FINAL GUARANTEE

Our private event venues each have their own location fees and food and beverage minimum spend, based on guest capacity of venue. The guaranteed number of attendees must be communicated to the catering office by 11:00 AM, ten (10) business days prior to the event In the event the final guarantee is not supplied, the estimated number of attendees will be considered the final guarantee

The client will be charged for the number of meals served or the number of meals guaranteed, whichever is greater.

PRE-SELECTED CHOICE OF ENTREE MENU

A pre-selected choice of entrées is available and limited to a choice of two (2) entrées plus a dietary restricted option.

A 3% allowance in food preparation over the guaranteed number will be given on all events

Guarantee of attendance with the entrée selection and breakdown is required by 11:00 AM, seven (10) business days prior to the event.

Client to provide individual place cards indicating guest’s entrée selection.

Complimentary accommodations for the wedding couple may be provided on the night of the wedding.

PAYMENT PROCEDURES

The Scottsdale Resort requires an initial 25% deposit for your event

The Scottsdale Resort requires a credit card on file with the signed contract.

The remaining balance is due by 11:00 AM, ten (10) business days prior to your event, in the form of a cashier’s check, wire or credit card.

The card on file will be charged by 4:00 PM based on the final guarantee if another form of payment has not been provided.

Personal checks may be accepted by 11:00 AM, ten (12) business days prior to your event

ALCOHOLIC BEVERAGES

The Scottsdale Resort reserves the right to refuse service to guests who appear to be intoxicated

All guests who appear to be under 30 years of age will be required to present identification to consume alcoholic beverages

Our house limit for package bar is four consecutive hours, anything after this would be charged on consumption.

Shots will not be served during any event offering alcoholic beverages, in accordance with The Scottsdale Resort & Spa policy.

TASTINGS

A complimentary tasting for two (2) is offered for wedding events with a contracted food and beverage minimum of $10,000 or higher

The tasting will include hors d’oeuvres, salads, entrees

If your event does not meet the minimum requirements, we will charge a tasting fee of $120 per person.

Additional guests may also join a tasting for $120 per person.

WEDDING PLANNER

To ensure a flawless event, a professional Wedding Planner is required for weddings.

The Wedding Planner will assist with the rehearsal, ceremony, reception and overall wedding planning. Most wedding coordinators have different packages from full service to “day of” planning.

Your Catering Manager will be glad to provide a referral list of planners for you to assist is some of the final details below

Assist with etiquette and protocol for invitations, family matters, ceremony and toasts

Create a timeline for your entire wedding day, including the ceremony and reception.

Work with you to organize and coordinate your ceremony rehearsal, remind bridal party of all pertinent instructions on the wedding day.

Confirm details with any contracted vendors several days prior to the wedding day.

Be the liaison with your family, bridal party, vendors and resort staff.

Assist the bride and bridal party with dressing, ensure delivery of all florals, décor and client arranged rental items

Deliver and arrange ceremony programs, place cards, favors and any personal items

Coordinate timing of ceremony and reception, i.e. cueing music, grand entrance, cake cutting, first dance, etc.

Collect and/or store any personal items you may have brought at the conclusion of the reception.

Count and collect all wedding gifts and deliver to the appropriate location.

SCOTTSDALE RESORT CATERING MANAGER

• Answer any questions, provide event venue suggestions and act as your primary resort contact throughout the planning process

• Act as menu consultant for all food and beverage selections.

• Detail your Banquet Event Orders (BEO) outlining the event specifics

• Create an estimate of charges outlining your financial commitments and deposit schedule to the Resort.

• Establish contact with a Reservation Coordinator for guestroom block (if applicable) who will monitor the status of your guestroom reservations.

• Reserve the complimentary Bride and Groom room upon receipt of the signed contract

• Oversee the setup of the ceremony and reception venues.

• Ensure a seamless transition to the Banquet Captain on the day of your event

• Review your banquet check for accuracy prior to the completion of your final bill.

It is the law to serve only those patrons 21 years and older and we may refuse service to any guest without proper identification.

The Chef reserves the right to customize and revise the menu selection at any time

Consuming raw or undercooked meats, poultry, seafood, shellfish or eggs may increase your risk of foodborne illness.

ELECTRICAL SERVICES

Electrical needs exceeding existing 120 volt/20amp wall plug service must be arranged through your event planner a minimum of 14 days prior to your event.

Additional labor, equipment and/or rental fees will be assessed based on needs. All equipment must have a UL listed present.

PUBLIC AND MEETING FUNCTION SPACE

Registration and Hospitality Desks: In order to maintain an ambiance acceptable to all Resort guests, registration and hospitality desks will be located in the designated group hospitality area or event function space. Registration and hospitality desks will not be placed in lobby areas

Signage: The Resort must approve all group signage prior to posting in any area. Handwritten flip charts, easels and directional signs are not permitted. The resort provides sign holders for public areas. Signage may also be acquired from the Resort. Please inquire with your Catering Manager for sign measurements and/or to purchase signs from the hotel.

Event space rental fees and food and beverage minimums are based on the event type, type of set-up and the number of people in attendance. Should advance set-up and late tear down be required, an additional charge may be incurred.

Exhibits and Displays: an exhibit services package is required for all Trade Shows and includes Conference Host Services and General

Cleaning Services of the Exhibit Hall and Aisles Packages for these services start at $500 and can be arranged through your Catering Manager.

Open flames are not allowed indoors.

Sparklers, Hazers and smoke machines are not permitted in ballrooms.

Sparklers are not permitted on any of the turf venue spaces

Cold spark machines are permitted with approval. Guidelines for use can be provided by your Catering Manager.

Approval is required for all events or exhibits that involve pyrotechnics, cooking or other potentially hazardous situations. Permit information can be obtained through your Catering Manager Use of Confetti, streamers, glitter or balloon drop will be subject to a minimum $750 cleaning fee. Additional fees may apply based on labor times.

Damage: Stapling, sticking, nailing, screwing, adhesives or pinning of material on any part of the physical structure, furnishings, stage, floor, walls, ceilings or truss is strictly prohibited. The client agrees to be responsible for any damage.

Weather calls will be made by the Catering Manager 6 hours in advance

THIRD PARTY INFORMATION

All events containing an element of fire with a performance will require a fire permit from The City of Scottsdale

Permits to be obtained by client or their DMC on behalf of the group. Catering Manager must be notified at least 45 days prior to the event for approval by General Manager.

Fire performances may only take place on concrete or asphalt surfaces None will be granted on any of our turf venue spaces

All vendors hired by the client, including our preferred vendors, must adhere to the rules, regulations and policies of the resort.

Proof of insurance is required for all vendors working with or at the resort. A certificate of Insurance must be provided to the resort at least 10 days prior to the event date A policy of $2,000,000 liability is required

A Hold Harmless Clause must be signed by the client or third-party vendor (i e Production Company, decorator, exhibitor) This applies to all vendors and must be signed and returned a minimum of thirty days prior to group’s arrival.

DECOR, ENTERTAINMENT, AND ACTIVITIES

Noise ordinances require that all outdoor amplified music must conclude at 10PM and those conducted before 5PM must be approved prior to group’s arrival The resort reserves the right to manage noise levels to ensure a tranquil and peaceful environment for all guests both outdoors and in the event space

All Entertainment (including sound checks) must require approval prior to confirmation.

The resort has table linens and napkins available in a variety of colors. Our complimentary standard linen colors are 90x90" black, white, and sandalwood. Floor length linen available for rental. Check with your Catering Manager for options.

The resort can provide both floral and centerpiece decoration through our floral design team partner. Customized options and pricing can be coordinated with your Catering Manager
