of food to Hotel patrons by persons other than Hotel employees.
PATRON ACKNOWLEDGMENT
Patron’s signature below indicates that the patron has read and understood the Additional Wedding Planning Information, the guidelines and policies for outside catering and the food waiver and indemnification agreement and agrees to its contents. Patron also acknowledges that the person signing on behalf of patron is authorized to bind patron to the terms as indicated in these documents.
