ACTIVATING YOUR ACCOUNT

MAIN ACCOUNT ACTIVATION

When your account is activated on the new B2B you will receive an email from the system requesting that you complete your registration - this link is only good for 7 days so please take a few minutes to activate once you receive it

2.

In the email you will see a link to click, this will take you to the system where you can create your password and then login to the new B2B site

3.

Follow the link to create your new password based on the system requirements - once your password is created you can login to the new system with your username and new password!

4.

As the first user activated on the account you will automatically have full system access, you can also add up to 4 additional account users with custom system access, for more information on how to do so see page 3

To access your account details click on the person icon in the upper right hand corner of the screen

From the menu that appears click on the “MY ACCOUNT” option at the top of the list

Some of your information can be edited here, click on “Edit” to update

To add additional or manage the existing account users click on the “USERS MANAGEMENT” link on the right

From here those with access can add additional users (your account can have up to 5 active users) - to add a new user click on the “ADD USER” button

Add all user information here, the username should be the same as the email address

The phone number must include a +1 before the area code, this is the US country code

Click “NEXT” and then set the user permissions - (see page 5 for additional user permission information)

MANAGING EXISTING USERS

You can easily toggle users from active to inactive when employees depart or no longer need access

From the User Management screen those with access can also edit the permissions of existing users by clicking the “Edit Permissions” button to the right of the user name in the list

Make any adjustments and click “CONFIRM” to save (anyone who does not have “Can Manager Users” enabled will not see the Users Management Section)

The table to the right provides an overview of all the various user permissions you can adjust When setting up additional users think carefully about what system access they will need One key setting is the ability to Manage Users, this should only go to those who are allowed to add, delete, and change user access levels - anyone who does not have this access would not be able to change the settings shown above If you want a user to be able to see products in the system but not place orders you can turn off the “Can Buy Models” setting and that user will not be able to place orders Consider making a separate user to be used when working with customers that does not have access to see pricing information - this ensures that customers don’t accidentally see frame pricing when previewing another color or style When an employee leaves you should inactivate their user which turns off their access to the B2B and frees up a user login

Allows the user access to the My Balance area where they can see credit info/balance/ discounts/etc.

Can Make Returns

Gives the user to see warranty return information and start new warranty returns

Can Download Price lists

Gives the user the ability to download price lists from the Download area of the B2B site

Use the main Home Page search bar to search by model number or product name

Easily add product to your cart directly from the search results or right-click on a frame to see more details

USING THE QUICK ORDER AREA 1.

Use the “QUICK ORDER” section of the homepage to easily search and add multiple frames to your cart

1.

See the quantity of products in your cart and review the products by clicking on the shopping cart icon in the upper right hand corner of the screen

2.

Click on “GO TO CART” to see the cart in more detail and check-out

3.

In the cart you will see a summary of your order and can make any adjustments needed to the quantities

4.

Enter any discount codes here

5.

Click “GO TO CHECKOUT” to finalize your order

Select the delivery address from the drop-ship locations associated with your account

Add notes for customer service - any notes added here will cause your order to be held until they are reviewed by our customer service team

Add patient names or product specific notes here - these will NOT cause your order to be held

When ready agree to the terms and conditions and then click “SUBMIT ORDER” to finalize

SETTING UP DAILY CARTS

You also have the option to create up to 10 separate daily carts (based on ship to locations) which can be filled throughout the day and will be automatically submitted for purchase at 2 PM EST 1.

To add items to a daily cart select the correct ship-to address then select the “Make this order a Daily Cart shipment” option in the Checkout screen

Accept the terms and conditions and then click “SUBMIT DAILY CART”

You can access your daily carts at any time prior to order export time by selecting “DAILY CARTS” from the main menu

View your list of daily carts by Delivery Address and select “EDIT” to modify a specific cart

Edit frame quantities or delete items from the cart throughout the day prior to the order export time

See any automatic commercial discounts applied to your order here

To add more frames to a daily cart simply add them to your cart, select the same shipping address and make the order a daily cart shipment, the frames will then show up here in the daily cart details - you can create up to 10 daily carts based on your preloaded drop ship locations

PROCESSING WARRANTY REQUESTS On the new B2B customers can now process Warranty returns directly through the site without needing to send the physical frame back to Marcolin, creating an easier and more environmentally friendly process. Please note only frame issues due to manufacturers defects should be processed through this system.

You can access the Warranty Returns area by selecting “MY RETURNS” from the main menu

Enter the SKU (must contain the brand code: GU, FT, etc. followed by at least the first 3 numbers of the model number in order for the system to pull up the product list) along with the reason for the warranty return

3.

Upload clear photos of the issue and complete the rest of the information

4.

Accept the conditions on the bottom of the screen and then click “SUBMIT REQUEST” to send this in to our customer service department

5.

You will receive updates about the status of your request directly from customer service via email and can track the status of all warranty requests in the “MY RETURNS” area of the B2B

GETTING HELP

CHAT WITH MARCBOT

Get quick help instantly from Marcbot by clicking on the “Chat with Marcbot” icon in the bottom right hand corner of the screen, if Marcbot can’t provide you with the answer the system will automatically open a case that will go to our customer service team for additional help

You can also open a case directly with Customer Service yourself or review your open cases by clicking on the “MY CASES” link in the main menu

Open a new case by clicking on the “NEW CASE” button in the upper left

Add a description of your issue or question here, the more details provided the better customer service will be able to assist you. You can also upload images related to your case here if needed

Once all your information has been added you can click “CREATE CASE” and this will be sent into customer service who will contact you via phone or email to resolve your issue

Of course you can always contact Customer Service directly, the “CONTACTS” tab at the top of the screen will pull up the phone number and email address for the US Customer Service team along with contact information for your Sales Representatives
